I

t seems like just yesterday we were enjoying caramel apples at AutumnFest… now it’s time to usher in our favorite winter events. We’ve got you covered with Holiday Cheer in December, Superfood Bootcamp in January, Valentine’s Dinner in February, and everything in between. Learn more about winter programming and events in the Lifestyle section. As 2020 approaches there’s a great deal to look forward to! After much anticipation Willow Grove Pond & Splash Park is scheduled to open for the upcoming pool season. We are also keeping busy with a full slate of operational maintenance and improvement projects, expanded Lifestyle programming, and new community vendors to welcome aboard. Additionally, there are two

4

major milestones coming up: Development selling its final Willowsford lots, as well as transitioning to an all-resident Board of Directors and Design Review Committee. Elections are slated to take place early to mid 2020, after which the Board of Directors will transition to an all-resident, five member Board. Read on to hear all about the Board’s 2019 accomplishments. If you are considering running, I would love the opportunity to meet for a cup of coffee or hot cocoa to share more detailed information about the inner workings of the Association and what to expect as a Board member. inter has come to Willowford and we have many exciting Lifestyle events planned for you! We kick off the holiday season on Wednesday, December 11th with Holiday Cheer, a jolly evening for residents 21+ made up of mingling, hors d’oeuvres and our private label Willowsford wine. Later that week, Santa comes to town! This year there are two options to partake in the festivities. Friday, December 13th is designated for families who simply wish to take a quick photo and avoid the crowds, something we’ve dubbed Express Flyover. Saturday, December 14th, is an Extended Visit including hot chocolate, holiday cookies, entertainment, and activities for the kids, in addition to photos with Santa. Don’t forget to bring your camera! Registration is required. When January rolls around we could likely use a break from food and festivities to focus on activities centered around health and fitness. ocal chef and owner of JL Restaurant Group, Jamie Leeds, will come to Sycamore House on Thursday, January 9th for a Guest Chef Dinner. She’ll give residents an exclusive preview of her new Italian restaurant, Hank & Mitzi’s, slated to open in Old Town Alexandria in early 2020. Willowsford provides the perfect avenue to debut new menu creations which highlight the best local ingredients available, all served alongside fine wines. This will mark the third time Jamie has delighted Willowsford residents with her culinary talents. She previously presented Hank’s Oyster Bar Pop-up Restaurant in July 2017 and then

again graced us with her presence by preparing cocktails in the Farm Garden before our Celebrity Chef Dinner in 2018. Willowsford’s Culinary Director, Chef Bonnie Moore says, “Our residents love Jamie. Since her concept focuses on local products and seasonally inspired plates, she wanted to preview Hank & Mitzi’s for us.” The Guest Chef Dinner will include a demonstration in the kitchen before sitting down to enjoy a scrumptious four course meal with friends and neighbors. Jamie is one of Washington’s most highly recognized chefs and restaurateurs due to her wildly successful restaurants and 30 plus years of

by Chef Bonnie Moore, Willowsford Culinary Director 7 lemons 1 bottle (750 ml) 100 proof vodka 2 ½ cups water 2 cups sugar 1. Wash and scrub the lemons. Carefully zest or peel the yellow part of the lemon rind leaving behind the bitter white pith (save fruit for another use). 2. Combine lemon zest with the vodka in a covered glass container and allow it to macerate in a dark cupboard for at least 5 days and up to 40 days. The longer the zest is macerated, the stronger the color and flavor will become. 3. In a small saucepan, bring the water and sugar to a boil. Let cool. 4. Strain liquor and combine with the simple syrup. 5. Store limoncello in a cupboard for up to 40 days more, then store in the freezer. Cheers!

Changes All Around Design Standards Update

s we shifted into fall the leaves and temperature weren’t the only changes Willowsford experienced. In preparation of transition to an all-resident Board of Directors and Design Review Committee, the Founder teamed up with Association staff and Committee and Board members to improve the Design Standards and Exterior Modification Application process. In addition, a redlined draft of the Design Standards was shared with the community for feedback and recommendations. 58 comments were received, each carefully reviewed and taken into consideration for additional revisions before finalizing the document. Thank you to everyone who contributed to the process! So, the big question is… “What’s changed?” Take a look at the more notable Design Standards revisions. Please note, this is not all-encompassing but is a great snapshot. Please visit WillowsfordLife.com to view the document in its entirety. New Name To safeguard and foster Willowsford’s vision, distinct guiding principles and design review meth-

ods were set in place to ensure continuation of our community’s unrivaled architectural beauty. Previously known as Design Guidelines, these are now called Design Standards and focus more on existing homes rather than new construction. Cohesive Information Design Standards now include detailed information on the Exterior Modification Application, review process, criteria and considerations, property maintenance standards, and violation enforcement. This information, which was previously located in several different documents, is now consolidated in one central location. Administrative Review Select HOA staff are now authorized to implement an administrative review process for the following items: basketball goals, four-board fencing, security cameras, and single tree removal/ planting. What does this mean for you? If you are applying for any of these modifications there is no fee required, plus, you may not need to wait until the next DRC meeting to have your Application reviewed and decided on.

Here are some upcoming DRC dates to keep in mind. If you have any questions about the process, please reach out to DRC@willowsfordlife.com. Note that DRC dates are officially advertised through the Willowsford Weekly emails and on the Willowsford Community Calendar online. Dates listed herein are subject to change. December 22nd – Application Deadline 24th – Pre-Review 31st – DRC Meeting January 15th– Application Deadline 21st – Pre-Review 29th – DRC Meting February 12th– Application Deadline 18th– Pre-Review 26th– DRC Meeting Above-Ground Trampolines These may be considered on lots of 1/3 acre or larger in size. Please see Design Standards for additional criteria that must be met. “No Application Necessary” Items The following items no longer require an Application for approval if the criteria set forth in Design Standards is met: irrigation systems, clotheslines, rain barrels, non-permanent fire pits, radon mitigation systems, pet access doors, mulch bed edging, doorbell cameras, storm/screen doors, and exterior decorative objects/statuary. Willowsford will welcome a new trash and recycling vendor, Patriot Disposal, to our streets beginning January 1st! It is our hope that this change will be seamless and provide a higher level of service to residents. Service days will change slightly, as shown below. More information will be available in the coming weeks and will be provided in the Willowsford Weekly emails.

l Homeowners: Responsible for driveways, fire hydrants, any sidewalk or bus stop adjacent to your lot, and Pipestems. It is recommended that you shovel your driveway and sidewalk after the plow comes through.

hroughout 2019 the thirteen Community Clubs of Willowsford have hosted dozens of exciting events. From sharing drinks, learning a new hobby, or lending a hand to the greater community, our clubs have certainly had a busy year. Events took place around Willowsford and out on the town. Take a look at some of the highlights from this past year! January – Wine Club Wine Club kicked off 2019 by poppin’ bubbly! They met at The Lodge on January 11th to sample

Champagne, Cava, Prosecco, and other sparklers paired with tasty snack selections. Wine Club mixes it up with casual BYO nights, tastings, group trips to local wineries, and more. February – Brew Club & Bourbon Club Brew Club and Bourbon Club hosted a joint meeting on February 1st to explore the fine art of bourbon-aged beer. The large group gathered at The Lodge to sample tastings and listen to guest speaker Wes Nick, brewmaster at The Farm Brewery at

Broad Run in Haymarket, explain the fermentation process. March – Community Garden Club Community Garden Club kicked off planting season with a Spring Garden Prep session in March. Residents interested in helping prepare the garden or renting a plot for the year gathered to share information and learn about the process. Community Garden Club oversees plot assignments and day-to-day operations of the Community Garden amenity in The Grange. April – Willowsford Cares Willowsford Cares organized a Beautification Day at the Willing Warrior Retreat House in Haymarket on April 6th. They teamed up with Serve Our Willing Warriors (SOWW), an amazing non-profit organization that provides respite for wounded service men and women and their families. Some residents donated funds or sponsored a basket for service members,

while others volunteered to plant flowers around US and Military flags and spruce up the area. May – Mountain Bike Club Mountain Bike Club teamed up with the Conservancy on May 4th to help improve Bull Run Overlook Trail for bikers and hikers alike. They met at Cedar Pond Pavilion and spent the morning cleaning up the trails. Afterward, the club headed to The Lodge for a much-deserved celebratory cookout. June – Archery Club Archery Club held Intro to Archery classes on June 2nd and 9th. Adults and children age 8 and up learned topics including safety, equipment, tips for bow and accessory shopping, and shooting form/technique. Instruction was followed by an hour of shooting time at the Archery Range in The Greens. July – Brew Club On July 19th Brew Club explored the shandy, beer mixed with a clear, carbonated lemon-lime

or lemon flavored beverage. Shandies are popular in Western Europe, Australia, and New Zealand. The party took place on the back patio of The Lodge where participants grilled out and shared shandies together. August – Bunco Babes A fun bunch of Willowsford ladies met up at Sycamore House on August 1st for a night of luck and laughter! They played Bunco and Left, Center, Right and shared appetizers and beverages. Bunco Babes meet every month at either Sycamore House or The Lodge. September – Social Club Social Club’s most popular event of the year, Deck the Hall’s Concert & Dance Party, took place at The Lodge on September 7th. This family-friendly event featured The Beltway Rockers with frontman and resident Gary Dennis. Attendees relaxed on the lawn, shared food and drinks, and had an enjoyable evening of rockin’ and rollin’!

October – Willowsford Wheels Willowsford Wheels met up in the parking lot of The Lodge on October 5th to share their appreciation for motor vehicles. Cars in attendance included a Corvette, BMW, antiques, a motorcycle, and more! The club typically hosts a handful of events each year where members showcase their cars in the parking lot, talk mechanics, share tips, and mingle with neighbors.

Resident Board Member Recap 2019 Summary

L

ike many in our community we moved here because we saw Willowsford as special—a place with a unique formula for success. Having spent nearly two years working with the Founder and Management Team, we have learned to appreciate that formula and the visionary people behind it. We have also come to better understand the challenges of sustaining the “magic” in a community of this size and scale as control shifts from the Founder/Developer to residents. As we approach that transition in 2020, we wanted to share how preparations have evolved. This past year has been a behind-the-scenes success story for the Board of Directors. The fact is that our fast-growing community runs pretty smoothly and is well-poised for its residents to elect all five directors next year. Our budget is balanced, program offerings

have expanded, and our 2019 HOA assessments went down a bit. Subject to its policies and directives, the Board has given Rebecca Lyons, our Community Manager, the latitude to manage HOA staff and to oversee the operations and facilities for our $5M company. We have had a good working relationship in 2019. Significant Board accomplishments in 2019 included the time-consuming task of overhauling the Governing Documents, the phased turnover of the Design Review Committee to residents, and a continued push toward transparency in the Board’s operations. Governing Document Review & Overhaul In consultation with the Association’s legal counsel, the Board revised Willowsford’s Community Charter and By-Laws to restate and clarify their provisions. Res-

idents availed themselves of the opportunity to comment online regarding the revisions. Without the significant collaboration between the resident-elected Board members and the Founder’s appointed Board members, the revisions most likely would not have been possible once the Founder control period ended. We believe the community is now much better positioned to govern itself when the Founder departs. The Board oversaw the detailed, time consuming work of the Design Review Committee in revising the Design Standards. The revisions were posted online for resident comment. Again, many residents spoke up, providing thoughtful critique and commentary. Those comments prompted further adjustments to the standards. A clearer and stronger set of standards resulted and will help preserve the look and feel of Willowsford.

Board of Directors Design Review Committee For this relatively young community to learn to govern itself when the Founder departs, the Board began transitioning the Design Review Committee to residents. Service on this Committee is time-consuming and sometimes unpopular. The Board sought out resident members ready to climb the learning curve and to review the myriad of resident applications in a predictable and fair manner consistent with the Design Standards. Our first two members Max Harwell and Scott McIntosh, have set a high standard. Time As a Board member, you will need to devote at least several hours of your time each month to Association business. In addition to regular Board meetings, you will need to be active in email discussions and occasional special meetings and projects. Some Board members may also spend time as a committee liaison. Desire The desire to uphold the vision that brought you to Willowsford and to maintain and protect property values. Being involved will put you in a better position to make and implement rules in your community.

Impartial Perspective Board members are required to step outside their immediate circle of friends and neighbors and make decisions based on the greater good of the community.

Transparency in Board Operations Paying assessments, residents naturally and rightfully expect the HOA to function well. Yet, they want to be able to look under the hood and know their voices are heard on community matters. The Board has taken that expectation to heart. Board meetings are alternated between early afternoon and early evening. The entire packet of information the Board considers in open session is posted online at least three days before the meeting. The resident-elected Board members contribute a wrap-up article to the Willowsford Weekly within a few weeks after a meeting.

Building Blocks of a Successful Board Member

by Rebecca Lyons, CMCA®, AMS®, PCAM®, HOA Community Manager Strength Being a Board member requires making tough decisions and being accountable for the Association and its assets. Strong management and leadership skills are necessary.

Experience (optional but recommended) Previous experience serving on an HOA Board, Committee, or other non-profit related position will be helpful.

The Board has begun to use online survey tools to gain a better appreciation of how residents view an issue or problem. Closely related to promotion of transparency is encouraging greater resident involvement. Specifically, in 2019 the Board decided to use electronic voting for Board elections. Every resident will now be able to vote through a portal managed by an experienced third-party vendor. Concerned about avoiding entrenched Board members, the resident-elected members pushed for and got term limits—two consecutive terms of two years. The Board encouraged, with success,

Being on the Board is a big commitment and there are a few building blocks that make a successful Board member. residents to use their clout to obtain signatures on petitions for presentation to local government elected officials. A sterling example was the resident petition relating to the Envision Loudoun 2040 comprehensive plan. There is no denying that 1000+ signatures from one community attracts attention! Willowsford Conservancy The Conservancy, with its various components, is a unique feature among residential communities. The Founder envisioned that Willowsford residents would not only be the Conservancy’s primary beneficiaries but would also be its principal source of funding through annual assessments. The Conservancy sets its own budget, but that budget and the assessment charged to residents is currently subject only to a limited right of review and disapproval by the HOA Board. For the resident-elected HOA Board members, we remain concerned the present governance structure does not provide meaningful, long-term financial accountability by the Conservancy to the HOA. We have had good and ongoing discussions with the Founder. We are confident the HOA-Conservancy relationship will be “rightsized” in a way that protects the Conservancy Trustee Board’s necessary independence to steward the 2,000 acres entrusted to it and to maintain a first-class mix of educational and entertaining programming, but is fully mindful that we—the residents—pay much of the bill. t’s been a whirlwind year, with milestones like earning our organic certification and offering fully customized CSA shares. We added Farm Stand Online, for one-time CSA boxes. We also hosted a week-long Farm session of Camp Willowsford. So, what’s in store for the Farm in 2020? Our newest Farm team member has four wheels and will be seen in your neighborhood bright and early in the morning because Willowsford Farm CSA will now make home deliveries! This new option is limited to Willowsford’s four

Thanks to their time and cheer, 2019 was one of our best seasons yet. We hope to continue to expand our volunteer program and work alongside even more of our Farm-ily members. items, making it well suited for exploring seasonal eating, or for supplementing CSA with produce from other sources. We’re grateful and excited as we watch the CSA program grow with each season, knowing that so many of you are taking the leap and choosing to eat fresh, healthy food grown right in your community. We know that adjusting to the rhythm of seasonal eating can feel daunting at times. Part of the fun of CSA is embracing that challenge as a voyage of discovery! Each week, we share what we’ve grown with you in our email newsletter. In 2020, we’re taking that newsletter and turning it into a “lunch break on the Farm”, complete with more recipes, meal plans, sources and suggestions. All the tools for delicious seasonal

eating will be delivered straight to your inbox! We are also working with local fruit farmers to bring you more fruit options, more often. We’ve heard your feedback that you love berries, apples and peaches with your veggies; we’re here to make it happen! While Willowsford Farm primarily grows vegetables, our goal is to include a fruit option every week. We’ve coined the term Farm-ily because we like to think of all our members as an extended family, connected by the Farm. “Know your farmer” is more than a slogan or a hashtag! Our mission is to grow vegetables AND community. Our shareholders are the driving force behind every decision we make. And we have a program

in place to reward our members for growing the Farm-ily by spreading the word. Conservancy Board of Trustees Welcome New Members by Iris Gestram, Conservancy Executive Director

I

n January 2020, three new members will join the Conservancy Board of Trustees: Greg Licamele and Chase Rowan–Willowsford residents, and Avi Sareen, president of TNT Environmental, Inc. Greg, Chase and Avi will join resident Claudette Papathanasopoulos and three representatives of the Willowsford Developer, increasing resident representation to three residents on the seven-member Board. Stan Settle, Stacey Kessinger and resident Chris Bodley will step off the Board effective January 2020 and we thank Chris, Stacey and Stan for their dedicated service and support!

Current Board members Claudette Papathanasopoulos, Mark Trostle, Rick DiBella and Mary Hegedus will continue. During the Founder control period, which continues until the Willowsford community is completed, the Founder appoints Conservancy trustees. We are excited Avi, Greg and Chase are joining the Board. Welcome Puja Tucker

Business Operations Manager Puja joined Willowsford Conservancy in September 2019 as the Business Operations Manager, overseeing accounting, office management and HR related functions. Puja has over 20 years’ experience ranging across public and corporate accounting in addition to seven years’ experience supporting non-profit organizations in a variety of roles. Puja earned her Bachelor of Accounting from the University of Maryland. Puja resides in the DC-Metro Area with her husband of nineteen years, Bryan, and their two children. In her free time, Puja can be found supporting her boys on the soccer field, basketball court, or in volunteer projects across the region.

Greg Licamele is a senior public information officer for Fairfax County, currently responsible for the government’s digital presence. Prior to his public service to Fairfax County, Greg was a communicator at The George Washington University, where he earned master’s degrees in media/public affairs and in homeland security/emergency management. He earned a bachelor’s degree in journalism from St. Bonaventure University. Greg serves on the board for Mt. Irenaeus, a Franciscan community near St. Bonaventure where connection to nature is a central element of the non-profit. Greg and his family live in The Greens.

Chase Rowan currently serves as Special Assistant to the CEO at Credible Behavioral Health. He has more than a decade of experience in operating and investing roles. Chase brings to the Board financial and managerial expertise as well as a passion for conservation. He received a BS from the University of Richmond and an MBA from the Harvard Business School. Chase and his wife, Stephanie, live in The Greens.

Avi Sareen is president and principal wetland scientist with TNT Environmental, Inc., a NOVA wetland and natural resource consulting firm. He is a Virginia certified professional wetland delineator, professional wetland scientist, certified arborist, and certified ecologist. Mr. Sareen’s firm specializes in wetland science, regulatory consulting, biology, ecology, botany, forest ecology and arboriculture.
