Information for Incoming Kindergartners

March 2021 Greetings Parents/Guardians of Students who will be entering Kindergarten!

We look forward to welcoming your children to Summer School. We are excited to share information on the upcoming Summer School 2021 program. This is a great time for your children to learn more about how to succeed in elementary school classes. I am including information on the various parts of Summer School that I hope is helpful in preparing your child and you.

We offer one class, ​Kickoff to Kindergarten (K2K)​, for students who will be entering Kindergarten in the fall. You can register your incoming Kindergarten child for the five week class, ​June 21 to July 22, 2021​. The class will be held from 8:10 am - 12:55 pm, Monday through Thursday every week.

If your child receives special education services, please work with the Early Childhood Special Education teacher to determine if K2K would be the best fit. Special Education services during summer school are not provided at the same level as during the regular school year. Please discuss any questions with your child's Early Childhood Special Education teacher or contact ​Becky Penticoff​ at 608.478.5178 ​rcpenti@sunprairieschools.org​.

I hope the information is clear, easy to understand, and helpful. I am sending the complete packet at this time and then over the upcoming weeks, I’ll send components as reminders. Please watch for the information in your email. The Infinite Campus portal will open for Summer School requests to be submitted on March 15, 2021 at 8 am.

Summer School staff should be highly visible to your children and you. Staff members will wear bright PINK​ bandanas and there will be​ PINK​ signs for the class during the first weeks of Summer School.

Summer School Information for Incoming 5K Students The Sun Prairie Area School District is pleased to offer incoming Kindergarten (current 4K) students with a Summer School program designed to give them a strong start in our schools.

We offer the Kickoff to Kindergarten (K2K) class for our incoming Kindergarten students (current 4K): ● The five week class/session is offered for $20 If your child receives special education services, please work with the Early Childhood Special Education teacher to determine if the Summer School class would be the best fit. Special Education services during summer school are not provided at the same level as during the regular school year.

School Sites What school will my child attend during Summer School? ● Students are assigned to a Summer School site based on the attendance area of the home school where they reside during the 2020-21 school year. (More information on “home-school” attendance area is included in the Transportation - Eligibility section.) Summer School is held at the following six elementary school sites during Summer School 2021: ●

Registration Summer School 2021 Requests can be submitted via Infinite Campus starting on March 15, 2021, 8 am.

How does a parent/guardian register their incoming Kindergarten child (current 4K) for Summer School? ● Submitting Summer School Class Requests Via the Parent Portal in Infinite Campus Parents/guardians will submit their requests for their child’s Kickoff to Kindergarten class through Infinite Campus.

Summer School registration will open on March 15, 2021 and close on April 16, 2021. ● We will send parents/guardians a reminder of the registration opening date.

All students who are enrolled in the Sun Prairie Area School District have an Infinite Campus account.

Parents/guardians who have not enrolled and established their child’s Infinite Campus account and do not have a parent portal, should complete the online request for enrollment. https://www.sunprairieschools.org/district/enrolling-students When parents/guardians have completed their enrollment and have a parent portal to their child’s Infinite Campus account, they will also establish a username and password for the portal.

Parents/guardians will need to enroll their child and create an Infinite Campus account if: ● They have not enrolled their children in the Sun Prairie Area School District ● Are joining us from Parochial, Private, or Homeschool site ● Are enrolling incoming Kindergarten students who did not attend 4K through the Sun Prairie Area School District.

Step by Step Summer School Course Request Directions Log into the Portal 1. Go to ​Website​, click on the icon on the right side of the page 2. From the portal login screen, enter the ​Username​ and ​Password​ that has been assigned. If you do not have a username and password you cannot register for Summer Programming.

Click the ​Login ​button. This will bring you to the main portal page where District and school notices will be listed.

Once logged into Campus Parent Portal, click the​ More​ button on the menu on the left hand side of the screen.

From the ​More​ menu click on ​Course Registration.

On this screen, you will see one of your children’s names in the top right hand corner of the screen. If you have more than one child, you will see a drop down on the right hand side. You must register each child individually. Use the drop down to toggle between children.

When you select one child, you will see the Summer School location where the child has been assigned. Click on that location.

When you click on the school location, on the next screen the ​Add Course ​screen will appear Click the ​Add Course​ button. A search screen will appear.

Please note the ​Not started​ area at the top of the page. As you complete your requests this bar will change to show the percentage of completion.

IF YOU ARE REQUESTING TRANSPORTATION, please click on the PLUS ​+​ sign in the ​Add Course​ section to add the transportation request (top of the list) for your child. ○ Please remember that district provided transportation is available for those who qualify.

Also, the bus pick up and drop off locations may be different than what your child will have during the regular school year. ○ District transportation will not necessarily pick up or drop off your child at your home, but at a location near your home.

Parents/guardians should arrange for an adult or older child to remain with your child at the bus pick up location until the bus arrives. Someone should be at the drop off site to greet your child when they return at the end of the school day.

Continue to register your child for Kickoff to Kindergarten.

If you do not see Kickoff to Kindergarten, you can enter a keyword in the ​Search Courses​ box in the ​Add Course​ section. ○ For example, if you type “Kindergarten”, all courses with that keyword will appear.

Parents/guardians of current 4K students can ​only​ request Kickoff to Kindergarten (K2K) (see description below) ●

If you want to read a description of the course in Infinite Campus before you add as a request, click on the course name and a description will appear. The fee for the course will also appear in the description.

You can add this course to your request by clicking the ​Add Request​ blue button on the bottom left hand side of the screen

If you do not click on the description, and do not use the blue ​Add Request​ button, you can click on the Plus ​+​ sign next to Kickoff to Kindergarten in the ​Action​ area in the​ Add Course section.

When you add the course, a box will appear and ask if you are submitting this course as a Request or an Alternate. Kickoff to Kindergarten is a ​Request (REQ).

Paying Summer School Fees 1. Payment for summer school can be made via the Infinite Campus Portal or remit payment via check to the Sun Prairie Area School District. a. Fees will not appear in the portal until course schedules are closed and registration processes are finalized​.

2. For step by step directions to pay online fees, visit ​the Making an Online Payment Help Document.

3. When fees are applied, the fees will appear in the following section of the portal.

4. If there are any refunds to be made at the conclusion of Summer School, parents/guardians will be given the following options: a. Have the amount applied to their child’s lunch account. b. Donate the remaining amount to the Summer School program. c. Have the amount refunded via check.

Questions and Answers If I register my Incoming Kindergarten Child (current 4K) for five weeks, can my child be absent for some of the time? ●

Yes! We prefer that children are present for all days (Monday-Thursday) of Kickoff to Kindergarten, but we understand that some children will be absent for various reasons. Please notify the office staff at the school site of dates of absences.

Will my child get into a class? ● ●

All students whose parents/guardians register them for Summer School will be included in the Kickoff to Kindergarten (K2K) class.

Summer School registration will open on March 15, 2021 and close on April 16, 2021.

How will I know if my child gets into a class? ●

Parents/guardians will get an online confirmation email after they register their children.

Parents/guardians should print and keep a copy of this confirmation email in case there are any questions.

Transportation - Eligibility We encourage parents/guardians to transport their children if possible. The district will work to distance students, but is unable to guarantee distancing at bus stops and on the bus.

Will my child be able to ride the bus from home to Summer School?

YES! Children ​who qualify​ for busing may ride the bus to Summer School if their parents/guardians ​register them for DISTRICT SPONSORED TRANSPORTATION before April 16, 2021 ● Students who qualify for busing must be registered for the full Summer School day (8:10 am-12:55 pm) to be transported ​to and from school. ○ Incoming Kindergarten (current 4K) students have one class option that is offered from 8:10 am - 12:55 pm. ● The district​ does not​ transport students to/from child care centers (i.e. Play Haven, Gingerbread House, etc.)

How do I know if my child qualifies for bus transportation? ●

Busing services are provided to elementary school students who do not live within walking distance of their assigned summer school site. For elementary school students to receive bus services, they must live more than one (1) mile from school.

Students who are within walking distance of ​their home school​ will walk to ​their home school and the district will transport them from ​their home school​ to the Summer School site that they will attend (if this site is a school other than their home school). ○ Parents/guardians must register their students for transportation prior to the April 16, 2021 deadline in order to ride the bus from their home school to their summer school site.

Students that live more than one (1) mile from their home school or summer school site, and registered for transportation prior to the April 16, 2021 deadline, will be assigned a bus stop location. Students may be assigned to a corner or park stop and will need to walk to that location to meet the bus.

What is a “home school” that is referenced in this information? ●

●

A “home school” is the elementary school that your child would normally attend during the school year, based on your child’s primary home address. Summer school sites are limited to 6 of the 9 elementary schools, so if your family resides in one of the 3 attendance areas where summer school is not being held your child will attend summer school at another location.

How is the district transportation for incoming Kindergarten students different than it was for 4K students? ● ●

Students must live in a busing eligible area of their summer school site to qualify for district busing.

Transportation eligibility is determined based on the student’s primary home address. If families need transportation to/from an alternate location (i.e. in-home child care) they will need to contact the Elementary Summer School Coordinator,​ Kristy Thao​, kythao@sunprairieschools.org​ ​for further direction. ○ The district does not transport students to/from child care centers (i.e. Play Haven, Gingerbread House, etc.).

How might the bus pick-up and drop-off locations be different during Summer School than during the regular school year? ● ● ●

Generally, 4K bus stops are “door-to-door,” meaning students are picked up and dropped off at their home or child care location.

K-5 students are assigned a ​bus stop at a common, more central location​ (i.e. corners or parks), NOT “door-to-door.”

While many summer school bus stops are the same as K-5 regular school year bus stops, some stops are moved or eliminated to create more centrally located stops for students attending summer school.

Parents/guardians should arrange for an adult or older child to remain with your child at the bus pick up location until the bus arrives. Someone should be at the drop off site to greet your child when they return at the end of the school day.

Additionally, if a student lives within the walking area of their home school, he/she will have to walk to school and take the bus from that school to summer school site. ​Parents/guardians must register their students for transportation prior to the April 16, 2021 deadline in order to ride the bus from their home school to their summer school site. ○ For example, if you reside in the walking area to Royal Oaks, your summer school location will be Meadow View. Your child will walk to Royal Oaks and take the bus from there to Meadow View, and vice versa after school.

How will I know which bus my child will ride? ●

The Sun Prairie Area School District Transportation directors will send information on the bus 1-2 weeks prior to the start of summer school to every parent/guardian of ​students who qualify for bus transportation AND who have registered their children for ​DISTRICT SPONSORED TRANSPORTATION before April 16, 2021.

Where is information on traffic safety for each school?

• Traffic safety information both general and for each school is located on the District Safety & Security website. o District General Traffic Safety Information • Following are the traffic safety plans for Summer School sites. o Creekside o Eastside o Horizon o Meadow View o Token Springs o Westside • We will also be teaching your child more about traffic and bus safety in the K2K program.

As we get closer to the start of Summer School, we will send forms to parents/guardians to let us know how your child will be coming to and departing from school. The form will ask for the following information: ○ How is your child arriving and departing Summer School (walking, private vehicle, bus) ○ Who will be delivering and picking up your child if they are being driven in private transportation. ○ Who are others, besides the primary person identified, who may drop off or pick up your child during Summer School. ○ Current BEST contact information for parents/guardians, and all others who may be involved in transporting your child.

How do I set up an account for breakfast and lunch? ●

When you register your child for Kindergarten, you will have the opportunity to set up a parent/guardian portal to Infinite Campus.

Your child’s food service account will be in ​Infinite Campus. ○ You can pay for your child’s meals online through the Infinite Campus portal.

Balances & Transactions ○ Your child’s food service account is located on the food service tab in Infinite Campus. ○ From this tab you may view balances and see the transactions for each child.

Payments ○ To make a payment into your child's account, click on the payments tab. ○ You may set up recurring payments at this site or simply make a one-time payment.

Parents/guardians may pay online (preferred method) or may send in cash or check payments. A phone call payment reminder will be made if your child’s food service account balance falls below $9.00. If you set recurring payments, consider selecting your low balance to a number higher than $9.00 in order to avoid phone call reminders.

• Yes! If parents/guardians have children in other grades who are eligible for free or reduced meals, your incoming Kindergarten child (current 4K) may also be eligible.

Where and how do I get an application for Free/Reduced nutrition?

• Please contact the Nutrition Office to make sure your child is included in this eligibility. If you have questions, please contact Julie Wetmore at 608.834.6544, or jrwetmo1@sunprairieschools.org • For parents/guardians who do not have children in other grades, you may apply for free or reduced meals by filling out a 2020-21 Free/Reduced Application and your family may qualify based on income or other criteria.

May my child be served breakfast and lunch through the District Nutrition program during Summer School? ● ●

YES! We offer breakfast and lunch for a fee at every elementary school every day of Summer School.

YES! We offer breakfast at every elementary school between 7:40-8:15 am and lunch between 10:45 and 11:45 am. Our youngest students will be the first ones to be served lunch. (The exact time for lunch depends on the group the students are with, and the class the students are in.)

Is my child required to eat the district sponsored breakfast or lunch? ●

No, your child does not have to eat breakfast or lunch, but if your child goes to the line where breakfast and lunch is being served, the servers are required by Board of Education policy to provide a meal. ○ If you do NOT want your child to eat breakfast or lunch that is offered for a fee by the Sun Prairie Area School District, you need to speak with your child and tell him/her NOT to get in line for breakfast and lunch. ○ Parents/guardians should NOT rely on the teachers or the nutrition staff members to keep children from eating breakfast or lunch. This is the responsibility of parents/guardians.

■ If students do not qualify for Free or Reduced Priced meals then breakfast and lunch is provided for a fee to the parents/guardians.

Should my child bring a snack to Summer School? ●

YES! We encourage parents/guardians to send a nutritious snack with their children to eat during breaks in the Summer School day. Please encourage your child ​not​ to share their snack with others. We want to ensure that your child gets a sufficient amount to eat and that students who may have allergies do not eat something that may prompt an allergic reaction.

Does the school or class offer snacks to the students? ●

Each school has a FREE fruit bowl available for students. We strongly encourage students to take fruit snacks whenever they like. The fruit bowl may be in the cafeteria or office area.

Parents/guardians should encourage their child about taking fruit daily if they like. ○ The class or school does not offer snacks, other than fruit, on a regular basis.

What do I do if my child has a food allergy? ●

Our district Nursing staff and our individual school health assistants monitor student allergies (and other health conditions). They will share only relevant food allergy information with the school nutrition staff, but parents/guardians should speak with their children about not taking food from other children to avoid any allergic reactions.

Safety Summer School is an excellent opportunity for our youngest students to join us in Kickoff to Kindergarten (K2K). Through this program, students learn about school during the summer and become familiar with our school structures and safety.

What will my child learn? ●

We provide information on a variety of safety practices during Summer School. Please review the information on the district ​Safety and Security website​.

We will teach all K2K students about the following in an age appropriate manner: ○ Fire Drills ○ Severe Weather Drills ○ Public Street Safety ○ Active Threat Safety Most students have experience with the various safety training and information and this is a positive reinforcement of what they have learned at home and in a pre-K setting.

How do visitors enter the school? ●

We have a safety protocol for visitors, including parents/guardians and their children when arriving at and departing from every school site. These are the same expectations the district has throughout the school year at all sites. The current ​District Visitor Protocol​ is posted on the district website.

Where are children dropped off at each site? ●

Students will either be dropped off near the playground or at the front of the school and travel through the building to the playground. Following is the location for student drop off for each elementary building (please click on the school name): ○ ○ ○ ○ ○ ○

Who will help my children to get to the right location?

• When students arrive (walking, by bus, or dropped off from a private vehicle), there will be support staff members and teachers awaiting their arrival.

• Elementary Summer School staff members wear pink bandanas to identify themselves as district staff members. Students should always look for pink! There will also be pink signs on the playground or in the building (Cafe/gym) in case of inclement weather.

• Staff members are very aware that new students are arriving and will help to make them feel welcome, safe, and comfortable.

• If a child has difficulty adjusting to the arrival on the first day, and parents/guardians need to be informed, the child will be taken to the office and staff will try and reach the parent/guardian via phone or email.

• We ask parents/guardians to help promote their child’s independence and have their child enter the school and/or playground on their own (including the first day of summer school).

What if a parent/guardian needs to accompany their child on the first day? ● ●

●

Visitors are discouraged as we continue to follow health and safety guidance from public health and the district. Visitors must be masked and go to the main office.

If a parent/guardian feels it is necessary based on their child’s needs, to accompany their child onto the playground or into the building, they must follow the current District Visitor Protocol​: ○ Enter at the building front office ○ Follow the directions for visitor entry ○ All visitors including parents/guardians must provide a picture ID that will be scanned into our RAPTOR visitor management system. ○ The visitor (parent/guardian) will be given a visual sticker badge with their name, the reason for their visit, the location of their visit, and when they will depart. ○ Once the visitor has the sticker badge, they can accompany their child to the location on the playground or in the Cafe/Gym. ○ When the parent/guardian departs, they must return the sticker badge to the office and be checked out.

Please be aware that this takes a bit of time and if there are many parents/guardians coming into the office on the first days, it will extend the time in the office.

Parents/guardians should not go directly onto the Playground or into the Cafe/Gym without completing the ​District Visitor Protocol​. Please help us to keep everyone safe by following the safety protocol the district requires of all visitors.

District Visitor Protocol​ are posted on the district website. Instructions are posted outside of every school near the Audio/Visual Intercom entry system. If you have questions, please feel free to ask the office staff or principal for clarification.

Health Issues What should parents/guardians do if their child has a health condition?

• Contact Debbie Brown , District Nurse, to discuss your child’s health condition at 608.834.6583 or dlbrown@sunprairieschools.org. We want to answer any questions you may have and make sure that we have the information we may need to keep your child healthy and safe at school. Parents/ guardians are always welcome to contact the health assistant at their child’s summer school site.

• Please review information on the District Health Services site of the Sun Prairie Area School District webpage https://www.sunprairieschools.org/departments/health-services What if my child needs to take medication during the day?

• Health assistants assigned to your child’s Summer School site will work with your child’s teacher to develop a plan to ensure that medication is taken. In order for school staff to administer a medication, parents/guardians must complete the medication administration form.

• Medication must be supplied to the school in the original labeled container. Parents/guardians should always feel free to contact the health assistant at their child’s summer school site.

What if my child is injured while at school? ● ● ●

Minor injuries will be treated and your child will continue in classes.

If there is an injury (beyond needing a band-aid), parents/guardians will be notified.

If there is a serious medical situation, Emergency Medical Services will be called to transport students to an area hospital and parents/guardians will be notified.

The First Days of Summer School PINK, PINK, PINK - look for PINK! Summer School Elementary Staff wear ​PINK Bandanas.

Playground meeting areas are marked with ​PINK Signs.

Visitor and entry procedures will be modified to comply with the most current safety and health guidance. This may restrict visitors to the playground and school.

Arriving at Summer School ● We invite parents/guardians to safely wait at the drop off and pick up locations before the start of summer school. o Please be aware that visitors are discouraged during the current pandemic. o If parents/guardians feel they need to accompany their child into the building or onto the playground, they must check in through the school office using the district visitor management procedures and follow current guidance used at all sites.

Parents/guardians should tell their children where the playground or indoor meeting area is located and instruct them to go to that location every day. (Teachers will give more information on the first days of summer school.)

• Parents/guardians may want to visit the Summer School site during the spring. Visits must comply with the current health and safety guidance. Check the school website and contact the regular school year principal.

• School staff will be on the playground and in the school building, but they will not meet your child at your vehicle (if you are driving your child). o Staff remain on the playground or in the building.

• Bus Students should have their bus tag on their backpack/bag. This will help identify your child and the class s/he is registered for. School staff look for these tags.

• Parents/guardians should put name tags on all of the items their child brings to school. Items that are misplaced will be taken to the office and returned to the child.

What if my child arrives late or has to leave early during the Summer School day?

Parents/guardians should contact the main office of the school to let the Welcome Center staff know their child will be arriving late.

Students who arrive late should come to the main office of the school with their parents/guardians. The staff at the Welcome Center will help your child get to his/her class. Visitors must follow all health and safety procedures in place.

Parents/guardians should come into the office with their late arrival child to ensure they are safely checked in and sent to class.

Parents/guardians should contact the main office of the school or send a note with their child informing school staff that the child needs to leave early.

Please include the date and time the child will be departing.

If someone different than the parent/guardian is picking up the child, please include that individual’s name and phone number in the message.

■ Parents/guardians, please also include your phone number on the early departure note.

Students should go to the main office to let the Welcome Center staff know that they are leaving. Students should depart with their parents/guardians or identified adult through the main entrance of the school. Parents/guardians may wait outside of the building to comply with current health and safety guidance.

Parents/guardians must come into the school office, or wait immediately outside of the office, to pick up their child when they are departing early. Please follow health and safety guidance for visitors.

Departing Summer School at the end of the day. ● ●

Parents/guardians should tell their children where they will meet them/pick them up when students exit the building or get off the bus at the bus stop at the end of the school day.

We encourage parents/guardians to wait at the drop off and pick up locations at the school and bus stop at the end of the summer school day. ○ If parents/guardians feel it is necessary to come into the building or onto the playground to pick up their child, they must enter through the main office and follow the visitor entry management procedures. Students will be called to the office to depart with their waiting parent/guardian.

• If a student is still at school after the regular departure time at the end of the school day, school staff will call parents/guardians to notify them that they need to pick up their child.

• School personnel will NOT transport children. Parents/guardians are responsible for transportation.
