SCAM Warning Attendee Lists Scam – we have noticed a lot more scammers approaching exhibitors over recent years offering to sell attendee/visitor lists to our events. This is a SCAM and we do not recommend engaging in any way. XPO Exhibitions do not on-sell our attendee data to any other party – therefore the Attendees List being offered is NOT legit. Other known scams include false accomodation sites. We recommend using known and recommeneded suppliers from our manual or checking with our team if you are being offered a product or service not listed in this manual.

1.SHOW SHOW INFORMATION INFORMATION 1.1 Show Dates & Times PACK IN Friday 28th August 8am - 6pm Saturday 29th August 8am - 6pm Deliveries - Accepted from 8am Thursday 27th August.

SHOW HOURS Access with valid exhibitor badges is permitted from 8am each day. Exhibitors will be required to vacate the halls 15 minutes after the close of each show day. Sunday 30th August Exhibitor Networking Function Monday 31st August Tuesday 1st September

PACK OUT Please remove any valuable items and signage off walls by the evening of Tuesday 1st September as stands will begin being packed down over night. 2.2.VENUE VENUE 2.1 Parking Parking at Auckland Showgrounds is free for exhibitors during pack in (Friday & Saturday) and pack out (Wednesday). For event days, please see below: 0 - 3 hours = $10. $2 per hour thereafter up to a maximum of $18. Car parking is controlled by Auckland Showgrounds and is out of our control as organisers. Street parking is available on Puriri Drive and surrounding streets. However, access to the venue is only open via Greenlane Road West.

2.2 Traffic Management Access to the loading bays at the back of the exhibition halls is via the Ring Road (one-way traffic). Entry to the Ring Road is exclusively through Gate 1. Security personnel will guide you upon arrival. If entering through the front doors of the exhibition halls, please park in the arena carpark. Forklifts and pallet jacks can only operate through the rear doors (back of the halls accessed from the Ring Road). For any questions, contact the Operations Lead.

2.3 Security Whilst we have security and safety precautions in place, no responsibility can be assumed for any loss or damage to goods. Security guards will be onsite from the first day of pack in. During opening hours, we have security guards patrolling the site, but we stress the importance of having your stand always staffed. The organiser shall be under no liability for any loss or damage to any property of the exhibitor or any other person, whether caused in whole or in part by any act or omission of the organiser, its servants, agents or contractors. 7


2. VENUE 2.4 Cafe Fernz Café will offer coffee and light refreshments during pack-in days, with meals available for purchase on show days. To set up a tab for your staff, please complete the form below prior to arriving onsite. Please send to Naomi@Fernzcatering.co.nz

2.5 On Stand Catering Fernz is now offering exhibitors a variety of catering options they can include on their stand. If you would like to offer visitors the chance to enjoy a barista coffe, or some nibbles from a platter, Fernz has you covered. Due to catering rights of the venue, you may not order external catering to have on your stand to give to visitors.

2.6 Exhibitor Lounge A complimentary tea and coffee service will also be available in the exhibitor lounge by show information during pack-in and upstairs on event days.

4. YOUR EXHIBITION STAND What will be on your stand 4.1 Stand type and services Please check your contract for the specific details of your stand size, type, and the services included. There are three types of stand space you may have booked:

4.2 Floor Plan The floor plan may change between the time of your booking and the staging of the event. The latest floor plan can be obtained by contacting the Operations Team or visiting your exhibitor dashboard. Please make sure you give the most updated plans to your contractors. 16


4. YOUR EXHIBITION STAND

4.3 Internal Measurement Due to the thickness of the panels (50mm approx) and the nature of how the stands are built, dimensions are not always exactly what they are in your contract. If you are planning to do a banner wrap inside your stand and require the exact internal dimensions, please email the Operations Team.

4.4 Panel Wall panels are 2.3m high and covered with a Velcro-compatible fabric. Velcro is the preferred method for attaching items to panels. Only the hook (rough) side is required and can be purchased from the Show Information Desk. Thumbtacks may also be used but must be removed at the conclusion of the event. Nails, screws, paint, permanent markers, or any other methods that may damage the panels are not permitted. Any damage may be charged to the exhibitor. Panels must not be moved or altered without prior approval from Exhibition Hire Services (EHS). Please avoid placing excessive pressure on panels, as this may create a safety risk. Additional panels for storage or display purposes can be ordered directly through EHS. PANEL ORDER FORM

4. YOUR EXHIBITION STAND 4.5 Carpet Grey 1m x 1m carpet tiles are included in your stand space unless otherwise requested. If you are installing a custom floor covering, we recommend laying it over the carpet tiles. When securing flooring, please use clear double-sided tape, as it is easy to remove and helps protect the venue floor. Alternative flooring options, including coloured roll carpet, are available through Exhibition Hire Services. Please refer to the Key Supplier Details on page 9 for contact information. If you wish to have the carpet removed from your stand, a labour charge of $2.50 + GST per sqm of stand space will apply. Carpet tiles extending into aisles or neighbouring stands cannot be removed. To arrange carpet removal, please contact Exhibition Hire Services.

4.6 Power and Lighting Your stand will include an allocation of power and lighting based on your stand size. Please check your contract to confirm the number of lights and power included. Additional power and/or lighting is available to order through Show Light & Power. Power and Lighting Order Form

4.7 Aisles All exhibitor staff, furniture, displays, signage, and equipment must remain within the boundaries of the contracted stand space and must not encroach into aisles. Exits, emergency equipment, and venue services (including power boxes located above stands) must remain accessible at all times. During pack-in and pack-out, aisles must be kept clear of materials and debris to allow safe access for forklifts, emergency vehicles, and contractors.

5. STAND DESIGN To make the most of your experience and trade at the show, we suggest creating a visually appealing and welcoming stand for visitors.

5.1 Design & Build A design and build stand is one that is designed and built by another company, that needs to be specially constructed and installed for the exhibition. If you plan to have a design and build stand please contact the Operations Manager with your plans for approval before production. For Design and Build supplier recommendations, please refer to page 9.

5.2 Height & Stand Structure The stand panel height is 2.3m. For structures exceeding this, you must discuss your plans with the Operations Manager as permission from neighboring stands is required. If permission is not obtained before the event, XPO Exhibitions may require adjustments to comply with the 2.3m height limit.

5.3 Signage Effective signage is crucial for ensuring your brand stands out in a crowded exhibition hall. It not only helps to capture the attention of our visitors, but guides them towards your stand. For signage supplier recommendations, please refer to page 11.

5.4 Materials, Fabric, Ceiling Canopies and Drapes Flammable materials are not permitted on site unless they’re fireproofed. Fabrics needing fireproofing include cottons, straw, hay, polystyrene, and crepe paper. Approved fabrics are wool cloth, sail cloth, dacron, mylar with dacron backing, nylon taffeta, polycarbonates, and thick panel plastic. Ceilings or canopies must be flame-proof (provide documentation) and have a valid fire extinguisher and smoke alarm. Approval from the Operations Manager is required. Drapes are only permitted on the outer exhibitor walls. 19


5. STAND DESIGN 5.5 Hanging Banners and Lighting For hanging signage and additional specialised lighting, contact Show Light & Power. Note that heights and rigging requirements vary by hall, affecting pricing. Banners or signage must be at least 1m within your stand boundaries. Prior approval from the Operations Manager is required.

5.6 Plant Hire Including plants in your stand design can help improve your stand presence. GreenAir Plants offer a wide range of modern indoor plants. Please contact info@greenair.co.nz for further information.

6. SHOW READY 6.1 Exhibitor Badges Exhibitor badges must be worn during event open days but are not required during pack-in or pack-out. To avoid onsite queues, please pre-order badges for your stand staff via the Exhibitor Dashboard prior to Monday 17th August. Badges can be collected from Show Information during pack-in. Any changes or additional badges can also be arranged onsite. To access the Exhibitor Dashboard, use the link below. 6.2 Operational Form This form is used to arrange Public Liability Insurance and collect important information about your stand, including container deliveries, stand design and build, and other operational requirements. Please log in to your Exhibitor Dashboard using the link above. Deadline: Monday 10th August

6. SHOW READY

6.2 Storage Limited storage is available onsite for empty, non-valuable packaging materials only. If you require storage for stock or larger quantities of materials, we recommend incorporating a lockable storage area into your stand design or hiring a storage container. If you plan to bring a container onsite, approval must be obtained from the Operations Manager. Once approved, please use the Container Label for easy identification by onsite personnel.

6.3 Forklifts Forklifts and operators will be available free of charge during pack-in and pack-out. Please notify the Show Information Desk when your truck arrives or when you require assistance. If you require dedicated forklift services or a lift at a specific time, we recommend arranging your own forklift. For further information, please contact the Operations Manager. PLEASE NOTE: While all forklift operators are qualified and experienced, the organisers accept no responsibility for any loss, damage, or incidents arising from the use of this service.

6.4 Trolleys A limited number of flat-deck and hand trolleys are available for exhibitor use during pack-in and pack-out. To avoid delays, we recommend bringing your own trolley where possible. When not in use, trolleys can be collected from the main foyer.

6. READY 6.6 Internet Complimentary Wi-Fi is available to exhibitors for basic internet access, including email and web browsing on laptops and mobile devices. Please visit the Information Desk onsite for the password. Please note: Complimentary Wi-Fi is not suitable for streaming, multimedia applications, or transactional software. If you require a faster, more secure, or dedicated connection, internet services can be ordered directly from Skopik.

6.7 Cleaning Cleaners will vacuum your stand every night during event days as well as after pack in (floors will be vacuumed on the last night of pack in ready for event opening). If you do not require this service, please contact the Operations Manager.

6.8 Waste Management XPO Exhibitions is committed to reducing waste and increasing recycling. Please separate your waste during pack-in and use the recycling facilities provided. Flattened cardboard to be placed in the yellow recycling cages located outside the back of the halls. Soft plastics, including clear pallet wrap, clear cling wrap, bubble wrap and other clear packaging film, to be placed in the grey recycling cages. General waste should be placed in the appropriate waste bins provided (this includes different colour soft plastic. Do not leave rubbish in aisles or beside full bins. If a bin or recycling cage is full, notify an XPO team member and we will arrange for it to be emptied. You are responsible for arranging the removal of any empty pallets at the conclusion of the show. Pallets left onsite will incur an additional removal charge.

6.9 Food Sampling Exhibitors may offer samples of products they sell, provided food samples are bite-sized and non-alcoholic beverage samples do not exceed 50ml. Exhibitors must supply their own sample cups, glasses, and serving materials. Any food or beverage not being sampled as part of your exhibited product range must be ordered through Fernz Catering (see page 8). Exhibitors are responsible for ensuring all relevant allergen information is clearly displayed when offering samples.

7. MARKETING

7.1 Exhibitor Listing in Show Guide As an Exhibitor, you have the opportunity to feature one FREE complimentary listing in the official Show Guide that includes; company name, stand no., a brief company description, email address, phone number and region. Please submit this by clicking “Edit your profile” on Exhibitor Dashboard and completing the magazine listing section. Once updated this will also go live on our website for visitors. You can submit your listing on the Exhibitor Dashboard on the website login here.

7.2 Complete your website profile Make sure you upload/update this as soon as you can to benefit from our extensive marketing campaign! Populate your website profile with your profile photo, hero image and what your company will be exhibiting at the show so visitors can get to know your company/brand prior to visiting.

7.3 Advertisements Our show guide is offered to every visitor that attends the show and many visitors retain it as a reference long after the show has closed. It contains full exhibitor lists, detailed floor plans, seminar schedules and general event information, along with pre purchased exhibitor advertisements. It is also hosted digitally on the fairs website and sent pre and post show to our significant Gift Fair Database. Please get in touch with the Sales Manager to find out more about advertising opportunities.

8. XPO LEADS XPO LEADS APP Collect real-time data and quality sales results straight to your mobile phone or tablet (synched to a secure Excel spreadsheet online), with our Premium XPO Leads App. Every visitor that attends the show is issued with a barcoded visitor badge. Simply scan a visitor’s badge, and you’ll have their contact details with the ability to append notes, take orders, or qualify them with your own sales questions. Speak with your Sales Manager or email apps@xpo.co.nz to take advantage of this service. Note: Please use the NEW “Premium XPO Leads” App available on the app store. This replaces the previous version. We recommend deleting the old one to avoid confusion.

9. HEALTH & SAFETY 9.1 Health and Safety Induction All people onsite during pack in will be required to complete a health and safety induction to be permitted entry to the venue. You will receive an email link closer to the show with instructions on how to complete this. XPO Exhibitions is committed to ensuring that our exhibitions are a safe environment for our staff, exhibitors, contractors and visitors. XPO Exhibitions considers that accidents, injuries and incidents can be prevented through appropriate management and planning, and we have developed policies and procedures that aim to protect the health and safety of all. Click here to view XPO’s full Health & Safety policy. We encourage all exhibitors to review and understand their obligations under this policy.

9.2 Fire & Evacuation Process At the sound of the fire alarm, please leave immediately by the nearest exit and proceed to an area well clear of buildings. Remain outside the building until the ‘All Clear’ sign is given. Follow the instructions of security staff and venue supervisors.

9.3 Fire Regulations Any materials used for the construction of your stand or display must adhere to the following minimum standards: Non-combustible and inherently non-flammable material Durable, flame-proof fabric Self-extinguishing plastic Plywood, hardwood or fibreboard rendered flame-resistant by a process of impregnation acceptable to the authorities. Fire extinguishers and firefighting equipment must at all times be visible and accessible, and must not be removed from its correct location.

9. HEALTH & SAFETY 9.4 Vehicles An exhibitor who is planning to include a vehicle on their stand must notify the organisers of their intentions no later than 21 days prior to commencement of the exhibition. You will be given a specific arrival and departure time to move the vehicle on and off the stand. Details of the delivery together with details of the fuel and fuel capacity, dimensions and weight of the vehicle must be provided. Vehicles must contain either less than 5% or more than 80% of the fuel tank capacity while on display. Batteries must be disconnected prior to the show opening. All display vehicles are required to have a current (dry powder) fire extinguisher mounted in a prominent position that is easily accessible. Vehicles are not permitted to start or move during the show without permission from the Organisers and Venue Management.

9.5 First Aid If any first aid is required during pack-in, show days and pack out, come to Show Information or contact a member of XPO Exhibitions staff. Please be aware that due to health and safety regulations, XPO Exhibitions are not able to hand out medication of any kind. In case of a medical emergency during pack in and pack out dial 111 for an ambulance and then inform an XPO staff member.

9. HEALTH & SAFETY 9.6 Test and Tag It is the responsibility of the exhibitor to ensure that ALL power leads and cords are tested and tagged by a registered electrician. CPM will be onsite during pack in to assist with any test and tag requirements. Please see us at the Show Information desk if you require this service. CPM will charge exhibitors $11 per tag directly.

9.7 Public Liability Insurance To exhibit at the Spring Gift Fair it is mandatory that all exhibitors have a Public Liability Insurance (PLI) covering at least $2,000,000 for their stand. This requirement ensures that any incidents, accidents, or damages are covered, protecting both exhibitors and the event from potential legal claims and financial losses. Without PLI, exhibitors cannot participate, as it is crucial for maintaining a safe and secure environment for all attendees. If you do not have PLI, XPO can offer this through QBE via ICIB Insurance Brokers at a cost per event of $135.00 + GST. Please order and pay via the Operational Form. If you would like to order PLI after the due date, please email the Operations Team. Any late payments made onsite will incur a late fee of $10 + GST. Event staff check that all exhibitors have up-to-date PLI. Book your PLI by using the online Operational Form – this can be located on your exhibitor dashboard under the label OPERATIONAL FORM.

9.8 Drones and Other Devices The use of drones, skateboards, scooters, segways, electrical skateboards, bicycles, remote controlled toys, and other such devices are strictly prohibited. If you require these on your stand for demonstration purposes, please contact the Operations Manager to discuss how you plan to use the device, and the safety measures you will take.
