Pod assistants help Partners do their best work

The Group, Inc. knows that the best way to support home buyers and sellers is to make sure their Realtors are available, prepared, and in the flow. But when agents are stuck behind a desk or worried about data entry and marketing materials, it can prevent them from being truly present with their clients. That’s where pod assistants come in! At The Group, Inc., Realtors work in “pods” of 15 to 20, and to keep work flowing and Partners in their groove, each pod is supported by its own Jill-of-all-trades assistant. “We handle everything from when a property is listed to when it goes under contract,” says Faith Doherty, who has worked as a pod assistant with The Group since January 2015. “There’s not a strict set of work we do. If the Partners have a question or an idea, we’re their first stop, and we do our best to make it happen.”

Even though the pod assistants’ workloads and specific tasks vary from Partner to Partner and pod to pod, there are certain responsibilities that they usually take care of. Most of their work is on the home listing side. Pod assistants handle all the marketing materials for properties for sale, helping to coordinate photo and measurement sessions, putting together brochures, and entering homes into the requisite databases.

“We’re the behind-the-scenes people,” says pod assistant Shyann Bathauer, who started with The Group, Inc. more than 6 years ago as a receptionist. “We help keep the wheels turning so our Partners can go out and have more quality time with their buyers or sellers, so they can be the face in front of people and not have to worry about the office.” Ultimately, this fast-paced position requires working with a variety of personalities and work styles, and adapting to the ongoing technological changes that come with working for a company that always strives to be on a cutting edge. And while the number of Realtors — and thus pod assistants — varies at each of The Group’s five main offices, the collaborative culture that dominates the company doesn’t. “I love working with a group of agents. I have learned how each one conducts their business and I try to anticipate what they need. It can get a little crazy when several of them need something at the same time, but I enjoy the pace and knowing I am a part of their success.“ says Amber Keahey. For the most part, Partners will work consistently with their assigned pod assistant, but in a company that often feels more like a family than an office, that’s not always how it happens. Pod assistants don’t just help their assigned Partners. They help each other, too. Within an office, assistants pick up one another’s slack. If one person is extra busy and another is slow, they’ll step in and help out. And that camaraderie extends beyond office walls and even specific jobs. “Everybody wants to see each other succeed. If we see — even in other offices — if someone has a family emergency, or if one or two people are out, we don’t just stick to our one office, so if Mulberry is shorthanded and Horsetooth has the ability, we’ll take as much on as we can,” says Bathauer. Doherty, Keahey and Bathauer both credit this mutual support to The Group’s culture. Just like the Partners — who are known for sharing ideas and strategies in a way that’s uncommon in Real Estate — staff are invested in the company, and therefore in one another. “It’s a very tight knit group,” says Bathauer. “I feel like everybody wants to see everybody succeed in their business.”

On October 16, one of The Group, Inc.’s most productive annual giving campaigns began. For four weeks, Groupies show their commitment to the community by making donations to and through the United Way of Larimer County. The Group’s relationship with United Way started when founder Larry Kendall moved to Northern Colorado in 1973. As a new resident in the community, he immediately jumped into volunteering with United Way. Just three years later, upon launching The Group, he built the same ethos of community support and engagement into the company’s mission. One of the many ways The Group fulfills that mission — and has from the beginning — is through the workplace fundraising campaign for United Way, which has now been running for more than 40 years. “I’ve known Larry and Pat Kendall for a long time and they are a true example of what it means to be a servant leader, and the culture at The Group is one of such deep commitment to the community,” says United Way’s Senior Vice President of Resource Development, Allison Hines.

Why United Way? For 60 years, United Way of Larimer County (and its regional predecessors) has prided itself on bringing together the public, non-profit and private sectors to meet community priorities. “Our role is to be proactively reactive,“ says Annie Davies, CEO of United Way. “We ask: What’s going on in the community? What issues are people focused on? And, how can we bring the right people together to solve local challenges?” Then, the organization uses best practices and power of community engagement and collaboration to respond to identified priorities. In Larimer County, United Way addresses community concerns through direct programming and grants awarded to non-profits based in communities from Estes Park to Fort Collins.

United Way’s direct programming prioritizes Youth & Education and Financial Stability. One of the Larimer County chapter’s most successful programs — and one popularly supported by Groupies — is WomenGive, which has provided child care scholarships to 264 single, low-income women pursuing higher education. Other programs include partnering with school districts to provide tutoring as well as before and after school programs, and two-generation approaches to alleviate poverty. In addition to these direct programs and Community Impact Grants ranging from $5,000 to $50,000, United Way of Larimer County has recently launched two new funding streams that are offered on a rolling, as-needed basis: Innovation and Nonprofit Excellence grants. “We feel like we’ve been a vital part of meeting needs in this community, but we also need to evolve and change. These new grants allow us to meet community needs as they arise. If a non-profit has an innovative idea or a time-sensitive need, Innovation Grants allows them to request funding outside of our traditional annual grant cycle. Nonprofit Excellence grants elevate the entire non-profit sector in Larimer County by providing staff training, technology and support that builds organizational capacity and creates more efficient and effective organizations,” says Davies.

How Does it Work? The Group, Inc.’s annual campaign runs for four weeks from mid-October to mid-November, with a kick-off meeting to be held on October 16. Throughout the month, Partners and staff from The Group and its sister businesses may donate directly to United Way’s programs and grants or funnel their gift to any Colorado non-profit. “We think choice in our world is important, and unlike most non-profits that have a very specific mission, United Way’s is broader. We want to help connect donors to their passion. That means providing an easy way to give to the organization of their choice. Workplace campaigns provide an avenue to do that,” says Hines.

The campaign incorporates several activities led by a team of office coordinators who keep it top of mind in their respective office. Chili cookoffs, cookie baking contests, a rock-paper-scissors tournament, and pumpkin decorating contests have been held in the past. This year a Halloween mask contest is planned and a couple of special videos are being created to keep the campaign energy going.

What’s the Impact of the Workplace Campaign? Workplace giving constitutes United Way of Larimer County’s biggest funding source. And The Group, Inc.’s contributions make up a substantial part of that. Last year, with Broker Associate Sara Horner at the helm, The Group, Inc.’s workplace fundraiser brought in $301,652 for issues affecting our community and state. Individual donations pulled in from the campaign ranged from $5 to more than $10,000. But, The Group’s relationship with United Way doesn’t stop there. The company has been a WomenGive Mission sponsor for three years, and 35 Groupies are members of WomenGive, donating at least $500 annually. And 22 Groupies are members of United Way’s Alexis de Tocqueville program, giving $10,000 or more annually, more than at any other workplace. “The Group runs such an incredible campaign and has such a strong culture of engagement. They set an example, and a high bar, of business support for the community,” says Davies.
