Communication from the Office of Student Financial Services All communication from the Office of Student Financial Services (OSFS) is addressed to you, the student. Most communication is sent to your Emmanuel e-mail address or through the Emmanuel Portal, MySaints, the College’s internal online communication system.

It is your responsibility to complete the financial aid process and ensure that your balance is paid in full. If your parents are assisting you with the financial aid or billing process, please share with them the information you receive from the OSFS.

Through the Emmanuel Portal, you will be able to access Online Academic Resources (OAR), where you can: • view your tuition bill • view your financial aid award • pay your tuition bill • register for classes • view your transcript • view your grades and more

Payment Due Dates The fall semester balance is due on August 3, 2011. The spring semester balance is due on December 16, 2011.

Health Insurance The Commonwealth of Massachusetts requires all students enrolled at least three-quarters time to be enrolled in a health insurance plan. To ensure that you are meeting this requirement, you are automatically enrolled in the College’s health plan and are charged the annual health insurance premium of $1,465.

Waiving the College’s Health Insurance Students who have their own health insurance coverage and would like to waive enrollment in the College’s plan must complete the online health insurance waiver at www.universityhealthplans.com by August 3, 2011.

Students who do not complete the waiver form by August 3, 2011 will automatically be charged the premium, even if they have other coverage.

Enrolling in the College’s Health Insurance Students who do not have coverage and require the College’s health insurance plan must complete the online enrollment form at www.universityhealthplans.com by August 3, 2011.

Please note that these forms must be completed annually and are separate from the health immunization forms required by the Health Services Office.

Meal Plans We are proud to offer a number of great on-campus dining service options catered by Bon Appétit: • Marian Hall Dining Room, our main dining facility, offers

an all-you-can-eat-buffet with a wide food assortment

rotating on a daily basis.

• The Atrium Café and Muddy River Café offer express meals

convenient for those looking to grab-and-go.

Resident Students All resident students are required to have a meal plan, which is included in the cost of room and board.

Resident students begin each year with 15 meals per week and $95 in “flex dollars” per semester that can be used in the Atrium Café and Muddy River Café. Students have the option of changing this plan to 19 meals per week with $25 in flex dollars per semester at no cost by contacting Bon Appétit at 617-735-9952.

Fenway Card The Fenway Card is your official identification at Emmanuel College. You should carry the card at all times while on campus.

The Fenway Card will be used to: • access campus buildings, including the library and

residence halls.

• provide access to your meal plan, flex dollars and

Fenway Cash.

Flex Dollars Resident students begin each semester with $95 flex dollars (or $25 if they choose to change their meal plan). Flex dollars may only be used on campus at the Atrium Café or Muddy River Café.

Fenway Cash You or your parents may choose to add money, “Fenway Cash,” to your Fenway Card. Fenway Cash offers you a safe and convenient way to make purchases on and around campus. You can use your Fenway Cash at: • the Emmanuel College bookstore and all Colleges of the

Fenway bookstores • dining halls • vending machines • laundry machines • over 75 popular off-campus locations around the Fenway,

Back Bay, Cambridge and Newton neighborhoods Fenway Cash can also be used to purchase ID replacements.

MBTA Passes As an Emmanuel College student, you receive an 11% discount and unlimited rides when you purchase a semester Massachusetts Bay Transit Authority (MBTA) pass.

The MBTA discount is offered by the MBTA and is not administered by Emmanuel College. We encourage you to evaluate how often you will use the MBTA prior to purchasing the semester pass. The MBTA does not offer refunds.

On-Campus Parking Parking at the College is extremely limited. Only commuter students without access to public transportation will be considered.

To receive consideration for on-campus parking, you must submit a parking application, available in the Office of the Vice President of Student Affairs. You will be notified by the Office of the Vice President of Student Affairs if you are approved and your permit will be available in the Security Office once your account is paid in full. Applications must be submitted each semester.

Interest-Free Monthly Payment Plan Emmanuel College offers a monthly interest-free payment plan through Tuition Management Systems, Inc. (TMS). The plan offers families the opportunity to spread payments for the academic year over a 10-month period.

Private Scholarships Scholarships are a great source of free money and help reduce the total cost of financing your education.

If you receive a private scholarship and wish to use this as payment toward your account, please: • make sure you understand and fulfill the requirements for

the receipt of your scholarship funds.

• submit a copy of the scholarship award notification and/or

check to the OSFS. • clearly notate the name of the scholarship, your name and

student ID with the award notifications and/or check.

If you notify the OSFS of the receipt of a scholarship and we do not receive the funds, you will be responsible for any resulting balance.

Financial Aid and Your Tuition Bill Most forms of financial aid are applied toward your charges and will appear as a credit on your bill. Please note the following:

Estimated Financial Award Letters Estimated financial aid offers are not usable toward the bill; only awards that are verified can be applied to your charges. If you received an estimated financial aid award letter and there is no financial aid appearing on your bill, please check OAR via the Emmanuel Portal to view missing information or contact the OSFS.

Federal Work-Study Federal Work-Study is an offer to seek employment and is not subtracted from your bill. You will be paid for hours worked. Please refer to the Student Employment section on page 16 for more information.

Student Loan Requirements If you wish to borrow a student loan that was included as part of your financial aid award letter, the loan promissory note and a student loan entrance interview are required before the loan may be credited on your account.

Policies

Student Employment Emmanuel College strives to assist you with educational costs by offering on- and off-campus employment opportunities. On-campus employment opportunities are available in academic offices, residence halls and administrative offices.

All students are eligible to apply for on-campus jobs, regardless of whether you are awarded Federal Work-Study. However, the College has a number of partnerships with off-campus organizations that provide employment opportunities to students; these opportunities are limited to students who are awarded Federal Work-Study.

Applying for Jobs You may search for on- and off-campus employment opportunities on the Emmanuel College Career Connect (EC3), which may be accessed by visiting portal.emmanuel.edu.

After creating a login, list “Emmanuel College� as the employer to view available positions. You can apply for jobs directly with the supervisor listed on the job posting.

Jobs will be posted in early September for the fall semester and will be updated as openings become available.

Student employment is not guaranteed and students who are awarded Federal Work-Study are not required to work. Because jobs are limited, if you are interested in working on campus, you should contact supervisors as soon as possible upon arriving at Emmanuel.

Employment Paperwork To work on campus, you must complete employment paperwork including the I-9 Employment Authorization Form and the W-4 and M-4 tax withholding forms.

If you are interested in working on campus, you should have the following paperwork with you when you arrive in September: • A voided check for checking accounts or verification

statement including a routing and account number for

savings accounts • Valid identification, such as a U.S. passport OR a driver’s

license AND Social Security card

Paychecks Students who choose to work will receive a paycheck every two weeks for hours worked. Due to this, earnings from student employment cannot be deducted from your bill.

Withdrawal Withdrawal from a Course Course changes must be made during the semester’s add/drop period to receive a refund. After the add/drop period, you are liable for the cost of courses from which you withdraw.

Before your financial aid is disbursed each semester, your enrollment and housing status are confirmed after the add/drop period. Your financial aid may be adjusted if your enrollment and/or your housing status changed from what was originally reported.

Withdrawal from the College After the start of classes, fees are not refundable, and tuition, room and board are refunded based on the policy below.

Policies

Refund Process Students who have a credit on their account may request a refund by completing a Refund Request Form with the OSFS. This form is available in the OSFS, on the Portal and under the “Tuition & Aid” section of our website. From here, you will select “Forms & Publications.”

Because financial aid is disbursed after the add/drop period, most credit refund checks are not available until mid-October for the fall semester and late February for the spring semester.

Students who borrowed additional loan funds to pay for books or off-campus housing should be prepared to purchase books and pay rent for September and October in the fall semester and January and February in the spring semester.

Policies

Delinquent Accounts The payment of tuition and fees is your responsibility. A late fee of $100 may be charged to your account if you have not satisfied your financial responsibilities with the OSFS by the bill due date.

If payment is not received in a timely manner: • your account will become delinquent and a financial

hold will be placed on your account • you will be unable to participate in course registration,

room selection or graduation • the College will withhold your diploma and

academic transcript • your account will be referred to a collection agency

and you will be responsible for the costs incurred with

the collection effort. Once an account is referred to an

outside agency, all inquiries and payments are made to

the collection agency.
