UNIVERSITY OF UTAH MOVE-IN GUIDE 2026-2027

KEYS & DOOR ACCESS

Your room key and mobile UCard allow you to access your room and building and should never be shared with anyone. If you misplace one, you can borrow a loaner from your hospitality desk. Loaner keys and temporary access cards are free for 30 minutes, or can be checked out for up to seven days for a $10 fee. If you lose your key, we will change your locks and charge you a replacement fee of $125.

Trailhead residents will be fully keyless and use the Vingcard Mobile Access app by Assa Abloy for all access.

Your room also has a wired internet connection available.

If you would like to utilize this, call the Help Desk at 801-581-4000 ext. 1 to activate the wall port. That’s it! You will need to provide an ethernet cable to connect to your computer. If the wall jack/plate looks broken, please fill out a maintenance request or call our office at 801-587-2002.

RECYCLING

Recycling is available via bins, dumpsters, or chutes— depending on the community. A list of acceptable items is located near receptacles.

Please do not contaminate the recycling bins with prohibited materials like trash or glass.

CLEANING OF COMMON AREAS

To help maintain our facilities for years to come, the custodial staff will clean the common areas of suitestyle residence halls every other week. Common areas include: living rooms, kitchens, hallways, and cluster-style communal bathrooms. Staff will not enter private spaces.

To allow our staff to clean these areas, please consider the following: • For kitchens, clear the countertops, island, and stove of personal items. Move all items in the refrigerator to one side.

• Clear the living room and hallways of any personal items.

Policy violations found during cleaning service will be documented and forwarded through the student accountability process.

PAYING HOUSING BILLS

All housing and dining plan charges are included with your tuition bill. This bill will be paid through the Office of the Bursar. The housing office does not accept payments. You can view your tuition bill online in CIS. All housing and dining plan charges are due when tuition is due, unless you have signed up for a payment plan. POLICIES AND EXPECTATIONS GUEST POLICY

HDP residential living areas remain locked at all times.

Only students who live in a building have access to enter. A guest is any person who does not live within the building. Guests must be escorted by a resident of the building at all times and may not be left alone in the resident’s space. Students are responsible for the behavior of their guests.

OVERNIGHT GUEST POLICY

Residents may host one overnight guest at a time in their academic year room. Hosted guests staying in a space after midnight on weeknights and after 2 a.m. on weekends are defined as overnight guests. These guests must be registered via Housing U. An overnight guest must reside in the hosting resident’s contracted space for sleep and may not reside in common spaces.

Overnight guests are limited to ten nights per semester and not to be more than three consecutive nights.

STUDENT ACCOUNTABILITY & POLICIES

All students are expected to abide the University of Utah and University Housing policies; and to report safety concerns and policy violations in their rooms, floors, and/ or buildings.

The student accountability system is educational in nature, and it is our mission to encourage, facilitate, and support the learning and development of all residents while creating an inclusive and safe living environment.

Residents may be asked to meet with the Office of the Dean of Students staff to discuss certain situations. All accountability case communication will be sent to the student’s UMail. Students are responsible for checking their UMail and following up per the instructions outlined in the email.

TOBACCO FREE CAMPUS

The University of Utah is a tobacco-free campus.

Smoking and the use of any tobacco product (including e-cigarettes) is prohibited on all university property and in any outdoor area controlled by the university.

These areas include all university residence halls and apartment buildings. This rule is applicable 24/7.

ITEMS NOT ALLOWED IN HOUSING

Some items are prohibited in residential facilities. Failure to comply can result in conduct action and possible eviction.

Some of the items not allowed include, but are not limited to, the following: Personal router or modem Drugs and alcohol, including but not limited to: full/ empty alcohol bottle collections, drug paraphernalia, kegs as decoration, etc.

In order to carry a firearm on campus, a person must obtain a concealed carry permit (“CCP”) from the state of Utah. Residents of HDP may keep a firearm in their room for protection and are not required to have a CCP for this purpose. Appliances with an open coil such as hot plates, toasters (other than in an apartment kitchen), and deep fryers Candles, incense, kerosene lamps, or any other open flame or incendiary device Pets are not allowed in University Housing spaces— except for fish in tanks smaller than 10 gallons.

Emotional support animals must be approved in advance through the Center for Disability & Access (CDA) and coordinated through University Housing.

FAMILY EDUCATIONAL RIGHTS & PRIVACY ACT (FERPA)

Housing is obligated to protect student information in accordance with FERPA. If you would like to allow individuals access to your Housing U account to pay your bill, you will need to release your FERPA rights through Housing U in CIS. FERPA only allows others access to the student’s relevant financial information.

Additionally, FERPA applies to minors enrolled in the University. Once logged in, select “FERPA Consent Release Form,” check housing as an area of release, and create a pin.

RESIDENTIAL SERVICES WORK ORDERS

HDP facilities work hard to maintain all housing properties. Go to housing.utah.edu and click on “Submit a Work Order.”

If you live in Trailhead, please submit an ACC work order at mycommunity.americancampus.com This form is for non-emergency maintenance requests.

If it is an emergency, please call or visit your Hospitality Desk. *Note that the facilities request form at CIS is NOT for housing properties, and our team does not receive those requests.

MAIL

All students who live on campus will be issued a mailing address. Once you receive your room assignment, you will be able to locate your mailing address online at housing.utah.edu/desk.

PACKAGES

We hand-process packages as well as utilize a package locker system. Information on this system will be shared with you via email when you receive your mailing address.

Students can mail packages to campus beginning August 7, 2026. Packages that are delivered to our mailroom will be returned to sender if sent too early. We highly encourage you to wait on any furniture or large items until after you arrive on campus and settle into your space. *Please avoid ordering groceries or food deliveries that you are not available to accept directly from the delivery provider. Hospitality desks are unable to accept those deliveries on your behalf.

TIP: PACKAGES We cannot share addresses with friends, parents, supporters, or family members. Please share your address as needed so that care packages or other fun items find their way to you.

ROOMMATE TIPS

Resident Advisors will share and help roommates complete their roommate agreement at the beginning of the fall semester. Roommate agreements set expectations for the year for things such as quiet time, guests, personal space, and more.

Tips for Getting Along with Roommates: • Complete the roommate agreement • Be open to new experiences • Respect one another and be clear from the start • Address things when they’re still little • Be mindful of your roommates’ possessions • Lock the door and windows to protect belongings • It’s OK to not be best friends

GET INVOLVED

First-year students who live on campus are highly encouraged to get involved in the Residence Hall Association (RHA), National Residence Hall Honorary (NRHH), or their Community Council. Students will gain connections, obtain professional skills, and make a difference on campus. In addition, our office spaces at Peterson Heritage Center and Kahlert Village have free resources, including printing, snacks, energy drinks, board games, and study space.

RESIDENCE HALL ASSOCIATION

RHA is the representative student government for all students living on campus at the University of Utah.

Through ever-growing advocacy, engaging student involvement, leadership development, and innovative events, RHA strives to cultivate a sustainable and enriching residential experience. Our residential student government is dedicated to fostering a sense of community within our communities through monthly events and regular General Council meetings, where students’ voices about housing and dining are heard.

Any student who lives on campus has the opportunity to build their leadership skills within RHA through joining their community’s Community Council.

Community Council is an opportunity to advocate for the students who live in your hall and be a leader on campus. The positions available are President, Treasurer, Secretary, Events Representative, and Marketing Representative. Applications will open up at the start of the fall semester.

STUDENT SUPPORT STAFF OFFICE OF RESIDENCE LIFE (ORL)

For students living on campus, there is a whole team ready and willing to jump in and help with any issue ranging from a leaky faucet to a major crisis.

While living on-campus, residents have a wide network of support that starts with their Resident Advisor (RA).

The RA lives on the floor and is the go-to resource to help students find their people, get involved on campus, and get the help they need. Resident hall staff (RAs, RDs, CAs) will be in contact with students during the move-in process.

Mental Health First Responders (MH1) provide no cost, mobile after-hours support for students on campus.

They serve students with licensed mental health crisis workers who offer follow-up services, ongoing support, and referrals to healthcare providers and mental health services. This service is available on-site in your room, walk-in at the MH1 office, or over the phone, seven days a week, from 4 p.m. to 2 a.m. MH1 staff are employed by the Huntsman Mental Health Institute (HMHI) and work in partnership with Student Affairs departments, including HDP and the University Counseling Center.

With more than 20 food service locations across campus accepting dining plans, students, faculty, staff, and guests can find a wide range of dining options.

• All-You-Care-to-Eat Options: Use weekly meal taps at Peterson Heritage Center & Kahlert Village Dining Halls.

• To-Go Meals: Take food on the go from the dining halls by requesting a to-go box.

• Flex Dollars: Work like a debit card on your UCard and can be used at dining locations across campus.

• Swoop Swap: Use a Tap at retail locations outside of our all-you-care-to-eat options, for a preset meal at select retail locations.

FLEX PLUS

All University of Utah Dining locations accept Flex and Flex+ dollars. Some partner locations, such as Starbucks, accept Flex+ dollars only, as they operate outside of the University Dining Services program. Additional Flex+ partner locations will be added as they become available.

Please note that only 50% of your Flex dollars per semester may be used at Flex+ locations. You can track your balances through Grubhub!

DINING PLAN FAQs

Who is required to have a dining plan?

• Most first-year students! Dining plans are optional for students living in apartments, pods, and end-cap communities.

What constitutes a dining plan week?

• Dining plan weeks start on Friday and end on Thursday.

When does my dining plan renew?

• Dining plans automatically renew at the start of Spring semester.

If I don’t use my dining plan, can I cancel it?

• Failure to use a dining plan does not cancel a student’s financial responsibility for the dining plan. Unused taps do not carry over from week to week.

PAYING FOR HOUSING & PARKING TRANSPORTATION CAMPUS SHUTTLES

Campus shuttles run regularly from the Peterson Heritage Center and around campus. To track the live location of all campus shuttles, view times of arrival, and find nearby stops, visit uofubus.com.

PUBLIC TRANSPORTATION

Your UCard also grants you free access to all public transportation in Salt Lake City, including TRAX, Frontrunner, and UTA bus routes. Download the Transit app to find a UTA route that works for you. For more information visit rideuta.com

URIDE

URide is a free, after-hours service for students who don’t feel comfortable walking to buildings or parking lots at night. This service is especially convenient for residents studying or working late on campus.

PARKING OPTIONS

URide functions similarly to other rideshare programs like Uber or Lyft but only operates within university boundaries, Monday-Friday from 6 p.m. - 12:30 a.m.

Students may request a ride by downloading the TransLoc app and following the prompts.

Residential parking is limited, and parking next to your building is not guaranteed. If you plan to bring a vehicle with you to campus, you should also plan to purchase a University of Utah parking permit. Commuter Services offers a variety of permit types to residential students.

BICYCLE PARKING

It is our priority to provide a safe and welcoming environment to everyone on campus. Courtesy escorts are always available as a resource to students while on campus. Campus Security can escort you to your residence hall, car, or any campus building. Courtesy escorts are available 24 hours a day seven days a week by calling 801-585-COPS (2677). The university offers free outdoor bicycle parking within 50 feet of almost every building. Cyclists are also welcome to utilize the secure bicycle lockers located at certain buildings and parking garages. Visit map.utah.edu to find bicycle parking options near you. Bicycles locked to anything other than bicycle racks will be impounded.

CAMPUS EVENTS

BICYCLE STORAGE LOTTERY

Students parking on the west side of Mario Capecchi Drive need to move their vehicles on University of Utah game days or for other University events. Stay tuned for updates as specific dates will be posted ahead of time.

Students indicate their interest in participating in the bike storage lottery process during their room reservation process.

To make this process as fair as possible, a randomized lottery process is used to select students who have requested this optional service. HDP will notify all lottery entrants of their status on July 1 via email. Students who are chosen in the lottery process will confirm their choice in the Housing U Portal and see a $112 fee for the academic year added to their student account. This charge is not refundable or pro-rated after a student accepts the bike storage offer or if a student terminates their housing agreement. IMPORTANT: Residents of Officers Circle and Chapel Glen 804 can purchase storage in 802 Chapel Glen, which is located adjacent to these buildings.

EMERGENCY & SAFETY PROCEDURES 24/7 SECURITY & STAFF SUPPORT

FIRE

All University Housing facilities are supported by staff and security 24 hours a day, seven days a week.

If a student needs assistance after hours, they can work with the hospitality desk in their area or contact security personnel available overnight at the Peterson Heritage Center, Kahlert Village, Lassonde Studios, Epicenter, and Trailhead hospitality desks. Check out the “Your Residential Experience” section in this guide for more information.

Leave the building (do NOT run) through the nearest exit and close the door behind you.

• Go to the evacuation location for your building.

• Check in with your RA or other staff who will be taking roll.

• HDP partners with the Fire Marshal each semester for a fire drill and educational program

CAMPUS ALERT SYSTEM The Campus Alert System is a messaging service that alerts students to all potential weather conditions, safety threats, and other emergencies on campus. This system also provides notification to residents in case of an emergency within HDP facilities. University of Utah students are automatically signed up for this service, so do not opt out of this service.

BUILDING SECURITY Residential living areas are locked 24 hours a day.

Buildings are accessed by physical and mobile credentialed UCards. Students are only able to access their building. All students should lock their doors.

NO TAILGATING Tailgating is when you let someone in the building without an escort. Only residents have access to enter buildings and all guests must be escorted by a resident. Letting unknown guests into our residence halls makes everyone in our community vulnerable.

TIP: UMAIL Always check your UMail when there is an emergency or event. If you need to evacuate your room, we will let you know. HDP works closely with university police and other first responders.

POWER OUTAGE It is important to be prepared in the case of a power outage. Keep a flashlight and fresh batteries on hand in case of an emergency. If a power outage occurs in your building: • PHC Dining Hall will continue to serve meals (cold food) during the standard meal times when the power is out.

• DO NOT use candles.

• Unplug all electrical items in your room in order to avoid any damage in case of a power surge.

EARTHQUAKE During: • If indoors... stay indoors, stay away from glass, stand in a doorframe • If outdoors... move away from buildings and utility wires After: • Utilize stairs, NOT elevator • Evacuate the building immediately and report to Stillwell Field on the west side of Officers Circle. If extensive damage has been done to Stillwell Field, meet at the South side of Heritage Commons at the Outdoor Recreation building.

• Check-in with staff who will be taking roll and • giving information.

Note: We strongly encourage you to have a 72 hour kit in case of an emergency.
