Planners and event designers can help organize the details, overall design, or a combination of services. Consider an initial consultation to get you started, a day-of wedding coordinator to see that things run smoothly, or choose to hire a planner or designer to help enhance your ideas and fully execute all details. A planner will help create a seamless and stunning event. VENDOR TIPS & GRATUITIES The bottom line is that the people working your wedding are service industry professionals, so tipping (most commonly with cash) is definitely something to be considered for each of your vendors. Whether it’s an owner or a team member, who wouldn’t love a token of appreciation? It’s your choice whether you tip out of obligation, appreciation, or for those who went above and beyond! It’s also your choice on how much to tip or what else you prefer to give. One vendor shared, “Customers are tipping more after COVID, so we kindly accept whatever they would like to tip. One time the customer added a 20% gratuity to their final payment, another time we received $50 in an envelope when we delivered.” While others say they have received thank you notes, gifts, and gift cards as well, which probably depends on the relationship that transpired throughout the process, or maybe just one’s love of gift-giving.

HOW MUCH? Here’s a list of more specific tipping details by category. Fees range from custom to a certain percentage, as there is no rhyme or reason. You can consider using the reference below, which is a typical tipping reference in the service industry: 0% - 10% = Poor Experience 10% - 15% = Hey, you’re pretty ok. 15% - 20% = You did a great job! I appreciate you! 20% - 25% = Wow, you went above & beyond!

RECOMMENDED TIPPING FOR VENDORS BRIDAL SHOP STYLISTS: STYLISTS Appreciated – Not necessary; typically custom amount vs. a percentage; goes to the consultant that worked with you; given on the day you worked with that person. Consider the time, energy, and special attention your stylist gave you in finding the perfect gown or the seamstress who made it the ideal fit. BAKERS Appreciated – Not necessary; typically a custom amount; typically goes to BAKERS: the cake designer and sometimes split with the baking staff; can be added to the final payment, given the day of or after the wedding. More than likely, you won't see the baker on your wedding day, as you're off getting ready during the delivery. But you can assign someone to take care of that or quickly leave a thank you note with a tip enclosed on your cake or dessert table. VENUES, CATERING & BAR SERVICES: SERVICES Appreciated – Expected; Included in some cases; typically 15-25% is expected for bar and waitstaff, but custom amounts are also appreciated; given night of the event, unless already included in the contract and final venue payment; often divided amongst service staff. It’s best to discuss tipping and gratuities with your venue, caterer, or bar service provider. Some include a service fee in the contract that covers gratuities, while some cover company overhead and are not passed along to the service staff.

FLORISTS Appreciated – Not necessary; typically a custom amount; usually received FLORISTS: at set-up or with the final payment; often divided between the florist and any assistants. Consider the time spent with you in the initial consultation and throughout the process, not to mention the behind-the-scenes work put into cleaning and preparing your wedding day flowers. HAIR & MAKEUP ARTISTS: ARTISTS Appreciated – Expected; 15-20%; gifted when service is completed. Hair and makeup artists are similar to waitstaff because they get paid a lower wage, expecting tips. STATIONERS Appreciated – Not Expected; typically a custom amount; can be added STATIONERS: to the final invoice payment. Stationers work hard to create the look you desire and often suggest unique pieces to add to your event. Everyone loves a little something to show that you liked their work. MUSICIANS & DJS: DJS Appreciated – Expected; 15-20% or more if exceeded expectations; paid the day of the event; paid to the DJ or split between musicians. A lot goes into the preparation of planning for your event’s music and entertainment. So consider the extra time put in behind the scenes, in addition to the efforts put into the event itself. OFFICIANTS Appreciated – Not necessary; typically custom amount; paid on the OFFICIANTS: wedding day. PHOTOGRAPHERS & VIDEOGRAPHERS: VIDEOGRAPHERS Appreciated – Not necessary; custom amount; at the end of the event or when the final payment is made. It’s also not uncommon to receive it in the mail after the wedding. You may think photographers and videographers just show up for a few hours to shoot, and voilà! That indeed is not the case, as many hours of editing are done behind the scenes before you see your final gallery or video. While photographers do happily accept tips, they are also a vendor who sometimes receives gifts. Couples tend to have a more personal relationship with their photographer. This often lasts beyond their wedding day, as they capture future family milestones. PLANNERS & DESIGNERS: DESIGNERS Appreciated – Not necessary; 10-20% to custom amount; during the rehearsal, the day of, or added to the final invoice. Also, it is not uncommon to receive it in the mail with a thank you note or a gift after the wedding, as planners and couples establish more of a relationship working together over time. RENTAL COMPANY SALES STAFF & CREW: CREW Appreciated – Not necessary; there is no standard amount but is often paid to the salesperson and the crew; during set-up or tear down, before they leave the job site. TRANSPORTATION Expected; 20%; given to the driver or paid to the company for TRANSPORTATION: the driver.


WEDDING TRENDS Following trends is a really fun part of our job. Post-pandemic, weddings in 2022 are set to be more unique and individual than ever before, with endless ways for couples to customize their day. Weddings will be celebrations, not just of love, but of reunion and recovery. We're already seeing lots of inspiring wedding trends emerge. With equal measures of maximalism and minimalism, we are excited to share our favorite wedding trends with you! BOLD COLOR PALETTES: PALETTES Muted tones have been popular for several years, but bold colors have been making the scene. Bold can be vibrant, or you can choose the earthy tones of bold colors. WEEKDAY WEDDINGS: WEDDINGS With the scheduling and rescheduling of weddings due to the pandemic, couples sometimes had no choice but to turn to a weekday option. Weekday events can also often help trim down the guest lists, as those near and dear are the guests who will go out of their way to make sure they are present. MULTI-DAY CELEBRATIONS: CELEBRATIONS A wedding day is a whirlwind of people and activities and typically only allows for a brief opportunity to talk with each guest. Adding pre and post-party gatherings allows more time with the people closest to you and people who have traveled a distance to celebrate your marriage. For example, consider a Friday evening intimate ceremony & elegant dinner, followed by a more casual & festive Saturday reception celebration with a larger group of guests, and ending with a Sunday visit to a winery or a gift opening brunch with close family members and friends. MICRO WEDDINGS: WEDDINGS The term micro wedding popped up during the pandemic, with couples drastically reducing their guest counts to 50 or fewer people. Couples quickly realized that a lower guest count allowed for splurges in other areas. They had the opportunity to think outside the box and go beyond the norm. Shifting funds opened opportunities to spend money on guests in different ways beyond the food and beverage bill and create unique experiences with specialty vendors. ANNIVERSARY WEDDINGS & SEQUEL RECEPTIONS: RECEPTIONS The pandemic caused some new lingo to pop up in the wedding world. From micro weddings mentioned above to these two new terms…Anniversary Weddings and Sequel Receptions. An anniversary wedding came out of lockdown when couples had to reschedule but chose the same date, a different year. While a sequel reception is for the couples who chose a more private, intimate ceremony or elopement but had big plans for the Sequel Reception as a larger gathering. STATEMENT DRESSES: DRESSES With Boho still being a popular style, we see a lot of gorgeous dresses with intricate details and beautiful long, flowy angel sleeves. Although white and ivory still hold their popularity amongst wedding gowns, color has become a fun and unique alternative and can express one's personality and sense of style. From a subtle blush, blue, or champagne to a vibrant, eye-popping red, color can make a statement. Dramatic and Moody is also a current style trend, bringing black or black accented dresses, and dark hunter-green gowns to the scene, making for a stunning, show-stopping appearance. GRAZING TABLES: TABLES Grazing tables have become popular for a tasty and colorful spread of delicious bites. Essentially grazing tables can be a mixture of your favorite foods for you and your guests to feast on. It's a smorgasbord of deliciousness and often very aesthetically appealing as well! A common option is a charcuterie board with meats, cheeses, olives, fruits, jams, and a selection of crackers and bread. FOOD TRUCKS: TRUCKS Food trucks started coming on the scene a few years back, but as the number of outdoor events grew, more food trucks with a variety of food options became more common. Whether multiple trucks for various food or dessert "stations" around the grounds to a late-night snack food truck waiting outside your reception venue, it's a fun option to explore. It adds to your guests' experience and unique food choices. LATE-NIGHT SNACKS: SNACKS It's been a long day, dinner was hours ago, and some drinking has been enjoyed...time for late-night snacks! This extra treat is a perfect way to add to the experience of your event with a food truck, pizzas, popcorn, ice cream, s'mores, soft pretzels with all the dipping sauces, or how about a spread of your Kwik Trip favs. Whatever your favorites may be, everyone loves food! PRE-WEDDING TOASTS: TOASTS Since no one likes being put on the spot, or they might have had a few too many cocktails by the time the reception toast time rolls around, consider pre-wedding toasts. Bumping this event to earlier in the day can be accomplished with video footage of special messages and toasts to the couple, edited together, and presented at the dinner. Or ask your wedding party to prepare their speeches for the more intimate gathering at the rehearsal dinner. Potentially ask that they stay away from embarrassing stories or inside jokes if that's not your style. 18 WedPlan Madison

NEON SIGNS: SIGNS Neon signs can be both elegant and festive and can match many wedding styles. Some couples choose to design the sign with their first or last names, while others select fun phrases, such as Better Together, All you need is Love, Crazy in Love, Love Wins, 'Til Death, Happily Ever After, and It was always you. Others choose to adorn the bar area with neon signs that say Cheers, Let's Party, or Drunk in Love. BIG ON FLORAL: FLORAL From big, over-the-top bouquets to luxurious floral installations, many couples are splurging on the flowers, making their event over-the-top gorgeous! From bold, vibrant blooms to neutral petal palettes and dried flowers and grasses, we've seen it all. FLORAL HOOPS: HOOPS Floral hoops, also referred to as circle bouquets, started as a popular trend with boho weddings. It quickly spread to other styles of weddings since the look is versatile depending on the materials used. Circle bouquets are typically made of a lightweight gold hoop, adorned with flowers, greenery, ribbons, macrame, or whatever elements match your wedding day style. You can also mix and match by having the bride carry a bouquet, and the maids carry the hoops or alternate the maids with bouquets and hoops. These hoops are also great for ceremony backdrops and reception decor. They also provide the perfect opportunity to multi-purpose. Start by taking them down the aisle, then hang them up as a backdrop to your head table or sweetheart table. MINI CAKES & OTHER DESSERTS: DESSERTS Mini cakes can be displayed amongst a selection of other desserts. They can also be used as part of the table centerpieces or adorn each individual plate. It all depends on the size and if other desserts are desired. New dessert offerings from area bakers are popping up all the time. FURNITURE Add to the vibe of any event and to the guest experience with furniture. FURNITURE: From ceremony or reception seating to match your style or special seating for the wedding couple to a complete luxurious lounge, pods of seating spaces, and unique bar ideas, amazing furniture sets the tone and creates comfortable gathering spaces. A variety of tables and chairs for the ceremony and reception continue to debut in all styles, materials, shapes, and sizes. Lounge furniture is expanding in inventory to match a variety of themes and aesthetics. Wedding guests love kicking back in comfort while enjoying a cocktail, a small plate of apps, and chatting with friends. MOCKTAILS Add some flavor, sophistication, and thoughtfulness to your non-alcoholic MOCKTAILS: drinks by offering a mocktail menu. Your guests will appreciate this fun and delicious alternative to a cocktail, water, or a more traditional soda. Flavors of mocktails can often mimic the taste of a specific liquor flavor without the alcohol. These drinks are not just refreshing but also look absolutely tempting and pleasing to the eyes. CBD BUD BARS: BARS Hemp-loving couples in Wisconsin have a new non-alcoholic bar option for their event: a Bud Bar. A mobile bar serving CBD-only cannabis strains, a Bud Bar offers a unique experience for guests and can be customized to fit the needs of every event. Headed up by a cannabis expert (or budtender), a Bud Bar is fully equipped to share the fun of cannabis with all event attendees regardless of experience level.

WEDDING PARTY FIRST LOOKS: LOOKS First looks originally started with a mini photo session of the couple as they saw each other for the first time before walking down the aisle. Photographers quickly pivoted to additional photo ops capturing the emotions of first looks with others closest to the couple, such as parents, grandparents, other special family members, or the wedding party seeing their beautiful or dashing friend in all their glory. LIVE STREAMING: STREAMING Due to guests' various comfort levels of attending a wedding, live streaming continues to be popular. Thank goodness for today's technology which allows friends and family to watch a wedding from anywhere, no matter the reason. Many streaming guests have fun with it and enjoy their at-home festivities, celebrating virtually alongside the couple. At-home guest attire and the menu have been anywhere from PJs and popcorn to dressing up and doing a little drinking and dancing of their own. The guests' celebrating could be with their partner or with other family and friends that feel comfortable being together. BEER BOY: BOY You read that right! Some couples are having fun during the ceremony and having a beer boy instead of the flower girl. This wedding party member, of course, would be an adult special attendant, dressed as fun or as dashing as you'd like with their basket-o-beer to randomly hand out to guests as they walk down the aisle.

WHAT’S YOUR STYLE? One of the first steps to planning a wedding is choosing the vibe of your big day. What is the overall vision you want for your event? What do you want it to look like, and what type of experience do you want your guests to have? Maybe you have been dreaming about it for years, or perhaps you’re just getting started, but it’s essential to decide this upfront because it will help determine every decision that follows. Knowing your style will help you and help your vendors make suggestions to bring your vision to life.













Although you can easily combine more than one style, it’s important to keep things cohesive and stick with your vibe throughout every detail. It’ll be more pleasing to the eye, create an experience, look stunning in your photos & videos, and be cohesive on your feeds!

WHAT CAN DETERMINE YOUR WEDDING VIBE? There are no rules when it comes to determining your vibe. It’s your wedding, do it your way. But here are some things couples consider that sometimes help determine the style. SEASON Many couples want a specific season and pick a color palette and decor SEASON: they feel fits. In that particular season, the natural surroundings, temperatures, and product availability can affect such things as attire, floral, and food options. COLOR PREFERENCES: PREFERENCES Are you into bright colors, pastels, or neutrals? What are your favorite colors, and what other colors complement them? Or are you going with a monochromatic look? If you take your ring to a jeweler for cleaning, be sure to give them the information on ALL the stones in your ring to help ensure they won’t do any damage. For cleaning in-between taking it to the pros, Do NOT use any chemical cleaner. Doing so could cause permanent damage. Your jeweler will typically give you a safe ring cleaning solution, or you can combine a few drops of gentle dish soap into a bowl of lukewarm water, and soak your jewelry for five minutes. Gently clean around the stone and behind the settings with a soft-bristled toothbrush. Then wipe dry with a soft cloth. Save the dates are sent to announce your wedding so guests can mark their calendars officially. These typically include your names, wedding date, city, and state where the wedding will occur. There is a difference between save the dates and a wedding invitation. A save the date is basic information to notify your guests so they can make a note of your nuptials on their calendars and start initial plans to attend. The save the date may also include notice that a formal invitation will be sent at a later date. Whether a postcard or other creative option, a save the date can be quite simple and simply fun! In addition to basic information, you could also include your wedding website, if you have one. The save the date and the wedding invitation serve two different purposes, so it's not a question of which one you will send; it is recommended to send both if time allows. Sending a save the date well in advance will allow guests more time to plan and fit your festivities into their busy schedules. If you are not sure if you should send a save the date, consider how busy your guests are and where they are traveling from. If you want to get the word out and make sure no one is missed, we'd highly suggest sending a save the date. However, if you have a short engagement, and the save the date would arrive too close to the invitation's arrival, then it is definitely something that is ok to skip.

Still, one of the other essential tasks, as well, is to make your union legal with both a marriage license and a marriage certificate. Deciding who will officiate your ceremony is another critical decision. An experienced officiant can help you with the planning, the personalization, and setting the tone for the entire ceremony. If you are thinking of not having an officiant or having a friend or family member do the honors, be sure to check state laws and the county clerk's office for rules or guidelines.

Give the license to the officiant.

Bring the marriage license to the ceremony. Your officiant fills out the license, the witnesses will sign it, and then the officiant sends it to the Register of Deeds in the county where you were married. The marriage license is processed and becomes the marriage certificate.

LOVE LETTERS Maybe reciting your vows or personal thoughts in front of a gathering of people isn’t your thing, but you want to make sure to express your thoughts and emotions to your partner privately on your wedding day. This can be accomplished by agreeing to write each other a love letter, which can be read to each other during the first look. If you prefer not to see each other before, consider a "first touch" instead. Stand back to back or around a corner where you can still hear each other’s voices, and hold hands. Decide if anyone else would be present, including the photographer and videographer, or if you want it to be just the two of you. If you prefer not to read out loud, simply exchange letters with each other, and spend a quiet moment reading and soaking it all in. This is also a perfect time to exchange gifts, if you have chosen to do so. Oh, and don't forget a tissue. My best advice would be to save those letters and re-read them to each other on each anniversary, reminding each other what you loved about them that day and what you continue to love about them now. You can even re-write and recite your letters to each other each year as you grow in your love.

The party of your lifetime, where do you begin? You'll want to have date options in mind and consider your budget, style, and the size of the reception, to help you narrow down the venue choices. WEDDING BREAKFAST: BREAKFAST This can be hosted by the couple, friend, or a family member at home or at the hotel where guests are staying. It’s another opportunity to spend time with those dear to you, or for guests who have traveled a distance to celebrate with you. It’s also a great time to go over the day’s agenda. AFTER PARTY: PARTY A casual affair in the hotel bar, a specially created lounge, or at a nearby establishment ensures a little celebration and relaxation with those nearest and dearest, following the reception dinner and dance. BRUNCH Before your out of town guests BRUNCH: return home, a post-wedding brunch is a perfect opportunity for one last gathering, to share your appreciation and say your good-byes. GIFT OPENING: OPENING Gifts are usually opened the day after the wedding. Close family and friends enjoy gathering around, visiting once again, and seeing what the couple received. MOSQUITO CONTROL FOR OUTDOOR WEDDINGS Outdoor weddings are popular and can make for a picture-perfect event. Just remember, as the sun goes down, the mosquitoes come out, so you need to be prepared. Here are steps you can take and tips to consider. Start by talking with your venue. Tour the land and find out about hot spots, such as tall grasses, thicker foliage, and still water. Plan your festivities accordingly. Also, ask if they have any measures they take or have found successful at their venue. Ask if they will have someone spray the property before your event or if that is your responsibility. If this is your responsibility, check with the mosquito control company in advance to better understand the process and how many applications it will take before your event. You'll want to have them coordinate that schedule with the venue, so the timing is right for both parties. This step is typically the wedding couple's responsibility, but the investment is worth it to keep the pesky mosquito population down for your special event. OPTIONS TO CONSIDER: • Hire a professional to spray the grounds in advance. • Talk to your florist about options in flowers that are known to repel mosquitoes, and incorporate them into your decor. • Buy or design your own citronella candles or have paths of tiki torches around the grounds where guests will be present throughout the evening. • Oscillating fans can also help keep the mosquitoes away and cool your guests on a hot day. • Create baskets with bug sprays to set around the reception area in the evening. TIPS FOR RECEPTION SEATING DETERMINE TABLE SHAPES: SHAPES There are a variety of table shapes, but the two most common for weddings are round and rectangle. Don't be afraid to go beyond the norm or mix and match. See what the venue offers and check out options from local rental companies. Discuss the pros and cons of your options with these weddings pros, as they have experience with guest counts and configurations and can help determine the best layout and design for your event. KEEP FRIENDS + FAMILY CLOSE: CLOSE A head table or king's table is best if you prefer to be seated with your wedding party. You may also include their plus one if there is room. You should have reserved tables nearby for parents, grandparents, and close family members. Considering a sweetheart table? Create a table for two, with specialty seating. This is not only more intimate, but it also allows for the wedding party to sit with their dates and other mutual friends. Place their tables and the parents' and grandparents' tables closest to the couple. ORGANIZE GUESTS BY GROUPS: GROUPS As RSVPs come in, start grouping guests according to how you know them, such as family members, high school friends, college friends, work friends, etc. Try to make everyone feel comfortable by putting them with someone they know. Avoid seating people together that you know could potentially be an uncomfortable situation. KEEP IN MIND: MIND Consider the layout of the venue space as far as speakers, restrooms, food lines, etc. You probably don't want to place elderly guests close to the speakers, or you wouldn't want to put a kids' table near something that might cause some mischief. You get the idea. If you have any guests in wheelchairs, be sure they will have mobility throughout the space.

If you're planning to have family and friends who will be traveling from out of town to celebrate with you on your beautiful wedding day, you will want to be sure to make them feel welcome and special throughout their entire stay. Blocks of hotel rooms are necessary for their overnight accommodations, and possibly even for local guests who want to be a part of the weekend festivities. Providing special welcome baskets or goodie bags with local merchandise, a guidebook with points of interest, weekend itineraries, gift cards, and a personal thank you note are a perfect touch to make your guests feel extra loved and welcome. We've rounded up several tips below on planning your wedding guest accommodations.

PLANNING FOR GUESTS • To help your guests make plans far enough in advance, start with a save the date card, or a unique photo or video post. • Help guests get informed and stay connected regarding the wedding details by including relevant info in the invitation ensemble, as well as on your own personal wedding website. • Area hotels offer special group rates, but beware of peak seasons and other local events that may hinder availability. • Consider offering a few different hotel options at various price points; however, if you want guests close throughout the weekend, be sure to mention where you will be staying. • Ask the hotel about discounts and incentives regarding a suite for your wedding night, room blocks for your guests, shuttle service, and hospitality areas for a welcome reception, postwedding brunch, or gift opening party. • Ask the hotel about their hold policies, regarding maximums or minimums, and when they will be released if not reserved. • Are there any special guests that you want to cover costs of their hotel stay? • Is there a fee for parking? • Consider including some of your out-oftown guests in additional gatherings. • In a formal reception, with planned seating arrangements, place guests in comfortable situations. 228 WedPlan Madison

• Don’t forget special arrangements, menus, or activities if children are attending. • Consider additional options such as a photo booth, caricature artist, live entertainment, or other added fun to keep your guests entertained between the ceremony and reception. • Consider “emergency essentials” baskets in reception restrooms for your guests’ convenience. • Be aware and attempt to accommodate those with special dietary needs. • Handwritten thank you notes following the wedding day are still proper etiquette and should be sent in a timely manner.

TIMING 12-24 MONTHS BEFORE: Book block of rooms. 8 MONTHS BEFORE: Include hotel and room block info on your save the date and your wedding website. 3-4 MONTHS BEFORE: Start monitoring the hotel block on a weekly or monthly basis so you can adjust the number and type of rooms set aside if necessary. 1-2 DAYS BEFORE: Drop off guest welcome bags for the hotel to distribute.

Your photographs will be your most valued wedding heirloom that you'll look back on years from now, reminiscing about your favorite wedding day moments. There is nothing like the work of a photographer who is a true artist; so, do not leave your wedding day photography to an amateur. Find a wedding photographer with the right style and personality that matches you as a couple.

WHAT TO KNOW AND ASK • What photography style do you desire? • Have a budget in mind; however, this is an important time to consider quality and personality over price, as they will be with you throughout the celebration, and you want to be elated with the end results. • Understand what is included, such as number of shooters, events covered, photo rights, equipment, amount of editing, and end products. This will help you compare fees as well. • Does the photographer have samples of photography they’ve done at your venue? • Discuss possible shoot locations. • Do you want digital images, prints, albums, or a combination? Ask about a la carte or package options. • Does your photographer have a backup plan in case an emergency arises, and they cannot make it on your wedding day? • Will you have rights to the digital files? When you pay for a photographer, you pay for the creation of photography, not always the copyrights.

FINE ART - This photography has a beautiful artistic approach with a distinct style. This type of photographer uses somewhat of a traditional element with some of the shots, but also captures candid, raw moments in natural lighting, closer to dusk. These photos tend to be stunning unique pieces of art that could be seen hanging in a gallery or wall art for your home.

Another decision you’ll need to make is whether to go with digital or film. Or a mix of both, which some photographers will do. Digital is the most common way of shooting as it allows shooting in any lighting and many different angles. Film provides a more soft, organic style, but tends to be more expensive with rolls of film and the cost of processing.

TRADITIONAL - This style leans towards posed photos with artificial lighting that needs to be setup, with focus on portraits and wedding day moments such as first kiss, first dance, cake cutting, and family portrait shots. PHOTOJOURNALISM - This style strives to document the day as it unfolds, to tell a story with unscripted and candid photos that have more of a modern look than traditional wedding photography. Some documentary photographers won't set up portraits at all, while others are more flexible. SHOULD YOU PLAN A FIRST LOOK? Some couples like to stick to the tradition of seeing each other for the first time during the walk down the aisle. CALENDAR CHECKLIST This is an ideal timeline. Couples who do not have as much time as shown should plan their wedding in much the same order, using the checklist as a guide. Be sure to check things off as they are completed or cross out if it doesn't apply to your plans.

IMMEDIATELY AFTER THE ENGAGEMENT  Announce engagement.  Discuss budget, size and style of the

wedding. Decide who pays for what.  Contact a travel agent if planning a

destination wedding.  Choose a wedding date and time.

Check vendor availability prior to setting a date.  Create a system to organize your

thoughts, photos, worksheets, etc. (binder, web folder, Pinterest account).  Enlist the services of a wedding planner.  Make initial contact with vendors

and obtain references.  Tour and reserve ceremony and reception

sites; make initial catering contacts.  Meet with officiant; schedule premarital

counseling.  Reserve photographer.

 Make arrangements for ceremony

and reception music, and other entertainment (photo booth, DJ, etc.).  Make all transportation arrangements to

and from the wedding and the reception.  Start shopping for wedding dress and

bridesmaid dresses.  Reserve florist, ask when to schedule consult.  Reserve wedding night suite and blocks of

rooms at hotels for out of town guests.  Initial catering consultation.  Select your wedding party. Select one

usher for every 50 guests.  Appoint someone to act as "organizer" to

troubleshoot any problems that might arise and make sure everyone is where they need to be the week of the wedding.  Book engagement photo session well

enough in advance to use photo in save the dates.

 Reserve videographer.

9-12 MONTHS BEFORE  Select and order wedding dress,

bridesmaids, and mothers.  Reserve rental items that are larger in

size (tents) or high in demand (chairs).  Contact a travel agent to plan your

honeymoon; put down a deposit.  Begin passport acquisition process.  Compile the guest list and guests'

addresses.  Consult with stationer about save the date

design concept. Mail upon completion.

 Start considering formalwear look.  Book your salon professional to ensure

the preferred date and time. Check with your salon for how far in advance they book wedding parties.  Consider cake and dessert options.

Seek out bakers.  Select and order undergarments, shoes,

and accessories.  Start skincare routine.  Implement diet and exercise program.

6 MONTHS BEFORE  Look for alteration specialist (if someone

other than bridal shop).  Reserve your baker (earlier if your wedding

is during a peak time) and have a design consultation.  Reserve your rehearsal dinner venue and

choose menu.  Have florist consultation and choose

flowers.  Get measured for formalwear and place

 Finalize order for any rental items

including serviceware, linens, decor, etc.  Meet with stationer to determine invitation

style and colors; place order and begin proofing process.  Sign up for dance lessons. Choreograph

special dance routine to “wow” guests.  Food tasting and discuss catering details.  Create wedding registries and continue to

update them every couple of weeks.


3 MONTHS BEFORE  Details meeting with venues.  Discuss ceremony plans with officiant.  Start monitoring the hotel blocks on a

weekly or monthly basis so you can adjust the number and type of rooms set aside if necessary.  First fitting - begin dress alteration

process for bride and bridesmaids. Bring shoes and undergarments.

 Contact photographer to review timeline

and any new details. Discuss how family portraits and group shots will be handled. Verify date, time, and location particulars.  Give videographer wedding day timeline

and any other pertinent information.  Give gentle reminder to any anyone

that has not yet been measured for formalwear.

 Address wedding invitations.

2 MONTHS BEFORE  Mail invitations.  Fitting Checkup.  Buy a wedding gift for future spouse and

gifts for attendants and helpers.  Schedule a follow up meeting with florist

to tie up loose ends before flowers are ordered.  Verify any tweaks to cake design.  Meet with invitation specialist for

has been missed.  Complete change of address information

for post office, if necessary.  Keep current with “Thank You” notes for

showers and early wedding gifts.  Make final payment to travel agent for

honeymoon.  Finalize orders for programs and day-of

wedding accessories.  Create wedding hashtag.  Design and purchase Snapchat Filter.  Check in with transportation company.

2-3 WEEKS BEFORE  Final dress fitting.

 Plan wedding day emergency kit.

 Give the final guest count to your baker

 Break in wedding shoes.

from travel agent.

1 WEEK BEFORE  Get any needed haircuts, color, trims,

waxing, and eyelash extensions.  Review final details for those in the

wedding party.  Pack for the honeymoon.  Enjoy a day with family and friends.

Visit a day spa, have a massage, a facial, and relax.

 Check in with officiant, caterer, venues

photographer, videographer, musicians, DJ, florist, driver, etc. to finalize details.  Plan snacks and refreshments for wedding

party while getting ready.  Pick up wedding gown, un-bag gown at

home after pickup.

1-2 DAYS BEFORE  Drop off guest welcome bags for hotel

to distribute.  Get a manicure and pedicure.  Visit formalwear retailer for final fitting

and pick up.

 Attend the rehearsal and rehearsal dinner,

give gifts to your attendants and license to officiant.  Organize gown, accessories, etc. to go to


 Get any final shampoos, beard and

mustache trims.

WEDDING DAY  Hair, makeup, etc.  Don't forget the rings.  Bring marriage license if you haven't

already given it to the officiant.

 Any money due or cash tips for waitstaff

and vendors is given to wedding coordinator or person designated by the couple to hand out.  GET MARRIED!

 Stay hydrated and nourished.

AFTER THE WEDDING  Return rented formalwear.  Return other rental items.  Obtain marriage certificate from

Registrar of Deeds.

 Send thank you notes in a timely manner

to your wedding guests.  Write reviews and send thank you notes

to your vendors. Include any gratuities that have not yet been provided.


 Work on name changes.
