Making a decision can be very liberating – like making the decision to move. Once you’ve got your mind made up and you’re ready to go, though, your momentum can come to a full stop because you just don’t know where to start.

Start looking around two to three months before you give notice. You want to be able to gauge where the market is at. Get out and see places. Have your references, deposit cheque, credit check and all other info lined up so you are prepared to jump on any opportunities that arise.

One of the most common questions I get is whether to give notice first or to find a place first. This is a very tough call and depends on your finances and your ability to handle some risk.

You need to give notice — it varies from province to province, but most landlords need 60 days — and that 60 days needs to start from the day your rent is due. Give notice in writing.

You can find an apartment first, and then give notice. It’s the safe route, but this will cost you. You’ll likely pay one or two months of rent to both your new and your old landlord where your notice period overlaps your new tenancy.

You’re on the hook for the notice period that you’re legally obligated to give. You may ask your landlord if they’re flexible – in a hot market many landlords have a waiting list and can facilitate your early exit – but they don’t have to, so ask.

Once you give notice, there’s no going back! I always found that it put the passion in me to find the right place. It can be frightening in a tight market, when apartments are in demand and vacancy is low. Hope this issue of Renters Guide can help.

A NEW CALENDAR YEAR HELLEN BUTTIGIEG

It’s that time of year again – a fresh start and a new agenda to go along with it. I’ve been buying the same planner for years and I believe it’s the single most important part of my time-management success.

For a calendar system to work, you need to use it consistently. Your natural way of taking in information greatly affects which scheduling method will work best for you. Rather than trying to change yourself to adapt to your calendar system, select one that fits your learning and organizing style.

If you are a hands-on learner (kinesthetic), choose a planner with a texture that is a pleasure for you to touch. What feels best in your hands? Leather, faux crocodile or cloth? The physical act of writing down appointments and tasks will help you remember them. Place a sticky note on the front of your planner and list on it the things you must do that day and cross items off as you complete them. Use stickers to highlight important activities/events. If you don’t require the portability of a planner book, another option is a wall calendar or a whiteboard (with the days of the week across the top and the tasks written underneath). Hang 26

You may also choose to use an electronic calendar to keep track of your commitments, as this will keep your hands busy while giving you greater flexibility and freedom to change plans when you need to.

If you learn best by seeing (visual learner), paper agendas and large wall/desk calendars work well for you. Choose a planner that is aesthetically pleasing to you. You will be drawn to fashionable colours, inspiring motivational quotes and beautiful pictures/artwork.

Use brightly coloured markers to highlight important events/ activities on your calendar. Use sticky notes in various colours as reminders of important actions to take. A calendar with space for notes and to-do lists will allow you to see all of your commitments in one place, which will help you remember to check them more often.

Alternatively, if you choose to use a computer calendar, you will likely want to print it out and use colour settings (i.e. to differentiate between work and family commitments). Most importantly for visual learners, keep your calendar in a place where you will get a clear view of it throughout the day.

If you learn best by hearing/ speaking (auditory learner), it would be beneficial to have your to-do list and schedule both in one place and have it

nearby at all times. This will help you remember to stop for an errand while already in that area. If you want to manage your schedule electronically, be sure to set alarms as reminders of important events/deadlines.

You may want to set your computer so it opens and reads your to-do list each time you start it up at the beginning of the day. If you prefer to use a paper planner, choose one that accommodates your handwriting style; i.e. if you have large handwriting or like to make lots of lists, you’ll want to use one that provides ample space for that. Systems that provide weekly/monthly views will be more helpful to you, allowing you to look ahead and plan for both the busy and quiet times ahead.

THE LEASE

YOU’RE SIGNING A CONTRACT

You want the apartment and you are going to sign the lease.

But are you clear on what that means? It’s a legal contract and you’re legally obligated to fulfill the terms it contains.

The lease is there to protect both the landlord and the tenant. This legal contract spells out what each party’s obligations are. Though leases are not legally necessary to rent an apartment, and the landlord and tenant can just agree upon terms, shake hands and go about their lives, this doesn’t give either party any recourse should issues arise. If there’s nothing in writing, it’s just a matter of one person’s word and memory of events against the other.

You may be thinking that renting a place is straightforward, and that the lease just complicates things with legalities, but you’d be wrong. It’s best to have a contract that spells out all obligations and then nothing is left to memory or chance. This is, after all, protecting your right to your home, and without that confidence that your expectations will be met, you may find your rental experience subpar.

The lease must contain some basics: THE LANDLORD, THE TENANT AND THE ADDRESS:

These are the basics and they identify the parties involved. All people living in an apartment should be on the lease.

THE DURATION:

Is there a minimum residency, like six months or one year as a minimum? The rules around tenancy are determined by this information, so clarify it.

THE MAINTENANCE OBLIGATIONS:

Who shovels the snow, who cuts the grass, who takes care of repairs? If you rent in an apartment building, this may be all under the property management.

But if you’re renting a whole home, you may have to look after more of the property.

INCLUSIONS:

The lease should state how much the rent is, and what that includes.

It varies from property to property – you may have utilities included, or you may have to pay your own, such as hydro, gas and water. Is laundry included?

EXCLUSIONS:

Are there areas of the property other than your unit for your use?

In a duplex, for example, the rights to garage access or backyard usage may lie with one tenant or both units. If they’re not included, you have no rights to use them.

Don’t end up disappointed.

EXPECTATIONS:

The landlord may include clauses about what is and isn’t permitted. These expectations can include items such as having tenant’s insurance, no smoking, pets or painting the walls.

Read your lease carefully before signing it, and make sure you get a copy of what you’ve signed. That’s your right.

If it’s not in the lease, it doesn’t count. Before you sign, discuss any concerns or requests with the landlord. Often, if there is an issue, there may be some resolution you can come to – leases can be changed, but only before they’re signed. It becomes trickier down the road if you change your mind.

Remember, this really is a legal document and you’re obligated to follow the terms you agreed upon with the landlord.

And that’s why you sign a lease.

READ & UNDERSTAND YOUR CONTRACT FOR A SUCCESSFUL MOVE

CHUCK RESNICK There’s an old rule in business: what is not in writing was never said.

Although some agreements may need just a handshake, others that involve a multitude of variables require a contract so that all the parties understand what is expected of them.

This is particularly true when you hire professional movers.

You’re obviously the “who,” but we also need to know exactly “what,” “where” and “when” in order to transport your items to your new place. Within those general categories, there can be many details, and finding out about them on moving day is counterproductive. Think ahead.

The first thing to do is find a reputable mover. You can check online with the Better Business Bureau or the Canadian Association of Movers, and of course, find out who friends and family members have used. Select a company that has a triedand-true track record. Then ask questions, and remember that the movers should be asking you a lot of questions as well to determine exactly what the move will entail.

When we meet customers to arrange their move, we need to know about everything they expect to take so we can prepare as accurate an estimate as possible.

In many ways, estimating is a science. Computers help, but the

results are only as good as the information we input. Telling us on moving day that you forgot you want to take the shed in the backyard can hold things up for hours. It will also add to your costs.

And speaking of costs, we need to know well ahead of time if you want us to provide the service of packing. Deciding this two days before the move likely won’t work.

In addition, if we have quoted only on moving and not on packing, a new contract will have to be drawn up with a higher price. If you do the packing yourself, read the contract as to whether or how much your items are covered, should damages occur.

We also have to know whether you have anything other than Point A to Point B in mind for moving day. If you forgot to tell us that your dining room set has to be dropped off somewhere else first, it’s like the meter running in a taxicab. You will pay more for unexpected side trips. Plus, unless we know in advance, we may pack the dining set in an awkward place for unloading partway to your destination. Again, this will cost you time and money—two things that are precious commodities on moving day.

It is our responsibility as professional movers to ask the right questions, but until we develop ESP, we need to rely on you to explain what you need from us. A contract protects you as much as the movers, but only if you read it, understand it and abide by it.
