Administrator – Reception Operation and Administrations
(Full-time and office-based, 6 days including Saturdays and Sundays)
The Administrator – Reception Operation and Administrations will be responsible for providing vital assistance in managing our centre operations, providing administrative support, and ensuring a smooth workflow within the organisation.
Key Responsibilities
• Reception Duties: Serve as a receptionist for the Centre when it is open, greeting visitors and managing inquiries.
• Childcare Responsibilities: Provide care for children at our Centre and manage enquiries from parents.
• Client Support: Provide hand-holding support for clients as needed, including accompanying them to hospitals and other appointments.
• Translation Services: Offer translation services if required to assist clients and staff.
• Administrative Support: Provide clerical support including managing correspondence, scheduling meetings, and handling phone calls.
• Office Management: Oversee office supplies, equipment maintenance, and facility management to ensure a productive work environment.
• Record Keeping: Maintain accurate records and files, both physical and electronic.
• Data Entry: Input and update data in databases and management systems.
• Communication: Serve as the point of contact for internal and external communications.
• Team Support: Collaborate with different teams to support various projects and initiatives targeting different audiences (including children and elderly).
• Cleanliness: Ensure the office is clean and tidy, including organising common areas and maintaining a professional environment.
• Promotional Activities: Join street booths and other external events to promote projects and the organisation across Hong Kong.
• Graphic Design: Create graphic designs for posters and promotional materials for events/activities.
Requirements
• 3-year work experience in an administrative role (preferably in school setting)
• Has experience in supporting children, in particular children with special educational needs
• Strong communication skills in handling enquiries and questions from parents

• Has experience working with elderly
• Self-motivated with good interpersonal skills, strong organisational skills, and attention to detail
• Proficient in English, both spoken and written
• Conversational at least in one minority language e.g. Urdu, Hindi, Punjabi, Nepali
• Must be available to work 6 days a week, including both Saturdays and Sundays
