OVERVIEW OF WELLNESS INFORMATION EVENT

We are excited that due to the relaxation of COVID regulations, the WPCC is able to run its first Information Event since November 2019! This is of course subject to any changes in regulations as we recognise the COVID landscape is ever-changing.

What to expect at this event…

We have over 30 services and providers booked to attend and promote information about the services and support they offer. This will be in our popular Market Place, where you will be able to walk amongst the information stands, talk to providers and find out more about what may be on offer to support your child or young person.

We last offered free massage therapy taster sessions in February 2019.

These proved to be hugely popular and we are delighted to be able to offer free massage taster sessions again at this event. We will have fully qualified Massage Therapists at the event who will be offering free 15 minute treatment taster sessions for parent carers. We only have a limited number of sessions and they will be allocated on a first come, first served basis.

Our refreshment area will be open throughout the event, so that all attendees can take a rare opportunity to sit with a free cup of tea or coffee and chat with other parent carers, helping you to realise that you are not alone and enabling you to meet other people who understand what it is like to be a parent carer.

A free buffet lunch will be provided for everyone who attends and we will do our best to cater for individuals’ dietary requirements, as long as we know in advance.

In an effort to responsibly reduce COVID risk, we will be restricting the number of people who book to attend, to 100.

WHY IS THE EVENT AT THE CIVIC CENTRE IN TROWBRIDGE? We are sometimes asked by parent carers why we hold our big information events in just one location. In the past, this has typically been Devizes.

We recognise that holding our large information events in one location may mean some parent carers having to travel to attend and we apologise for any inconvenience. We take the decision to hold large information events in one location for a number of reasons:• • •

it costs on average at least £2,500 to host one of these events and we simply don't have the financial resources to repeat these events across the county these events require the commitment from a large number of professionals and we would be unable to secure their time for several events we sometimes have to pay for external keynote speakers and facilitators who typically charge in the region of £350 to £450 per day; repeating these events would significantly increase these costs We try to find a venue that is as central in the county as possible. Devizes has a venue called The Corn Exchange. The Corn Exchange is a venue that is large enough for these types of events, and being in Devizes, it is the most central, suitable venue we have been able to find

Unfortunately this year, we have been unable to book the Corn Exchange for our event because it is being used as a vaccination centre to deliver the COVID vaccination programme. After much searching for possible alternatives, we managed to secure the Civic Centre in Trowbridge. We realise this isn’t as central as The Corn Exchange but it was the best alternative we could find, as many venues have either stopped trading or are not taking bookings.

The Civic Centre offers us more floor space than the Corn Exchange which will help in responsible COVID measures we will be taking. You will only need to travel between floors if you are successful in booking a massage taster session; everything else will be on the ground floor. The Civic Centre is a 10 minute walk from Trowbridge train station which has regular trains from towns including, Salisbury, Warminster, Westbury and Chippenham.

There is a large multi-story car park adjacent to The Civic Centre offering some free parking places. There is also a large long-stay pay and display car park which is two minutes from the venue.

We thank you for your understanding, and as always, we will pay parent carers' travel, car parking and childcare expenses.

OUR MASSAGE THERAPISTS

We are very grateful to the following massage therapists who have kindly committed to supporting our event: -

Kerry Cousins – Beauty At Home Sally Watts – All About Me Beauty Elise Welch – Heart Based Therapies Maria Van Der Waal – The Beauty Room Sarah Anderson – Candy Nails Salon Each of our therapists will be offering free 15 minute treatment taster sessions for parent carers.

All massage treatments will be over clothes and you will be able to choose either an Indian head massage, a neck and shoulder massage or a hand massage.

Massage treatments will take place in a room on the first floor which can be accessed by lift. Lighting will be subdued and calm music will be playing to help provide a calm and relaxing environment.

We are able to offer a maximum of 25 treatments during the day; and will allocate treatments on a first come first served basis, so please remember to request one on your booking form if you are interested.

To increase your chance of successfully securing a session, please tick as many slots on your booking form as possible. We will confirm individual sessions before the event.

For legal and safety reasons, there will be a short medical form that you will need to fill out before your allocated timeslot in order for the therapist to be able to work with you.

There is a link on your booking form that will enable you to complete an online medical form prior to the event. You will also be able to collect a form from the registration table on the day of the event but we recommend you complete the online form beforehand to get the most time possible from your therapist.

REFRESHMENTS AND LUNCH

Our refreshment area will be open throughout the event.

We will be serving free tea and coffee during the morning and again in the afternoon.

A free buffet lunch will be provided for everyone who attends and we will do our best to cater for individuals’ dietary requirements, as long as we know in advance through your booking form.

In an effort to responsibly reduce COVID risk, we will be limiting the number of people in the refreshment area at any one time. We will also be running three ‘lunch sittings’ to ensure there are limited numbers of people in the refreshment area at lunch time.

‘Lunch sittings’ are planned for 11.55am to 12.15pm, 12.20pm to 12.40pm and 12.45pm to 1.05pm

If we have fewer people book than we anticipate, we may be able to reduce the number of ‘lunch sittings’ to two, meaning that each ‘sitting’ will be longer than we currently anticipate.

Please indicate on your booking form which ‘lunch sittings’ you would prefer and we will do our best to accommodate. You will know on the day which ‘lunch sitting’ you have been allocated, by your colour coded name badge. We would appreciate it if you could select as many ‘lunch siting’ options as possible on your booking form, as if everyone requests the first ‘sitting’, we obviously won’t be able to accommodate this for everyone.

We are being led by government guidance and we have done all we can to responsibly organise the event to reduce risk where we can.

We ask that everyone attending is mindful that attendees and standholders may care for, work with, and/or live with vulnerable people, and be respectful of the measures the WPCC, Civic Centre and individual attendees have put in place to keep people safe while attending this event.

We expect attendees to act responsibly and adhere to the following guidance while attending the event: General Guidance ● We recommend attendees regularly use hand sanitiser (this will be easily accessible at points around the building)

● We recommend attendees wear a face mask while entering/exploring the event. ● Capacity in the Marketplace at all times will be limited

(those who are waiting to explore the Marketplace will still have the opportunity to relax in the Refreshment Area with a Tea/Coffee while you wait)

● We recommend individuals who aren't from the same household don't share elevators. ***We will be restricting the number of people who book to attend, to 100.*** The Marketplace ● We will operate a one-way system within the main hall. ● Capacity at all times in each room will be limited

(when the hall is busy, you can relax in the Refreshment Area where tea and coffee will be available)

● Information stands will be separated by at least 2 metres. ● We recommend that attendees wear face masks while exploring the Marketplace (unless you are exempt)

● Windows and doors will be open where possible to allow fresh air to circulate ● Ventilation systems will be on in rooms where no windows are open. ● NHS track & trace signs will be visible at entrances to the building and attendees will be reminded of the option to scan the QR code before they enter. ● We are assured that the venue is thoroughly cleaned daily by contract cleaners: Antibacterial sprays are used before and after each session in the Civic Centre, paying particular attention to door handles, buttons and objects that are touchable.
