Writing an apology letter Saying sorry for something that went wrong sounds obvious. But for many people and companies offering an apology is not easy. Still, if you want to keep your customer, client or patient, it is important. Apologies are often not enough, though. Many complaints require a solution or compensation.

Writing an apology letter shows your customer, client or patient that you take them seriously. And that you are willing to go the extra mile to make them happy again.

In daily life Of course, complaints and apologies don’t just appear in professional situations. Where people live together, things go wrong, either intentionally or by accident. Often, issues can be resolved by showing understanding, apologising or offering compensation.

Two days ago I posted a message about a lady who – so I then thought – had stolen a box of chocolates and a bottle of ginger ale from our local supermarket. When I saw her put these items in her bag, I took two pictures with my phone and posted them on my Facebook timeline.

I also asked you and all my other FB friends to share this post as often as possible, so the lady would be forced to return the items to the supermarket or to go and pay for them.

I am now very sorry that I did this. The post went viral and at first, I thought this was great. But after a couple of hours I received a personal message from the lady’s daughter. She wrote that she was in tears over my post and asked me to call her, which I did.

She then told me that her mother (Mrs Z) suffered from Alzheimer’s and that she normally does not go out alone. This particular time, Mrs Z had left the house when her husband was in the garden. She had taken her handbag, but was without her coat. She found her way to their local supermarket, but had no idea what to do next. She put the items in her bag, not intending to steal them, but the routine of paying had gone from her memory.

Of course, I felt awful and immediately removed the post. I told her I could see how this message must have hurt her and her family and I apologised.

I said I hadn’t realised that this was the case and that I would never have done this if I had known.

I also want to apologise here on Facebook, because what I did was thoughtless and stupid. I should not have done this and will certainly never do it again, because you simply can’t know the full story behind people’s actions.

I would like to ask you all to remove the post from your timelines if you have shared it. This morning I brought Mrs Z some flowers and told her how sorry I am in person. She was happy with the flowers but didn’t quite understand why I had brought them.

Her daughter, who was there as well, smiled and told me that, in this case, it was just as well that her mum didn’t remember everything.

Companies and other organisations often have a special team that deals with complaints from customers, clients or patients. Now it is your turn to practise responding to a complaint in a professional situation.

Step 1 You are working in your future job. There is a complaint from a customer/client/patient. Your manager asks you to respond in writing.

Think of or find a complaint that may (regularly) occur in your future line of work. You can also choose a complaint you came across during your work placement.

TIP You can use the internet and search for ‘common consumer complaints’, ‘complaints in tourism and hospitality’, ‘common complaints in healthcare’, etc.

Step 2 Study the complaint and think of what you could write in your reply. What solution can you offer? Make a few short notes.

Step 3 Remember that your manager will want to keep the customer/client/patient on board in the future. Write a reply to the complaint in which you apologise, show understanding and offer one or more solutions. Use approximately 200 words.

At the Dutch Centre for Asylum Seekers, we are always looking for motivated and dedicated volunteers. At the moment, we are looking to fill the following positions.

Become a buddy!

As a buddy, you’ll help an asylum seeker in need of some extra attention, structure, and social contact feel more at ease in their integration process. You’ll meet with them several times a week to practise speaking and writing in Dutch and introduce them to Dutch culture. Show them how to use public transport, organise a football match with other buddy couples or help them look for a job. We expect you to be available for at least two days a week, at flexible hours. Dutch speaking skills required.

If you like making healthy, easy and quick meals, become one of our five lunch volunteers!

You may choose your own recipes, but the menu must always include a vegetarian option.

You’ll also need to do the grocery shopping, serve the food to the members of the centre in our canteen, and clean up afterwards. We expect you to be available for two days a week, from 11:30 a.m. to 2:00 p.m.

Become an intake volunteer!

As an intake volunteer, you’ll assist new clients in the early stages of the asylum seeking process. Your job will be to assess the needs of every individual or family arriving at the centre. You'll check whether they are eligible to receive help from the Centre, and guide them through the intake process. You’ll make sure your clients understand what to expect from life in the Netherlands and from us. Also, you’ll manage our digital records, making sure they’re secure and accurate. We expect you to be available for at least one day a week, from 9 a.m. to 4 p.m. (approximately).

Become a communication volunteer!

If you enjoy talking to people from all over the world, join our communication volunteer team! You will have varied and flexible duties. For example: such as helping out clients with making phone calls, filling out forms, or looking things up on the computer. It’s important that you work quickly and precisely. You’ll also help them with printing, scanning, typing documents and sending emails. And you'll show clients where to find the information they need in the Centre. We expect you to be available for two days a week, from 10 a.m. to 3 p.m.

We are looking for English- and Dutch-speaking volunteers; ideally, Arabic as well. We look forward to meeting you!

Trail team volunteers wanted for projects in Iceland We have created this site to bring you news about our volunteer projects in Thingvellir National Park. As well as an outline of our summer programme, the site includes information for volunteers taking part and details about how to get involved. The Thingvellir trail conservation programme is coordinated by Iceland’s environment agency, Umhverfisstofnun.

Our work The work we do can be divided into two main parts: trail maintenance and erosion control. The trail maintenance work involves a huge variety of practical tasks including improving drainage, building steps with timber or stone, resurfacing trails with gravel and installing signs. Hand tools including rock bars and stone carriers are used for much of the work but machinery is brought in to support the teams where access allows. Our volunteers work alongside staff from the Forest Service who cut timber for the trail construction tasks. Trail marking is an important part of our work as it helps to prevent damage to fragile areas and improve safety for visitors. Way-markers for the trails are made on site from locally sourced timber. Our trail team placements are an opportunity to get to know this amazing area and play an important role in helping to preserve and protect it.

Costs There is no participation fee. Our volunteers pay their own travel costs to Iceland and join their team at the base camp in Thingvellir. Volunteers are also responsible for arranging travel insurance for the duration of the placement. Throughout the placement, food, transport and campsites are provided.

Please note that participants cover their own costs if they leave the project area during their free time.

Work times Our volunteers work from Monday to Friday and the working day normally runs from 09.00 to 18.00. However, this schedule can vary due to the nature of some of the projects. Participants must also be prepared for some flexibility in these working hours due to Iceland’s changeable weather.

Worksites are generally a 15-45-minute walk from the camps.

Equipment Gloves and waterproofs for work are provided as well as any additional safety equipment that is required during the work tasks. Participants need to bring their own personal equipment and it is very important that our volunteers are well-prepared. Essentials include: waterproofs and warm clothes to wear outside of work, hiking boots, and a sturdy tent that you are able to carry when hiking.

Food Food is provided throughout the placement (including weekends). It is important that participants inform us about special dietary requirements before their placement, as food is often organised ahead of the projects. Volunteers take part in food preparation and all other domestic tasks at the camps.

Facilities Our volunteers are based at the Thingvellir volunteer camp. Facilities are basic and include toilets, showers, an outdoor kitchen and a group tent for meals. We also have a small hut at the camp which provides an indoor space for the group during the evenings.

Travel Our volunteers organise their own travel to the meeting point at Thingvellir bus station, where they will be met by our team leaders.

Insurance Participants organise their own travel insurance for the duration of the placement.

Step 1 Go online and look up an English vacancy in your line of work that matches your interests and (future) skills. You can use search terms like “work opportunities abroad” and specify what you’re looking for (e.g. nursing, construction, health administration, etc.).

Good websites to use are https://jobs.goabroad.com/, https://www.workingabroad. com/, and https://www.prospects.ac.uk/jobs-and-work-experience/working-abroad.

Step 2 Once you’ve found a vacancy that matches your interests, skills and line of work, scan the text and note down the most important points. These could include: – the salary – the required years of experience – the duration of the project – visa requirements – insurance – etc.

Step 3 Write a text of no more than 400 words in which you explain why you are interested in this job and why you would be perfect for it. Include the vacancy you are responding to, so the reader can see if your response matches the requirements of the vacancy. You can look at step 4 to see the requirements your letter needs to meet.

Tip 1: use your notes to structure your text, listing the important points in the same order as they occur in the vacancy. That way, it will be easier for the reader to see how much you have in common with the role.

Tip 2: using (modal) verbs can make it easier to help you talk about your abilities, make requests, and saying that you’re certain or uncertain about something.

How to admit to something

Sometimes it may be necessary to admit that you (as a company) have made a mistake. This is often the best way to make your complaining client more willing to accept what has happened and to accept your solution to the problem. How to use If-clauses

If-clauses are used to talk about things that can happen if something else happens too. Example: If you run fast, you will get there in time.

Explanation: running (fast) is a condition (voorwaarde) for getting there in time.

There are several forms of if-clauses with different meanings. We describe the most important ones.

In all these sentences you can change the order of the main sentence and the if-clause.

Example: You would have burned your fingers, if you had touched the stove.

These sentences can also occur as negatives and / or questions.

Examples: If you don’t touch the stove, you won’t burn your fingers.

The examples in the table above are made with ‘will’, ‘would’ etc. Different variations, with different auxiliaries (hulpwerkwoorden) are possible. Look at the following examples.

We need them for asking for permission, making an offer or a request, or talking about our abilities. In addition, we use them to say that we believe something is possible, probable, or certain – or not!

Language support: Strategies & examples 2 Scanning Before reading a text, especially a long one, it’s important to ask yourself why you’re reading it. If you're searching for specific information, you use scanning. When scanning a text, you pay attention to certain words or expressions that have to do with the information that you’re looking for. For example, if you are looking for a job description, you look out for words like duties, responsible for, manage, project, includes, etcetera.
