FEE REFUND

POLICY

Fee Refund Policy 1. Policy Statement [School Name] is committed to maintaining transparency, fairness, and compliance with UAE regulatory authorities (KHDA, ADEK, SPEA, and Ministry of Education guidelines) in the collection and refund of tuition and associated fees. This policy sets out the conditions under which school fees may be refunded to parents/guardians.

2. Purpose The purpose of this policy is to:    

Clearly define the circumstances under which fees are refundable. Ensure compliance with UAE education authority regulations. Provide parents with a fair and transparent process for fee refunds. Maintain accountability in financial operations of the school.

3. Scope This policy applies to:   

All parents/guardians of students enrolled at [School Name]. Tuition fees, admission/registration fees, and other school-related fees. All academic years and grade levels.

4. Non-Refundable Fees The following are strictly non-refundable under all circumstances:  

Application Fee/Registration Fee – paid at the time of admission. Re-registration/Seat Reservation Fee – paid annually to secure a place for the next academic year (deductible from Term 1 tuition fees upon enrolment).

5. Tuition Fee Refund Rules Refund eligibility is based on the student’s official withdrawal date, as determined by the submission of the school’s withdrawal form and clearance process.    

Before the start of the academic year / term → Full refund of tuition fees paid (excluding registration/seat reservation fees). Within the first two weeks of the term → Two-thirds refund of tuition fees for that term. Between the third and fourth week of the term → One-third refund of tuition fees for that term. After the fourth week of the term → No refund for that term.

Note: These rules apply equally to new and existing students.

6. Mid-Year Withdrawal   

Refunds are calculated per term, not per month. Any portion of a term attended counts as a full term for refund purposes. Parents are required to give written notice of withdrawal at least one month in advance.

7. Overpayment and Deposits  

Any overpaid tuition fees will be refunded or adjusted against future payments. Security deposits (if applicable) will be refunded at the time of withdrawal, subject to clearance of all dues (books, uniforms, library, transport, etc.).

8. Transport, Uniform, and Other Fees   

Transport fees – refunded on a pro-rata basis if the student withdraws mid-term, provided written notice is given. Uniform and book fees – non-refundable once items are purchased and issued. Examination fees – refundable only if the school has not made payment to the examination board.

9. Special Circumstances Refund exceptions may be considered in cases such as:   

Relocation due to parental job transfer (documentation required). Visa cancellation or family repatriation. School-initiated withdrawal (due to non-availability of place, closure, or other administrative reasons).

10. Refund Process    

Parents must submit a written refund request along with the withdrawal form. The Finance Department will verify fee records and eligibility. Approved refunds will be processed within 30 working days via cheque or bank transfer. All refunds are made only in the name of the parent/guardian who signed the admission contract.

11. Compliance and Review   

This policy complies with UAE Ministry of Education, KHDA, ADEK, and SPEA guidelines. Reviewed annually by the School Governing Body and updated as per regulatory changes. Parents are informed of this policy during admission and re-registration.
