I’m excited to have my turn to introduce our second edition of our Loop magazine. I found it hard to settle on an introductory topic but I kept coming back to something that I hope this magazine reflects anyway; the win-win situation for everyone when you maintain integrity, especially in an industry that hasn’t always covered itself in glory.

We have an awesome team at PSG, that is something that I have always truly believed. When I started at the company 9 years ago, there were just 6 of us. It was a world away from the corporate culture that I had just left, not because people didn’t take their jobs seriously, they absolutely did, but because you were treated as an individual and trusted to just get on with the task in hand without anyone questioning what you had been working on. Easy enough to do when there are 6 people I guess, but something that we continue even with 30+ employees and counting.

I have talked before about my experience of being a working mum in an environment where, unfortunately, there are too few women represented.

It is that respect for people’s personal circumstances and individual goals that made me love PSG.

Growing the team has been challenging and the hard work of those on the front line has amazed me, why do these people dedicate so much of themselves to a company?

I hope the answer is that they love their job, feel in control of their own destiny and that we provide a rewarding environment to work in. But I know it will be also largely because the team get on well personally, they care about each other and love working together.

Making Property Investment

simple With the news constantly telling us that we are not saving well enough for retirement, and concerns about the future of the state pension, investing for the future is a hot topic. Many SIPP and SSAS pension schemes offer flexibility in terms of what you might choose to invest in to grow

the value of your pension, and can offer some appealing tax benefits.

One of the assets that is often seen as a good investment is Property – but how easy is it to invest in Property with your pension? And are there any difficulties?

Teamwork One of the best ways to make sure transferring a property into a pension scheme is a quick and hassle free as possible is for everyone involved in the process to work together as a team. Coffin Mew and TPSG have been working together for nearly 10 years, and between us there are not many property issues we haven’t come across. We like talking to each other, and working through any niggles in the property process is a joint effort.

We’ll do everything we possibly can to help the transaction through as quickly and as simply as possible. Not all issues are easy to deal with, but we’ll always try our best to find that miracle answer where we can.

Amanda Read, Commercial Property Partner and head of the Pension Property Investment Team at Coffin Mew, offers us her insights into some of the property process.

Can I put any property into my pension?

There are some restrictions. Firstly, residential property cannot be held in most pension schemes. Secondly the Property does need to be an investment. This means that it needs to be worth what you pay for it. It also usually needs to have an income eg. a lease in place with a tenant paying rent. That tenant could be yourself, your company or someone wholly unconnected.

What is the process?

The process for purchasing a commercial property into a pension scheme is very similar to that for buying a house. TPSG need to know that the property can be easily sold for its value in future. They will want valuation advice. They will also want solicitors to review the title, conduct searches and obtain replies to enquiries from the seller. This will make sure any issues are dealt with before they purchase the Property - protecting the value of your pension fund.

If the property does not have a lease in place, a new lease will usually need to be agreed with the tenant and be ready to put in place on the day the purchase completes.

How long does the process take?

What are some of the common property issues that might delay matters?

Things like the seller not having planning and building regulations consents, missing title documents, or missing statutory documents can delay matters whilst they are dealt with. If common areas of an estate are managed by a management company, with service charges payable, then obtaining information or consents from the management company so the property can be transferred can take time. Some issues we can protect against very quickly with indemnity insurance, or enquiries of certain authorities, but others do have a process that we need to follow.

The quicker we receive title and replies to enquiries, the quicker we can work out what we need, and how quickly we can deal with that.

Can I help speed up the process?

Often you can. If you are selling your own property into your pension scheme, you can make sure you supply as much information about the Property as possible. For example, you can make sure you have an EPC, fire risk assessment and asbestos management survey. You may also have access to planning paperwork or guarantee documents for works carried out. Providing these early on will ensure matters can proceed quickly. Talking to us throughout the process can also really help.

You may have useful information that you can provide to us that we would not otherwise know about.

Can I borrow money to fund the purchase?

Usually yes – you can generally borrow up to 50% of the value of your pension scheme (not the Property value).

TPSG and the lender will be able to check your borrowing limits for you.

There are a number of lenders on the market who have specialist teams who are used to dealing with this type of lending and can guide you through that process.

What if the property I want to buy is mixed commercial and residential?

It is probably still possible to buy the property – however it will take some careful structuring. TPSG can usually only buy the commercial part. If you are prepared to buy the residential part of the Property yourself, a long lease can usually be put in place for the commercial unit to enable that part of the Property to be transferred to your pension. You can then buy the remainder of the building. It requires some extra - very carefully drafted – documents, but it can be done.

What about transferring a property to TPSG from another pension scheme?

The process for transferring a property to TPSG from another trustee is very similar to the purchase process. We can usually dispense with a few documents, but generally we’ll be checking that if you move this property to TPSG, they know it is still a good investment.

This year we have invested heavily in new resources to support our teams, as we continue to see unprecedented demand for our SIPPs as well as our SSAS and EPUT schemes. We were pleased to welcome 7 new team members to further strengthen and support our existing SIPP administration team and an additional 2 staff within TPSG to help with our property administration and Unit Trusts.

That’s not meant to sound smug, we are very aware that the pandemic has led to thousands of job losses nationwide and that the road to recovery is one our children will likely still be on in the future.

This excellent growth means we are in a great position as we go into 2021 to look after our client’s schemes, and to welcome new business and further enhance our products and services.

But our position isn’t solely down to luck.

We’ll continue to invest in our infrastructure, including our IT and online platforms, to make it even easier for you to do business with us and to look after your scheme or those of your clients. And, with a brand new pension administration system due to go live in the coming months, we’ll be looking to take all of that to another level again. We do often receive items that are not an acceptable POA and inevitably this will cause us to have to pause the case, adding delays to requesting the transfer and meaning we can’t get on with the important work our customers expect us to be doing! These delays can usually be avoided by noting our AML requirements beforehand and ensuring these are met prior to sending in the case.

Common documents we receive that are not acceptable proof of address Tenancy contracts These are never acceptable when they are not from a recognised and verifiable estate/lettings agency or government authority. If they are from a recognised and verifiable estate/ agency then they still need to be accompanied by at least one other form of POA.

Resident permit These can help show that the client is residing in a particular country, but do not tie a client to a residential address.

Marriage certificate A marriage certificate is not particularly useful for any purpose other than to prove a change of name when a person has changed their surname due to marriage. They cannot prove that a marriage has not since been dissolved, so they aren’t able to tie one person to another.

Letter from a bank/building society/insurance company A cover letter alone is not sufficient for proof of address. We require a statement dated within 3 months from a bank/building society, or a Life Insurance/Assurance policy dated within the last 3 months from an insurance provider.

This list is certainly not exhaustive, but it does provide an idea of what we cannot accept and what to look out for prior to sending in a new SIPP application. We’re always happy to speak with anyone that’s unsure about what might be acceptable and to review documentation prior to receiving a SIPP application; so do get in touch if you need assistance!

Employer letter These ARE acceptable on their own ONLY in the scenario that the employer provides the accommodation as part of the employment. In the event that the employer does not provide the accommodation as part of the employment, an employer letter must be accompanied by at least one other form of POA.

SSAS applications Getting it right first time

Setting up anything new, from a new SSAS, to even just a bank account, can require a multitude of paperwork and hoops to jump through. Our intention here at TPSG is (and always will be) to make this part of the journey as smooth and efficient as possible.

We do this by only ever asking for information we genuinely need.

Completing forms is never particularly exciting (we know!) but the information you provide is essential. Giving care and attention to answering necessary questions accurately the first time will help us avoid any delays in opening your new pension scheme and with registering it with HMRC, allowing you to reap the benefits of your new SSAS.

Top things that often get missed from applications From previous experience, we have faced a back and forth process with clients and advisers on issues such as missing information on application forms, incorrect wording on AML documents, and generally inaccurate or missing information being provided, from things like the principal employer information; including the VAT, PAYE and HMRC references and member tax payer references. We don’t want to waste any time in getting your scheme established, so let’s work together to get things right first time…

I’ve always found it curious that most industries have a distinct look. Why? The people who ‘consume’ the products and/or services of tech companies or of businesses in the creative industries, have got used to them looking bright, maybe a bit quirky, and very informal. We’ve come to expect it. Consumers of financial products on the other hand, will be bored of the sight of navy blue and images of smug, retired couples walking their Border Terrier on a beach.

I find all this curious mainly because these ‘consumers’ are the same people.

Things are changing, slowly, in the financial sector, but why do we still have such a stuffy and dull image that so many practitioners seem proud to uphold?

That question was the catalyst for why PSG took a counterculture approach to building a brand.

I try not to think about how many years have passed since our designer, Mike Cannings of BM Inc, asked me to give him an idea of who’s website and branding I liked. Several, mind numbing, hours of internet searching later gave me the answer. No ones. At least this started to make life much easier. The brief became simple – make us look not like them! After all, we weren’t like them. We still aren’t.

You won’t find many people in our brilliant team who think that pensions are fun, or sexy, or even really all that interesting. Not compared with say, touring the world with a famous band, or, well, almost anything for that matter. But, that doesn’t mean you can’t adopt a mindset that nurtures a fun, rewarding and creative work culture. In other words, recognise that both your customers and your employees just might be crying out for a pensions provider that hasn’t come out of the same Acme Pensions Provider machine that seems to have produced all the others.

We’ve never subscribed to the ubiquitous formula of generic stock photography + navy blue ÷ beige x suits = trust-worthy financial experts.

When we look at our clients we see clever business people, and smart individuals. We do not believe that these people judge the competency and expertise of those to whom they entrust their pension administration, on how ‘serious’ they appear to be. We have always trusted that people are more interested in integrity and in how they are treated and that this is how they measure whether someone is fit for purpose.

It’s encouraging to see signs that the financial services industry is, here and there at least, waking up to this. The real test though is how deep your brand values run. Is all this just refreshing marketing in an industry ripe for a fresh look? No, PSG’s branding isn’t just a shop window. It truly is a reflection of the values and attitude of everyone that works here.

We have a poster on one of our walls, lovingly created for us by Mike Cannings. It uses our familiar illustrative style and colour and the only text reads: we’re not slick suits, we’re smart thinking, we’re not smoke and mirrors, we’re open and approachable.

Enough said really.

Investments are a huge part of what we do here at PSG SIPP. Just like organising a transfer from a Receiving Scheme, it can sometimes require a lot of back and forth between us, the client’s Adviser and the investment provider.

We asked our investment expert, Meg O’Beirne to discuss what’s involved in establishing investments on behalf of our clients and what types of challenges can occur.

Would you say these challenges have become more significant in recent times and if so, what does that look like?

The impact of the global pandemic has brought many challenges that until now weren’t even considered to be problems. For example, different investment providers have had varying approaches to electronic signatures.

Some have accepted them, others have not. But in many recent cases it has taken a considerable amount of time for this decision to be reached, prolonging the time it takes for the investment application to be reviewed and accepted. As a SIPP provider, this isn’t something we can control, and we have had to be flexible in how we work. We have our own requirements regarding electronic signatures, and we must ensure these are met before we can proceed with processing investment applications.

What is a typical deadline expected by a client or their Adviser?

We will always try to answer any queries raised by the investment company as soon as we can, and will do so as comprehensively as possible, only leaving queries for the Adviser where we are unable to answer them ourselves. However, it is important to note that we must always take into account our own requirements, and if we are referring queries to the Adviser, it is not because we are being difficult or trying to delay the investment, but because we need certain documents and information that only they can provide themselves.

In your experience, what would you say are the most common mistakes that lead to unnecessary delays?

A missing client signature from the application form, or an electronically signed form that is not accompanied by a DocuSign certificate. Whilst the investment company may only need the application to be signed by PSG as the Trustees, it is PSGS’s requirement that the client sign the application in the first instance, to reflect their agreement to the T&Cs of the bond.

It is important that our requirements are considered to be as important as those of the investment company, because the back and forth that can follow causes delay to the bond being set up ready to receive funds.

I think Financial Advisers expect applications to be completed and sent to the investment company within a few days. This is often the case, provided our banking partner can open the bank account in a reasonable timeframe. However, if we have to go back to the Adviser to provide missing information e.g such as a missing client signature in the declaration section of the application, then it will be relogged for processing until that requirement is met and the clock will start again.

What happens during a transfer?

We’ve put together some information which aims to give you and your clients a little more insight into the pension transfer process from a Transferring Scheme into a PSG SIPP scheme and what you and your adviser need to consider in order to help ensure a transfer goes smoothly.
