Frequently Asked Questions CAN I USE OUTSIDE VENDORS?
ARE VENDOR/CHILDREN’S MEALS AVAILABLE?
Yes. Florists, entertainment, audiovisual providers, décor companies, photographers, and other outside vendors are permitted with prior approval from your Event Manager. All vendors must be properly insured.
Vendor meals are charged at the guest rate minus alcoholic beverages. Children under 10 are charged 50% of the adult rate.
WHEN CAN GUESTS & VENDORS ACCESS THE VENUE?
Yes, our event spaces are accessible with elevators and alternative transportation available.
The venue will be ready 15 minutes prior to your contracted start time. We ask that your guests do not arrive earlier. Events are limited to the contracted time, with 1 hour following the event for breakdown/cleanup.
WHAT IS INCLUDED WITH FACILITY RENTAL?
HOW LONG IS FOOD AVAILABLE?
For quality and safety purposes, meals & buffets are served at the scheduled time and may remain available for 1 hour.
ARE THE VENUES ACCESSIBLE?
Standard facility rentals include plateware, cutlery, glassware, table linens, napkins, table numbers, and directional signage. Each venue has existing tables, chairs, and banquette seating. CAN WE BRING OUR OWN DÉCOR?
IS PARKING AVAILABLE?
Yes, with prior approval.
Yes. Complimentary on-site parking is available for all guests. Electric vehicle charging stations are also available for on property guests.
NOT PERMITTED: Fog machines, taper candles, glitter, confetti, and wall or ceiling hangings.
Clients & vendors are responsible for decorating and removing all décor within 1 hour after the event. Additional assistance can be arranged.

Frequently Asked Questions CAN I CUSTOMIZE THE FLOOR PLAN?
Your event manager will create the floor plan using our standard venue layouts. Special arrangements may incur additional charges. Existing venue furniture and banquette seating cannot be removed from the space.
CAN WE BRING OUTSIDE FOOD AND BEVERAGES? All food and beverage must be provided by Windham Mountain Club. Outside desserts are permitted with prior approval and the client/bakery is responsible for delivery, setup, and breakdown.
WHAT HAPPENS IF THERE IS BAD WEATHER?
CAN WE UPGRADE BEER & WINE SELECTIONS?
Outdoor events may be moved indoors due to inclement weather and decisions are typically made one day before the event. For guest safety, onmountain activities may be modified or cancelled due to weather.
Yes. Upgraded wine, beer, and beverage selections can be arranged in advance. Specialorder cases are non-refundable and cannot be returned.
WHEN IS FINAL GUEST COUNT DUE?
14 days prior to your event and cannot be reduced after that date. Final billing will be based on the guaranteed count or actual attendance, whichever is greater.
CAN WE ARRANGE GOLF?
Yes, your Event Manager can assist with options. WILL OTHER EVENTS BE TAKING PLACE?

WHEN ARE FINAL MENU SELECTIONS DUE?
14 days prior to your event. If selections are not received by that deadline, The Culinary Team may make selections on the client’s behalf.

Frequently Asked Questions WHAT IS REQUIRED TO RESERVE AN EVENT?
HOW ARE ALLERGIES & DIETRY RESTRICTIONS HANDLED?
A non-refundable 50% deposit is required to secure your date and venue. Your Event Manager will establish the remaining payment schedule on your Banquet Event Order (BEO). Final payment is due 7 days prior to the event, and the guaranteed guest count is due 14 days prior.
Please provide all known allergies and dietary restrictions to your Event Manager at least 14 days before your event so our culinary team can properly prepare.
WHO IS RESPONSIBLE FOR PERSONAL BELONGINGS OR DAMAGES?
Pets are not permitted on chairlifts or inside food and beverage facilities.
The event host is responsible for the conduct of guests and any damage to the property. Windham Mountain Club cannot assume responsibility for personal items left before, during, or after an event. All belongings should be removed immediately. WHAT TAXES & GRATUITIES APPLY?
Food, beverage, and applicable rentals are subject to 8% New York State sales tax and a 23% gratuity. Valid tax-exempt organizations must provide the appropriate New York State documentation prior to the event.
