INTRODUCTION Thela is a web app that manages Assessment, Audit and Report & Rating processes in the cloud.

It is an advanced system that creates questionnaires aimed to collect information in real-time and in complete security, optimizing the commitment of all the functions involved. It assigns weights and scores to the questionnaires, creates rankings, monitors the improvement over time and provides information to support business decisions.

PURPOSE AND SCOPE

Thela is the first web application of Cleviria born to give an operative support to those companies which have to engineer and optimize the operations of collection, verification and elaboration of all supply chains strategic information.

Thela is a modular web-software that manages all the inspection processes (assessments, audits, chemical analyses, corrective actions and follow-ups) in a clear and intuitive way, tracing their operations progresses it can provide immediate reports of the activities undertaken, following an innovative “cooperative� model.

Being in Thela allows you to show your Company to a wide network with more than 3500 companies already registered. You can use your Company profile to upload brochures, catalogues, and certifications, being visible to all members, especially to the ones who are looking for new suppliers or partners.

You can populate your Network section establishing links with all the companies already registered or inviting new ones to join the application. Every link activated allows a different kind of relation: you can share checklist or investigations planning and results (partner link), investigate a company by sending a questionnaire (supplier or subsidiary link), engage your employees assigning them one or more roles in the app (co-operator link).

Once your account is active you can work using the functionalities offered by Thela: create a questionnaire (where you can customize texts, scores, answers, weights‌); assign it to a company, a person or a third party that, in e.g., will use it to audit one of your suppliers; analyse all answers, comments and attached documents; compare different results and elaborate statistics to evaluate your suppliers, sales points, associates; see all your chains on a map.

On a single web application all the parties involved in the process can access and, depending on their role, accomplish their duties: create a checklist, assign it, fill in the questionnaire, elaborate statistics.

Save time and money: collected data are uniform and can be analysed and compared with a single click.

It is a support for Buyers, to manage in a more rapid, efficient and complete way, incoming and outgoing information flows, for the purposes of supply chain control (Risk Management, Brand Reputation).

A tool which makes possible to undertake an easy and deep investigation along the supply chain, with a clear and immediate mapping of control processes.

A cooperative business network where the user/company can be Buyer and Supplier, according to the processes to be managed, and where the best practices for your business development can be communicated.

A unique flexible platform to plan, fill in and validate investigations, which allows an integrated follow-up and the visualization of your clients’ work progresses and results.

Thela is also an offline application, specifically created to please all the needs of the on-site auditors.

2. USING THELA To log onto Thela you have to register, and the registration is made of 2 steps (see as well Figure 1: Workflow of Thela): STEP 1: PERSONAL REGISTRATION The 1st step is to create and confirm your personal profile: go to thela.cleviria.it and click on Not yet registered? Sign Up!, just next to the login box. Complete the form with name, surname, email, choose a password, confirm it and click on Sign Up (use the question mark to have a guidance). You will receive a confirmation email to verify the email address entered. Check your mailbox and click on the link in the email: you will be redirected to the page of Effected Registration. Now you can access to Thela (thela.cleviria.it) entering your email and password and proceed to the 2nd step.

STEP 2: COMPANY REGISTRATION On the welcome page, click on Register your company and paste, in the indicated field, the Company PIN if you have received it via email otherwise click on I don’t have a company pin and enter the Company name. Click on Save and Continue in the bottom right. Now you have access to the Company Details table where you can insert data by clicking on the tabs in the top of the table: • • • •

Company information: name, tax code, VAT number.

Contacts: address, Country, email address, telephone.

Company Logo.

Certifications: use the + push button to add certifications details or attach them.

Documents: use the + push button to add details and attach one or more documents that are important to qualify your company.

Statistical data: annual turnover, number of employees and ISIC code (international encoding to identify the core business of a company, similar to the Ateco code on the chamber of commerce certificate).

Remember that the information, documents and certifications entered in this section, will be visible to every users of the Cleviria Network. At any time, you will be able to select your company and modify or update its data opening the Company Details table.

Click on the tick in the bottom right to confirm and save data, then close the table. A confirmation pop-up invites you to go to the payment page or leave it for another moment.

(Login, create your company profile, populate your network searching for companies, inviting them into the app and sending link requests.)

Then, start using Thela in a 3 steps workflow.

Choose between assessment and audit; Select the kind of question: open, single choice, multiple choice; Enter question texts; Set the answer options; Assign weights to questions and scores to every answers; Ask for mandatory comments and attachments; Set thresholds for partial and total score of the questionnaire 5

You can develop it by yourself or activate the sharing with your partners (in the network) and create a checklist together.

STEP 2: ASSIGN THE CHECKLIST Next, you assign the checklist to: • •

suppliers, subsidiaries or employees and they will be able to access their homepage and fill in the questionnaire in the app, using the Compiling section; internal or external auditors, certification bodies and they can audit your suppliers using the online or offline application.

Every compilers can add comments to his answers and attach files without limit. Set deadlines and reminder emails to solicit the filling in.

STEP 3: CHECK THE COLLECTED DATA: Open a single questionnaire to see answers, attachments, comments and scores. Export in .pdf or excel the filled checklist; Access the Report&Rating section to elaborate statistics: select the questionnaire, set filters, see all the results on a map with different colours according to the score obtained. Explore the structure of the questionnaire analysing the percentage of one answer compared to the other, export all the graphs in .pdf and all the data in excel or .csv to create your own graphs.

3. BENEFITS AND ISSUES Thela is a tool used to monitor supply and distribution chain checking the compliance to sustainability protocols; it is used by consultant in certification processes to qualify associates and release certifications or trademarks.
