MINUTES DRAFT

TRINITY EPISCOPAL CHURCH Upperville, Virginia Minutes of the Annual Meeting Sunday, October 4, 2020 Following a worship service at 9:00 a.m. in the Bishop’s Garden and a light breakfast provided by the Parish Life Committee, the congregation reconvened for the Annual Meeting. The voting polls had opened at 8:30 a.m. in the courtyard of the Church.

Opening Prayer The meeting was called to order at 10:15 a.m. by the Reverend Jonathan Adams, who opened the meeting with a prayer.

Appointment of Registrar Jolly de Give was appointed as Registrar of the meeting and her appointment was unanimously accepted.

Appointment of Deputy of Elections Paul Coyer was appointed Deputy of Elections and his appointment was unanimously accepted.

Appointment of Ballot Tellers Paul Coyer, Melinda Gable and Chandler Van Voorhis were appointed Ballot Tellers. These appointments were unanimously accepted.

Certification of a Quorum Senior Warden Johanna Jackson determined that a Quorum was present. Thirty-three is the threshold number for a quorum (10% of eligible voters), and attendance well exceeded that number.

Copies of the 2020 Annual Report were distributed. The polls were closed at 10:30 a.m.

Approval of the Minutes of the 2019 Annual Meeting Upon motion duly made, seconded and unanimously adopted, the Minutes of the 2019 Annual Meeting were approved.

Report of the Nominating Committee Kat Gemmer reported that the Nominating Committee consisted of the three Vestry members whose terms were expiring: herself, Johanna Jackson and Paul Coyer. Trinity is blessed to have a slate of four excellent candidates with diverse talents standing for election for the Class of 2023: Alix Coolidge, Daniel Leger, Ed Moore and Laurie Volk.

Committee Reports Committee and staff reports were included in the 2020 Annual Report and were filed by title.

MINUTES Wardens’ Report Johanna Jackson thanked the Vestry and the parishioners for their help and creativity in keeping Trinity functioning during the pandemic. Special thanks went to: Junior Warden Louise Crane for taking care of the buildings and physical plant of Trinity throughout the year, particularly repairs to the clock/bells in the tower.

Finance Committee Chair Hurst Groves.

The Endowment Committee, chaired by David Hartley.

The Discernment Committee, chaired by Matt Blunt, whose excellent work during a particularly difficult time successfully identified Trinity’s new Rector.

Last but not least, new Rector Jonathan Adams and his family for being willing to pull up stakes and start a new life with Trinity in such difficult times.

This has been a year of “readying” for a new era: readying for the search for a new rector, for his call, for his arrival, and now — for new times.

Thanks to all this “readying,” Trinity is ready for whatever lies ahead.

This has also been a year of rapid adjustment and change due to the pandemic, which caused the closure of the church building and cessation of many church activities. For their creative assistance throughout the year, Johanna thanked: Gina and Jim Hammond — Gina as Treasurer steering the budget through many adjustments, and Jim for stepping in and lending his support wherever needed.

Di Demeree, who became Parish Administrator two years ago just before Rob Banse retired, and has worked faithfully and diligently through two Interim Rectors, the pandemic, the arrival of a new Rector, and new technology.

Betsy Crenshaw, Administrative Assistant, who has worked tirelessly and successfully to keep everything at Trinity running smoothly with her usual efficiency and good cheer despite all the changes this year.

Christian Myers, who has creatively continued to provide us with beautiful music - both virtually and through the open Church windows.

Dan Miller, who ably stepped in during the pandemic to become Trinity’s organist, following the retirement of Dr. Richard McPherson.

Tommy Breeden, Trinity’s Sexton, who faithfully showed up to maintain the grounds and buildings even when the Church and its campus were closed.

Treasurer’s Report Gina Hammond reviewed the following: Trinity finished 2019 in a strong position: $10,000 in Outreach funds not spent in 2019 was moved forward to fund a Guatemala Youth Initiative, the teacher for the ESL class, and the anticipated six visits to So Others Might Eat (SOME) in Washington.

The remaining balance of $2,487 in the Food Closet was moved forward to be used for restocking.

Music Maintenance had $1,135 remaining which was applied to the Organ Tonal Refinishing project.

The left-over B&G Capital Expenditure funds (of $6,321) were moved to the Campus Renewal Fund.

The prepaid pledges of $90,493 were held in cash and the remaining funds ($69,017) were moved to the Budget Surplus line.

The 2020 budget was revised three times between April and September due to effects of the pandemic: Original budget had income totaling $1,121,755 and expenses totaling $1,121,618.

By April it was clear that projected income assumptions were being impacted by the pandemic. The Stable Tour was cancelled, total pledges received were under estimate, the Christmas Auction would likely be impacted, and in-person services were not being held so plate offerings were down.

It is currently anticipated that income will be $979,046 (a $142,709 drop) and expenses will be $1,067,925 (a $53,693 drop). This results in a negative net income of $88,879.

Trinity applied for and received a Payroll Protection Plan loan in the amount of $98,100. This currently sits on the Balance Sheet and will be moved to the P&L statement when the bank reconciles the loan, for which Trinity should receive 100% forgiveness.

The Vestry and Treasurer are thankful to all parishioners who have kept their pledges current or paid ahead. As of September 30, 2020, only 42 pledges are not current by a total of $28,556; and 101 pledges are current or paid ahead.

The Vestry and Treasurer take their fiduciary responsibilities seriously and will continue to monitor the budget closely. It is likely to continue to be impacted by the pandemic into 2021.

Stewardship Report Chandler Van Voorhis reported that the Stewardship goal for 2020 had been a stretch goal of $625,000.

Although the goal was not met, $570,000 was pledged — $15,000 more than in 2019.

Twenty-two new people pledged this year.

The Committee has worked to make giving to Trinity easier, adding a “Give” button on the website where anyone can make a one time or recurring gift, using PayPal or a debit or credit card.

The Committee is developing information to send out on charitable giving through IRAs. The theme for 2021 Stewardship is The Joy of Giving. Parishioners are urged to prayerfully consider their 2021 pledges, increasing them if possible.

Pledges are important to the Church in order to be able to plan the budget.

Closing Comments Jonathan Adams thanked the congregation for the warm welcome he and his family have received, and he thanked the Wardens for helping him navigate his first 90 days at Trinity. The many activities during that time are listed in the Annual Report. He expressed his appreciation to the parishioners for their generous donations of nearly $3,000 to St. Michaels and All Angels in Lake Charles, Louisiana damaged by Hurricane Laura.

Jonathan looks forward to working with the Vestry during the year on three priorities, to position Trinity to move forward in the future: To love God and our neighbor as ourselves.

To examine stewardship, and how Trinity can improve the joyful giving of time, talent and treasure to better serve God and our neighbors.

To strengthen Trinity’s ministry, including: Hiring a children/youth minister.

Adding a casual Rite II service, in addition to the two traditional services.

Addressing Trinity’s aging buildings, endowment and budget.

Jonathan concluded: “We have been gifted a wonderful place to call home. We must maintain it and keep it up for generations to come. I would ask that you begin to pray now as to how we address these three areas and what your part may be in the solution.”

Closing Prayer and Adjournment The meeting was adjourned at 10:40 a.m. with a closing prayer by the Reverend Adams.

MINUTES DRAFT TRINITY EPISCOPAL CHURCH Upperville, Virginia Minutes of the Congregational Meeting Sunday, June 6, 2021 The congregation convened in the courtyard in front of Cox Hall for a Congregational meeting at 9:00 a.m., between the two morning services. The voting polls were opened at this time.

Opening Prayer The Reverend Jonathan Adams opened the meeting with a prayer.

Appointment of Registrar Jolly de Give was appointed Registrar of the meeting.

Appointment of Deputy of Elections Gina Hammond was appointed Deputy of Elections.

Certification of a Quorum Senior Warden Barbara Augenblick determined that a Quorum was present. Thirty-four is the threshold number for a quorum (10% of eligible voters), and attendance exceeded that number.

Amendment of By-Laws Barbara Augenblick and Junior Warden Melissa Gable reviewed the proposed amendments to the By-Laws: to change the date of the Annual Meeting from the fall to January, and to change the Vestry terms of office from November 1 — October 31 to February 1 — January 31. These proposed changes were sent by mail to the Congregation along with the notice of the Congregational meeting. They noted that at the October 31, 2020 Vestry meeting all current Vestry members had agreed to extend their terms an additional three months to achieve this cycle.

Closing Prayer and Adjournment The meeting was adjourned at 9:25 a.m. with a closing prayer by the Reverend Adams. The polls were closed at this time.

Result of Voting on By-Law Amendments After counting the ballots, Gina Hammond reported to the Rector and Wardens that 48 ballots were cast, all in favor of the By-Law amendments.

V ESTRY NOMINATIONS FOR THE CLASS OF 2024 Introduction The Vestry Nominating Committee (Barbara Augenblick, Louise Crane, Joe Fluet, Randy Mullett) has canvassed for candidates for the Class of 2024. After discussions, prayer and discernment they are pleased to present six candidates who have agreed to stand for election to the four available positions.

Vestry terms are three years and will begin in February 2022. Candidates must have met the eligibility qualifications as shown overleaf.

We are very grateful to the Vestry Nominating Committee for their work and to all the candidates who have agreed to stand for election in service of their church. Biographical information is presented here for your information.

Who is Eligible to Serve on the Vestry?

According to the Episcopal Diocese of Virginia, Canon 11, Section 4: Only lay persons who are confirmed adult communicants in good standing of the church, as defined in General Convention Canon 1.17., shall be eligible for election as Vestry Members of such church. However, regardless of eligibility of a person for election, no person shall be elected at a duly convened congregational meeting to consecutive full terms on a congregation’s Vestry or Vestry Committee.

So what does this mean in plain English?

“Confirmed Adult Communicant in good standing” means the following: 

You are age 16 or older.



You have been baptized and confirmed in the church, and we have your baptism and confirmation dates duly recorded.



You are active in worship, and have received communion at least 3 times this year.



You have been faithful in working, praying, and giving for the spread of the Kingdom of God (meaning you are active and intentional about your participation in the life of the church and are known to the treasurer of the church).



Furthermore, this Canon states that you can only serve one consecutive full term (3 years) on the Vestry.

V ESTRY NOMINATIONS FOR THE CLASS OF 2024 Ve st ry Nomi nat i ons Brett Bibb It is an honor to be asked to be a part of this year’s slate of candidates to serve on the vestry of our beloved Trinity Church.

My wife, Sabine, our sons Jordan and Spencer and I have been attending Trinity Upperville for more than 15 years. I am a lifelong Loudoun resident, and we look forward to being enthusiastic members of this Church family for the rest of our lives.

Over the years I have had the privilege to serve as an Usher and Lay Reader in addition to serving on the Vestry previously where I was chairman of the Buildings and Grounds committee.

I love our church and am so grateful to both former and current vestry members and the Discernment Committee that worked so hard to bring Jonathan Adams and his family to bless our church with a new Rector.

A key thing that I learned while serving on the Vestry years ago was the importance of working together to help the Rector in dealing with the seemingly infinite details in the administration of day-to-day duties of the church. The more the vestry can do to help the Rector, the more time is available to him to perform his various pastoral duties. This is vitally important.

I look forward with optimism to the future of Trinity Upperville and would be very grateful to serve on behalf of our congregation on the church vestry.

Jolly de Give I began attending Trinity with my late husband David when we moved to Delaplane in 1986. We were initially drawn to Trinity by its wonderful music and the friendliness of the congregation. We stayed because of the spirit of the Church and its members, embodied in both its worship and its involvement in the greater community.

I am a life-long Episcopalian — baptized, confirmed and married in Westover Episcopal Church, Charles City, VA. My professional life has been in the fields of environmental stewardship and affordable housing advocacy. After 18 years with the Piedmont Environmental Council, I retired in 2007. I previously worked for the New York State Urban Development Corporation and the New York Community Service Society’s Committee on Housing.

Since retirement I have been able to participate more fully in the life of Trinity, and now serve as Registrar, Altar Guild member, usher and lay reader. I have regularly participated in the Thrift Shop, Stable Tour and other Church ministries. I previously served on the Vestry from 2011-2014.

I am honored to be asked to stand for the Vestry and would consider it a privilege, with God’s help, to serve and to support our Rector, our wonderful staff and our congregation.

V ESTRY NOMINATIONS FOR THE CLASS OF 2024 Maria Eldredge I moved back to the Middleburg area in 1990 with my husband Coe. I am a native of Richmond Virginia, and went to Colorado College and George Washington Law school.

Over the years I have been involved in the real estate business, whether helping with my husband’s construction company, renovating houses or as a real estate agent with Middleburg Real estate. We have three grown daughters. Myself and my husband have been members of Trinity church for over twenty-five years. Our daughters grew up at Trinity and participated in many of youth activities over the years. I have been privileged to be a member of the flower guild for over fifteen years and has been a member of the Middleburg Women’s bible study group for about ten years. My interests include golf, tennis, painting and gardening. I would be honored to serve on the vestry and work to serve the needs of the church community.

Jacob (Jake) Hambrick I have lived in Loudoun County since 1993 when I moved here from Texas. I became a member of St. James Episcopal Church in Leesburg, VA and served on the Altar Guild. Since graduation from high school, I went to Mississippi State University and played football. As a student athlete I was also involved with The Fellowship of Christian Athletes. Upon graduation I came to back to Loudoun County and moved to Bluemont and became a member here at Trinity Episcopal Church in 2004.

I love our church, it’s congregation and its ministry. I would love to be able to put the abilities that God gave me to work in the service of our Lord. I feel a calling from the Lord in this time in my life to devote time to his service, and Vestry has provided that opportunity.

At Trinity I have been a member of the Buildings and Ground Committee. My wife Ashley was a member of the Discernment committee, and my mother was a member of the Flower Guild. My wife and I were married at the church and our 2-year-old son, Barrett, was baptized here.

I look forward to the opportunity to serve the Lord and our congregation as a member of Vestry.

V ESTRY NOMINATIONS FOR THE CLASS OF 2024 Daniel Haney Moving to this area in the 1970’s my family first joined Delaplane Episcopal Church and I was an acolyte there for many years.

I first fell in love with Trinity Upperville back in the 1980’s when following my father to church one day! I heard the sermons and teachings of Rev. the Richard Peard. The Rev. Peard became a great friend and showed me first-hand how truly special the Trinity community is. My dad became more involved within church life, and I saw the power and joy that Trinity, Upperville, and Jesus Christ brought to his life, and I wanted to be a part (albeit small part) of that loving power. Raising my son Colton within the Trinity community has been extremely rewarding and brought us both even closer to this power.

I am honored to be considered for this vestry position and the opportunity to use my energy and enthusiasm to continue the grace of our past history and to welcome new members and families to the special Trinity community. By sharing & loving God’s grace I wish to serve the Trinity community and ask for your support and an open dialogue with you moving forward. God’s grace to you all.

Pamela Gaylin Ryder I was born in Northern , CA. Went to grade school at Marymount , Santa Barbara and high school Sacred Heart in Menlo Park, CA. College was first Pepperdine College in Malibu , CA. then East to Pine Manor College in Boston and then graduating from Mount Vernon College , Washington ,DC in interior design and business.

Married in 1982 to James Bradford Ryder from Philadelphia ,Pa. and Cape Cod , Ma. We have lived in NW Washington DC since, in addition to a weekend house in Middleburg (Marshall).

We are also members of Christ Church in Georgetown.

I started my design career in retail working for a French company called Pierre Deux in Chevy Chase , MD., where I opened and ran that location for ten years. I then went on to start my own firm Pamela Gaylin Ryder Inc. , where we have continued as a leading design firm both locally in DC and world wide.

I am most inspired by all kinds of beauty , whether it is gardens , architecture and simple nature and enjoy both town and country life, especially the wonderful Trinity community. It has been such a special place to me these last few years.

We do not have children but did just adopt a rescue dog who has surprised us with even allowing more love into our lives.

Looking forward to the good to come in what is next for Trinity!

Rector’s Dear Saints of Trinity, It is with great joy that I write to you this year as we have much to celebrate and be thankful for.

I would like to begin by thanking my wonderful vestry who have rolled their sleeves up and helped me address some much needed financial overhauls. They sharpened their pencils and took a new look at our budget for 2021.

We were able to get spending under control and ministry prioritized. As a result, from a financial stand point, we were able to accomplish everything we set out to do and ended the year with a surplus that will be used for ministry needs (campus renewal, endowment, relief etc.).

In addition, pledging has increased thanks to the hard work of the Stewardship committee and a generous response from parishioners and friends of Trinity across the country. For the first time in many years, we were able to pass a balanced budget for 2022. We gained 28 new pledging units year-to-date which is a testament of the many new families and people joining the church.

This brings me to the next item to celebrate. The church is in a wonderful growth trend. We received 30 people in 2021 and

have received 15 people so far in 2022. We have many young families joining and are continuing to grow our ministry to reach more. My desire is that Trinity will be the place in the surrounding area that families are drawn to and wish to join because they know that we are a church for everyone. With that in mind we are committed to hiring an Associate Priest of Family Ministry. This individual will supply much needed support for the wonderful youth and children’s programs that have been revitalized with the help of the wonderful Mrs. Susan and many parents led by Bess Putnam. We sure hope to keep Susan Robeson around for a long time as she has breathed some fresh air into our children’s ministry.

As we move into 2022, I want to thank those who have helped us in so many ways...

My Wardens... wow where do I begin- not only did you do your 12 month tour of duty but you also gave me an extra 3 months of service by moving the annual meeting to January. You have helped me make some very difficult decisions and have supported me every step of the way. I couldn’t ask for anything more.

Gina you have been more than a Treasurer these past 18 months, serving faithfully as an extra pair of hands in our office, serving on our wonderful flower guild, jumping into projects that desperately needed attention (i.e. the thrift shop) and much much more. You and Jim are a true blessing to me.

-Fr. Jim... You have been a friend, mentor and priest to me this past year and when tough decisions have been made you have been a safe ear, and wise council. Our impromptu Wednesday morning meeting means the world to me and your willingness to step in and serve as a priest when I’m away is a real blessing. Thank you for being my friend.

You are the reason why I do what I do. I truly love serving you and I’m beyond excited to see what kind of good trouble we can get into this year. We have some important things we need to tackle and I’m certain you all will be up for the challenge. For starters, we will have to address our aging but wonderful buildings. There is much that needs to be done to keep them in proper working order. Last reports are that we have $2million in needed repairs just to keep the campus functioning. Together, with God’s help, guidance and our many blessings, we can tackle this.

Our Director of Music Ministries, Dan Miller, and our wonderful choir. Music is central to life and worship at Trinity and it has been a joy to see us emerge from some of the restrictions of Covid-19 in great voice, with a growing, enthusiastic, and increasingly confident choir.

Dear fellow parishioners,

Music

Ministries Report

Trinity Church has a long history of outstanding music, but what is seen and heard during worship on Sundays is just the tip of the iceberg. During the week, many church members of all ages give of their time and talent to come together to rehearse, fellowship, and care for each other and the total ministry of the church. Until September of this year, most of this work was on hiatus as the pandemic dominated our lives and required most of our activities to be suspended. Thanks to our dedicated adult choir section leaders, who diligently met to record anthems, hymns, solos and service music, we maintained a high standard of music for our online services and provided meaningful online worship experiences for our members and many online viewers who tuned in each week.

Bishop’s Garden, and to be prepared for the eventual return to having rehearsals of the full choir again. As of September 16, we resumed rehearsals of the full choir with some changes in personnel. What a joy! Each service and event has to be revised because of Covid. You have all stepped up to the plate and helped in so many ways to ensure that Trinity remains active and vibrant. I’ve been around Trinity for 30 years and I’m always amazed and eternally grateful for all the volunteering that makes things happen. It would hard to imagine a year with a greater variety of worship!

Outdoors, indoors, no singing permitted and then… we burst into song! The impact of Covid-19 on church life and activities was perhaps most quickly and obviously felt on worship.

Restrictions on gatherings and safety measures to limit infection spread have placed us within a whole new world of hand sanitizer and face coverings. The wonderful story is that these challenges didn’t stop us. Instead so many people have brought creativity to worship that we could never have imagined; and what a beautiful campus and church building we have to worship in!

& Healing Report

The Healing Ministry has been praying weekly for those on the Sunday prayer list, the long term healing prayer list and our internal confidential prayer list. We’ve also instituted Prayer Cards by email, from E-Genesis or the website

Parishioners may submit names for prayer just as they did via the black cards during services. Please include the name and what should be prayed for. The names are prayed for each week and then shredded so they will have to be resubmitted each week.

As of 2018, we have trained 30 people for the prayer ministry, including a number of people from other parishes. We are still in need of new members, especially from the 10:30 congregation. Please contact Ginny Fluet (540-6602636) if you are interested.

We have had many thanksgivings and reports of healings from those for whom we have prayed. Many have been blessed with God's grace and healing power. Thanks be to God!

BUILDINGS The Buildings and Grounds Committee is charged with the maintenance and upkeep of our beautiful campus in Upperville, VA. We would like to thank the members of the committee for their dedicated support to Trinity over the past 12 months. Their help in finding vendors, managing projects, offering advice and expertise and all the many other things when needed has been key to our success.

This year Vestry approved the charter to establish the Trinity Garden Guild as a subcommittee of Buildings and Grounds.

Including a couple of organizational meetings this fall, they have already been instrumental in caring for our campus landscape and grounds. A list of their accomplishments is included below.

To be sure, our efforts to keep the campus looking neat, trimmed and always ready would be impossible without the able assistance of our staff starting with the outstanding dedication of our sexton, Tommy Breeden, who continues to lead all of the required maintenance efforts. We are also fortunate to have Betsy, and Richard available to help when needed with projects whether large or small, history of what was done to get where we are, and advice when the need arises. Their willing and valuable help to B+G is much appreciated.

& Grounds Report

Garden Guild Newly formed in Spring, 2021, the Garden Guild, chaired by Harriett Condon, has as its purpose to beautify and maintain and/or provide oversight for the landscape of Trinity church. This involves the planning of all horticultural enhancements, to include removal of any materials, for the landscape. This guild must bring to the Vestry its recommendations and any associated costs. After Vestry approval, action may be taken.

As an initial action, we had Arborist Tom Armstrong inspected the two Sephora Japonica trees, the crabapple trees and the holly tree in the Bishop’s Garden. He says that the Sephora trees are viable and do not need to be removed. He has seen similar trees grow for 100 years in Virginia. The cabling in the trees, which he installed, has a life expectancy of 40-50 years. The cabling will prevent any damage to the church unless the entire tree uproots. Care should be made that “mulch volcanos” not be made at the base of the trees. They should be fertilized every other year in the Fall. Since the church is enjoying the trees for their shade, it might make sense to add two new Sephora trees in the Bishop’s Garden, so that when the older trees finally fail, the new trees will be able to provide needed shade. The existing trees should be pruned

of dead wood. The crabapple trees are suffering from fire blight disease. Fire blight is a disease that can kill blossoms and shoots and cause dieback of branches from cankers. There is a treatment that can be sprayed in the Spring. The Trinity Church Flower Guild paid for plants to decorate the bed around the tree in the center of the courtyard, and the two beds leading into the breezeway.

Plantings included: Gingko Craig Hostas, Monument Caladium, White Flirt Calla Lilies, Beacon White Impatiens, Golden Seal, Sea Heart Brunnera, Variegated Solomon Seal, Wild Blue Phlox, Serenity Pink Magic Osteosperi Mum and Oakfield Foam Flower.

to prepare and plant these areas.

Efforts were made to see if we could find any remnants of a landscaping plan for the church.

We searched church records and records at the Oak Springs Garden Foundation. We were only able to find plans for the cemetery. The vestry is looking for recommendations. A plan needs to be developed, with appropriate cost estimates for preparing the planting areas, securing the plantings, installing the plantings and finally, maintaining the resulting gardens. Just as parishioners have helped with the watering of the plantings in the outdoor sanctuary, we will need to

develop a crew to water, fertilize and weed the resulting installations.

Guild Report

The Trinity Church Flower Guild, chaired by Gina Hammond and Sandra Markus, consists of seven talented teams. On a scheduled rotation, each team prepares the flowers for the Sunday services.

During the pandemic, flowers were limited to the entryway and reredos, for services done in the church. During warmer months, when services were held outside, arrangements were provided to sit in front of the portable altar.

Flowers were also provided for several weddings and funerals using favorite flowers and colors, as specified by the families.

Openings are available on the calendar if you wish to remember someone or an event (birthdays, anniversaries) during the year. Our Stewardship effort at Trinity, “Open Hands; Ready to Give and Receive”, has been a vibrant and successful campaign.

In addition to the pledging highlights of our stewardship initiative, a new feature was the series of parish stewardship gatherings. Vestry members hosted small groups of parishioners, either in their homes or at the church, and each group reported a wonderful time. Not only was it a chance for Rev. Jonathan to meet those present, but to also spread the word about the wonderful happenings at Trinity Church. We hope to continue these gatherings in to the new year.



TREASURER’S It is my pleasure to submit to you the Treasurer’s Report for the 2021 Annual Meeting. For 2021, Vestry chose to adopt a budget with a Net Income of ($145,621). This was done because it was difficult to predict income and expenses in the midst of the pandemic. The budget included no carryover from 2020. We had retained earnings on our balance sheet of $157,158 on January 1, 2021 to cover this difference.

In total, our expenses were $864,586 out of a budgeted amount of $1,025,747. Our Net Income on December 31, 2021 was $242,064.

To God’s greater glory, we finished fiscal year 2021 with solid performance, achieving income of $1,106,651 which was 125.7% of budgeted income Our pledge dollars received were 107.5% of our budgeted pledge dollars. Our plate offerings were 141.3% of budget; special gifts were 272.5% of budget, and wedding and funeral income was 249.2% of budget. Fundraising income was 111.6% of budget due to the successful Christmas Auction.

For 2022, the Vestry, by resolution, will apply some of the Net Income of $242,064 as follows: $28,531 will be moved to the Outreach checking account, representing the net proceeds from the Christmas Auction; $700, the unspent organ maintenance funds, will be moved to the Organ Fund; $13,706, the unspent Capital Expenditure funds, will be moved to the Campus Renewal Fund, and $39,991 will be moved into 2022 budgeted income (as Prior Year Surplus) to account for 2021 expenses that were incurred in 2021 but not billed. The remaining funds, $159,136 will sit in “Cash” on the balance sheet awaiting future Vestry action.

Our Balance Sheet is stable as reflected in Table 3.

The Vestry will be considering how to further invest some of the cash.

We thank all those parishioners who kindly made early payments on their pledges as this helps to keep our cash flow at a suitable level. We have only been able to make emergency repairs to our buildings, and now we know, that as they age, repair costs will continue to increase. We must continue to enhance our endowment before it becomes too late. We thank those who have already participated through gifts to the endowment or through enrollment in the Meade Society.

For 2022, the Vestry has approved a budget that is balanced. The expected income is $1,059,339.

Some major categories include a pledge amount of $643,000, an endowment draw of $193,818 or 4.25% of the average of the 16 trailing quarters, plate offerings of $30,000 and special gifts of $50,000.

Expected expenses are $1,0589,241. Some major elements of this include personnel expenses of $652,744, general administration expenses of $125,096, buildings and grounds expenses of $146,601, Christian education expenses of $14,500, worship expenses of $30,650, communication expenses of $24,500 and capital expenditures of $44,000.

(The church is not permitted to use the principal of these Mellon or Siebert funds.) Proceeds of the Repairs and Maintenance Fund (separate from the Mellon R & M Fund) (approximately 3%) are considered restricted to use for repairs and maintenance. As of December 31, 2021, these sub-accounts totaled $5,699,476.03, representing, for 2021, an increase of $596,772 from December 31, 2020, even after four quarterly draws totaling $185,000.

Trinity Episcopal Church has had the services of a parish led Endowment Committee since 1995. Created by resolution of the Vestry, it was initially charged with making recommendations to the Finance Committee to: (1) use a percentage of total return over the trailing 12 quarters for distribution; (2) change the investment strategy to increase equities and further reduce cash equivalents so that the Endowment would return enough to make distributions to the Vestry and also grow at a rate to keep up with inflation; and (3) establish a policy of distributing 4% to support the operating budget and 1% to be set aside to fund renovation and capital projects approved by the vestry.

For the last several years, as Endowment Committee members have desired to retire, the Vestry has been considering getting a professional investment advisor.

In September 2021, an RFP (Request for Proposal) Committee consisting of Vestry members Daniel Leger and Chandler Van Voorhis, Treasurer, Gina Hammond, Endowment Committee members Guy Dove and Brad Gable, and the Rector (ex officio) issued an RFP to six firms. Five chose to respond. After an initial evaluation of the responses, two firms (PNC and the Trustees of the Funds- TOTF) were eliminated and the remaining three firms (Atlantic Union Bank, Truist and RBC) were each contacted by Zoom and asked to answer further questions. After considering these answers. the RFP Committee then made a final selection of Atlantic Union Bank. This recommendation was taken to the Vestry in a special meeting held on December 10, 2021 and approved.

In 2007-2008, the committee was reconstituted. The committee consolidated most of the fund accounts in one investment account at PNC, but retained management by the committee, hence the costs of management have been negligible. The committee also proposed a revised charter which was adopted by the Vestry. It retained the provision for distributions to the Vestry of 5 percent of the average balance over the trailing 12 quarters.

Later, the withdrawal rate was reduced to 4 ½ percent in line with best practices. In October 2019, on the recommendation of the committee, the Vestry extended the period for calculating the average balance for the 2020 distribution to the trailing 16 quarters.

In 2021 this committee consisted of David Hartley, Chair and members, Guy Dove, Stanley Dees, Brad Gable, Hudnall Ware and Gina Hammond. The chair of the Finance Committee, the Senior Warden and the Rector served as ex-officio members. (Please note that David Hartley and Hudnall Ware resigned in August 2021 to avoid a conflict of interest with future actions of the committee.)

At this time, the Endowment fund has five subaccounts, including the Music Fund (which the Endowment Committee invests, but is not considered part of the Endowment.) The proceeds of the General Fund (approximately 63%) are not restricted. Proceeds from the Mellon General Fund (approximately 15%) are restricted (by the terms of the will) to general operating expenses. Proceeds of the Mellon Repairs and Maintenance Fund (approximately 15%) are restricted (by the terms of the will) to repairs and maintenance of the church and campus. Proceeds of the Siebert Repair and Maintenance Fund (approximately 2%) are 28

Actions are now being taken to establish our new account at Atlantic Union Bank. A resolution and charter for a new Endowment Committee have been drafted by Stanley Dees and were approved at the January 2022 Vestry Meeting. The new committee will consist of three voting at-large-members appointed by the Vestry, with the Treasurer serving ex officio. The atlarge-members shall serve for terms of three years and may be reappointed for one additional three-year term.

One of the members will be a member of the Finance Committee and all members should have some familiarity with investment of securities. Initially, the three at-large-members will be appointed for staggered terms of one, two and three years respectively, and the member appointed initially for a one-year term may be appointed to two additional three-year terms.

Trinity Church is indebted to the retiring members of the Endowment for their outstanding service to the church. After the 2021 Annual Meeting, the new Vestry will be taking names of persons interested in serving on the new Endowment Committee.

For the first half of 2021, the pandemic precluded in-person meetings for adult education.

Using the facilities of “Sunday at Home”, Paul Dietrich provided a virtual five-week Lenten series: “Into the Night: Portraits of Life and Death, a production originally done for PBS. To be human is to wrestle with this truth and with the great unanswered question: How do we live with death in our eye? This documentary series featured fascinating, unexpected voices from various walks of life: old and young, believers and nonbelievers, the dying and the healthy, well known and obscure.

“Into the Night” created a safe smart place that allowed people to talk about a subject of universal importance.

As restriction lifted, more inperson adult education offerings were available. Parishioners Elizabeth Thomas, Alix Coolidge and Laurie Volk spearheaded a four-week Sunday evening session on “Faith, Race and Justice.” This is Trinity’s response to Bishop Curry’s call for the Episcopal Church in America to prioritize the ministry of reconciliation. The national office, as well as the Diocese of Virginia, has resources for undertaking the work of reconciliation as “the spiritual practice of seeking loving, liberating and life-giving relationship with God and one another, and striving to heal and transform injustice and

brokenness in ourselves, our communities, institutions, and society.” With the Vestry’s leadership, Trinity seeks to participate in this calling by offering opportunities to learn and to practice the way to racial reconciliation. We at Trinity started with a series of four Sunday night programs, viewing segments of “The Black Church,” a PBS special developed and hosted by Henry Louis Gates, Jr. We met in Cox Hall for a simple supper, followed by an hour for the video and discussion. An effort was made to introduce various sensory elements of the black experience as well. We offered cookies made from an African American Church Ladies cookbook, music by Mahalia Jackson, and a portrait of Dr. Martin Luther King, Jr. It was a good time. Everyone learned from the presentations and from each other. We hope to keep the momentum going in 2022 . We are already in conversation with the newly appointed Diocesan Missioner for Racial Justice and Healing. We welcome adult and teen members of our Parish to join us in thinking about ideas for new programs. There is much to learn and much to do. Please be in touch with questions and suggestions.

Cultures and Traditions: Central and Eastern Europe and its Core Values. Poland’s unique geography and history have resulted in contributions to the Western tradition that few in the United States are aware of.

Freedom of religion and conscience, for example, are deeply rooted in Polish human rights thinking centuries old.

Thanks to its exposure to various religious groups – Roman Catholics, Orthodox Christians, Jews, Protestants, and Muslim Tartars – the Polish people learned much about appreciation of other religious traditions and the need to allow for religious freedom. The forum tried to identify the principles and values that guide Central and Eastern Europe to give context and substance to a region that can help us to understand the larger Western civilizational tradition.

Paul also arranged for a forum, “Fleeing Afghanistan.” We heard from husband and wife Mohammad and Frozan Nabizada, US-Afghan dual nationals, who discussed their experience getting out of Afghanistan. They also helped the many who spent 20 years working to build a new democratic and modern Afghanistan, who had to flee as the Taliban swept across the country in the wake of the US withdrawal. Frozan was being hunted by the Taliban and was able to escape while others were not so lucky. We heard their stories of resilience and hope in

the face of overwhelmingly negative and threatening circumstances.

Jerry Eisley also offered a Sunday morning forum where he drew inspiration from poet, Elizabeth Barrett Browning. He particularly spoke on her Sonnet 44 from the “Songs of the Portuguese.” Jerry brought pieces of his museum artifacts to illustrate aspects of the Sonnet.

Adults were also offered two Bible Study options. The Wednesday Morning Bible Study Group, led by Vestry member Joe Fluet, began the year doing Zoom sessions. They finished studying the Book of Acts and then began studying the Book of Daniel from the Hebrew Testament. Meetings were held each Wednesday at 10:30 a.m. As pandemic restrictions eased, the group meet at Trinity, outside, as weather permitted. The gathering typically took about an hour and a quarter. Many then stayed for the Noon celebration of the Holy Eucharist.

Wine & Word was a new offering in the Fall, led by parishioner Dan Smith. They met at his home in Middleburg every other Monday.

The theme for the Fall semester was “Finding God’s Rest.” It combined Old Testament and New Testament readings.

Scripture readings were given in advance and participants were asked to give thought as to how they related to them.

Outreach The year was a challenging one for Outreach. Early in the year our chair Jennifer Moore resigned to be able to spend more time with at home schooling needs.

For the second year in a row due to Covid-19 it was necessary to cancel the Stable Tour, one of our main source of funds. In addition, led by Randy Mullett, we were given the challenge of integrating the Thrift Shop operations and accounts under the same tent as “Outreach”. During October significant repairs were completed to the Thrift Shop property, which allowed the shop to re-open in November. Thank you to everyone who came along to the clean-up events and prepared the shop for re-opening.

Much of this was made possible by the fund raising efforts of Laurie Volk and team, through previous Stable Tour donations, or was raised by the a wonderful virtual Christmas Auction. We are deeply grateful to the Christmas Party & Auction working group who worked together to host an enjoyable and memorable Party and Mini-Auction to begin the Christmas Season and which launched the online auction. An extensive offering of amazing items and experiences, so generously donated by people from near and far, resulted in strong online bidding and an eventual auction profit of almost $40,000. Of course, all of this goes direct to our Outreach budget to assist those most in need, locally, nationally, and internationally.

Thrift Sho p The Thrift Shop has had quite a year –as you can imagine, because of the pandemic.

Thanks to The Outreach Committee and the Vestry, funds were made available for our less fortunate brothers and sisters. So we have been helping folks all during this long pandemic. No one, who came within our parameters, was turned away from receiving assistance. Our parameters for assistance are that the applicant must live in the immediate area, that we have not previously helped in the last six months, and we only assist with rent, utility bills, prescriptions, water bills and fuel oil.

We have had many clean up days, 4-5 in the Fall of 2020 and the final clean up was October 30, 2021.

We were prepped and ready to open the shop once again on November 6. All of our wonderful volunteers are back and working every Saturday in the shop.

With that being said, the Thrift Shop has been open on Saturdays, 9-12. Everyone will need to wear a mask when in the shop. So, come one, come all. If you need a worthwhile outlet, come and help out at the shop.

For any newcomers, it’s the brickhouse across the side street from the Upperville Post Office, on Route 50. Call the church office (540) 592-3343 and Betsy will set you up with a time slot.

This is one of the greatest Outreach Projects at Trinity, now in business for over 30 years.

Helping our local community is what the shop is all about. Our less fortunate friends and neighbors can purchase quality items for very little and all the funds are given away to help people in need. Truly a win/win for everyone involved!

Sanctuary Report

As the world navigated the second full year of the Pandemic, the Outdoor Sanctuary continued to provide a sacred space for prayer, worship, fellowship and exercise.

Worship and Fellowship Happily, some of Trinity’s scheduled worship and fellowship gatherings that had been suspended during 2020 resumed.

Most notably, the Easter Sunrise service was celebrated at dawn on Easter Sunday, with 125 worshipers in attendance. The Blessing of the Hounds and the Blessing of the Animals once again gathered as an outreach to the greater community. The second annual Trick or Treat Trail on All Hallows Eve provided an opportunity for adults and children alike to celebrate the season in a safe, outdoor venue.

The outdoor sanctuary also hosted two weddings of members of the Trinity family during 2021.

Tree Dedications

During 2021, Trinity bid farewell to Beth and Wayne Gibbens, who moved to Houston, Texas. The Gibbenses have been extremely instrumental in visioning, developing, and in maintaining the Outdoor Sanctuary since it’s development in 2012. In recognition of their contributions, the Trinity Congregation dedicated some native bluebells to be planted near the

Pantherskin Creek as a living thank you in the Gibbens’ honor.

Look for the bluebells to come up in April, and Lord willing, to be fruitful and to multiply! In addition, the Blue Ridge Book Group gifted a Serviceberry shrub in honor of Beth Gibbens, who was one of the group’s members.

These were the only additions to the plantings at the Outdoor Sanctuary during 2021. A cumulative list of all the plantings at the Outdoor Sanctuary follows this report, and is published annually in lieu of placing plaques.

Thanksgiving A faithful group of volunteers waters the trees each summer by filling the gator bags during the hot, dry months. They are cheerful, resourceful, and essential to the thriving success of the beautiful young trees. This summer’s Tree Team included: The Bibbs, Joan Eliot, the Gemmers, Halls, Hoeckers, Knapps, Moores, and Carol Miller.
