

WestMAC Parent Lounge
General Information

At West Moreton Anglican College (WestMAC) our families have access to our online portal, Parent Lounge. The Parent Lounge offers our families an informative and easily accessible way to view and update information for your student, whilst also staying informed of College life here at WestMAC. The Parent Lounge is one of the main online applications used by the College to provide the following:
• Academic Report Cards
• Booking Parent Teacher Interviews
• Managing Key Contact, Emergency Contacts and Medical Information (this can be updated at any time)
• Managing School Fees and Account details
• Staying up to date with Key Calendar Events and College Daily Notices
• Viewing your Student’s Timetable
• Emailing Class Teachers
• Managing your annual Parent Permissions that provide your student permission to attend Excursions/Incursions etc
This fact sheet has been developed for use on a mobile device. Please note, if you are operating on an alternative device, the display may alter slightly, however, the navigation and the completion of approvals and processes will remain the same.
Accessing Parent Lounge
Access to Parent Lounge is provided by the Enrolments Team upon commencement at the College. This occurs via a welcome email prompting parents/caregivers to sign in with your Email Address and you are provided with the opportunity to set up and personalise your log in password, which can be updated at any time using the I Forgot My Password function.
Parent Lounge can be accessed via the WestMAC website or WestMAC APP.
Via the website, open the West Moreton Anglican College web page, navigate to the top left of the home page and click on the Quick Links button and select Parent Lounge Log in. You will then be prompted to sign in with your nominated Parent Code and password.
Via the APP, open the WestMAC APP, click on the Quick Links button and select Parent Lounge, you will then be prompted to sign in with your nominated Parent Code and password. Note: The APP can be downloaded onto your mobile device from your APP store provider. Please follow the WestMAC APP Fact Sheet, if further information is required to assist with this process.
Navigating Parent Lounge
Home Page
When you log in to the portal it will always open at the home page. This page outlines priority College and student information, this automatically updates each time you sign in, ensuring the information you are viewing is current and relevant The order of the displayed information does not change, so you will consistently and reliably, view at a glance, the following key areas:
• Current Academic Reports – the most current report is accessible for each student within your family.
• School Calendar Events – the current week’s events are displayed providing key information and details.
• Daily Notices – these are college notices released daily for our community and can include updates, announcements and reminders for families and students

• Events & Payments – all events and payments that your student participates in will display here for your acceptance, along with your annual parent permissions. These permissions provide approval for your child to participate in College curriculum related incursions, excursions, camps and activities.
• Parent Teacher Interviews – twice a year, parents are provided the opportunity to meet with their student’s teacher/s at a parent teacher interview; dates are released and booked here.
• Business Directory – provides a quick link to the WestMAC website.
Navigation Bar
The navigation bar lives at the top of the quick and easy access around the portal The bar remains at the top of each page, unless you choose to leave following a link to a document i.e. academic report or As pictured below, the navigation icons provide access to the following key areas
• Four-square grid - leads to the key area within the portal.
• Small house - when selected, will return you back to the home page a any time
• Red box with the exclamation triangle WestMAC notifications for your attention, this can include notices, requests for action and College updates
• Person symbol - provides all information related to your log and portal access.
• Power symbol - provides securely.
Parent/Caregiver Approvals & Processes
As stated, the Parent Lounge is one of the main applications used by the College to ensure priority actions are completed by families throughout the school year. listed below that require your action or completion, prior to the school year commencing the year as requested
Annual Parent Permissions
At the commencement of each school year our families are issued with approvals that require completion for your students to participate in College activities and/or events. Parent permissions are refreshed annually, to ensure we are complying with your family’s preferences from year to year. All permissions include a ‘Terms and conditions’ document that clearly outlines the he College’s annual Parent Permissions include the following key areas:
• Excursion/Incursion - Provides approval to attend all excursions and incursions.
• Model Consent - Provides approval for your student photo, captured when participating in College events, student experiences or classroom activities to be released for use for marketing purposes. Further details are provided in the permission
• Transportation - Provides approval for your student to travel on buses for excursions and other student experiences where travel is required.
• Medical Records - Provides verification and acceptance of the medical information provided on the College’s Health Form and the ability to provide update

• Privacy Policy - Provides families the ability to read and accept the College’s Privacy Policy and commitment to Child Protection.
• ICT - Provides a copy of the ICT Responsible Use Agreement that outlines the requirements and expectations of students to ensure their responsible use of ICT within the College.
• Multimedia Viewing - Provides approval for your student/s to view multimedia texts e.g. movies, as a supportive learning tool. Movies will be selected based on rating and age appropriateness
Completing a Permission
To complete a parent permission, click on the permission title, located under Events & Payments on the Parent Lounge homepage. This will navigate you to the permissions page and provide you with further information related to the permission. To accept or decline the permission, the following must be completed:

• Scroll down to the grey box called Registration
• Using the drop-down box select Accept or Decline the permission
• To confirm the permission status, your selection must be saved. To do this navigate/scroll back to the top of the permission page and click on the blue Save button.
• Once you have saved the permission, you will be re-directed to a confirmation page and provided a link to return to the home page.
All permissions on the home page will remain in bold until you have completed the permission and saved your selected permission preference. Once this occurs, it will return to normal, un-bolded text with acknowledgment of your permission displayed below it i.e. Accepted or Declined.
Please Note: Failure to complete the parent permissions may result in your student/s not being able to participate in key events/activities for the schooling year.
Student Experiences Permissions
At the commencement of each school term, families of students who have nominated to participate in a student experience will be issued with a parent permission for completion. This permission must be completed prior to the student being able to participate in their chosen experience; this includes pre-season training that may be offered for their selected sport.
These permissions will display, and can be completed, the same way as the Annual Parent Permissions. Please follow the Completing a Permission step above, to accept or decline the Student Experience Permission.
Examples of Student Experience Permissions include:
• Sport – Eaglets (Prep, 1 &2), JTAS (Years 3–6) and TAS (Years 7–12)
• Creative Arts - Music, Dance & Musicals
• Activities & Clubs - Chess, Cattle Show Team, Debating etc.
• Outdoor Education - Camps and Camp Experiences
• Tours - independently offered trips to selected students.
Please Note: Failure to complete the parent permissions may result in your student/s not being able to participate in the student experience.
Parent Teacher Interview Bookings
Parent Teacher Interviews are held twice a year as afternoon/evening activities within the College. Families are notified via an email and within the College newsletter when the interviews will occur and when they will be available to book Once the bookings open, interviews can then be booked from within the Parent Lounge.
Booking an Interview
To book a parent teacher interview scroll down to the bottom of the homepage to the Parent Teacher Interview heading and complete the following:
• Select the Sub-School you wish to book within. Only the Sub-Schools you have students within will be displayed here.
• Click on the Sub-School you wish to book within.
• Then click on your student’s name.
• This will then re-direct you to a table listing the appointment timeslots that are available for your student’s teachers.
• Select the timeslot you wish to book, and press confirm
You can book multiple interviews; however, it is important you do not book multiple teachers at the same time
Academic Reports
The most current academic report will always display at the top of the homepage for each student within your family, each time you log into the Parent Lounge. Reports are released four times throughout the school year;

Terms 1 and 3 provide Interim Reports and Term 2 and Term 4 provide full School Reports outlining how your student has performed for the semester.
To access your student’s Academic Reports complete the following:
• Click on your student’s name, written in blue text.
• You will be re-directed to a listing of all the academic reports for your student.
• To view a report, click on the report name i.e. Interim Report or School Report, which is located beneath the Description heading.
• Once you have finished viewing the document press the back arrow to return to the list of student reports.
Medical Details
Medical details for each student are uploaded as per the information provided on the College Health Form during enrolment. To view or update your student’s medical information, complete the following:
• From the homepage, select the four-square grid icon in the top left of the page, then select the heading called Medical Details
• At the top of the page use the dropdown box to select the student you would like to view or update.
• This will then display the following information:
- General Medical Details
- Medical Conditions
- Immunisations
- Medical Practitioners
Under each of the key areas is the opportunity to ‘update’ or ‘+ New’ so these details can be updated at any time.
Parent Details, Address Details & Emergency Contacts
Parent, Address and Emergency Contact details for each student are uploaded as per the information provided on the Enrolment Form and on the College Health Form during enrolment. To view or update your student’s Parent or Emergency Contacts information, at any time, complete the following:
• From the homepage, select the four-square grid icon in the top left of the homepage
• Select either the area you’d like to update i.e. Parent Details, Address Details or Emergency Contacts.
• Within each of these areas is the opportunity to ‘update’ or ‘+ New’; selecting this will allow you to update the details within this section.
