• Conduct Risk Assessment in collaboration with all staff involved and compile a Risk Management Plan.

• Distribute finalised Risk Management Plan to all staff involved.

• Collaborate with all key stakeholders to ascertain logistics of the Event including emergency procedures that may arise.

• Ensure all contractors providing services at the Somerset Storyfest Festival have completed Contractor’s Agreements, are fully licensed and insured for Public Liability and WorkCover.

• Plan site for location of venues and service providers.

• Brief all staff and students in the procedures and expectation of the event.

• Induct all volunteers as to safety procedures during the event.

• Property is regularly maintained and identified trip hazards are rectified in a timely manner.

• Excess materials to be stored out of the way.

• Logistics staff set-up stalls, marquees, tables etc to ensure safety hazards are dealt with.

• Electrical cords and cables are set-up to ensure no trip hazards are created.

• Staff and Volunteers have been made aware that they need show caution in and around the venues.

• All students 15 years and under must be supervised as by an adult whilst located at the festival site.

• If any minor is suspected of abduction, notification must be given to festival organisers immediately and implementation of an Amber Alert within the Festival site will be conducted.

• Police notified by Festival organiser • Students being left unattended, should be directed to the Information Office, whereby school/parents will be notified.

• Security staff will be on site. Students will be directed indoors, and doors closed • Supervising staff and volunteers to monitor festival venue • All staff and Volunteers to monitor venues and be vigilant during the celebrations.

• Any anomalies to be reported to the event organisers immediately.

• Lock Down procedures to be implemented in the event of any acts of aggression.

Attack from Live Animals (Dogs)

• All dogs must pass a 10-point Dog Team Accreditation Test • All dogs on a lead at all times • Dogs are never left unattended

• Liaise with logistics to ensure a safe set-up and pull-down of all venues.

• Reduce access to venues during event.

• Designated drop-off points and collection points outside venue sites.

• A copy of each vendors Food Licence will be on show at their stall • Individuals who suffer anaphylaxis should carry their own EpiPen’s and in the event of a contamination, immediate attendance at the onsite first aid office • Food vendors should display signage to indicate ingredient content of food items. “May contains traces of Nuts”; “Contains Nuts”; “Gluten Free” etc.

• All events staff trained in first aid.

• Any medical casualties will be referred to Information office.

• Any medical incident involving known allergies and/or illnesses will be identified and treated at the Information office.

• Visiting students under control of their school’s supervising staff.

• First Aid area located within information office and noted on event maps.

• Festival goers showing any sign of illness MUST NOT attend the festival. All teachers attending with students will be sent information of symptoms relating to COVID-19 • Hand sanitiser available at all venues, bookshop and cafés • Signage reflecting good hygiene practices will be displayed throughout the festival site • Increased cleaning roster for festival duration • All volunteers inducted and briefed on emergency/evacuation procedures • Specific Festival procedures are in place for all guests at venues.
