Saratoga Kids Camp Parent Guide Policies and Procedures Refunds The Dobson Association reserves the right to establish fees and cost minimums for all programs and to cancel those programs not having sufficient enrollment.

Program refunds will be issued for: 1. Cancellation of program by the Dobson Association (full refund) 2. Notification by enrollee prior to the initial start date of prolonged illness or injury (with doctor’s certification) or permanent removal from the Dobson area.

3. Any injury or illness contracted during the session will be subject to review and the refund will be on a prorated basis.

No other refunds will be given. NO EXCEPTIONS!

Absences 

Refunds are not available for vacations, special events, or other personal commitment that prevent attendance.

Dismissal from Camp      

There are times when the camp must dismiss a child due to psychological or emotional problems that precludes the child from participating safely in a group.

Dismissal will take effect only after consultation among the parents, camper, and Camp Manager or Recreation Manager.

Dismissal for this reason will result in a complete refund for unused days.

On occasion, dismissal may be necessary for disciplinary reasons.

This action will take effect only after speaking with the parents, camper, and Camp Manager or Recreation Manager.

The following is a list of disciplinary procedures in the event of any negative behavior at the camp: a. FIRST OFFENSE: A staff member will talk to and give a child a warning. b. SECOND OFFENSE: If the participant becomes uncooperative and/or a disciplinary problem, the child will be asked to remove himself/herself from the activity. c. THIRD OFFENSE: If the behavior continues, the child will not be able to participate in the program for the remainder of the day. Parents/Guardians will be notified and the child will be sent home for the day. A discipline referral will be given to the parent for such action. d. If a child receives: Two discipline referral, he/she will be suspended for a week of camp.

Three discipline referrals will result in the child’s dismissal from the remainder of camp.

** If any child physically harms another child or a staff member they will be dismissed from camp immediately! 

If a camper is dismissed for disciplinary reason, there will be NO REFUND for the unused days.

Lost and Found 

Lost and Found is located at the sign in table or in the office. One week after camp ends, unclaimed lost and found items will be given to charity. Saratoga Kids Camp is not responsible for any items lost during camp.

Guests  

No child is allowed to bring a friend or guest to camp.

However, parents are more than welcome to visit.

Lunch and Snacks 

A camper MUST bring his or her own lunch and snacks. Microwaves or stovetops are not available. Please write your child’s name on his/her lunch box or bag.

Swimming    

Free swim will be scheduled, weather permitting.

Children must bring a swimsuit, towel and sunscreen or they will not be allowed to swim.

Masks, snorkels, fins, water wings, vests and swim toys are not allowed.

Children have the ability to change into their swimsuits prior to swimming. If child wears their swimsuit to camp, please have them bring an extra set of clothes to change into after swimming.

Wet swimsuits are not advisable for children to stay in all day due to health concerns.

Sunscreen    

Please send your child to camp with waterproof sunscreen (15 SPF or higher), with your child’s name clearly marked on it. The staff does not dispense sunscreen.

Helpful suggestion: Try applying all day waterproof sunscreen on your child(ren) before they leave for camp.

Our counselors will help children who cannot apply sunscreen by themselves, with signed approval form.

Please sign the Sunscreen Application Waiver Form, (Due at the time of enrollment).

Camp Dress Code     

Camper should wear comfortable clothing such as T-shirts and shorts, and /or jeans.

Athletic or soft-soled shoes NON-MARKING with CLOSED TOES, LACED, BUCKLED, OR VELCRO CLOSED are required for all camp activities. Shoes with wheels are NOT Permitted and the child will be sent home.

Sandals and flip-flops (thongs) are ONLY acceptable during free swim at the pool.

Some children get cold after swimming and during lunch, so please provide a sweatshirt or long sleeve t-shirt for these times.

To reduce the amount of Lost and Found, please have your child(ren)’s clothing marked with his/her name on it.

Medication 

Parents whose children require medication during the course of the day must communicate with the Camp Manager what type of medication is taken and when to administer the medication. We are only authorized to dispense prescribed medication in its original package. In order to dispense over-the-counter medicine, a doctor’s note describing the prescribed dosage is required.

Only the Camp Manager or Recreation Manager is allowed to dispense medication.

Field Trip An off-site field trip is scheduled this year as part of the camp experience. Additional information and permission slips specific to each field trip will be handed out at least a week prior. Please keep in mind the following for specified field trip dates:  Children need to be at camp prior to the bus leaving.  If the bus is missed by the child, parents/guardians can drop off the individuals at the site.  There will be no campers left at Saratoga on dates of the field trip.  Camp fees will not be refunded if the child does not attend the field trip for that day.

Cell Phones and other Belongings   

Children may not bring extra or unnecessary items to camp (toys, cell phones, play video games, card games etc).

Cell phones may only be used to text or call a parent or guardian when a campers arrives to camp.

Please communicate with the camp counselors of when your child is allowed to use his/her cell phone to contact the parent or guardian.

Camper Drop Off and Pick Up 

Camp programming is from 8:00 am-5:00 pm.



This program is a drop in program. A child may be dropped off or picked up any time between 8:00 am-5:00 pm. Each child is required to sign themselves in and out properly; NOT the parent/guardian. If a child rides his/her bike, walks or skates to/from Saratoga Recreation Center, he/she needs let their Camp Counselor know.

Early Departures 

Please notify the Camp Manager on duty when you are picking your child up before 3pm. This allows for communication and for the safety of the child.

Late Pick-up 

Please contact the Recreation Desk (480-831-7464) in advance for any unavoidable late pick-up or emergency. Pickups after 5:00 pm require families to pay a late fee due upon arrival the following morning. Parents will pay $5 for the first five minutes they are late and $2 for any portion of 1 minute segment following. Children may not attend camp until the late fee balance is paid in full.
