GENERAL INFORMATION Transportation
Villa Maria is accessible by bus, car, van, and public transportation. Fifteen school districts provide busing. Villa Maria accommodates 11th and 12th grade students who drive to school as long as spaces permit. Students must have a valid driver’s license before requesting a parking space. Student driving forms can be found on our website at vmahs.org/drive.
Villa Maria Campus Store
Dining Hall Services
NEXDINE offers breakfast before school, lunch, and the Hurricane Hut, which provides 24x7 access to snacks and beverages using selfcheckout services. MyKidsSpending (mykidsspending.com) is used to fund accounts, check balances, and purchase food seamlessly. Incoming freshmen and new students receive information about setting up their dining accounts in mid-August. Questions or Concerns? School Delays and Closings
In the event of weather-related or other emergency situations, parents/guardians will be notified via email, phone call, and text. In addition, Villa’s status will be shared on social media, the vmahs.org website, and the Villa app.

The Villa Maria Campus Store is located in the Marian Center. The store offers a variety of Villa activewear, outerwear, and other apparel, including the required PE uniform and uniformapproved sweaters, socks, and tights. The store handles birthday balloon deliveries. The Campus Store is open every school day from 7:30 a.m. to 8:30 a.m., for special events and by appointment. TECHNOLOGY Cell Phones on Campus
Cell phones are not to be used during the school day. They must be turned off or placed on the do not disturb feature, and safely stored in the student’s backpack.
Computer Resources
There are two computer labs, including an esports gaming lab, on campus to help students fulfill course requirements.
1:1 iPad Program & Requirements
Students are required to bring their own fully-charged iPad to school daily. The minimum requirement for Villa students is the base iPad model at 128GB of storage. Some students do opt to purchase the iPad Air or iPad Pro, which are also accepted. Many students also buy accessories like a case, keyboard, and Apple pencil.
Network Accounts
Villa Maria provides all students with an email address. Students are required to check their school email daily for school announcements, academic information, and general communication.
PowerSchool
Villa Maria’s SIS (student information system) provides students and parents/guardians with access to schedules/student rosters, grades, and attendance information. Additionally, this system houses student and parent/guardian demographic and emergency contact information. Parents and students will be emailed individual access codes and instructions mid-August. Schoology
Villa Maria’s integrated LMS (learning management system) enables our students, parents, and faculty to engage with learning materials and their school community both in and out of the classroom. Students are able to submit homework assignments, receive announcements and feedback, take tests, write academic blogs, and more. Parents will be emailed their Schoology access code and instructions mid-August. All new students will activate their Schoology accounts at the start of their academic year and use their VMA email and password to access this resource. DRESS CODE At Villa Maria, students are expected to present a polished and professional appearance at all times. Students must wear the regulation school uniform purchased from the school’s designated supplier. Details are available in the digital Family Handbook.

ACADEMICS Villa Maria provides the academic foundation and mental preparation students need to succeed so they can spread their wings and soar. In a supportive academic environment, students grow with intention, go beyond the classroom, connect through service and Senior Capstone, and focus on their futures. Villa Maria requires students to meet a sequence of coursework in a canon of subjects: Theology, English, Mathematics, Science, World Language, Social Studies, Fine Arts, Technology, Physical Education, and Health & Wellness. Attendance
Regular attendance in class is expected of all students. All students are also expected to attend all the scheduled class retreats, and seniors must attend mandatory graduation practices. Honor Roll, other recognitions, and participation in activities, in and out of school, are dependent on satisfactory attendance.
Senior Capstone
This inquiry-based experience, driven by student interest, is required for graduation as a graded course. It involves critical thinking, investigative research under the guidance of a research mentor, problem solving, written summaries, and application of prior and acquired knowledge through documented field experiences (“job shadowing”) and/or service. All seniors are required to submit written reflections which connect their Senior Capstone experiences to their curricular work.
Villa Visionaries
The Villa Visionaries program is designed to inspire our students to innovate, imagine, and even make an impact on others through their pursuit of learning. Students seeking this distinction will take coursework at the highest level of attainment, while simultaneously participating in programming that provides authentic experiences and research. Block Classes, Letter Days, and RFT
Villa Maria uses a block schedule, which features four full class periods per day (or more when class meetings may be broken up into “skinny” segments). Each day has a unique “letter day” assigned to it, usually alternating between “A” (Monday/Wednesday) and “B” (Tuesday/ Thursday); Fridays vary. Students have one series of classes three times per week and one series two times per week. Responsible Free Time (RFT) may be assigned to students during blocks or sections of blocks. RFT gives students discretion over their activities and can offer the opportunity to study, meet, gather on the terrace or lawn, etc.
Service Learning
Service Learning is an instructional method that fosters student learning and service to one’s community. Villa Maria students are required to complete service hours each year. Read more on vmahs.org/parents/service-learning.

ATTENDANCE Early Dismissals
Students who request an early dismissal must bring a handwritten note from a parent/guardian to the Main Office before 7:50 a.m. on the day of the requested early dismissal. If a request is made after 7:55 a.m., a note in writing must be dropped off to the Main Office by a parent/ guardian before the student may leave. The Vice Principal of Student Affairs Office may contact the parent before granting the same-day request.
Calling the attendance line does not eliminate the need for a handwritten note for absence or dismissal as noted above. Absence Line

Absence Notes
Students are required to bring a handwritten note from a parent/guardian to the Main Office upon returning to school. Failure to provide a note will be considered an unlawful absence. A doctor’s note will be required for any absence of three (3) days or more.
Tardy
Students arriving after 7:55 a.m. are considered late. From 7:55 a.m. to 8:10 a.m., they may report directly to their first block building to sign in. After 8:10 a.m., students must report to the Main Office to sign in. Students arriving after 8:10 a.m. are required to bring a handwritten note from a parent/guardian to the Main Office upon arriving to school the following day.

A teacher reserves the right to endorse a student’s absence based on academic performance. Should the student take the absence without the recommendation of the teacher, the student and family both understand that any work the student has missed, or any drop in academic performance is the responsibility of the student. The student also acknowledges that the work must be made-up in a timely manner. Teachers will not be expected to re-teach material to that student. Villa Maria Academy acknowledges that many of our students participate in special activities outside of school, including but not limited to tournaments,57competitions, performances, and other events that may require them to miss class time. In addition, families may occasionally need to schedule travel or other anticipated absences during the academic year. For any anticipated absence of two (2) school days or more, students must complete the “Anticipated Absence Form” (Link). The form requires signatures from all current academic teachers verifying the student’s academic standing and awareness of missed coursework and responsibilities. Once completed in full, the form must be submitted to the Vice Principal of Student Affairs at least THREE (3) school days prior to the anticipated absence. Students are responsible for communicating with their teachers in advance regarding missed work, assessments, and assignments. Approval of the anticipated absence does not exempt students from completing academic responsibilities.

CAR DROP OFF/PICK UP POLICIES & PROCEDURES Student Drivers
Villa Maria Academy accommodates 11th and 12th grade students who drive to school as long as spaces permit. Students must have a valid driver’s license before requesting a parking space. Student driving forms can be found on our website at vmahs.org/drive.
All drop-offs in the morning and pick-ups in the afternoon must occur in the loop near the loop circle (Blessed Mother statue), within the designated, clearly marked area. Blue signs will identify this area, and a staff member in a yellow /orange vest will be present to assist.
Exiting Procedures
Morning Drop-off is permitted only from the right-hand lane in the designated area.
The SJ Parking Lot When exiting the SJ parking lot, vehicles must turn left at the loop stop sign and use the SJ driveway to Route 30 as the exit. Since this driveway exits onto a road allowing right turns only, please plan accordingly. If this route is not convenient, we recommend waiting in the SJ lot until dismissal is concluded and traffic clears.
Afternoon A staff member will assist students entering cars in both lanes within the designated zone.
Overflow Lot Exit Vehicles exiting the overflow lot must turn right— this is the only permitted direction.
St. Joseph (SJ) Driveway (Exit to Route 30) Loop Driveway Drivers exiting the loop driveway must also turn Restrictions: No parent may use the SJ driveway for drop-off or pick-up. Students may not wait along the SJ driveway at any time. For everyone’s safety, all loading and unloading must occur in the loop driveway only in the designated areas.
Campus Speed Limit:
The speed limit on campus is 5 mph at all times— no exceptions. Please drive with extreme caution in all campus areas.

Full Compliance Required Every driver participating in arrival and dismissal—parents, guardians, and student drivers—is expected to adhere fully to all directives above to ensure the safety of all. SAFETY AND SUPERVISION School Messenger
Villa Maria uses School Messenger, a message alert system, to notify the school community in the event of a school closing, delay, or other urgent matter. All parents will be notified through their home phones and any other phone or email address given to the school at the start of the school year. Occasionally, the system will be used for informational announcements. This alert system will be tested each fall to ensure that the communication information is accurate. Such information will also be posted on VMA’s social media accounts.
Arrival Before School At Villa Maria Academy, student safety and supervision are a shared priority. The following guidelines clarify expectations for arrival, dismissal, and campus access.
Keycards
Students have keycard access to all buildings on campus during regular school hours. Students may only be in buildings beyond the school day if directly supervised by a faculty or staff member for an approved activity. Student ID/keycards, which also serve as keycards to access school buildings, are distributed to students on the first full day of the academic year, and are deactivated at the end of the academic year, on the last day of school. These student ID/keycards, needed for entrance into campus buildings, are operational Monday through Friday from 6:00 a.m. until 8:00 p.m. It is the responsibility of the student to wear her ID/keycard with her uniform. No stickers are to be placed on the ID photo. Loss of an ID/keycard should be reported immediately to the Vice Principal of Institutional Culture. There is a $10.00 charge to replace the card and that fee will be added to the student’s FACTS account.

Students who arrive on campus prior to the start of the school day and do not have a scheduled meeting with a faculty/staff member or a school sponsored event/activity must report to approved community locations, including the dining hall, Connolly Commons, Marian Center lobby and Saint Joe’s hall lobby. Students may remain there until teachers are available and classroom spaces open.
SAFETY AND SUPERVISION Dismissal and After-School Supervision
The official end of the supervised academic day is marked by the 4:30 p.m. bell.
At 4:30 p.m.
Any student who is not participating in a supervised activity (athletics, rehearsal, meeting, or working directly with a teacher) must report to the Connolly Commons. Students remaining on campus must be under the direct supervision of a faculty or staff member. Students may not remain in classrooms, hallways, parking areas, or other unsupervised locations after the 4:30 p.m. bell.
After 6:00 p.m.
Students must exit the Connolly Commons by 6:00 p.m. unless they are part of a schoolsponsored, supervised event. Adult supervision is only available Monday-Thursday until 6:00 p.m. and until 4:30 p.m. on Friday.
Crisis Management
Villa Maria has an extensive crisis management plan in effect. Each year students receive instructions regarding procedures in the event of an emergency. Drills are held and directions regarding evacuation of buildings are clearly posted in the front of all classrooms.

All visitors must sign in at the Main Office. Visitors check in time is from 7:45 a.m. - 3:45 p.m. Any visitor on campus must wear a temporary visitor badge and yellow lanyard.

Visit vmahs.org/health for information about our school nurse, Mrs. Pierina Antonello, BSN, CSN, and policies and procedures related to first aid, illness, and injury. Villa Maria uses Magnus Health to store student health information and to register for sports. Magnus Health is accessed through PowerSchool.

COMMUNICATION Key Communications
The key communication vehicle for the Villa Maria community is the Friday e-newsletter, Hurricane Happenings. The issue is shared at the end of the school day and contains news for the following week, recaps of the past week, advertisements, and other timely messages. For direct parent/ guardian and/or student “blast” emails, Villa Maria uses School Messenger. The same platform is used for emergency messages, like snow delays or closings, which are sent by email, phone calls, and text messaging. Note that text messaging requires parent opt-in by texting “YES” to 67587.

Villa Maria’s website vmahs.org contains extensive information about the school and includes a parents section with forms and information, links to the Villa Maria Academy Parents Association (VMAPA), and other important need-to-know information.

How do I meet my counselor?
Where do you wait for buses?
How do I know when to wear a blazer?
Freshman have assigned tables. During Free Flex days or Smart Lunch bells there is no assigned seating. Be sure your keycard is always with you at lunch so you can buy lunch or items from the HUT. Buses will always pick you up in the Regina Mundi parking lot. Bus pick up and drop off are in the same location. Pick up is generally at 2:55 p.m. Buses will not wait long so aim to be there quickly following dismissal. For questions about a bus, or you missed a bus, come to the Main Office.
When can you eat a snack?
Between classes in spaces without carpet. No food or drink (aside from water) in any classrooms or rooms with carpet. Teachers will give you more direction about snacks and possible breaks in their classes.
What happens when you leave early for sports?
Your early dismissals will be communicated through your captains and coaches. It is important to communicate with your teachers when you are dismissed early. This should be done as far in advance as possible (in person, followed by an email, is best practice).
How do you make up work when you are absent or have an early dismissal?
Communicate directly with your teacher about how to do this.
What are good study strategies?
Develop your preferred organizational strategy, make a schedule and stick to it, ask for help and clarification when needed, check in with your counselors, reach out for NHS tutoring if needed!
Your counselor will reach out to set up your first meeting, but before that you can reach out via email to set up a meeting or stop in to see Mrs. Auth at the desk in the front of the counseling suite and she can make an appointment for you. We wear blazers for liturgies and special assemblies/occasions. You will always get a reminder for blazer days.
What is the HUT?
The HUT is a small convenience store located in the dining hall. It is open 24/7. All purchases are self checkout. If you have any issues or concerns find someone on the NEXDINE team to help.
How do we get a locker and when can we use it? Students will receive a locker request form; complete the form if you want a locker.
What happens on Sorella Day?
Classes are canceled and a day of fun on campus follows.
What is a Smart Lunch?
This is a schedule where programming is scheduled for different grades at different segments; one segment is always reserved for lunch.
How do I know what bell it is?
Check the monthly calendar for bell schedules. The bell schedule will also be announced at the end of morning prayers.
When can you have your phone out?
Before 7:55 a.m., but only in common spaces, like the Learning Commons, Connolly Commons, Saint Joe’s entry, Dining Hall (never out in classrooms), and after dismissal in the same common spaces.

What is flex?
Flex is free time during which students have choices regarding how and where they spend their time.
What’s the best way to be productive during flex?
Have a plan for your time and stick to it even if your friends encourage otherwise!
What are the bell schedules and when is lunch?
Villa Maria’s bell schedules dictate the plan for each day. They can be easily found on the calendar on Villa’s website and app home page, and a calendar PDF with bell schedules is shared with students monthly (and is shared in the Hurricane Happenings newsletter).
Where is lost and found?
Lost and found locations are in 402, 207, 2007, Connolly Commons, Locker Room, and backstage. Lost jewelry and tech is in the main office. We will have monthly lost and found bin purges. Write your name on EVERYTHING!
When do student schedules/rosters become available for the new academic year? Student schedules will be available in mid-August in the PowerSchool parent/student portal.
Where do I find information about summer training opportunities and tryouts for fall sports? Sports tryout information is available at vmahs.org/athletics and campus at vmahs.org/camps
PARENT FAQS How do I access my daughter’s report card?
Students’ report cards are emailed to the students and their parents/guardians through SchoolMessenger’s secure document delivery system after grades are stored at the end of each semester. First semester report cards are emailed in mid to late January and second semester report cards are emailed in June.
What supplies does my daughter need to begin school at Villa Maria?
Each teacher will share the needed supplies for their class but bringing a notebook and writing implement is suggested. She can also bring a backpack, water bottle, and iPad.
Where do I find summer assignments and required book lists?
Returning students received an email from teachers in the spring with these details. Additionally this information can be found on our website (vmahs.org) under Academics.

SCHOOL CLOSING FAQS What if my school district is busing but Villa Maria is closed?
Please keep your daughter home. Due to the wide area that students travel from, there may be an instance where Villa Maria has closed campus but your school district buses are still running. Conversely, your school district may not be busing while Villa Maria remains open. Students should not report to campus if the campus is closed. If students rely on the bus for transportation and their school district is not busing due to weather and they are unable to find alternate transportation, it will be considered an excused absence.
My school district has alerted that they will start busing early due to inclement weather but Villa Maria has not closed. Should I stay at school? In the event of impending weather, school districts may opt for an early dismissal. If your daughter relies on the bus, she will be excused from school when her school district bus arrives at Villa Maria.
My daughter is a student driver, when will she be dismissed if the weather deteriorates during the day?
In the event that there is a facilities/property emergency, hazardous driving conditions are predicted, a school district closes early due to weather conditions, etc. and BEFORE Villa Maria Academy has officially closed for the day, the principal may offer an early dismissal to student drivers. If an early dismissal for drivers is initiated by the principal, you will receive notification through Villa Maria Academy’s School Messenger system prior to dismissal.
If school dismisses early for weather, can my daughter remain on campus until I pick her up? Yes, see information about campus hours.
Villa Maria is on a two hour delay, what does that mean for my daughter?
If Villa Maria is on a two hour delay and your school district is busing at regular time, Villa Maria will accept students at the regular time and students should report to the Dining Hall. Be aware that in some instances, Villa Maria may decide based on weather conditions to change from a two-hour delay to closed.
