Welcome Congratulations and welcome to the University of Kent! You have reached a major milestone in your academic career. You will soon discover that University life is not just about academic study. University is a unique experience in which you will learn not only about the subject of your choice but, equally importantly, it is a time in your life when you will learn about yourself, who you really are and what you are able to achieve. At Kent we will assist you to realise your potential intellectually, socially and personally and you will do this at attractive and well-resourced campuses. Important information

In order to prepare for your arrival we need you to read this booklet carefully as it contains instructions on how to complete the registration process and secure your place. This booklet will provide the basic information about the who, how, what, when and where of Kent’s registration process. Our web pages for new students, www.kent.ac.uk/gettingstarted/, will guide you step by step through the enrolment process and will provide guidance and links for a whole range of information which you will need as a new student.

Who? You! The enrolment process is for confirming key information about you in order to officially register you as a student of the University of Kent. Once you have completed the enrolment process you will be provided with your personalised Welcome Week programme, as well as your academic timetable for the coming term. This process is about you and you will require your Kent identity number which is provided in the accompanying letter to complete the enrolment process.

How? Our online information is regularly updated to reflect new developments and you should check our website frequently. If you are not classified as a UK or EU student, you will be regarded as an overseas student for fees purposes. Claim your Kent IT account

The following process outlines the steps you must take to be registered as a student of the University of Kent. Completion of all steps described on this page and the next will allow us to process your enrolment, register you, draw up your timetable and have your KentOne Card (see page 7 for further details) ready before the start of the academic year. It will ensure you can enjoy Welcome Week without the need for additional administration and delay.

Your Kent IT account provides access to key services including the Student Data System (see ‘Choose your modules’ below), your Kent email account, online resources and IT facilities on campus. Claim your account by following the instructions at: www.kent.ac.uk/gettingstarted/it.html

Failure to complete all stages of the enrolment process will result in delays to your registration and your access to student/campus activities. The University’s primary means of communication with you at this stage is by email. You should therefore check your email regularly once you begin the online process as you will be given instructions at key stages about what to do next.

When you have completed all of the above we will generate your KentOne Card, which will allow you to access buildings and attend key events. Once your KentOne Card is issued to you, you should carry it with you at all times and show it to University staff on request. In particular, you must show your KentOne Card to security personnel when requested to do so. This is to assist in maintaining a safe environment on campus for the benefit of everyone.

Enrol Go to www.kent.ac.uk/gettingstarted/ and follow the links to Enrol. The enrolment process should take no more than ten minutes and is simply confirmation of your details and provision of information we require in order to register you as a student.

Choose your modules Once you have claimed your Kent IT account, you should be able to log in to the online Student Data System (if not, please wait twelve hours and try again): https://records.kent.ac.uk/account Most full-time students are required to choose modules online, although some programmes do not have optional modules in the first year of study. Once logged in to the Student Data System, follow the links to Online Module Registration to check whether you need to choose your modules. You are also advised to read your faculty/school handbook which will contain further information. The Student Data System also enables you to update your records and view your timetable, coursework deadlines, marks and results.

Apply for University accommodation (if you have not already done so) If you are studying at our Canterbury or Medway campuses you should apply for accommodation online by 31 July 2010 at kenthospitality.kent.ac.uk/myaccommodation/ or, for adjustment and clearing applicants, via our clearing website www.kent.ac.uk/clearing/ Most students are allocated rooms in University accommodation after the A level results are published in August. Offers of accommodation for eligible students starting in September are available online from mid to late August. For information on your accommodation allocation, please go online from mid to late August at kenthospitality.kent.ac.uk/myaccommodation/

• Your Kent ID number (on your confirmation letter) • A passport-style photograph (in .jpg format or a hard copy)

You will have been asked to register and create a unique user name and password the first time you visited the accommodation web page. You should input this user name and password for your accommodation offer only, and not use your University login and password. Once you have registered, you should log in to view and accept our accommodation offer.

Your confirmation letter contains your eight-digit Kent ID number. Input this number when prompted to do so, together with your date of birth, to access your individual online enrolment page.

Please note that while we will always try and allocate you the type of accommodation you have requested, this is not always possible and individual preferences cannot be guaranteed.

When we have processed your enrolment, you will be notified by email.

Insurance

You will need:

Submit a photograph You will be asked to submit a passport-style photograph of yourself (head and shoulders, white background) as part of the enrolment process. This photograph will be used on your KentOne Card. In order to do this you will need to save a passport-style photograph in .jpg format. The system will prompt you to submit the photograph.

Student rent includes insurance for loss of personal possessions up to £4,000 in respect of claims arising from fire, flood or theft within the accommodation area, including losses by walk-in theft. Students will be able to arrange additional cover online at the insurer’s website, for accidental damage or all risks on high value items such as iPhones and laptops. www.endsleigh.co.uk/reviewcover

Bedding and bed linen If you experience problems uploading your electronic photograph, it can be emailed to GettingStarted@kent.ac.uk. Please ensure you state your name and Kent ID number on the email. If you cannot submit your photograph electronically, you must send a hard copy to the address below as soon as possible. Write your name and your Kent ID number on the reverse of the photograph and send it to: Getting Started Photographs, Student Records and Examinations University of Kent, Canterbury, Kent CT2 7NZ.

In University accommodation, beds are provided with a mattress and pillow. You should provide your own bed linen and towels. Alternatively, a bedding pack may be purchased on arrival. Please go to www.kent.ac.uk/accommodation/ and follow the links to find out how to purchase your bedding pack.

before attending university. An open letter for you to print and take to your doctor explaining the necessity of these vaccinations is available at www.kent.ac.uk/medical/.

Meningococcal Group C There has been a small increase in the rate of meningococcal meningitis and septicaemia in recent years. Young people attending higher education for the first time are at greater risk of this disease, particularly in the first few weeks of their first term. In the UK there is now a nationwide immunisation programme through the schools to vaccinate those most at risk but, if you have taken a gap year or longer, you may have missed out on this. To achieve maximum protection you should have been immunised against meningitis C before attending the University and we urge you to see your family doctor to be immunised. If you are unable to receive immunisation in your home area we will be able to carry it out on your arrival, but you must make an appointment to be seen at the University Medical Centre as soon after your arrival as possible.

You will need to make an appointment at your nearest visa application centre to provide your biometric details as part of the application process. For full details please go to: www.ukvisas.gov.uk/en www.ukba.homeoffice.gov.uk/studyingintheuk/

Preparing for your visa application In order to avoid delays to your visa being granted, it is essential that you prepare well in advance. Further information on preparing for your visa application can be found at www.kent.ac.uk/internationalstudent/

Extending your leave to remain For international students already in the UK and who may need to extend their existing leave to remain, talks on immigration regulations and renewal of entry clearance will be given during Welcome Week. Ongoing immigration advice can be obtained from the Student Advice Centre in the Kent Union (Mandela Building) at the Canterbury campus, or from UMSA (Pilkington Building) at the Medway campus.

Measles, Mumps and Rubella (MMR) During the last few years a number of universities, including Kent, have seen an increase in cases of mumps among students. This can be a debilitating illness in young people with the possible risk of complications. The Department of Health advises that all those entering higher education should have TWO immunisations against MMR. Please ensure that you are fully immunised before you arrive at the University. If you have not been immunised, please arrange this with your family doctor.

Priority will be given in the first weeks of the autumn term to any students whose existing leave to remain is expiring at the end of September 2010. Paid work

Pandemic Influenza Robust plans are in place to deal with outbreaks of infectious diseases amongst students and there is close collaboration between the University Medical Centre and Local Health Protection Agencies. Please ensure that you have with you supplies such as paracetamol and paper tissues to deal with minor illnesses. For further information about the management of minor illness, visit the University Medical Centre website at www.kent.ac.uk/medical/.

International students Visas and entry clearance If you are a citizen of the European Economic Area (EEA) – the 27 EU countries plus Iceland, Lichtenstein and Norway – or a Swiss national (all of whose citizens have the right of free movement and residence in the UK) you do not need to seek entry clearance before travelling to the UK to take a programme of study for more than six months. If you are not a citizen of these countries, you need to have a visa. For further information and to check whether you need entry clearance, see the website of UK visas at www.ukvisas.gov.uk

Most students on a course of more than six months duration will be given permission to work part-time during the term (up to 20 hours a week) and full-time during the vacations. However, for immigration purposes, you must be able to show that you can afford to study and live in the UK without having to work. You must be able to show other sources of funding apart from your part-time work.

Document checklist International students should have the following documents readily available when they arrive at the airport or point of entry. Please ensure these documents are kept in your hand luggage and not in your suitcase. • Current passport and your old passport if it contains your current visa • Identity Card for Foreign Nationals (if you have one – this only applies if your current visa was issued in the UK) • Health certificate (if applicable, see information on chest X-ray below) • Proof of your finances • Unconditional Offer Letter • Accommodation room agreement

Chest X-ray To apply you must have received a Confirmation of Acceptance for Studies (CAS) number from the Information, Recruitment and Admissions Office. You must also satisfy the immigration authorities that you are able to meet the costs of the course and maintain yourself and any dependants during your course of studies. If you are a Masters or PhD student you must get a clearance certificate before submitting your visa application if you are studying a subject which is on a list under the Academic Technology Approval Scheme (ATAS). It takes up to 20 working days to obtain the certificate. You can find out if your course is on the list by visiting the ATAS pages at the Foreign and Commonwealth Office website: www.fco.gov.uk

If you are coming from the UK, Europe or North America, you do not need a chest X-ray. If you are not coming from these countries, then you must produce evidence of a satisfactory chest X-ray. This should be taken in your own country prior to departure. Please bring the chest X-ray and report with you. You may choose to have the X-ray taken after arrival in the United Kingdom, but, if so, you will be required to pay a fee.

Police registration Students whose visas are for more than six months and who are from certain countries must register with the police within seven days of arriving in the UK. Your visa will tell you if this applies to you. If your initial visa is for six months or less, you will need to register with the police if you extend it. You can get advice on this from the Student Advice Centre. On Monday 20 September in the Sports Centre you will be able to book an appointment with the police to come back and register with them on campus at a later date.

Late arrivals If you arrive after Arrivals weekend, please go to the Registry where representatives from the European and International Offices will be able to assist you.

National Health Service (NHS) As a full time international student in the UK you are entitled to medical care through the National Health Service (NHS). If you are on a course lasting six months or more you can get treatment from the NHS from the beginning of your stay. You will not have to pay to see a doctor or other health professional and all investigations (for example, blood tests and X-rays) and procedures are free. You may have to pay for some dental treatment and for medicines prescribed by a doctor, depending on your income. This also applies to your spouse or civil partner and children. Children under 16, or under 19 and in full-time education, do not normally have to pay for any treatment. Most health related problems can be dealt with by General Medical Practitioners (“GPs”) such as those working at the University Medical Centre. Please see page 27 for further information. • Become a member of the Sports Centre (Canterbury campus) • Gain entry to examinations • Participate in student elections In addition, the KentOne Card can be used as a debit purchasing card. Once you have opened and credited your account, you can use your card to pay for food, drink and other items at many campus outlets including college receptions, the Gulbenkian Café (at Canterbury and Medway) and Kent Union/UMSA shops. If you are living on the Canterbury campus and you are entitled to a meal allowance, you will need to show your card each time you visit Rutherford Dining Hall.

Advantages of the KentOne Card You don’t have to worry about carrying cash with you all the time and card users are also eligible for special promotions.

How to credit your KentOne Card To keep your account in credit, you can top up online at https://store.kent.ac.uk/. Alternatively, your card can be topped up by credit or debit card by phoning Kent Hospitality on +44 (0)1227 827434 or 823979 (09.00-17.00, Monday-Friday, during term time).

Collecting your card Equivalent or Lower Level Qualifications Status (ELQ)

Canterbury campus

Applicants are required to disclose details of all qualifications they hold at the point of application in order that a proper assessment of fee status can be made. The University will take action to reclaim fees retrospectively from a registered student who is undercharged, if such underchanging was the result of the applicant failing to provide complete or accurate qualifications data on which their fee status was based, or as a result of a failure of the applicant to disclose their ELQ status when asked to do so. www.kent.ac.uk/studying/funding/elq.html

You should collect your KentOne Card from the Sports Centre during Arrivals weekend (18 and 19 September 2010). You will need to provide photographic identification to collect your card during this time. If you are arriving at another time then please collect your card from Student Records and Examinations, located in the Registry.

Qualification checks You may be required to bring evidence of your previous qualifications with you to the University. You will be notified by email via the enrolment process if this applies to you*. We reserve the right to cancel an offer of a place to any student who does not provide evidence of qualifications obtained, either in the form of an officially certified photocopy acceptable to Kent or an original certificate, when requested to do so. *This does not apply to undergraduate students whose results are sent directly to the University by the UK examination boards.

Canterbury campus The checking of qualifications will take place in the Sports Centre throughout Arrivals weekend and on Monday 20 September. From Tuesday 21 September at 09.30, this will take place in the Visitors’ Reception area of the Registry Building, adjacent to the Information, Recruitment and Admissions Office.

Medway campus Qualification checks, where required, will take place at registration or at the Gillingham Building. If, for any reason, you are unable to provide proof of entrance qualifications, you must contact the Information, Recruitment and Admissions Office on +44 (0)1227 823883 without delay.

The KentOne Card The KentOne Card is your multi-functional photo ID card, issued to you on completion of registration. The card enables you to: • Borrow books from the library

If you are studying on a part-time basis, you will be invited to attend a Welcome event during Arrivals weekend in September and will have the opportunity to visit the Sports Centre to collect your KentOne card. If you are not able to attend the Welcome event, or your course starts at another time during the academic year, then please visit Student Records and Examinations at a more convenient time.

Medway campus If you are studying full-time or part-time, you should collect your KentOne Card from the Pilkington Building during Arrivals weekend (18 and 19 September 2010)

Tonbridge campus Once all the necessary steps in the online enrolment process have been successfully completed, you should contact the Tonbridge Centre to obtain your KentOne Card. Your school will contact you to inform you of your timetable. Please contact staff at the Tonbridge Centre with any queries (see page 40).

Kent Graduate School The mission of the Graduate School is to “lead and champion the strategic development of provision for graduate education and research at the University of Kent”. The Graduate School works in partnership with academic schools, faculties, central service departments and Kent Union to enhance the quality of the graduate student experience across all campuses and create a vibrant graduate community at Kent. Graduate School Transferable Skills Training Programme The Graduate School coordinates the transferable skills training programme for graduate students. Subject specific skills training will be provided by your academic school. Transferable skills are those which go beyond your research and subject area and can be applied to enhance your career prospects in all aspects of employment. The Graduate School provides research students with transferable skills training in the following areas: (i) research management, (ii) personal effectiveness, (iii) communication skills, (iv) networking & team working and (v) career management skills. Research Councils have identified the development of these skills as essential for all postgraduate researchers (see the RCUK joint skills statement at: www.kent.ac.uk/graduateschool/skills/jss.html).

Academic resources and support services At Kent, we have invested in a supportive study environment which promotes a strong intellectual, interdisciplinary and social community with tailored academic resources and support services to help you reach your full potential. Insurance The University provides insurance cover for loss of personal possessions up to £4,000 for all students living in University accommodation. Please see p5 for further details.

Getting Started Money matters

Money matters Tuition fees for all students Full-time undergraduates UK and EU students are liable for £3,290 tuition fees for 2010/11 but these can be deferred until after graduation by applying for a Tuition Fee Loan. If you do not take out a Tuition Fee Loan, you will be liable to pay your fees. For those students on a foundation course, the fees will be £1,310 for 2010/11.

Postgraduate and part-time students If you are undertaking postgraduate or part-time study, you will also be liable for payment of fees, which vary depending on your course of study. You will have been notified of the fee cost by the Information, Recruitment and Admissions Office.

International students Fee levels for international students from outside the EU and those from the Channel Islands/Isle of Man vary according to the course of study. Please refer to www.kent.ac.uk/finance-student/fees.

The Kent Bursary (UK students only) The University of Kent will be offering a bursary to UK students from low income households paying the 2010/11 tuition fee of £3,290. The value of the bursary is dependent on household income and is allocated as follows:

To establish your fee status you may be required to complete a Fee Status Questionnaire, if you have not already done so. If we regard you as an overseas student for fee purposes, you will be required to show evidence of available funds or sponsorship to pay your fees before you can register for your studies.

Tuition Fee Loan (UK & EU students) • The majority of students are entitled to a tuition fee loan (max £3,290 for 2010/11) • The loan is paid directly to the University

Student Loan for Maintenance (available to all UK students and eligible EU students) • The majority of UK students are entitled to at least 72% of the loan; the additional 28% is calculated on household income • EU students may be eligible for the loan if they meet the residence eligibility rules or have ‘migrant worker’ status. Please refer to www.direct.gov.uk/studentfinance for eligibility criteria • The loan is paid directly into your bank account at the beginning of each academic term

Maintenance Grant (UK students only) • Non-repayable grant of up to £2,906 (2010/11) • If your household earns less than £25,000 per year, you may be eligible for the full grant. If your household income is below £50,020 you may be eligible for a proportion of the grant on a sliding scale • The grant is paid into your bank account at the beginning of each academic term

Special Support Grant (UK students only) • This grant is received in place of the Maintenance Grant, and has no effect on the amount of Student Loan for Maintenance you can borrow. Available to those receiving means-tested benefits, such as Income Support • Non-repayable grant of up to £2,906 (2010/11) • The Special Support Grant is not counted as income; any benefits you receive will be unaffected

The award will only be allocated if you and your financial sponsor(s) (ie parent(s)/carer(s)/partner have provided their ‘consent to share’ the information on the PN1 form. All Postgraduate students

If you are a UK or EU student studying part time, you can apply for a grant to help with your tuition fees and, for UK students, help with course costs.

In general, there is no statutory support for postgraduate study centrally funded by the Department for Business, Innovation and Skills (BIS) for students in England.

Your course must last at least one year and not take more than twice as long to complete as an equivalent full-time course.

Fee Grant (UK & EU students) • The amount of fee grant you receive will depend on an assessment of your household income and on how long it takes you to complete your course compared with an equivalent full-time course (course intensity).

Course costs (UK students only) • A grant of up to £265 is available to help meet the cost of books, travel and course expenditure. This grant is non-repayable, and the amount you receive is based on an assessment of your household income.

Students must therefore ensure they have made adequate provision to cover their tuition fees and living costs. When you arrive, you should open a student bank account (see page 18 for additional information) but do be aware that this can take a few days. You should order travellers cheques in UK currency (sterling) to cover your expenses for the first few weeks. Tuition fees can be paid in two equal instalments. The first payment is due on or before registration and the final payment is due by 1st December 2010. The instalment plan is available only for payment by debit/credit card through the University web payments system which can be found online at https://epay.kent.ac.uk/epay/ If your fees are being paid by a sponsor (a private company or other organisation) not parents/relatives or Student Finance England, please go to www.kent.ac.uk/finance-student/fees/sponsor.pdf to print and complete the form. Return the form to the Income Office with a confirmation letter from your sponsor on company/organisation headed paper. Failure to do so will result in the tuition fees being invoiced to you.

Accommodation fees Payment can be made in full at the start of each academic year. Fees paid in full, in advance of 27 September 2010, receive a 2% discount.

Following this period, fees will be reduced based on the number of months completed, pro-rated against the total months allocated to the year. This applies to all students and their sponsors.

Student Finance England (for undergraduate students) Student Finance England will not pay your fees if you withdraw before 1 December 2010. You are advised to speak to Student Finance England to discuss the financial implications when considering withdrawal from your course.

Accommodation fees If you are withdrawing from your course you will also need to inform the Accommodation Office. Accommodation fee refunds are at the discretion of the Accommodation Office and are subject to the details given in your accommodation agreement.

Financial Planning Accommodation fees may also be paid in instalments at the beginning of each term. Payment for the full amount due for the term must be received on the dates quoted in your accommodation agreement.

Both the University and the Student Advice Centre advise you to put together a budget when you first arrive at Kent. It might seem difficult or boring, but in the long run it is definitely worth knowing how much you have to spend and keeping track of where the money goes.

Making a payment • The University will accept bankers drafts and bank payments, however personal cheques will no longer be accepted • Cash will only be accepted at the University Income Office – please do not send cash by post • Please ensure that your full name and student number are quoted on all payments • The University bank details can be found on the finance website at www.kent.ac.uk/finance/payments/makingpayments.html

Online payments All tuition and accommodation fees can be paid online by visiting https://epay.kent.ac.uk/epay/ or follow the instructions on the student portal.

Non-payment of fees If you do not pay your fees within the given timeframes, you will be deregistered and will be deemed withdrawn without any further opportunity to study, unless permitted to intermit by the academic school/faculty, and return at a later date. You will have no recourse to University resources including accommodation and all email and access requirements. Late payment supplements of 1.5% of the outstanding balance will be added to unpaid accounts and there will be a charge for declined instalment payments. September entrants should make their first payment for tuition and accommodation fees on or before registration

Withdrawing from your course All students considering withdrawing from their course should discuss the matter with their personal tutor or student adviser in the first instance. Students must then follow the proper withdrawal procedure through their academic school.

Tuition fees If you have paid your tuition fees, upon withdrawal, you may be entitled to a refund based on the following rules of withdrawal. The first four weeks of term one is considered as the ‘settling-in period’ and any student withdrawing within these four weeks will not be charged tuition fees for this period.

It can be difficult to adjust to your income arriving in three major instalments if you are used to budgeting with weekly, fortnightly or monthly incomes. Unless you can get a job in the summer vacation, the period from June to the end of September is very lean financially if you haven’t made sure that you have some of your loan/grants still available to cover your spending.

How are payments timed? For full-time students, student loan instalments, the maintenance grant, parent learning allowances and childcare grants are usually paid on the last day of each term. Access to Learning Fund support (where awarded) is also paid termly. Child tax credits are paid across the year at a frequency you can select, and the Disabled Students’ Allowance is paid direct to the supplier of services and equipment. University accommodation fees are payable in advance at the start of each term.

What happens if I get into difficulties? If you have concerns about your financial position, or you find yourself in difficulties, ask for help sooner rather than later. It is much easier to sort out any financial problems before they accumulate. You are more likely to get a sympathetic reception from banks and other creditors if you explain the situation as soon as possible. Getting Started Arriving at the University of Kent

Arriving at the University of Kent Parking on campus over Arrivals weekend (18/19 September 2010) Parking will be available over arrivals weekend for parents, carers or friends who may be helping you move in to your campus accommodation. However, parking is severely restricted at both the Canterbury and Medway campuses at all other times. You cannot bring a car onto campus for use during term time, except in exceptional circumtances where permission has been given by the Estates department. Student parking on campus Canterbury campus Car parking on the Canterbury campus is severely limited and a permit system is used. Students residing on the University campus, including Park Wood, are not permitted to bring a car onto campus and will not be issued with parking permits. Students resident off campus but within the specified exclusion zone will not be issued with parking permits. For the academic year 2010/11 the exclusion zone will be defined by postcode and these postcodes are CT1 1; CT1 2; CT1 3; CT2 7; CT2 8. Special arrangements are in place for students with a disability. For those students who are eligible for a permit, further information on how to apply is available at www.kent.ac.uk/estates/transport/parking/ from the Estates Information Desk at the Sports Centre during Arrivals Weekend in September or by emailing parking@kent.ac.uk. If you are arriving at any other time during the year please visit the Estates Department reception. There is a charge for a student parking permit. There are designated areas for parking motorcycles and mopeds. A valid permit, which is free of charge, must be issued for security purposes, although it does not need to be displayed.

Medway campus Car parking on the Medway campus is limited and a permit is required. Students who would like to apply for a permit will need to enter a ballot and will be informed by email if successful. Tonbridge Centre Parking at the Avebury Avenue Centre is strictly restricted to staff, with clamping being enforced at certain times. There are detailed maps on page 33 showing the locations of the Avebury Avenue and West Kent College centres with town and public car parks that can be utilised. There is ample, free car parking at West Kent College, immediately to your left as you approach the Langton HE building. A map of the Brook Street campus can be found at www.wkc.ac.uk/ to help you navigate your way around the site.

Disabled drivers Dedicated parking bays for disabled drivers are available on both campuses but you must display the appropriate University of Kent permit as well as your Blue Badge. You can apply online or download a paper application form at www.kent.ac.uk/estates/

Students living in University accommodation (Canterbury and Medway campuses) You should plan to arrive the weekend of 18-19 September 2010. If you cannot arrive at the University until after this date you must immediately inform the Accommodation Office in writing in advance of your intended arrival date, otherwise it may result in the withdrawal of the offer of University accommodation. If you are living on the Canterbury campus, it is not possible for you to move into your accommodation before Saturday 18 September (unless you are on a pre-sessional language course) as the campus accommodation is occupied by summer visitors. We regret there is no on campus accommodation for family and friends. If you require accommodation for family and friends during the arrival period, you are advised to book hotel or guest house accommodation well in advance. Once you arrive, please go to the residence where you have been allocated a room. You should have your room agreement available to show to the receptionist on arrival and you will need to produce some personal identification (eg a passport) before you will be allowed into your accommodation. Arriving at Liberty Quays (Medway) If you are arriving by car, you are able to park at Liberty Quays for unloading. Parking is controlled by a third party, so please note any stay is strictly limited to two hours and penalties may apply. We advise that you unload and then move your car to the Historic Dockyard where free parking is offered to University of Kent visitors. The dockyard is approximately a 10 minute walk from Liberty Quays. Please see page 32-33 for directions from Liberty Quays to the Historic Dockyard. Under the Local Government Finance Act 1992, registered full-time students may be exempt from paying council tax or may be eligible for a discount.

Rail

Canterbury campus Students living on campus in University residences will be exempt. Full-time Canterbury campus students living at home or in lodgings should refer to Student Records and Examinations or to www.kent.ac.uk/registry/studentrecords/students/ for details on how to apply for an exemption certificate via an online secure documents web service.

Medway campus All residents in Liberty Quays are requested by Liberty Living to provide a council tax exemption certificate. These certificates can be obtained from the Gillingham Building reception. You are recommended to get your certificate as soon as possible once you are residing in your student accommodation. Full-time Medway students living in private rented accommodation off-campus should apply to the Student Administration Office in the Medway Building on the Medway campus for a certificate confirming student status at the University. This certificate will be required by local authorities and you will be requested by your landlord to provide the council tax exemption certificate.

Buy a Television licence When do I need a TV Licence? If you wish to use a television or watch TV on your computer in your room (on or off campus), it is a legal requirement to obtain a TV Licence and failure to do so can lead to a fine of up to £1,000. This means that if you are watching or recording live broadcasts via the BBC iPlayer you need to be covered by a TV Licence. A licence is not required if you are watching or downloading programmes that have already been broadcast using the iPlayer or other internet services. The current cost of the TV Licence is £145.50 for a colour licence and £49.00 for a black and white licence.

A Young Persons Railcard is available from National Rail and may be purchased for £26 for one year or £65 for three years by anyone aged 16-25 or full-time mature students. It entitles the holder to save on the cost of most rail journeys. For further information see www.16-25railcard.co.uk

Coach A 16-26 student coach card is available from National Express. At £10 for one year or £25 for three years, the coach card gives you up to 30% off coach travel and access to special offers. Please visit www.nationalexpress.com/ coach/Offers/StudentCoachDeals.cfm for further information.

Bus The University subsidises the Stagecoach Unibus service and the Student Unirider ticket which is offered at a substantial reduction to all registered students. These are available to purchase at the start of the academic year direct from Stagecoach who will be present on the Canterbury campus and at other times from the office at Canterbury bus station. Oyster card The University of Kent has registered with the TfL Oyster card scheme, which enables eligible students to travel by train at a reduced rate. Open a student bank account I don't need my TV Licence over the summer, can I get a refund? If you are not staying at university over the summer and do not need your TV Licence again before it expires, you are entitled to a refund of any unused quarters (three full calendar months). So long as you purchased your TV Licence in October and don't need it for July, August and September, you could be eligible for a refund. Unless you are already resident in the UK and have a UK bank account you will find it essential to open a bank account. Opening an account is relatively easy but you will require: • • • •

In most cases your offer letter will be sufficient. If we have made an offer to you at a temporary address or university address you will require other evidence of your main residence/home address such as bank or credit card statements.

International students You are advised to bring funds in UK currency traveller’s cheques to cover your expenses for the first few weeks, in case of delays in opening a new bank account.

Medway campus Each of the main banks has a branch in both the local towns of Gillingham and Chatham. There is no main branch on campus.

Tonbridge Centre Each of the main banks has a branch in Tonbridge town centre.

Register with the Police Entry regulations for non-European Union nationals visiting the United Kingdom require visitors from certain countries to register with the local police. The responsibility for police registration lies with the student, not the University. If the words â&#x20AC;&#x2DC;The holder is required to register at once with the policeâ&#x20AC;&#x2122; are stamped in your passport when you arrive in the United Kingdom, you should register with the police within seven days of arrival. Failure to register is a criminal offence and could result in your removal from the United Kingdom.

Canterbury campus You will be able to make an appointment to register with the police at set times during Welcome Week; please make every effort to attend these sessions which will be clearly marked on your Welcome Week programme.

Canterbury campus As you will be living here for the greater part of the year, you must register with a doctor in the area in order to receive treatment under the National Health Service (NHS). Students who live on, or within six miles of, the Canterbury campus should register with the University Medical Centre in order to use the facilities, otherwise only emergency treatment will be available. To find out more about the services provided by the Medical Centre, log on to www.kent.ac.uk/medical/. Canterbury students should complete their medical registration online at www.kent.ac.uk/medical/. Some of the information you may need to get from your family doctor but the details of your address and email may not be available until you arrive at university. You are able to save your registration details on our system and complete them on arrival in Canterbury. Once you have completed your registration with the Medical Centre, you will be sent an NHS card with your National Health Service number on. The card will be sent to the address you used when registering. Please keep the card safe as you will need this number to access NHS services.

Medway campus Students at the Medway campus are expected to register with a local doctor. A list of local doctors in the area will be available at the information desks over the Arrivals Weekend.

For the majority of our students, Welcome Week takes place in September. It is a programme of events where you can meet staff and fellow students and get information about the range of activities available. It is very important to make every effort to attend in order that you can find out about all the University has to offer.

The University of Kent organises a welcome programme for the hundreds of international students arriving on our Canterbury and Medway campuses. The programme takes place during Welcome Week, before term commences. Although optional, we strongly recommend that you come along as it is a great opportunity to make new friends and get to know the University and the surrounding areas before the busy first week of term.

As well as the Welcome Week programme, your academic school will also have activities arranged for you which you should attend. These activities, plus the central events, will be on your personalised Welcome Week timetable which is available to view via your online Student Data System account. Remember to check your Faculty and school web pages as they will provide details of key Welcome Week events.

Faculty membership As a student at the University of Kent, you are part of an academic school and the school belongs to a Faculty. There are three Faculties at Kent: the Faculty of Humanities, the Faculty of Sciences, and the Faculty of Social Sciences.

College membership There are five colleges situated on the Canterbury campus: Darwin, Eliot, Keynes, Rutherford and Woolf. If you are based at the Canterbury campus, you will become a member of a college on enrolment and retain this college affiliation throughout your study, regardless of where you live. Medway College membership All students become members of Medway College on enrolment. Due to the number of developments happening at Medway, including the expansion of the School of Arts, there are plans in place to rename the college in 2011. The Master of Medway College is Jane Glew.

International and European Exchange/Erasmus students International students are an important part of our student community and represent approximately 20% of students. We have 125 nationalities represented at Kent and there are many cultural and international student societies. The International and European offices are here to advise and support you both on arrival and throughout your studies. International students have a special programme of events which need to be booked in advance. Please review your programme details carefully and ensure you have registered as necessary.

UMSA is the Universities at Medway Students’ Association and is the students’ union for students who study at the University of Kent, University of Greenwich and Canterbury Christ Church University at the Medway campus. UMSA represents students, operates the campus shop (Essentials) and organises entertainment through the on-campus pub (Coopers).

Canterbury campus If you’re arriving in September, our wonderful Welcome Crew made up of 400 student volunteers will be able to help you settle in, unpack and answer any questions you may have. Make sure you pick up your Welcome Week planner from your college reception or download it from www.kentunion.co.uk/welcomeweek. This will guide you through all the events happening across campus for the whole of Welcome Week. You should also pick up a Kent Union diary from the Kent Union desk in the Arrivals Hall, which will give you lots of information about Kent Union and the services it provides.

UMSA provides an Advice Centre, Jobshop and a wide range of student activities including over 17 sports teams, 27 societies and a student magazine. Throughout Welcome Week, UMSA runs a programme of events to introduce you to the sports, societies, activities and services available to you. Whether you’re interested in hockey or history, salsa or snowsports, there is likely to be a club or society for you to join, and if there isn’t, Kent Union will give you help starting your own! Students’ Union Kent Union – Canterbury campus Kent Union is a democratic body run by students, for students. Each year, students are elected to work full time to represent you in a variety of different areas including education, welfare, activities and sports. Part-time officers, who volunteer to represent you alongside their studies, are also elected to represent smaller groups of students such as mature or international students and more specific areas of focus including ethical and environmental matters and charity fundraising. These officers are your representatives and accountable to you. You can talk to them about any issues you may have whilst studying or you can put questions, ideas and views to them in a more formal manner such as the Annual General Meeting or Union Council. UMSA also has over 27 registered student societies which range from the cultural to the political, the course based to the hobby based. may never have come into contact with. There are many opportunities for you to get involved on campus, whether it be through student societies, being a course representative or RAG fundraising (Raise and Give).

Origins Bar & Bistro, located on the first floor in Darwin College, is the only TexMex style outlet on campus and is famous for its Mexican inspired fajitas and Texan style burgers.

Student Ambassadors

Dolche Vita, in Keynes College, boasts an extensive menu offering a range of flavours and fusion dishes from across the world. As well as a range of madeto-order dishes, a wide selection of hot and cold drinks, sandwiches and savoury snacks are available.

The Student Ambassador programme offers you the chance to represent the University promoting higher education to UCAS applicants, schools and colleges. It is good fun, builds confidence and it looks great on a CV. Many Student Ambassadors act in a voluntary capacity and use their hours towards the KSCV. Entertainment

K-Bar, located in Keynes College (opposite Dolche Vita), offers customers a relaxed setting for any occasion. With comfortable seating inside or outside, K-Bar is the perfect place to meet friends or colleagues for a cooked-to-order Chicago Town pizza.

Canterbury campus At the time this document went to print, Kent Union was busy refurbishing the purpose built on campus nightclub (The Venue) to include state of the art facilities and a live music venue. This will be ready for your arrival in September. To keep up-to-date with the refurbishment and entertainments on offer, visit www.kentunion.co.uk. In May, Kent Union hosts the annual SummerBall for 5,000 students in the largest structure of its type in Europe. In the past, we’ve had acts such as Florence & the Machine, Dizzee Rascal, The Pigeon Detectives and Pendulum. The event is something to look forward to so keep your eye out over the summer term to ensure you don’t miss out.

Medway campus Coopers is a nationally award winning bar (Best Bar None 2008) located in the Jellicoe building and operated by UMSA. It is licensed until 2am and regularly plays host to a range of special events, such as open-mic night, school discos, beach parties, bhangra nights and much more. UMSA also offers a wide range of special events on campus ranging from the Summer Ball to open air gigs.

Eating and Drinking Canterbury campus Woody’s, situated in Parkwood, is a great place to grab a bite to eat, watch the football or meet friends before heading to the Venue. Woody’s is host to regular live music, quizzes and comedy nights and the good quality food and drink plus the friendly faces will make you feel right at home. Rutherford Bar, situated in Rutherford College, is the best place on campus for a light lunch, an afternoon coffee and an early evening tipple. Into the evening Rutherford host regular karaoke, live music, open mic nights, games and a variety of themed events just for a bit of fun. The Pavilion Café/Bar is situated within The Pavilion next to the sports pitches. It serves yummy pre or post game meals and drinks plus it’s the perfect place to come and enjoy any sporting match either on the pitch or on our huge plasma screen TVs. The Library Café and the Sports Pavilion Café are conveniently placed across campus to allow you to grab a coffee and a slice of cake and a lunchtime sandwich.

Other places to eat on the Canterbury campus Rutherford College Dining Hall, a traditional cafeteria-style outlet is located in the centre of the college and offers a wide range of breakfast, lunch and evening meals, with a new menu every day including vegetarian dishes and an extensive salad bar. Bag it, located in Rutherford, offers an enormous choice of freshly made sandwiches and baguettes, with an online ordering service. 22

Mungo’s Bistro, located in Eliot College, has a great ambience, and offers freshly made sandwiches and made to order dishes, including an extensive range of desserts. Eliot corner shop, located near to Eliot College reception, the corner shop specialises in selling hot and cold drinks, sandwiches and baguettes, pies and pastry products, sweet and savoury snacks and confectionery. Revive Café is situated in the heart of the Woolf academic building and offers a mixture of tempting refreshments, comfortable seating and a state of the art vending hub. Create café, in the Marlowe Building, is the newest outlet on campus and the place to go for freshly made sweet and savoury pancakes. Medway campus Coopers serves a delicious range of food every day. There’s a brand new menu offering a bigger variety of dishes, and more healthy options than ever before. All food is reasonably priced and served really quickly, so you’ll always have enough time to grab a quick bite to eat between lectures. The Venue café, located in the Pilkington Building, is a great space in which to meet with friends and relax between lectures. The menu is varied and offers a wide range of freshly made sandwiches and main meals. The Gulbenkian Café, located in the Rochester building, offers a varied menu, including light lunches and main meals. It’s a bright and airy space with comfy sofas and is a great place to grab a coffee or quick lunch. The Dockside retail outlet is five minutes walk from the campus and offers a range of bars, pubs and restaurants.

Shopping Canterbury campus Kent Union runs two convenience stores, an off-licence and a clothing shop situated on campus. Essentials (situated on central campus) and Parkwood Essentials (situated in Parkwood) sell the usual convenience products as well as sandwiches, salads and hot pastries. There’s also a fruit and vegetable market, every Wednesday, outside Eliot College. Extras, which you can find next to Essentials, sell a range of wine, beers and spirits. It also has a DVD rental service, plus a range of greetings cards and small gifts. Unique is a University of Kent memorabilia store selling hoodies, t-shirts, hats, bags and other memorabilia to remind you of your time at University.

Sports Scholarships

The grocery bus (service 26a) runs every Saturday from 10.00 – 15.00 and provides a direct service from the Canterbury campus to the main supermarkets (Asda and Sainsbury’s). Other large shops in the vicinity of Asda and Sainsbury’s are Lidl, Argos, Carphone Warehouse and Comet. Shops in the area include PC World, Matalan, Halfords, Currys and TK Maxx. If you hold an annual Unirider ticket, you may use the grocery bus service free of charge. Without a Unirider ticket, the charge is £1.30 return.

Medway campus Medway Essentials, located in the Jellicoe building, is always stocked with newspapers, magazines, chilled food, beers and wines, groceries, stationery, confectionary and much more. Essentials is a proud supporter of Fair trade products and carries Fair trade fruits, teas and coffees, sugars, cottons (in our clothing), chocolates, wines and beers. We work with the Co-op to provide as many Fair trade foundation approved products as possible. Sport and Recreation

Theatre/ Cinema Canterbury campus The Gulbenkian Theatre acts as the front door to the Canterbury campus. With its welcoming foyer and café bar, it is a meeting place for students, staff and the general public. The theatre has a capacity of 340 and presents student, professional and amateur shows throughout the year. The lively licensed café bar is a favourite haunt for all members of the University community as well as the general public. It is open Monday to Friday 08.0022.00 and Saturdays 17.00-22.00, serving fresh food and delicious drinks. The Gulbenkian Cinema is a public cinema in the Gulbenkian complex open to students and the general public. It is Kent’s independent film theatre showing new mainstream and non-mainstream releases as well as archive and foreign language films not otherwise available in the region. Medway campus There is a fully equipped weights and cardio room in the Sports Hall on campus and the Student Fitness Suite offers reduced student membership. You also have the advantage of many off-campus sporting facilities including the extensive facilities available at Medway Park. Kent invested £3m towards this new centre of sporting excellence and the £11m project provides a multi-sport, state-of-the-art facility within easy reach of the campus. Sport students also benefit from specialist facilities including a sports therapy clinic and sport and exercise science laboratory.

The campus is five minutes’ walk from a multiplex cinema and there are two theatres in Chatham that offer the very best in comedy, art, drama and music. Kent is a prime location and regularly attracts big names to its venues. Recent acts in Medway include Derren Brown, Jimmy Carr and touring productions of West-End shows. The Brook Theatre is home to the Medway Comedy Club where you can spend an evening with some of the best comics on the UK circuit.

Music Canterbury campus Are you interested in Music? Do you sing or play a musical instrument? At Kent, students of ALL subjects can get involved in the flourishing programme of extra-curricular music-making on the Canterbury campus, including choirs, orchestras, concert and big bands. Coopers bar hosts an open-mic night where you can bring along an instrument for a jam session or take to the stage with your guitar. Careers Advisory Service Careers Information Rooms at Canterbury and Medway are open from 09.00 – 17.00, Monday to Friday in both term-time and vacations. Come in at any time during these hours to browse through our information resources, access the Internet for careers information, use a computer guidance program or CD-ROM, watch a video, pick up a vacancy list or graduate directory to take away or just to find a (reasonably) quiet place to draft your application forms.

Canterbury campus

If you have specific learning difficulties, physical or sensory impairments and medical conditions, you should contact the Disability and Dyslexia Support Service (DDSS) The DDSS offers confidential advice on suitable educational support and employs a diverse range of support staff to meet your requirements. Our advisers can also assist you with applications for the Disabled Students’ Allowance.

Our chaplains make a creative contribution to the whole spectrum of University life through their involvement with student societies, academic schools and decision-making bodies. The chaplaincy is multi-faith with three full-time chaplains (Anglican, Catholic and Pentecostal) and more than ten part-time members who serve all the main Christian denominations as well as the Jewish, Islamic and Buddhist faith communities on the campus. Medway campus A chaplain is regularly available on Thursday mornings during term time, in Room G1-12 in the Gillingham Building and may be contacted at other times as needed. The chaplaincy works in co-operation with chaplaincy colleagues at the University of Greenwich and Canterbury Christ Church University. It serves all the main Christian denominations as well as the Jewish, Islamic, Hindu and Sikh faith communities on campus. Child care The Oaks Day Nursery – Canterbury campus The Oaks is run by Kent Union to provide care for pre-school children. The nursery operates primarily for children of students and staff and is housed in a purpose built premises on campus. There are three sections divided by age: Babies (6 weeks to 18 months) Toddlers (18 months to 3 years and Nursery School (3 to 5 years. Examples of help include: study skills tuition, note taking, special arrangements for examinations, mobility scooter hire, radio aids and loop systems, liaison with the accommodation office for adapted rooms and the examinations office for special exam arrangements. Counselling Service Canterbury campus

Please inform the Disability and Dyslexia Support Service (DDSS) as soon as you receive notification from Student Finance Direct that the DSA has been awarded as we will need a copy of the Assessment Report.

The Counselling Service provides a team of neutral professionals who are trained to help you work through difficult and stressful situations, whether personal or work-related. Your confidentiality is assured. The office is open from 10.00 – 16.00 from Monday to Thursday and from 10.00 – 14.30 on Fridays in term time. Student Advice Centre

Kent Union Jobshop is a free service for students at Canterbury and Medway. It advertises a wide range of available positions and provides temping opportunities, from local part-time vacancies throughout term-time, to national and international employment opportunities during vacations, as well as temporary positions throughout the year. Please note that international students who have the correct visa stamp or sticker are allowed to work part-time during term time (up to 20 hours per week) and full time during vacation. The Jobshop team are also able to give you advice on employment issues such as national insurance, taxation and creating a CV.

You can get free, confidential advice from your Students’ Union. The Advice Centre is here to offer help to you whilst you are studying. No matter what the problem we will be able to help you or refer you to an organisation that can. You can contact us either by appointment, via our drop in sessions, by email or telephone.

The University is served by a Police Community Support Officer who is available for advice on +44 (0)1227 868252. Look out for notices of the dates of his/her surgeries on campus. We have specially trained security officers who patrol the campus 24/7, comprehensive CCTV coverage and a 24 hour service in each college. There is also an on-campus security service which means you can be accompanied, on foot, by a security guard, at any time of the day or night. We also offer a term-time, late night bus service to local towns. Personal attack alarms are also available from Campus Watch. If an emergency service is required, use extension 3333 (+44 (0)1227 823333 from a mobile) but this is for on-campus use only.

Medway campus

University Nursing Service (UNS) Canterbury campus You will find the University Nursing Service in Keynes College in Room EG3. The University Nursing Service facilities are available to all students at the University of Kent. It is open seven days a week during term-time from 07.00 until 12.00 midnight and for emergencies after midnight. It is staffed by nurses. The University Nursing Service is available to students for support, advice, treatment of minor illness and injury and contraceptive advice (including supply of emergency contraception). The service provides a ‘drop-in’ facility, (ie no appointment is necessary) to discuss health problems with the nurse and receive treatment where appropriate. We also provide nursing care for up to two in-patients. You may be offered a bed in the University Nursing Service rooms if the doctor or nurse feels it is appropriate. The University Nursing Service is run with an informal atmosphere, not like a hospital ward. If you need to stay in the University Nursing Service you will have your own room. There is a day room with television for use at any time and we also keep a supply of magazines and books.

Liberty Quays features comprehensive CCTV coverage, 24 hour security and electronic entry systems. Access to the Medway campus is monitored by the gatehouse staff and members of security patrol the site 24 hours a day. There is a dedicated Police Community Support Officer based in the Pilkington Building who regularly patrols the campus and all areas are covered by CCTV. In case of emergency, call Campus Security on +44 (0) 1634 883138.

Information relevant to all new students at Kent Regulations You should familiarise yourself with the University regulations that affect you. As a registered student you will be required to abide by these. They can be viewed online at www.kent.ac.uk/regulations/

Recycling At Kent, we expect students to recycle as much as possible to help protect the environment. Please refer to the posters in your accommodation to find out what can be recycled and where to take it.

Storage Due to insufficient storage space we regret that no luggage can be accepted or stored at the University in advance of your arrival. It will be necessary for your shipping agents to hold back the delivery of any luggage items until after you arrive and are personally able to collect or accept delivery of any items.

• The internal Emergency number is 3333 (Canterbury) and 3158 (Medway). NB This is only for an emergency situation eg fire/serious accident/theft etc. • NEVER set off a fire alarm unnecessarily, nor tamper with fire-related equipment. Legal proceedings may result in a criminal conviction, a fine of up to £2500 and/or up to 51 weeks' imprisonment; disciplinary proceedings may result in permanent exclusion from the University or its residential accommodation, and/or other penalties.

Plagiarism Plagiarism is a serious offence, which the University wishes actively to identify and prevent. Measures have been put in place to help students to recognise and avoid plagiarism in their own work. The University makes use of a national plagiarism detection service known as ‘Turnitin’ that allows it to check any piece of work for plagiarism before it is marked. It is therefore necessary for students to provide an electronic copy of some or all of the work which they submit for assessment to be uploaded into the detection facility.

Health and Safety Safety is everyone’s concern. The University has a legal responsibility to comply with health and safety law and best practice. Students are required to support the University in discharging that responsibility. Prominent notices are displayed on college, academic school or laboratory safety notice boards and instructions are given in academic school and/or college handbooks. Please follow the instructions given.

There it will be stored indefinitely in a database and compared against the World Wide Web and extensive databases of reference material, including work submitted by other students from this and other UK institutions using the service. For the purposes of identifying and preventing plagiarism, the University may therefore share the work you submit for assessment with third parties, including other UK institutions if so requested.

It is a legal requirement that risk assessments are completed for the work that you will be expected to undertake at the University. The assessments should identify the hazards that you could be exposed to and the precautions you must take to protect your health and safety.

Students may ask for their work and personal data to be removed from the service after it has been checked for plagiarism by contacting Judy Cohen at turnitin-help@kent.ac.uk. You need to follow existing University procedures for removing personal data from the University’s systems (including the VLE and any assignments including Turnitin which exist within Moodle).

It is the responsibility of your supervisor to ensure that these risk assessments have been completed and that you receive sufficient instruction and training. However, please ensure that you make yourself familiar with the instructions and follow the relevant safety procedures. Safety is key, so if in doubt make sure to ask. All student accidents should be reported to supervisors or another member of staff. The University of Kent has a no smoking policy which prohibits smoking in all University buildings and within a 5m exclusion zone outside of every building unless specified in the policy. The University has adopted this policy in recognition of the need to provide a healthy working environment for staff and students. This policy is not limited to, but complies with, government guidance and legislation. Should a fire occur, smoke and toxic fumes can spread with great speed through buildings. It is vital that you: • Learn the fire emergency procedures at the start of your studies here, especially for sleeping accommodation • Look out for evacuation information which is in all University buildings on fire action notices, near to fire alarm call points • Read the notices on fire safety in your college handbook, residents’ notes and your academic school safety handbook • Leave the building straightaway when you hear the fire alarm at any time other than the weekly alarm test (you will be given information about the test time) by the nearest safe route • Know your Assembly Point • Do not use a lift during an evacuation • Check to see that others near you, especially those who have impaired hearing or mobility or are partially sighted, have heard the alarm and are able to escape • Once outside, report any concerns you may have to the person in charge (wearing a yellow Hi-Vis vest) or to a University Security Officer

Electoral roll Canterbury campus The University is required by the Electoral Registration Officer of Canterbury City Council to make a return to the Council by late October of each year of the names of students eligible to vote in the polling wards within which the University is located.

The University makes returns for residents of the following campus accommodation: the colleges; Park Wood; Beverley Farm, Tyler Court and Woodlands. The Office of the Electoral Registration Officer advises that Brotherhood Close and Hothe Court are canvassed separately. Residents of any other University accommodation or other lodging are not included in the University’s return and students should ensure that they are included in any return made from where they are living. To be included on the University’s return a student must be fully registered and have their name on the Registry computer as being resident in the colleges, Park Wood, Beverley Farm or Woodlands and must meet the eligibility requirements of the relevant Act. The University makes every effort to ensure that all eligible students are included in the return. However due to late changes in accommodation and late registration, the return is not always complete. A draft register of electors is published in late November and copies are available in the Library. Students should bear this in mind and satisfy themselves that they are included in the Register. Details of what to do if your name has not been included will be available when the draft register is published.

Medway campus

Data Protection (HESA Student Collection Notice) We will send some of the information we hold about you to the Higher Education Statistics Agency (HESA). This information forms your HESA record, which does not include your contact details. The HESA record is used by the organisations listed below, or agents acting on their behalf, to carry out their public functions connected with education in the UK. Your contact details may be passed to survey contractors to carry out the National Student Survey and surveys of student finances, on behalf of the these organisations. These organisations and their contractors will use your details only for that purpose, and will then delete them. • Department for Business, Innovation and Skills • Welsh Assembly Government • Scottish Government • Department for Employment and Learning, Northern Ireland • Higher Education Funding Council for England • Higher Education Funding Council for Wales • Scottish Further and Higher Education Funding Council • Training and Development Agency for Schools • Research Councils • Department for Children, Schools and Families • Learning and Skills Council

Liberty Living will ask all residents in Liberty Quays to provide a council tax exemption certificate. These certificates can be obtained from the Gillingham Building reception. You are recommended to get your certificate as soon as possible once you are residing in your student accommodation.

The HESA record may also be used by the Office for National Statistics and the National Audit Office to fulfil their statutory functions of measuring population levels and monitoring public expenditure.

National Health Service

Your HESA record will not otherwise be used in any way that affects you personally.

If you are studying here for six months or less, please be aware that restrictions apply. Please use the website to find out how this affects you.

Contacting the NHS Except in extreme emergency or serious accident, GPs should be your first point of contact with the NHS as they can diagnose and treat a whole range of problems. You will need to register with a GP to obtain an NHS number (follow the links on the University Medical Centre website about how to register and also information on how to make an appointment with a GP/Nurse). If you do need specialist care, whether through the NHS or if you choose to pay and be seen privately, this needs to be organised by the GP (apart from dental or optician appointments which you have to arrange yourself).

HESA Returns About six months after you graduate, we will contact you to ask you to fill in the HESA ‘Destinations of Leavers from HE' questionnaire. We will not give your contact details to HESA. You might be included in a sample of leavers who are surveyed again a few years after they graduate. If so, we will pass your contact details to the organisation that has been contracted to carry out that survey. That organisation will use your details only for that purpose, and will then delete them. If you do not want to take part in these surveys, please let us know.

To get to the Historic Dockyard from Liberty Quays Exit Liberty Quays and turn right onto the A289. Follow the Brown Anchor signs which will take you off the A289, before the Medway Tunnel. At the roundabout (after the slip road from the A289) take the first exit onto Maritime Way. At the next roundabout, take 3rd exit onto Western Avenue (the University campus is the 1st exit). Continue up Western Avenue, passing the Ramada Encore hotel on your left, and take the first exit at the next roundabout. This will lead you into the large Historic Dockyard car park. Students arriving from outside the UK Travel information from Heathrow, Stansted and Gatwick airports University of Kent coach transfer to Canterbury from London Heathrow and Gatwick airports Representatives from the University of Kent's International and European Offices will be at Heathrow and Gatwick airports on Saturday 18 and Sunday 19 September. They will be able to meet international students arriving at either of these airports throughout the day from 06.00 until 16.00 each day. If you are going to the Canterbury campus from Heathrow or Gatwick, you can book a coach transfer by completing the form at www.kent.ac.uk/coachbooking The deadline for booking a place on the coach is Thursday 16 September 2010 at 17.00 and the price is £35 per person. When booking your place on the coach, you must pay by credit or debit card at the time of making the booking. Payment can be made online at www.kent.ac.uk/coachbooking Please note that if there are three or more of you travelling together, it might be cheaper for you to book a private taxi. Please visit www.kent.ac.uk/taxibooking Conditions of booking your coach transfer The conditions of booking the coach transfer from Heathrow or Gatwick airports to the Canterbury campus are as follows: • There is limited luggage space on the coach. (Students should also remember that airlines often make expensive charges for ‘excess baggage’) • You should be able to carry your own luggage from the arrivals hall to the coach • The pre-payment of £35 per person by credit card is non-refundable • You should look out for the University of Kent representatives on arrival (they will be wearing green T-shirts) • If you cannot see a representative, you should report to the airport information desk in the terminal where you arrive • If your flight is delayed, representatives will be aware of the delay. Please remember that there is often a time difference! If you are going to the Medway campus, the transfer is by taxi only. Independent travel If you are arriving at a different time, or would like to travel independently, you can use public transport to travel to the University from Heathrow, Stansted and Gatwick airports. Please read on for further details.

Rail From Heathrow You can travel from Heathrow to both campuses by train. The journey is not direct, and you will need to use the Underground (tube) service in order to cross London. Please be aware that there is very limited luggage space on the underground service. London is divided into travel zones; Heathrow is in zone 6 and the mainline railway stations are in zone 1. There are three travel options from Heathrow to the University:

New high speed service from London St Pancras to Canterbury and Medway The new high speed service from London St Pancras offers direct trains into Canterbury West (for Canterbury) and Ebbsfleet International (for Medway). Journey times are approximately 55 minutes and 18 minutes respectively. For more information and timetables: http://www.southeasternrailway.co.uk/ For the Canterbury campus From London St Pancras to Canterbury West • Take the Piccadilly line from Heathrow to Kings Cross St Pancras. (approximately 45 minutes). Kings Cross St Pancras leads directly into St Pancras International and the route is clearly signposted throughout the station. Follow the signs for Southeastern trains; the service between London and the county of Kent. From here, you will be able to catch a direct train to Canterbury West. From London Charing Cross to Canterbury West • Take the Piccadilly line to Piccadilly Circus. Change to the Bakerloo line (brown on the tube map) and take a train to Charing Cross station. From Charing Cross, catch a direct train to Canterbury West (approximately 90 minutes). Please be aware that this service sometimes divides at Ashford International so you will need to make sure you are sitting in the correct part of the train. Station staff will be able to direct you to the correct section of the train. On arrival at Canterbury West • Turn right and walk to the end of the road. Cross the road at the pedestrian crossing and the bus stop is on the left. Catch the UNIBUS* directly to the campus. From London Victoria to Canterbury East • Take the Piccadilly line (dark blue on the tube map) to Earls Court. Change to the District line (green on the tube map) and take a train to Victoria. Once you leave the train at Victoria, the directions to Victoria station are clearly marked. From Victoria train station, you can catch a direct train to Canterbury East (approximately 85 minutes). When you arrive at Canterbury East, turn right straight outside the station (do not cross the bridge opposite the station) and follow the road to the bus stop. Catch the distinctive, brightly coloured UNIBUS service* which will bring you directly to the campus. *Please note that the ‘Canterbury Triangle’ buses (routes 6/ 6a, 6b, 4,4a and 4b) all service the Canterbury campus For Liberty Quays (Medway) From London St Pancras to Chatham • Take the Piccadilly line (dark blue on the tube map) from Heathrow to Kings Cross St Pancras. If you are arriving from Stansted By train We recommend that you take the Stansted Express train from the airport to Liverpool Street underground station. The railway station for Stansted Express trains is located directly below the main terminal building. Tickets may be purchased in advance or at the station. Trains depart every 15 minutes and the journey to Liverpool Street takes approximately 45 minutes. Once you arrive at Liverpool Street underground station, you need to take the Circle line (yellow on the tube map) to: • Victoria (for trains departing from Victoria train station) or, • Embankment (for trains departing from Charing Cross train station)

Eurostar services From France and Belgium to the Canterbury campus Take the Eurostar to Ashford International. Approximate journey times: • From Paris: 2 hours • From Brussels: 1 hour 40 minutes • From Lille: 1 hour There are regular train services from Ashford International to Canterbury West train station; the journey takes approximately 25 minutes. From France (by rail then road) to the Canterbury campus Take Le Shuttle from Calais to the Folkestone Eurotunnel terminal. From the terminal, follow the road signs to Canterbury (M20/A20). Stay on the A20 until instructed to join the A260 (signposted Canterbury). Journey time is approximately 40 minutes. From France and Belgium to Liberty Quays (Medway) Take the Eurostar to Ebbsfleet International. Approximate journey times: • From Paris: 2 hours • From Brussels: 1 hour 40 minutes • From Lille: 1 hour Take the train from Ebbsfleet International to Chatham (the journey takes approximately 20 minutes) then an Arriva bus (service 176) to Pier Road, the nearest stop to Liberty Quays. If you are planning to catch the high speed service from London St Pancras, you need to take the Circle line to Moorgate (1 stop), then change to the Northern line (black on the tube map) and travel to Kings Cross St Pancras. Follow the signs to St Pancras International; the route is clearly signposted. Please refer to the information above for trains departing from Victoria and Charing Cross stations.

If you are arriving from Gatwick Take the Gatwick Express train to London Victoria train station (the Gatwick Express rail station is linked directly to the South Terminal, and is a few minutes from the North Terminal by free transit train). Rail information and ticket desks are located in the station and in the arrivals areas of both terminals. Non-stop trains run to and from London Victoria every 15 minutes and the journey takes 30 minutes (35 minutes on Sundays). National Express Coach Service From Heathrow On arrival at Heathrow, follow the signs for the Central Bus Station, located between Terminals 1 and 3. The terminals are a few minutes walk away via underground walkways. There is a travel centre at the bus station where you can purchase tickets for National Express coaches. The bus station is open 24 hours a day and the travel centre opens from 06.00 until 22.30. Baggage trolleys are available and there is a lift to the underground level. If you are arriving at Terminal 5, you will find a National Express ticket office in the international arrivals area. A free transfer between terminals is available using the Heathrow Express, Heathrow Connect trains or one of the free bus services.

For the latest timetable and prices check www.nationalexpress.com/airport/. If you have a credit card you can buy tickets online (e-tickets). Do be aware that when you book an e-ticket, you usually have to select a specific coach departure time. Your ticket may become invalid if your flight is delayed and you miss your scheduled departure time. If your flight is delayed and you do miss your coach, make your way to the travel centre in the bus station where you may be able to amend your ticket for the next available departure (there is a £5.00 minimum charge for this service). In some cases it may not be possible to amend your ticket, and you will need to purchase a new one. We therefore recommend that you buy your coach ticket when you arrive at the airport. From Stansted The bus and coach station is located opposite the main terminal entrance. Tickets may be purchased from the ticket desk in arrivals (open 06.00 – 01.00), in the coach station (open 24 hours a day, 7 days a week) or on board the coach. Trains depart to Victoria coach station up to every 10 minutes and the journey takes approximately 90 minutes. From Gatwick There is a National Express ticket desk located in both the North and South terminals. Journey time to Victoria coach station is approximately 80 minutes. For passengers with restricted mobility Many coaches are not wheelchair accessible, but most will carry wheelchairs for passengers who can board the vehicle unaided.
