Reflective Diary – Promotions Being in charge of promotions for our final event was one of the most rewarding and challenging experiences of this project. Looking back at my portfolio, I can see how much planning, creativity and organisation was required to successfully promote the event and create a professional experience for guests. Throughout the project, I was responsible for producing promotional materials, organising invitations, supporting event branding, and ensuring every visual element reflected the identity of the event. The portfolio documents this journey, from guest list planning and invitations to branded gift bags, event content and marketing assets. One of the biggest positives was seeing how all of the promotional work came together into one cohesive event. Creating the guest list taught me the importance of identifying different target audiences, including friends and family, industry professionals, alumni, university staff, brand owners and prospective students. Managing over one hundred invitees required attention to detail and organisation, ensuring invitations reached the correct people while maintaining a professional image. Designing promotional content was another highlight of the project. I enjoyed creating visually engaging invitations, social media content and branded assets that reflected a modern and professional aesthetic. Every design decision had to support the overall identity of the event, making consistency across colours, typography and layouts essential. This process strengthened my graphic design skills while teaching me how branding influences audience perception. However, the role also came with several challenges. One of the most difficult aspects was balancing creativity with practicality. While I wanted every promotional piece to look visually impressive, I also had to consider deadlines, printing requirements and budget limitations. Time management became especially important as multiple promotional tasks needed to be completed alongside other event responsibilities. There were moments when last-minute changes required designs to be updated quickly, which taught me to remain flexible and adaptable under pressure. Communication was another challenge. Effective promotion relies on constant collaboration with the rest of the team to ensure information is accurate and consistent. Any changes to schedules, guest attendance or event details had to be reflected across invitations and promotional materials. This reinforced how important teamwork and clear communication are within event management. Another lesson I learned was that successful promotion extends beyond simply advertising an event.
