TPI EVENT CODE OF CONDUCT TPI is dedicated to providing a harassment-free experience for participants at all of our events. TPI events are working conferences intended for professional networking and collaboration. TPI events, related ancillary, or social events, any participants, including members, speakers, attendees, volunteers, sponsors, exhibitors, booth staff and anyone else, should not engage in harassment in any form. This Code of Conduct may be revised at any time by TPI and the terms are non-negotiable. Your registration for or attendance at any TPI event indicates your agreement to abide by this policy and its terms.
EXPECTED BEHAVIOR All event participants are expected to behave in accordance with professional standards, with both this Code of Conduct as well as their respective employer’s policies governing appropriate workplace behavior and applicable laws.
UNACCEPTABLE BEHAVIOR Harassment will not be tolerated in any form, including, but not limited to, harassment based on gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, religion or any other status protected by laws in which the conference or program is being held. Harassment includes the use of abusive, offensive or degrading language, intimidation, stalking, harassing photography or recording, inappropriate physical contact, sexual imagery and unwelcome sexual advances or requests for sexual favors. Any report of harassment at one of our events will be addressed immediately. Participants asked to stop any harassing behavior are expected to comply immediately. Anyone who witnesses or is subjected to unacceptable behavior should notify a conference organizer at once. Individuals who participate (or plan to participate) in TPI events should conduct themselves at all times in a manner that comports with both the letter and spirit of this policy prohibiting harassment and abusive behavior, whether before, during or after the event. This includes statements made in social media postings, online publications, text messages, and all other forms of electronic communication.
Exhibitors wishing to enter another Exhibitor’s area may do so only if invited. and under no circumstances should they disrupt another exhibitor’s space, audience, presentation, business, etc. in or near their space at any time during the Event.
CONSEQUENCES OF UNACCEPTABLE BEHAVIOR If a participant engages in unacceptable behavior, the conference organizers may take any action they deem appropriate depending on the circumstances, ranging from issuance of a warning to the offending individual to expulsion from the conference with no refund. TPI reserves the right to exclude any participant found to be engaging in harassing behavior from participating in any further events, trainings or other activities. If a participant (or individual wishing to participate in a TPI event), through postings on social media or other online publications or another form of electronic communication, engages in conduct that violates this policy, whether before, during or after a TPI event, TPI may take appropriate corrective action, which could include imposing a temporary or permanent ban on an individual’s participation in future TPI events.
WHAT TO DO IF YOU WITNESS OR ARE SUBJECT TO UNACCEPTABLE BEHAVIOR If you are being harassed, notice that someone else is being harassed, or have any other concerns relating to harassment, please contact a member of conference staff immediately. Conference staff can be identified by t-shirts/staff badges onsite; and an organizer can be found at the event registration counter at any time. GENERAL INFORMATION & SHOW GUIDELINES Please note, the use of “Show” or “Field Day” are interchangeable throughout this document. If you are a supplier member looking to attend TPI, you have a booth either at the hotel or Field Day.
LIABILITY INSURANCE The TPI Board of Trustees and Logistics Committee have established that all contracted exhibitors will be required to provide proof of liability insurance coverage. Your exhibit booth contract will not be processed without proof of liability insurance. Liability Insurance requirements: 1.

EXHIBITOR PASSES All attending exhibitors, and/or guests of exhibitors, must be registered attendees of the conference. TPI offers two attendee types for all shows associated with a field day component.
FULL CONFERENCE PASSES Full Conference passes have access to all activities which take place at the host hotel as well as at field day. Attendees with a full conference pass are considered a “full” member of the conference and therefore can attend sessions, breakouts, meals, and all activities included in the full conference rate. In Orlando, we will be offering a reduced additional supplier rate of $899 per person. This rate includes the President’s Reception, the hotel Showcase (exhibit hall), and Field Day.
FIELD DAY ONLY CONFERENCE PASSES
Exhibitors failing to provide proof of insurance will not be allowed to exhibit.
Field Day Only conference passes are restricted to activities that take place during the designated field day show times. Primarily, all activities which take place at the host hotel are not included in the Field Day Only pass.

All ticket types may choose to add optional activities to their primary ticket. These activities require additional registration and associated fees.
PAYMENT INFORMATION
TPI event indicates your agreement to abide by this policy and its terms.
Check Payments: Please make checks payable to Turfgrass Producers International, 444 E Roosevelt Rd #346, Lombard, IL 60148. Checks should include your exhibiting company name in the memo. Credit Card Payments: Submit credit card payments through the online order form and Docusign contract. All exhibitors are required to have a credit card on file for final damage fee charges. TPI will share the overall damage report with exhibitors as well as the agreed upon cost.

GENERAL INFORMATION & SHOW GUIDELINES continued EXHIBITOR PARKING ONSITE Onsite parking is limited at both the host hotel and farm for vehicles larger than a standard car. Please follow the below guidelines when parking during the show:
TPI will provide loading docks for trucks. Due to potential turf damage, all highway trailers will be unloaded or loaded at the loading dock. In the event of heavy rain, TPI reserves the right to restrict access to the site. For safety reasons, TPI will shut down all operations on the Show grounds if lightning is within close distance of the Show Site.
HOST HOTEL PARKING The Orlando World Center Marriott provides self or valet parking for our guests and visitors, at a fee. Parking can only be guaranteed for overnight guests. TPI has negotiated a $12.00 + tax self parking fee for overnight guests. Those looking to park larger vehicles than a standard car at the host hotel must contact Liz Lonsbrough at liz@turfgrasssod.org prior to January 15, 2024, to seek parking approval. Please allow one week for approval notification from the host hotel.
FIELD DAY PARKING TPI will work with the host farm to determine field day parking. Exhibitors wishing to park vehicles larger than a standard car, will need prior approval from Liz Lonsbrough for overnight parking. Overnight exhibitor parking passes will be required and will be shared upon arrival.
LOADING/UNLOADING AND LIFTS Self-unloading equipment can be delivered to the site and stored outside in a designated area. It is the Exhibitor’s responsibility to pick up the materials; they will not be placed on the Exhibitor’s space. TPI Management assumes no responsibility for loss or damage of goods left on-site pre- or post-show. Upon requests, TPI will provide lift services to assist Exhibitors in the handling of heavy materials. Lifts will be available by contacting Liz Lonsbrough at Liz@turfgrasssod.org. In order for the lift order to be completed, exhibitor staff must be present at their exhibit space when lifts arrive. Please refer to Move-In/Out Procedure for lift availability dates.
GARBAGE AND RECYCLING TPI will provide garbage/ pick-up. Please place all garbage in tightly secured bags on the front side of your booth for pick up throughout the show. If required, contact show management for additional collection of larger garbage items.
SECURITY It is each Exhibitor’s responsibility to ensure protection of his/her valuables on-site, especially small portable items. A private security company is contracted by TPI to provide perimeter overnight protection of the Site. Exhibitors are welcome and encouraged to hire the security company that TPI uses to provide additional security for their exhibits. Other outside security contractors are not permitted. Please contact Liz Lonsbrough if you plan to have security at your exhibit or if you have any questions about securing additional security for your exhibit at liz@turfgrasssod.org. SITE SHARING / SUBLETTING
Golf carts will be arranged for those who need them for mobility assistance at Field Day. Carts are subject to availability from our vendors and are not guaranteed. Golf cart pick-up is located at the Show Office or Registration.
Space contracted by the Exhibitor may not be sublet without the prior written permission of TPI Management. The original contracting supplier is ultimately responsible for the assigned booth.

SALE OF GOODS AND SERVICES AT THE SHOW
• PEDESTRIANS ALWAYS HAVE THE RIGHT OF WAY • TPI is a pedestrian event and vehicles will have limited use during show hours. Acceptable uses include restocking booth products or literature and travel to/from demo fields and parking. • You accept full responsibility for any accident or injury caused using this vehicle on the grounds before, during and after the show.
Exhibitors are encouraged to sell their goods and services at the Show. Small sale items may be carried by the purchaser. However, Show Management requests that large sale items (e.g., tractors, field machinery, etc.) remain on-site until after the Show closes on Thursday. Exhibitors are responsible for arranging pick up of larger items with thspace.
• You will maintain a speed limit that does not exceed 5 mph. • Only licensed drivers 16 years and older will operate this vehicle. • You will not exceed the passenger capacity for this vehicle. • You will park this vehicle in your site space when not in use. It will not be parked on access streets or the perimeter. • TPI is not responsible for accidents or incidents involving any vehicle on the site. The exhibitor is responsible for all damage caused by vehicles in their control. • The operator will remove the key from the vehicle when not in use. • The golf cart will not be used as a moving billboard displaying excessive signage. • No banners, flags or other marketing attachments. • Approved sponsors will be allowed to display marketing messages on GCs, per their agreement with Show Management. • This policy shall apply to all areas of the site including the show site, parking areas, and demo fields. Static displays will be excluded. • TPI staff reserve the right to always enforce these policies. Refusal to adhere to these policies may lead to removal from the site. • TPI reserves the right, at its discretion, to fine, impound or eject any vehicle in violation of these policies. TPI also reserves the right to penalize any exhibiting company in violation of these policies.

SIGNAGE
Sales, promotions, competitions and contests conducted by Exhibitors in conjunction with their display must be free of any obligation on the part of the winner. Prize winners must not be required to place an order before collection of the prize offered. The schedule of prizes and terms of the competition must be clearly stated on the entry form. All such competitions must be approved by TPI Management at least ten (10) days before the Show. It is the responsibility of each Exhibitor to ensure contests comply with all existing government regulations.
Signage is only permitted within your exhibit space. Signage around the Show Site is reserved for sponsors (as per sponsorship agreement) and for show purposes, unless approval is granted from TPI Management. Any unauthorized signage will be removed and stored at the Site Office for pick-up.
Only participating Exhibitors have the exclusive rights to promote or sell goods and services at the Show. All other parties who attempt to make any sale solicitations without the written permission of TPI Management will be permanently removed from the Show Site. Exhibitors are asked to report any infractions to TPI so that immediate remedial action may be taken. Distribution of samples, souvenirs, promotional material and solicitation of business must be confined to the Exhibitor’s own booth space.
TPI Show Management reserves the right to refuse admission to the Show site, or request the expulsion from the Show Site, of any visitor, Exhibitor, or Exhibitor’s employees who, in the opinion of Show Management, is unfit, intoxicated, or in any way creating a disruption.
ENTRY TO SHOW

USE OF UAV/DRONES Exhibitors are NOT to operate drones at the TPI Show site at any time unless written permission has been obtained from TPI Management. This is both out of courtesy to visitors and exhibitors, as well as compliance with local regulations.

OUTDOOR EXHIBITS ADDITIONAL INFORMATION Please review the complete General Information section as well.
NON ACTIVE USE
Exhibitors must confine their presentation within the contracted space only and within the Show rules and regulations, as well as maintain staff in the booth during Show hours.
Exhibitors are welcome to make alterations to their equipment as needed throughout the show. We ask that you respect local neighbors by limiting noise outside of the hours of 7am - 10 pm.
CARE OF LAND It is the sole responsibility of all Exhibitors to provide normal care of all land being used by them in accordance with TPI. The Exhibitor shall not disturb the exhibit space without obtaining prior written approval and on-site authorization from TPI Management. No exhibitor is to alter the field in any way without prior permission. All damages, losses or claims whatsoever arising from disturbing or interfering with the space of other Exhibitors will be the sole responsibility of the Exhibitor and may result in expulsion from the event.
MOVE-IN/MOVE-OUT PROCEDURE Show Site Hours*: Exhibitors are welcome onsite at all hours from February 3 - 8, 2024, however the active use of equipment is only permitted during the below listed hours below. Saturday, February 3, 2024, 12pm - 4pm Sunday, February 4, 2024, 12pm - 4pm Monday, February 5, 2024, 9am - 4pm Tuesday, February 6, 2024, 9am - 4pm Wednesday, February 7, 2024, 6am - 7am, 8am - 2pm, 4pm - 7pm *Maintenance of the field is top priority and may affect the listed showtimes. TPI and FloriTurf reserve the right to adjust all times listed in the exhibitor manual.
ACTIVE USE TPI defines active use of equipment as when the equipment is in motion of any kind. I.e., moving, harvesting, etc. When in doubt if TPI would classify your needs as “active”, Exhibitors should consult with TPI prior to you using any equipment.
ARRIVAL & DEPARTURE DATES For your convenience, TPI will staff the show site from Saturday, February 3, 2024 - Thursday, February 8, 2024. Arrivals or departures outside of the listed time frame require prior approval from TPI and are subject to a staffing fee of $600 per day. Security will not be adjusted to accommodate early arrivals or late departures. If security is needed, the requesting exhibitor will be billed for the additional hours at the rate range of $35-$55per hour. Notice of early arrival and late departure must be requested by January 15, 2024 and is subject to approval by TPI and the host farm. Under no circumstance should exhibitors negotiate arrival times with the host farm directly. All communications must be through TPI directly by contacting Liz Lonsbrough at 937-818-6760 or liz@turfgrasssod.org. Failure to follow this policy may result in removal from the show without reimbursement. All materials must be removed from the show site by Thursday, February 8, 2024, by 4pm local time. Materials remaining at the site after this time will be removed at the exhibitors expense.
DELIVERIES Goben Convention Services will provide TPI and our exhibitors complete convention freight handling at the advanced warehouse and HOTEL show site. We will start receiving items 30 days pre-show storage, move in, handling of empty containers to and from booth and move out of the show. Exhibitors will be invoiced directly for services in accordance with Goben price list. Drayage rates are based upon 200lbs minimum per shipment. Materials will be delivered to exhibitor booths at the Marriott hotel. If required, one additional delivery of advance freight will be made to the Field Day (FloriTurf, Kenansville FL). Separate shipment labels, specifically listing the Field Day event, will be available in the provided Exhibitor Manual. Shipping to FloriTurf directly is prohibited.

INDOOR EXHIBITS ADDITIONAL INFORMATION TPI has contracted Goben Convention Services as our Exhibitor Contractor. Goben will share a full exhibitor kit outlining their rules and regulations closer to the event dates. Goben CS will abide by the rules and regulations set by Marriott Orlando World Center. Below you will find specific rules you should be aware of from the Orlando World Center Marriott. Orlando World Center Marriott Exhibit & Display Rules & Regulations:
PERSONNEL 1.
No smoking, eating, or drinking is permitted within the exhibit hall during installation or dismantling. Room Service will be allowed, per the Client’s request, but will be restricted to non-alcoholic beverages during teardown or set-up. The designated break area is on the loading dock and the hotel chairs, risers and equipment are not to be used.

The possession or use of intoxicants on company property or job sites is prohibited; including but not limited to, the drinking of alcoholic beverages. The possession or use of drugs on company property is also prohibited, other than medicine prescribed by the employee’s physician. Any violation will result in immediate removal of the individual and possible legal action.

The possession of guns, explosives, or weapons of any kind is not permitted. Fighting, physical violence, creating a disturbance, horseplay, disorderly conduct or the use of abusive language is a violation of hotel policy and will result in immediate removal of the individual. Theft, attempted theft, misappropriation of property or the aiding of such acts will result in immediate removal and possible criminal prosecution of the individual.
FLOOR PLANS/ EXHIBITOR’S INFORMATION
DRAYAGE AND MATERIAL HANDLING Goben Convention Services will provide TPI and our exhibitors complete convention freight handling at the advanced warehouse and HOTEL show site. We will start to receive items 30 days pre-show storage, move in, handling of empty containers to and from your booth and move out of the show. Exhibitors will be invoiced directly for services in accordance with Goben price list. Drayage rates are based upon 200lbs minimum per shipment. Materials will be delivered to exhibitor booths at the Marriott hotel. 1.
Orlando World Center Marriott has no storage facilities for exhibit materials. All freight must be consigned to the decorating company. Shipments that arrive prior to showtime will be refused and/or forwarded to the official decorator at the exhibitor’s expense. Marshaling space for any trucks in our parking lot or grounds is not allowed.

Only burgundy tape with the lowest amount of residue will be used to tape down cords on the convention floor. Electric cords should be covered with burgundy carpet, bordered with black tape with diagonally crossed yellow.

The service contractor must handle all decorating and material handling of exhibits and related products. All items belonging to individual exhibitors must be brought through the back services entrance. There are no storage facilities available for empty crates, containers, cartons or vehicles.

At the close of the show, the decorator or the exhibitor must remove all materials from the hall. Orlando World Center Marriott will not provide storage nor ship any exhibit materials.
MOVE-IN/OUT AND INSTALLATION/DISMANTLING 1.
All booth equipment, furniture, and carpeting must be confined to the measured limits of the booth. No nails or bracing wire used in exhibit displays may be attached to the building. No painting, mixing of chemicals, sawing of any kind or explosive materials is allowed in the exhibit hall at any time.

All platform dollies of four or two wheels are permitted as long as they do not have metal wheels. Hand trucks are permitted with either soft or hard 8” rubber wheels.
The floor load of Orlando World Center is 100lbs. Per square foot. This is the absolute limit, and violations will not be permitted.

Any tape applied to floors, carpets, marble floor, etc. must be approved by management in advance. Any property damaged by exhibitors must be repaired to its original condition at the service contractor or exhibitors expense. This includes all tape residues. The use of packing tape on carpets, marble floor or any hotel equipment is NOT PERMITTED. No painting of any kind is allowed inside the hotel.

No use of hotel equipment permitted.

All outside contractors hired by individual exhibitors must be approved by the service contractors and must adhere to all applicable rules and regulations. Any damage incurred in their specific work areas will be their sole responsibility.
ELECTRICAL SERVICES All electrical service must be coordinated through TPI Management.
MOTORIZED VEHICLES 1.
The use of all motorized vehicles must be approved by TPI Management, in writing, 45 days prior to the event date. This date is established as Friday, December 22, 2023.

Definition: Motorized vehicles shall be defined as any vehicle which is propelled by an internal combustion engine using Class-1 or Class-2 fuel, such as, but not limited to, automobiles, trucks, motorcycles, aircrafts, watercrafts, golf carts, mobile homes, etc.

All motorized vehicles, which are displayed, shall have the battery(ies) disconnected at the “HOT” Lead. Putting a cap on it or taping it shall safely secure the lead.
4.
Fuel supplies in vehicles on display shall not exceed (1/4) of a tank or (10) gallons whichever the smallest amount.
5.
All motor vehicle gas caps should lock or be taped to prevent tampering with. Tractors, chain saws, generators and others such fuel-powered equipment shall be safeguarded in a similar manner.
6.
A special permit is required for any vehicles inside the building or exhibit hall. The exhibit contractor shall make a permit application to the Orange County Fire/Rescue Division, Fire Loss Management Department, and twenty one (21) days- prior to the setup date.
7.
Upon entering, visqueen must be laid under the place where the vehicle is to be located. The visqueen must remain under the vehicle during the time it stays in the building or exhibit hall.
FOOD & BEVERAGES All food and beverage needs must be coordinated through TPI Management.
SECURITY All security must be arranged through TPI Management and is subject to hotel approval.
