Code of Conduct for Online Learning

Students are expected to be respectful of the Online classroom environment similar to that of regular classes and follow the code of conduct as mentioned below:

1. Be On Time: Punctuality is the greatest virtue and being on time shows that you respect your teacher’s and fellow classmates’ time. If you are late, the instructor may deny giving you attendance or deny entry to the virtual classroom.

2. Dress Code: Shiv Nadar University does not dictate personal choices, however, the clothing should be appropriate for the virtual classroom, similar to a regular classroom environment.

3. Follow all acceptable usage policies for technology resources as laid down by the IT Department, SNU.

4. Be respectful to your classmates and faculty/staff members. Allow others to speak, invite others to share, and respect their ideas.

5. All the classes, by default, are recorded so as to be made available for learning for later use. Thus, all your actions, comments, conversations, etc., will also be recorded. The same does not come under the purview of “personal space” and privacy.

6. Video Awareness

• Try and keep your video switched on during class sessions. It is important to establish and maintain contact with your classmates and teacher. During periods of synchronous online classes, it is required that you be live on camera the entire time that the class is in session so that the Instructors are cognizant of your presence. During an online exam, the Instructors will maintain an ongoing record of your adherence to this policy. You may choose different virtual backgrounds should you not want to make your work area public.

7. Microphone Awareness

• Microphones are almost always on by default. Remember that your classmates and teacher can hear noises in your environment, so please keep distractions to a minimum and mute your microphone when not in use. It is preferred that you find a quiet place in your home to isolate and be free from distraction.

8. Attendance

• Attendance during an Online Class is equally applicable -- to that of a regular classroom.

• Attendance is recorded as well - with time stamps. Any claim that you were in the class can be verified.

9. General Online Etiquette

• Avoid side conversations and multitasking.

• Save your meals and snacks for between your classes.

• When in doubt, assume you are in your regular academic classroom and put your best ‘virtual’ foot forward – raise your hand and ask question.

Online Exams

• The University has tied up with different vendors in order to conduct online exam in the most effective way. No system is perfect; take it in the right spirit.

Academic Integrity

• All rules concerning academic honesty, plagiarism etc. as applicable in a physical environment are equally applicable in a virtual environment.

1. Students should address all faculty and staff members with the courtesy expected for education professionals.

2. Students should phrase communications with faculty and staff in a polite and courteous manner as appropriate during a regular class environment. The tone of emails and phone conversations must be respectful, too.

3. Since the online environment is a learning environment, students should not use “slang” or language that they might use in other environments.

4. Students are not to use obscene, profane, threatening, or disrespectful language or images in any communications with faculty, staff and their peers. These actions are prohibited and will invite strict disciplinary action.

5. Students must use their SNU email address/net ID only to log in to the various virtual/online platforms used for learning. Profile pictures, if used, should be a headshot of the student only and must not be offensive or inappropriate in any manner.

Interactions with Other Online Classmates

1. All communications with other online students in any forum, course related email, discussion post, etc., must be polite, courteous, respectful and be of course-related nature.

2. The integrity and authenticity of student work is taken seriously and checked using a variety of technologies. Copying the work of others, allowing others to knowingly copy a student’s work, and/or misusing content from the Internet tantamount to Plagiarism, and could lead to removal from the courses or an F grade. Students are expected to abide by the academic policies as laid in this Student Handbook.

3. Students are not to use obscene, profane, threatening, or disrespectful language or images in any communications with other students.

Privacy Matters

1. Protect your privacy and that of others by:

• Not sharing personal information including full names or contact information.

• Only uploading or using images where you have permission from the people in those images.

• Not sharing your password(s).

2. Protect and respect the hard work of others by:

• Only uploading images, music, videos or other digital content that is created by you or is not subject to a copyright and follow copyright procedures when using any digital content.

• Seeking permission and citing sources

Concern Redressal

1. Talk to your Instructor or another concerned University member if you:

• Need help online.

• Feel the welfare of others is being threatened by online activities.

• Feel uncomfortable by something someone writes or makes.

No Dues

The steps of the No Dues Clearance process are as follows:

• HOD/ Advisor activates the clearance process for graduating students of his/ her department, thereby confirming the student has completed all academic requirements.

• On this activation of clearance, the student receives an email from the system (from : noreply@snu.edu.in) entitled Student Clearance.

• The student needs to log in using his/her net ID and initiate Clearance request, possible only after the activation of process is done by respective HOD/ Advisor.

• On this initiation by Student, a request goes to all Lab and Department SPOCs (Single Point of Contact) for clearance. Student must ensure his bank details are correct.

• Lab and Department SPOC provides No Dues clearance or puts applicable dues against the student.

• Student can Accept/ Contest the dues/ penalty posted, in the app itself.

• Upon receiving request, the Hostel Warden will check out student from HMS and apply penalty, if any.

• After Clearance from Hostel warden, request finally goes to Finance for processing and refund of Security

Deposit after adjustments of penalty/ dues posted.

• Request once processed by Finance goes to the Office of the Registrar, who will deactivate the Student profile from PeopleSoft ERP.

Students can log in to the app to see the progress of No Dues, whenever they wish.

At SNU, we acknowledge the need for creating a microcosm on the campus to adequately represent the diversity that characterizes India. The residential student hostels at Shiv Nadar University are state-of-the-art and gender-segregated for UG students. They are designed to cater to individual student’s requirement of personal space, while also incorporating a culture of shared living. Each room is designed as a comfortable independent unit with basic in-built utilities.

The hostel facilities are spread over 13 buildings across the campus. Wardens are assigned to each hostel to ensure smooth functioning of various facets of hygiene, safety and security and miscellaneous needs of the student community. Each building has certain common facilities as under:

Housing and Accommodation

Study Rooms

Each hostel has designated study rooms with well-lit and ventilated rooms, where students can study, do their academic projects etc. These rooms have separate air conditioning, are under CCTV surveillance and access control for entry. All the study rooms have LAN ports on the desk which offer unlimited data at high speed to be utilized on a rotating basis by all resident students. These 24x7 Study rooms are meant for academic work and the users are strongly advised to maintain the decorum of the place.

Recreation Rooms

Impetus is given to the extracurricular needs of the student community. Different common rooms provide facilities such as a TV room, table tennis and yoga/activity room. A recent upgrade drive has been initiated to provide air hockey and Football apart from up-gradation of existing common rooms, which have been implemented in one boys’ and one girls’ hostel as a pilot project and will be followed up in other hostels. Students can use these facilities at their leisure.

Pantry

Each hostel is provided with a pantry on the ground floor, equipped with microwave ovens, water coolers fitted with RO and purifiers, a coffee machine, egg boilers and induction cook tops. The pantry may be used only for preparation of light snacks and are not meant to be an alternative to the dining halls. Residents are to ensure that the pantries are used and maintained in a neat and hygienic manner. Misuse of pantry facilities may result in debarment for further access. Cooking of any sort is strictly prohibited in individual rooms and is considered to be a safety and hygiene hazard.

Laundry Services

The hostels have the latest equipment to make sure that students have an efficient laundry system. While an authorized vendor provides on-campus laundry services, there are domestic washing machines in each hostel for use by students towards their miscellaneous needs.

Room Configuration and Facilities

The rooms in various buildings are of different configuration - single accommodation with attached or common toilets, twin accommodation, apartment type and studio type accommodation. The rooms and washrooms are well fitted and the ladies’ washroom is designed keeping feminine hygiene in mind. The common areas are Wi-Fi enabled in all the hostels.
