EMPLOYEE OF THE MONTH: MILTON BEARD Congratulations to Milton Beard on being selected as the facilities employee of the month (pictured above along with Emile J. David (left), associate vice chancellor, and Kenneth Bradshaw (right), director of Facilities.

Milton’s dedication in going the extra mile was recognized, leading to a nomination and selection as our July 2018 winner.

Milton is hardworking, dedicated and always takes care of any task that’s asked of him. He’s always willing to fill in whenever needed to assist other employees.

Recently, he stepped up when asked to help another employee in the facilities auto shop resolve a problem with an oil cap on a UT Motor pool vehicle.

This issue, if gone unresolved, could have resulted in additional costs to the university. Milton didn’t hesitate to jump into action to help in finding the issue and getting it resolved.

Facilities’ employees were recognized at a ceremony held to honor them for their loyalty, commitment and years of service with the University of Tennessee Health Science Center. The custodial crew working under foreman Ursela Howell knows what teamwork is all about. Ursela focuses on her team doing an outstanding job, even when short staffed and having to work overtime to accomplish their goals. She promotes a positive work environment and encourages her employees to keep up the good work. Job well done.

CAMPUS SAFETY NEWS - TORNADOES (WATCHES AND WARNINGS) Scott Campbell, Campus Safety Officer

Peak occurrences for severe weather events in the United States happen between March and October, but severe weather can occur at any time. Tornadoes can occur with little or no warning. Taking precautions in advance of the storms, such as knowing the emergency plan, learning the warning signs, and monitoring tornado watches and warnings, can help you stay safe if a tornado occurs in your area. In order to save lives, branches of the National Oceanic and Atmospheric Administration (NOAA) will issue public watches and warnings.

WATCHES: issued when conditions are favorable for a severe storm or tornado.

WARNINGS: mean severe weather is imminent and is based on specific criteria and existing reports received by the NWS. If a tornado watch is issued, plan for what you will do if a warning is issued. If a tornado warning is issued, take immediate action. At the first sound of a siren you should seek shelter immediately on the lowest level and toward the center of a building away from windows (for example, interior classrooms, offices, or corridors) and remain there until the Tornado Warning has expired. After a tornado has occurred, workers may face significant hazards including the potential for additional storms, downed electric lines, damaged buildings, and sharp debris. Most importantly, everyone must be accounted for so check in with your supervisor or superintendent to let them know you are safe. Tune in to your local weather station for updates (via TV, web or weather radio) and await further instructions. If you have questions or concerns contact Scott Campbell at 901448-1334.

ARCHIBUS TIPS AND TOOLS

Lacy Scott, Archibus/IT Administrator Archibus tips are provided to assist with the use of Archibus and provide continued support for any questions related to using the system.

Below are instructions for clearing Google Chrome cache 1. On your computer, open Google Chrome.

2. On your browser toolbar, (the three dots at the top right corner of window), click “more tools” and then click “clear browsing data”.

3. In the “clear browsing data” window, click the check-boxes for “browsing history”, “cookies and other site data” and “cached images and files”.

4. Click the blue “clear data” button at the bottom of the page.

5. Close the browser window and reopen Archibus.

INFORMATION SECURITY TIPS Written by Mary Madeksho Passwords A password is only as secure as the computer or network it is used on. As such, never log in to a sensitive account from a public computer, such as computers in a cyber cafe, hotel lobby or conference hall. Bad guys target public computers such as these and infect them on purpose so when you log in, cyber criminals can immediately harvest your passwords.

Phishing Emails Did you get emails with the subject “Thank you for your contribution” or “Termination Notice”? How about “Update Required!!” ? You should NEVER click on the links within suspicious emails. Emails sent with malicious links (called phishing) is a common method cyber criminals use to hack into people’s computers. People are tricked into opening these links because they appear to come from someone you know and trust.

Only click on links that you were expecting.

If you are not sure about an email, call the person to confirm they sent it to you and remember to forward all suspicious emails to: abuse@uthsc.edu

KEY AND LOCK CONTROL MANAGEMENT Key and lock control management is under Facilities Administration. If you need to turn in, transfer, have new keys issued, or have locksmithing needs do the following:

WELCOME BABY - CONGRATULATIONS! Emile David welcomed a grandson born June 27, 2018. The beautiful baby boy, Beren Olian Cornel, born five weeks early, was 18 in long and weighed 5 lbs 14.5 oz.

Congratulations on the birth of a new baby boy!

1) Complete a request form found on the facilities website under the key control tab (https://www.uthsc.edu/ facilities/key-control.php).

2) Attach the form to an Archibus work order request (link found at the bottom of each page of Facilities website).

We are located in the Physical Plant Building (room 224). Office hours are 7:45 am – 4:45 pm, Monday through Friday. For further assistance, please call 901.448.4001.

TRAINING NEWS - TIME AND ATTENDANCE HR Facilitators: Mary Kallaher and Brandi Sewell

Thank you to HR team members, Brandi Sewell and Mary (Kendy) Kallaher for training our employees on time and attendance and related HR policies. Trainings were held on July 30, 31 and August 1 and provided our supervisors and employees with guidelines related to time, attendance, proper use of leave, call-in procedures and related facilities work rules.

We appreciate the time and effort to accommodate the entire facilities organization (200+ employees) various shift times. Great job!
