How to Send out a Sale on Rex
Vendor and Buyers solicitor details need adding to Rex if not already on there as a contact. If new then add the company as a contact and add the case handler as a separate contact, complete the name, address, email address and phone number Go to the Legal Tab on Rex and where the offer is select from the drop down menu view/edit
Scroll to the Purchaser details section and type in the Buyer Legal name and address Click on the purchasers Solicitors and select the company, then click on the solicitors contact and select the contact at the solicitors. Then click Save
The Vendors Solicitors details should already be on there from when you listed the property under the Legal Tab and Vendor Legal Details, if you haven’t provided this at the time of listing then add a solicitor company and solicitor contact as new contacts and then select them and save.
Chain
Details need to be added to Rex under the Legal tab, ffoers, drop down menu on the offer view/edit chain tab then click the + button ( Scan the video; how to add your chain details to Rex
Fixtures And Fittings
Details need to be added to Rex under the Legal tab, Offers drop down menu on the offer view/edit details, select Fixtures and Fittings tab then list all of the items that are to be included in the sale ie Both parties have agreed that_________________are to be included in the sale or if nothing has been agreed then type All parties have agreed that the fixtures and fittings will be discussed between the solicitors.
The Following Needs To Be Completed So That The Details Of The Sale Appear On The Sales Memorandum
Under the Legal Tab scroll down to the section Sales memo Covering Letter Details and click on the pen to the left.
Apply For - If the buyers are having a mortgage then click in the box and select Apply for Your Mortgage. If they aren’t then leave it blank. Timescales - If specific timescales have been agreed then type in that both parties have agreed to
If nothing has been discussed then type in ‘All parties have agreed to exchange and complete as soon as possible subject to legal work.’ Chaser - Click in the box and select the relevant statement ie Becky or yourself as the contact for Sales Progression Chain - Type in all of the sales wording It needs to include all of the upward chain and the downward chain (see example sales wording document) It must be typed in this format.

Chain Example on 14 Cordelia Green Below
Mr & Mrs Dunn are selling 14 Cordelia Green, Heathcote, CV34 6XE and are buying 17 Tollerford Road, Poole, BH17 9AB via Agent Palmer Snell Estate Agents which is being sold by Sheila Stone. The vendor Sheila Stone is buying 88 Plantation Road, Poole, BH17 9LP via Agent Hillier Wilson Estate Agents. The vendor of 88 Plantation Road is Marianna Senior who is purchasing 1 Regent Street, Rugby, CV21 2PE via Agent Connells which is owned by Mr Andrew Smith who has no onward purchase as he will be moving into rented accommodation.
Mr Hin Man Tang is buying 14 Cordelia Green, Heathcote, CV34 6XE via a mortgage and cash deposit of which evidence has been seen. Mr Hin Man Tang has nothing to sell as he is in rented accommodation and has 6 months left on his tenancy and will move on completion.

Sales Chaser - Select from the dropdown box either Becky Campbell, The Agent or Refer GoTo Group Tenure - Make sure that you have selected the correct Tenure under the Key Details Tab (This should have been done at listing stage)
Local Authority - Make sure that you have typed in the Local Authority in the More Info Tab - Under Rates (This should have been done at listing stage)
Documents Tab - Make sure that the Brochure (Saved as Brochure) and Sales Process (Saved as Sales Process Guide) documents have been saved here and set to PUBLIC (This should have been done at listing stage)
Digital Legal Pack - This should have been sent to the Vendors solicitor at listing stage if you had a solicitor at that point. If not then Log into HIPLA and find the property. Click on the green box Send to Lawyer. Scroll down to the bottom of the Digital Legal Pack and click on Send to my Property Lawyer. A box will pop up saying there are missing documents. Click on ignore missing documents and send. Type in the name of the solicitor and their email address then click on share.
Once everything has been done then you can accept the offer. DO NOT ACCEPT THE OFFER UNTIL ALL THE ABOVE HAS BEEN DONE, ALL COMPLIANCE IS DONE AND THE MEMO OF SALE IS READY TO SEND
To Send The Sales Memos
Select Legal Tab, then Offers - Click on the drop down box next to the correct offer and click on Send Sales Memorandum
Make sure the box is ticked for the Vendor Copy and the Buyer Copy
Vendor Solicitor - make sure the box is ticked and also the box that says ‘Show Vendor and Buyer residence and contact details. Buyer Solicitor - make sure the box is ticked and also the box that says ‘Show Buyer and Vendor residence and contact details.
Make sure the correct Template is selected which should be the following
Vendor - Copy NPE Offer Accepted Vendor
Purchaser - Copy NPE Offer Accepted Applicant
Vendor Solicitor - Copy NPE Offer Accepted Vendor Solicitor
Purchaser Solicitor - Copy NPE Offer Accepted Applicant Solicitor
Then click on Send - This will send the Memo of Sale, corresponding letter and will automatically attach the brochure and Sales Process documents that you set as Public to all parties.
The 4 Sales Memos will then appear in the stream and you will be able to see the status as delivered or opened.

Click the + button, add the purchaser’s name in the drop down box and then change to purchaser in the bottom drop down box and click save.
Agent Support
will then send the Pro Forma Invoice to the Vendor and Vendors Solicitors and complete the commission statement for reporting.
