Welcome back to the office. As Monday the 19th July or, as it has been dubbed, ‘Freedom Day’ approaches, I want to thank all of our customers, guests, visitors and service partners for their help and support over the last 16 months of this pandemic. It has been an event without precedent, incredibly challenging and will no doubt have a lasting impact on how we now live our lives. Lockdown has made us all reassess what is important to us, what we do and how we do it and will be a catalyst for change in the way we work and use our workspaces. This change is something we are working tirelessly on in order to create the workspaces of the future, providing safe, healthy and happy environments with all the amenities to support your business. Should you have any ideas or suggestions in this area, we would be happy to discuss them with you. From the 19th July we will see another set of changes to the Covid-19 restrictions within the UK. This document will provide you with an update on how these changes will be reflected in our offices.

Firstly, I want to reassure you that despite the relaxation of restrictions, we continue to take the health and wellbeing of everyone who visits our spaces incredibly seriously. Our teams will continue to work hard to ensure that everyone feels safe when working or visiting our spaces. We will continue to maintain the cleaning regimes we’ve had in place throughout the pandemic, and hand sanitiser will continue to be available. While the wearing of face coverings will become a personal choice from 19th July, we encourage everyone to use them when within enclosed spaces, specifically lifts, and our teams will continue to wear masks to protect those around them. We have increased the ventilation within our offices and will continue to provide 100% fresh air for the foreseeable future, as well as continually reviewing available technologies to further increase, manage and monitor air quality. With the removal of social distancing guidelines, we will no longer be using one-way systems and capacity levels will return to
those pre-Covid. This will be closely monitored to ensure the safety and comfort of our customers, guests and staff. We will continue to follow Government guidance as we have done throughout the pandemic. We ask anyone visiting our offices to treat fellow customers, guests and our team with respect, and to appreciate the varying levels of confidence that will exist across those returning to the office – in some cases for the first time in over 16 months. Anyone feeling unwell, showing any symptoms of Covid-19 or who has been contacted via NHS Track and Trace (‘pinged’) should continue not to travel or enter the building.
The latest Government guidance on face coverings is that their use is “expected” when you are within an enclosed space, which within our office space would include lifts. We are therefore expecting customers who wish to use the lift to continue to wear face coverings and will have signage in place to advise this from the 19th July 2021.
We will retain our freestanding hand sanitiser units within our reception areas and lift lobbies and encourage all customers, staff and visitors to use these.
2. Information Totems We will have information totems in the reception spaces providing up-to-date information and asking customers and guests to treat each other with respect and make allowances for those who may continue to be apprehensive about returning back into the workplace.
3. PPE Disposal Bins In many of the reception spaces you will see PPE disposal bins, which will continue to be in place should you wish to discard a face mask or other PPE after completing your commute on entering the building. These will also be available at other entry points to the building.
4. Security Teams Our security teams will be located within reception spaces as normal, to offer help and support. They will also assist with reassuring customers, reminding them of the building’s amenities and layout (with some having been away for 15 months, and others having joined your businesses during lockdown).

We also believe there will be a requirement to continue to wear face coverings when using public transport. You will also notice that our on-site service partner teams will continue to wear face coverings and we will retain the clear Perspex screens on our reception desks. We feel this provides reassurance not only to our customers, guests and visitors but also our on-site teams, many of whom are within an age bracket yet to receive the double vaccination. We will be reviewing this regularly and these measures will be removed once our teams are vaccinated and we can see the risk of our team needing to self-isolate is reduced.
7. Reception Screens Our reception Perspex screens will be retained in the short term in order to protect you, our visitors and front-of-house staff, many of whom are yet to receive a double vaccine. This will allow you to continue to engage with our teams, see their welcoming smiles and communicate encumbered by a face covering.
8. Visitor Passes We will continue to issue visitor passes as we have during lockdown, via the self-service printer and this will remain in place while the Perspex screens are still in use. Where plastic access cards need to be issued, they will be cleaned before issuing and on collection.
9. Cleaning Teams Our cleaning teams will continue to be more visible than ever as we will undertake far more frequent cleaning of all high-touchpoint areas within the common areas. Where suitable we will be using an AX biocidal cleaner to assist in protecting surfaces.
10. Lift Buttons Many of our offices utilise destination control technology, where you will be allocated a lift car for your destination as you walk through the barriers (small screen on the speed gate or within the lift lobby); we appreciate many may have forgotten how this works, so please speak to a member of the team to assist you, as the effective use of this technology will provide a smooth transition through the lift lobby and will dramatically reduce the need to queue if used correctly.

11. Lift Occupancy Following Government guidance, we will be returning to the recommended maximum occupancy levels within the lifts. However, customers wishing to use the lifts are expected to wear face coverings, in line with current guidance.

FAQs
Will service partner teams be wearing face coverings?
Are you increasing ventilation and air quality within the office?
The safety of everyone who comes into the offices is our number one priority and we have provided our teams with face coverings. They will continue to wear them indoors to keep themselves and those around them safe.
We have increased the level of ventilation across our offices since the beginning of lockdown and provide only 100% fresh air into our spaces, which will continue for the foreseeable future. Additionally, we are looking at new technologies that may help us improve, manage, and monitor air quality and more details on this can be provided by your Workspace Manager.
Do all customers have to wear a face covering? From the 19th July, it is expected that anyone within “confined spaces” will wear one, which within our office spaces relates specifically to the lifts, unless they are exempt, and our teams will also continue to wear masks to protect those around them.
Will you still be making hand sanitiser freely available? Hand sanitisers will continue to be freely available within all our offices.
Will the 2m social distancing requirements be changed to 1m+ or removed completely? In line with Government guidelines, all social distancing measures will be removed, including one-way systems, barriers and floor stickers.
How will you manage the lifts and potential queuing? We will closely monitor the lifts for signs of congestion and would recommend using the stairs for those on lower floors who are able to make use of them if congestion is evident on arrival. We are also providing induction sessions for those returning to the office to refresh on how to use the destination control technology across many of our properties, as if used correctly this will facilitate a smooth and congestion-free transition to your destination floor. Where we have the ability to do so, we will look to retain a single lift car with maximum occupancy

condition in place to provide an option for those customers not yet comfortable to share a busy lift; however this will be held under review and could be changed at short notice as occupancy increases in order to minimise queuing for other lift cars. Please speak to your Workspace Manager for more details.
How will you stop an outbreak of Covid if all the rules are being relaxed? Our teams continue to work hard to ensure all our customers and guests feel safe when they visit/come to work. That means we’ll continue to maintain the cleaning regimes we’ve had in place throughout the pandemic, and we’ll continue to make hand sanitisers available. It’s important to note that our Covid-19 risk assessment remains in place, and we will continue to follow all the necessary guidance. We would also ask that anyone visiting our offices treats their fellow customers and our teams with respect as we all get used to these new freedoms and that we give one another plenty of space.

Are you asking your staff to report any sickness or apparent symptoms of Covid-19 on a daily basis? We are asking all staff to self-isolate and follow Government guidelines if they feel ill or show any symptoms of Covid-19.
Will staff be tested before being allowed to work? No, as this is not a Government requirement; however our teams are incredibly experienced in keeping our offices safe and clean and are well versed in managing spaces in line with our risk assessment. Should any of our staff show Covid-19 symptoms, then we will be asking them to self-isolate and follow Government guidelines.
Do your staff feel you have provided sufficient protection for them with things opening up? The safety of all our colleagues is our number one priority and we have provided our teams with face coverings and appropriate PPE to help keep them and our customers safe.
Why are some retailers shut? This is a question for the retailers; however, we are providing an up-to-date list of which retailers are open and trading on our websites; www.onenewchange.com www.createvictoria.com www.newstreetsquare.com
What are you doing to support retailers to ensure that as many stores as possible remain open? We are focused on supporting our retail customers during these uncertain times, whilst maintaining the long-term sustainability of our business. We have therefore established a rent relief support fund of £80m to help our customers most in need, with a particular focus on supporting food and beverage customers, and small and medium sized businesses.
What procedures are in place if a member of staff reports as having Covid-19? If a member of staff were to receive a positive test result for Covid-19, we would follow the Government guidance and the Test and Trace process and may undertake an additional deep clean. We use antiviral cleaning products as part of our our every day cleaning procedures.
What should customers do if they develop any Covid symptoms whilst in the office? We urge anyone who is displaying symptoms of Covid-19 to remain at home and follow the Government’s guidance to self-isolate and get tested; if they were in the office, please do inform your Workspace Manager.
