BUSINESS OFFICE GUIDE TO SUCCESS 2019-20


WELCOME TO UIW

The University of the Incarnate Word Business Office is dedicated to serving our community in accordance with the University’s Mission and in the spirit of Christian service. We strive to meet the needs of every student with prompt and friendly service. In the Business Office, it is our duty to implement the rules and regulations set forth by the Undergraduate and Graduate Bulletins as well as other University academic program guidelines.


Student Financial Responsibility Agreement All students are required to accept the University of the Incarnate Word’s Financial Responsibility Agreement prior to registering each semester. The agreement outlines the financial terms and conditions associated with course registration. Students will accept the Financial Responsibility Agreement at the time of registration by taking the following steps: • Once logged into Banner, click on Student Services • Go to Registration and click on Select Term • You will then be prompted to confirm agreement Students who do not accept the Financial Responsibility Agreement cannot complete the registration process.

Cardinal Mail Our official means of communication is through your Cardinal email account where you will be sent such documents as: • Balance notifications (e-Bill notifications) • Payment and account reminders • Receipts When sending us an email, please include the following to help us access your account and better assist you. • Student ID number (not your SSN) • Phone number


Parking Permits Steps to register your vehicle for a parking permit: 1. Visit www.UIW.edu 2. Sign into MyWord 3. From MyWord, access Cardinal Cars

Parking on campus requires your vehicle to be registered and a permit that must be displayed at all times.

4. From Cardinal Cars, find the Register for Permit link 5. Select the Fall or Spring term of the current year 6. Select a permit from the list that you are requesting (non-resident students will choose Main Campus Commuter Student) and click continue 7. Select the vehicle you would like to request a permit for, then click Permit Selection 8. Optional: You may add any additional vehicles to the permit at this time 9. The temporary parking permit will be displayed. Print this temporary permit as it is good for only 7 days. You only have one chance to print this temporary permit. 10. Pick up your official parking permit from the Business Office within the 7 days of your temporary permit expiring. You will need your Student ID.


Installment Plans Payment Options • Pay in full by the first day of the semester • Enroll in a payment plan that requires a $50 enrollment fee through the online ePayment

Center located in your MyWord launchpad.

Please note: You must be enrolled to set up a payment plan. There is a late fee of $75.00 per month applied on the 10th of each month. Steps to Enroll in an Installment Plan • Visit www.UIW.edu

Tuition is due on or before the first day of the semester.

• Sign into MyWord • From MyWord, access the UIW ePayment Center link in your launchpad • At the UIW ePayment Center, find the Installment Payment Plans box located in the

middle of the right column

• Click on Enroll in the “current term” Monthly Payment Plan


Installment Plans Summer I and II Installment Plan Students must enroll before the 25th to be eligible for the installment due on the following 1st of the month. Example: Enroll on 4/19/2019, First Installment is 5/1/2019 Fall Installment Plan Students must enroll before the 25th to be eligible for the installment due on the following 1st of the month. Example: Enroll on 7/19/2019, First Installment is 8/1/2019 Spring Installment Plan Students must enroll before the 25th to be eligible for the installment due on the following 1st of the month. Example: Enroll on 12/19/2019, First Installment is 1/1/2020 Please note: In the event you enroll after the first enrollment date, your first payment will be due on the first day of the next month. Example: If you enroll on 4/26/19, your first installment is due 6/1/2019.


Health Insurance Once a student reaches full-time status, they will automatically be enrolled in the UIW health insurance plan. The policy fee will be reflected on the student bill. Students who currently have health insurance will have the opportunity to submit a waiver to have the fee removed. If you will not be utilizing the UIW Student Health Insurance, please bring proof of insurance to the New Student Orientation to opt-out of the health insurance policy. International students are required to maintain the UIW health insurance provided by a third-party student health insurance provider. Per the University of the Incarnate Word policy, international students are not allowed to waive the coverage.

Insurance Waiver Deadlines • Annual/Fall Semester:

Waiver is valid for Fall, Spring and Summer

• Spring/Summer Semester (new/transfer students only):

Spring/Summer waiver will not be available for returning students

*Refer to the academic calendar for deadline dates

Health Insurance Waiver Process 1. Visit www.UIW.edu 2. Go to the Business Office Website and click on Health Insurance located at the bottom of the left-hand navigation panel 3. Click on the Health Insurance Waiver link on the Business Office Health Insurance Page 4. Find Enroll/Waive located on the third party student health insurance page 5. Click on the New Students-Waive button to complete the waiver:

• Print the confirmation page with a confirmation number

• You will receive an email from our third-party student health insurance provider stating your waiver is pending. You may receive an email from our third-party student health insurance

provider requesting additional information if needed.


1098-T Tax Information The Business Office will produce your 1098-T student tax information electronically via the UIW ePayment Center by the deadline of January 31.


Student E-Bill


Checklist □ Obtain/View Your Bill - Bills are available from the Business Office after class registration has been completed, or you may view your bill online via the ePayment Center (found in the MyWord portal launchpad). Freshmen students will need to complete the pre-scheduling questionnaire. Afterwards, your class schedule will be emailed to you prior to your selected orientation. Set up parent/proxy access to financial information in the ePayment Center.

□ Health Insurance Waiver (Optional) - You will need to waive the UIW Health Insurance online by the deadlines to have this charge waived from your bill. Please refer to the academic calendar for waiver deadline dates. Go to my.uiw.edu/waivers to waive the fee.

□ Parking Permit - A parking permit is required for all vehicles parked on campus. Register your vehicle on Cardinal Cars through MyWord and select the permit you are requesting for your vehicle. Print your temporary permit that is valid for 7 days. Pick up your official parking decal at the Business Office with your student ID.

□ Payment Plans - Tuition and fees are due in full by the first day of the semester or you must enroll in an installment plan. Installment plans are available online at the UIW ePayment Center.
