INTRODUCTION Yearbooks are an invaluable memento for school leavers, providing memories of some of the happiest and most carefree years of their lives! They give students the opportunity to reflect upon the people and events that helped to shape them into the individuals that they have become. The question is, how do you find the time to design and produce a first rate yearbook which looks fantastic, contains lots of relevant information which will make it a pleasure to read and cherish for years to come and doesn’t cost the earth? The answer lies within our fantastic range of yearbook packages, one of which is certain to meet your needs. We offer our market leading level of service and customisation within our Terabook package, but also two other options for schools who want a fantastic looking yearbook with our Megabook and Gigabook packages, but don’t have the resources to commit to full customisation. HOW IT WORKS 1. Talk to your WavePrint adviser about your specific requirements and situation, we will organise with you the best course of action and timeline for your project.

2. Plan what you would like to include in the book and make a list of what you need to do to complete each section.

3. Decide on the student profile entry questions and talk to your adviser about the most efficient way to collect them.

4. Collect your profile entries as well as other content such as introductions, awards and photos for montage pages.

5. While you are collecting the content you will also need to collect orders for the yearbook, your adviser will help you to promote the book to the year group.

6. Think about how you would like the yearbook to look, you can either base it on one of our themes or specify your own bespoke design. Let your adviser know what you have decided, if you have chosen a bespoke design we will create a couple of pages for approval before we proceed with the rest of the book.

7. Submit all of the content to WavePrint so we can make a start on the artwork. 8. We will send you a proof copy for approval prior to printing, binding and delivering the books in line with your delivery schedule.

DIY OPTION If you are designing your own yearbook the process will depend on the type of book you are planning and the way in which you are designing the pages. Talk to your adviser for information that is specific to your own situation.

SUPPLYING FINISHED ARTWORK We are happy to print your books from your own artwork as part of the DIY option but this can be a complex area as there are so many software packages and methods. SCHEDULES The time taken to produce a Yearbook from the date that you submit the information to us is around 10 weeks, so if you want the books for the end of April you would need to get the information to us by the middle of February, this includes us doing the design, proofing the artwork to you and printing and binding the books. When deciding on a timescale, take into consideration what other commitments that you have such as mock exams, work experience or revision. We always advise setting short deadlines and aiming to get your part of the process completed as quickly as possible to give you more time to concentrate on your work and revision!

If you have any special requirements such as including prom photos in a book that you would like to hand out before the prom, please contact us as there are a number of options and solutions that we can offer!

WHAT’S INSIDE? Every yearbook is unique and we always advise yearbook committees to think about how they can reflect the collective personality of the year group through the design and content of their book, whichever package is chosen. Megabook and Gigabook packages have some restrictions in terms of how far they can be customised and what content can be included. Our Terabook package offers complete flexibility over the content that you can include and the design options available. With all packages you have the option to include two standard pages which look at what was happening during your school days, see the ‘Back in the Day’ and ‘News of Our Time’ pages on page 44 of this book.

GB GIGABOOK The design themes that are available as part of the Gigabook package are marked with the GB logo. Whilst Gigabook doesn’t give you the option to adapt the layout of the pages or the style of montage page (which is the ‘Snapshot’ style shown on page 43), you do have the option to change the colour scheme. Please note, not all of the avaliable templates from a design with the GB label are available to Gigabook customers.

TB TERABOOK All of the designs featured in this book are available as part of the Terabook package, which offers complete flexibility over the design. Some customers do choose to base the design around one of our themes, perhaps opting to change the colour or font, others request a completely bespoke design. If you have opted for the bespoke option please speak to your adviser about your requirements, their experience will be invaluable in ensuring the design is a success. Please try to include as much information as possible in your design brief, rough sketches or examples of a design that you have seen elsewhere can really help to guide the designer in the direction that you wish to head.

FAQs HOW LONG DOES IT TAKE TO PRODUCE A YEARBOOK? WavePrint: Production (artwork, printing and binding) timescales are dependent on the package and type of book that you choose, typically the inital proof will be ready in around two weeks, proofing (making changes) can take another couple of weeks and production takes around three weeks. Collecting the content for the book (your bit of the process) is really dependent on how quickly the committee work to get everything together, we have had really great books compiled in just a couple of weeks and others have taken six months. The best bet to get an accurate idea of timescales is to get in touch to discuss your particular requirements and we will be able to advise from there.

HOW MANY PAGES WILL I NEED? WavePrint: We see a lot of variation here, but a typical yearbook for a year 11 group would have a few pages of introductions, 8-12 profile entries per page, a few feature pages and around 1012 photo montage pages, bringing a typical book out between 40 and 50 pages. For year 13 groups page numbers will probably be slightly lower due to smaller groups, although we would typically see 4-8 profiles per page. Of course you can have as many pages as you like with the Terabook package - we’ve produced books with over 200 pages before. For Primary, Megabook and Gigabook packages the number of pages is dictated by the package structure and the size of your year group.

HOW MUCH SUPPORT DO YOU OFFER? WavePrint: Our support is unrivalled. We work closely with schools to ensure committees are supported throughout the process. You can contact your adviser or Nathan (our in-house yearbook guru) Monday to Friday between 9am and 5pm on the phone, by email or via social media. Depending on your location we will also try to get out to school at least once to help you get the project underway and keep it on track. You can also find loads of help on our yearbook tips blog pages on our website.

HOW DO WE SEND THE CONTENT TO YOU? WavePrint: You can submit content either on Google Drive (a free online collaborative working tool, which we’ll help you set up) or on a USB stick (let us know when you are ready and we will send one out to you.) Either way we will supply a set of folders and documents to help you to organise the content effectively.

HOW DO WE PROMOTE THE SALE OF THE YEARBOOKS? WavePrint: We support you with this too. We will send you posters and leaflets which will advise the year group how to order and when they need to order by. We’ll also send you some blank posters on which you can write your own messages such as reminders about sending photos for the montage pages - you could even put one in the staff room as a reminder to staff about submitting their comments.

CAN YOU HELP WITH THE PROFILE PHOTOGRAPHY? WavePrint: The short answer is yes. However to what extent depends on where in the country you are. ADVERTISING One way to reduce the cost of the Yearbook to the students is to sell advertising space in the book. You could contact companies that are either associated with the school (they might sponsor other events or supply the school with a product or service), companies that are owned or managed by parents of students in the year group, or companies that

serve the students or local community.

One of the most successful ways of raising funds through advertising recently has been through the sale of small adverts (around 10 per page) for a relatively small fee (£25-£50). Each page can generate up to £500 towards the total cost of your book and by limiting the number of adverts they won’t take over the book or give it a ‘commercial’ feel.

FUNDRAISING Another way to reduce the cost of the book is to hold fundraising events, some popular fundraisers that we have seen recently include

• Cake/card sales • Non-uniform days • Sponsored events e.g. silence, walk, swim, leg waxing! • Gunging of staff or students (with their permission!) • Providing services e.g. car washing, dog walking, supermarket bag packing

PLANNING FOR SUCCESS The initial planning and continuous reviewing of progress is key to a successful Yearbook project as it ensures that you are prepared for the work required and helps to highlight potential problems before they occur. We recommend that one person takes the role of ‘editor’ and ensures that the information in this planning section is up to date. It will be their job to ensure that tasks are being completed correctly and on time.
