Chaplaincy Father Andrew Kinmont, our College Chaplain, plays a vital role in providing Christian guidance to the Saint Stephen’s College community. Through weekly Chapel services and special ceremonies, he fosters a sense of faith, hope, and spiritual connection among students, staff, and families. Father Andrew’s compassionate approach encourages reflection, kindness, and support for everyone within our College. In support of the Saint Stephen’s College P&F Helping Hands initiative and Parents and Friends Association, he actively contributes to fostering a caring and connected community. Access to Campus Access to the College is restricted during school hours. The College asks that parents, volunteers, and visitors attending pre-arranged appointments during this time, park in the Eastern Carpark and sign in at Junior College Reception. Upon signing in, visitors will be issued a name badge, which must be worn visibly while on campus. The staff member receiving the visitor will collect them from the reception area and accompany them while on campus.
Late Arrivals and Early Departures If your child is going to be late for school or leaving early, this must be lodged via the Parent Lounge. Alternatively, this communication may be made through the College App or via the absentee line. The arrangements for signing your child in or out differ between the Junior and Senior College, as outlined below. Junior College Junior College students are required to sign in and sign out at Junior College Reception. Parents and/or Carers are asked to park in the Eastern Carpark and wait at Junior College Reception. Parents and/or Carers are asked not to walk through the campus. The student will be brought to reception to be signed out. Senior College Senior College students must sign in at the Student Welfare Centre if they arrive late. For early departures, it is important to follow the procedures below. 1. Email or call in the morning Please email or call Senior Absentee (snrabsentee@ssc.qld.edu.au or 07 5573 8675 in the morning advising of the early departure and the time your child will be leaving. This allows us to prepare and minimise disruption to classes. 2. Call when you arrive When you arrive and park in the Western Car Park, please call the Senior Absentee line 07 5573 8675 and leave a message to let us know you are on site and ready to collect your child. 3. Student readiness Students must know in advance what time they are leaving. They should come to Student Welfare five minutes before that time, sign out, and wait there. If a student is unaware of their departure time, we are required to contact the classroom, wait for the student to arrive at Student Welfare, allow time for them to go to their locker, gather their belongings, sign out, and then prepare for departure. On average, this adds approximately 15 minutes to the process and significantly slows pick-up for everyone. Please also note that there will be no early pick-ups permitted after 2.30pm, unless there are exceptional circumstances, as this time coincides with end-of-day procedures and creates significant congestion on site. Note: Students in Year 12, or those included on the approved Permission to Drive list, may depart the College independently after signing out at Student Welfare Centre, provided parent or caregiver permission has been received.

Student drivers are permitted to drive other students to and from school, provided permission has been given by the parents/carers of all students travelling in the vehicle. This permission must be provided via email to snrabsentee@ssc.qld.edu.au and must clearly identify the students travelling together. For example, if four students are travelling in one vehicle, permission must be received from the parents/carers of all four students, noting the other students in the vehicle. Permission for siblings to be transported by their older sibling must be formally indicated on the College Driver Permission Form. For both Junior and Senior College early departures, please allow sufficient time for your child to leave class, collect their belongings, and walk to reception to complete the sign-out process. If another person is collecting your child on your behalf, written permission must be provided beforehand.
Absences Parents/Carers are required to notify the College if a student in Prep to Year 12 will not be attending school. The College preference for absence notification is via the App or absentee email listed above. In the event that your child has been marked absent and the College has not been notified, you will be sent a text message asking you to verify the absence. Note: If you receive a text message but believe your child to be at school, please phone the College to confirm that they are present. If your child misses roll call for any reason and no notice has been provided, a text message will be automatically sent.
Before and After School Saint Stephen’s College’s standard operating hours are between 7.55am and 3.30pm. There are no staff on duty on the grounds outside of these hours. If students are on campus before 7.55am or after 3.30pm, they must be in an organised activity. The College provides supervision in the Junior Hub from 7am to 7.55am for all students, and in the Library from 3.05pm to 5pm (4pm on Fridays) for students in Years 5 to 12. Supervision for students from Prep to Year 6 is available through Outside School Hours Care (Village OSHC) until 6pm. Parents and Carers waiting to collect their child directly after school or from an after-school activity are asked to wait in designated locations. •
For Junior College, parents and carers should wait in their car in the Eastern Carpark or at the seating area outside the Campus Shop.

For Senior College, parents and carers should wait in their car in the Western or Weir Drive carparks, or at the table next to the Chapel.
Only parents or carers collecting their child from OSHC should be on campus before or after school hours. Playground areas are not open unless a staff member is on duty. Parents and siblings are not permitted to access playground spaces. If a student is on campus outside the operating hours of 7.55am to 3.30pm, they must be under staff supervision in the areas outlined above and not in any other area of the campus.

College Transport College Traffic Management Plan The current College Traffic Management Plan has been highly successful in providing a system to maximise student safety, pedestrian and traffic flow while minimising traffic congestion. It provides families with details on how to best access the campus, especially during peak times. In the interests of student safety, the College expects our community members to act in accordance with our College values. College Bus Service Saint Stephen’s College has commenced a new partnership with StudentRide and Kinetic, to continue providing a high-quality bus service, with minimal changes to our existing six routes. The StudentRide app requires to manage and pay for bookings, track travel in real time, and update any changes. Families wishing to utilise the College bus service are encouraged to secure their child’s seat as soon as possible by visiting the parent portal To avoid disappointment, we recommend making your booking early, as seats are allocated based on availability. Assessment Assessment is an integral part of the course work of many subjects and are often involves work both in and out of the classroom. Students are expected to adhere to the College’s Assessment Policy to develop the organisation and management skills required for meeting deadlines and due dates. A copy of the Assessment Policy can be found online via Links in Student Café and Parent Lounge. Thursday 30 April Student Conduct When students are on or off campus, they are representatives of Saint Stephen’s College, and as such, must adhere to the uniform and behavioural expectations as outlined in the College’s Student Code of Conduct and Uniform Expectations. Camps Students in Years 3 to 12 are involved in the College’s Camp Program. Students will be faced with various challenges designed to push them out of their comfort zone in the hope of discovering more about themselves. Activities during the Camps Program are developed to be appropriate for the age and stage of the students participating. Communication/Messages While we understand that every parent does their best to make sure all information and arrangements are passed on to students before the school day begins, we also understand that sometimes things change. such as these, every effort will be made to ensure that important information, such as changes to pick- up arrangements, is passed onto your child as soon as possible. Parents are encouraged to contact the Senior or Junior Administration Office. If this office is unattended, please contact Main Administration to ensure your message is passed on. Consent (Media and Use of Images) As part of College activities, the College may collect photographs, video recordings and other images that identify students, parents/carers or staff. Where an individual can be identified, images are considered personal information under Australian privacy law. Images are collected directly during authorised College activities and events and are used for the primary purpose of communicating and promoting College programs, activities and achievements. This may include use in newsletters, promotional materials, internal publications, the College website and official College social media channels. The College only collects and uses images where this is reasonably necessary for its functions and activities. The College recognises that publishing images, particularly of children, requires care and must prioritise the safety, dignity and wellbeing of students. In line with the Child Safe Standards and best practice guidance, the College seeks express consent from parents/carers before using identifiable images of students, especially where images may be published publicly or online. Parents & Carers Parents/carers are asked to log into Parent Lounge to review and manage their child’s media consent preferences. Consent may be withdrawn at any time. Withdrawal of consent will apply to future use, and the College will take reasonable steps to remove images from College-controlled platforms where feasible. Images already published in printed materials or shared externally may not be able to be fully retrieved or removed. Images published on websites or social media platforms may be accessible outside Australia, as these platforms often host content internationally. As a result, images may be accessible to individuals or organisations outside Australia who may not be subject to Australian privacy laws. All media content is securely stored and managed in accordance with the College’s Privacy Policy and Parashift’s Privacy Policy. Parents/carers may request access to, or correction of, images that identify their child at any time. Further information about how the College manages personal information, including how to make a privacy complaint, is set out in the College’s Privacy Policy. Mobile Phones/Smart Watches The increased ownership of mobile phones and smart watches requires that College administrators, teachers, students, and parents/guardians take steps to ensure they are used responsibly. To guard against possible misuse, theft and/or damage to devices, students are required to store their devices in their lockers in Senior College or with their classroom teacher in the Junior College. Devices cannot be seen or heard from the time a student arrives on campus in the morning until 3.05pm. Should you need to contact your child during the school day, please contact the Senior or Junior Administration.

It is the responsibility of students to keep their locker neat and tidy. Students are issued with a combination lock to access their allocated locker during term. Students are also encouraged to maintain the confidentiality of this combination to ensure the security of their belongings. Should a student forget their lock combination, they are required to contact their Tutor or Head of Year. Please note that the College does not accept responsibility for missing items that have not been stored correctly in a locked locker. Lost Property Lost property may be claimed from the Junior Administration or the Student Welfare Centre or alternatively from the container at the Consolidations building. Please ensure all property is clearly named to avoid losing items. College Nurse The College has a nurse available to support students throughout the regular school day. To ensure we have the most up-to-date health information for your child, please update their health details on Parent Lounge each year. This helps our nurse provide the best possible care and ensures the College maintains accurate health records. Dogs on Campus To ensure the safety, wellbeing, and comfort of all members of the College community, dogs and pets are not permitted on campus at any time. The only exception is for College-approved therapy dogs that are part of an authorised wellbeing or educational program. These therapy dogs must be formally approved by the College, and will be appropriately trained, supervised, and comply with all relevant health, safety, and risk management requirements. No other dogs, including pets, are permitted on campus grounds.

Performing Arts The Saint Stephen’s College Performing Arts program seeks to deepen the understanding of the human spirit and behaviour through music, singing, acting, improvisation, performance, directing, dance and collective creativity. Students are encouraged to discover their world through creative platforms, empowering them with lifelong tools for their future endeavours.
Music Music programs at Saint Stephen’s College offer students a blend of academic curriculum plus extracurricular opportunities in string groups, bands and choral groups. Students in the Junior College enjoy exciting, engaging lessons as well as being introduced to instrumental music through the Year 3 Strings Program , Year 4 Instrument Program and Year 5 and 6 Band Program.
Extracurricular Music Saint Stephen’s College offers instrumental and vocal lessons in individual, paired or small group tuition. Many of our tutors are active performers, providing students with real world education and experiences. Students taking extracurricular lessons are encouraged to participate in various performing arts festivals and competitions both individually and with their ensembles. Tutors will also recommend and help students prepare for exams including AMEB, Trinity and Australian Guild of Music.
Optima Programs As part of our music excellence programs, the College also offers students the opportunity to join the Optima String Quartet and Optima Voices. The Optima String Quartet is the pinnacle of our highly accomplished and awarded Chamber Music Program which includes string duos, piano trios and string quartets. The Optima Voices is our premier vocal performance group and is made up of our strongest singers with a focus on contemporary, popular and musical theatre repertoire. Both programs have feeder groups in the Emerging Chamber Music and Emerging Voices Programs, which are aimed at students primarily in Years 5 to Year 12.

APS Sports Saint Stephen’s College has a compulsory Sports Program for all students in Years 4 to 12. Saint Stephen’s College is part of the Associated Private Schools (APS) which conduct regular competitions each Thursday (Years 4 to 6) and Fridays (Years 7 to 12). Most sports have no cost other than bus transport which is included in College fees each term and the College provides all playing equipment except personal protective equipment such as mouth guards and shin pads etc. In addition to the above sports: • Carnival Sports (Swimming, Cross Country and Athletics). • Individual Regional Sport Representation is also available for all of the above sports, plus Golf and Surfing, among others. Co-Curricular and External Provision Optima Sporting Programs Saint Stephen’s College has four Optima Sporting Programs. Our Basketball, Cricket, Soccer and Netball programs have been selected to meet the needs of our high performing students. At the College, we use a Long-Term Player Development Model and structure our sporting programs around this model to help our student athletes develop and achieve short and long-term goals. The Optima Sporting Programs are available for students in Years 4 to 12. The purpose of the program is to develop the overall athletic ability of each child whilst focusing on their specific sport. Students in each program have one compulsory speed and agility session, one compulsory strength and conditioning session and one compulsory field/court session in their chosen sport. Each session is tailored for students’ needs and abilities by our expert staff. Students in the programs will also be exposed to nutrition in sport, high performance training, recovery and injury prevention and management through various experiences. The programs’ goals are to have students achieving individual success through selection in representative teams as well as team success through APS sport and other school-based competition

Parental Engagement At Saint Stephen’s College, we believe education is a collaborative journey and parents and carers are vital partners in their child’s learning experience. Our engagement strategy fosters meaningful collaborations, open communication, and a shared responsibility in shaping students’ academic, social and personal growth. Through regular workshops, information sessions, digital tools and social events we aim to keep parents informed, involved, and empowered to support their child’s progress. These initiatives nurture a shared understanding of learning goals and strategies, ensuring Parents and Educators work together to create an inspiring environment where every child can thrive. The Community Calendar is available to parents and carers via Parent Lounge or the College App. Parents and Friends Association Saint Stephen’s College is a community that has a strong sense of engagement and pride. It is the strength of our broader College community that sets us apart. Diverse but connected, our community comprises families who genuinely care for one another and lift each other up. Saint Stephen’s College is a place where every family finds a home and can truly belong. Parent and guardian involvement in school life is an integral part of the Saint Stephen’s College spirit. The Parents and Friends Association brings together a dynamic and committed group of parents, carers and guardians to foster fellowship and community spirit and to support College programs and initiatives. All parents, carers and guardians of students attending Saint Stephen’s College are members of our Parents and Friends Association. The Annual General Meeting is held in early March of each year, with monthly P&F meetings held during the School Term. The Parents and Friends Association hosts many fantastic fundraisers and engagement activities throughout the year. College Canteen Food is available to order from the College Canteen for both Morning Tea and Lunch. To place orders, the College uses the Flexischools platform. Parents can register via the website at https://flexischools.com.au or by downloading the Flexischools app. Once logged in, please select Saint Stephen’s College from the dropdown menu. After signing in, you will be able to view the current canteen menu, place orders, and make payment. Online orders close at 8.30am each school day. Orders placed by calling the Canteen after this time may be accepted, however availability of menu items cannot be guaranteed. Students in Years 4 to 12 may also purchase food directly from the Canteen from 8am, during Morning Tea and Lunch, and on selected afternoons until 3.30pm. Please note that payment via a student’s mobile phone is not permitted, in line with the College’s Mobile Phone Procedure.

College Campus Shop The Campus Shop is located in the Junior Hub and is to be accessed via the Eastern Carpark. The College Campus Shop stocks all uniform items from Prep to Year 12. Price lists are displayed at the College Campus Shop. Uniforms can be fitted during opening times; please call to confirm 07 5573 8640. Opening hours Monday to Thursday: 7.45am to 12pm, 1pm to 3pm. Friday: 7.45am to 12pm (Midday) only. Flexischools on-line uniform orders Order online Stationery and Textbooks Stationery for students in Prep to Year 6 is included in school fees. Stationery for Years 7 to 12 can be purchased at the College Campus Shop or online Textbooks are provided for all students as part of school fees. For students in Years 7 to 12, the College will hold a refundable textbook deposit of $100 for each student. This deposit will be refunded when the student leaves the College, provided all textbooks are returned. Uniform All students are expected to wear the correct uniform whilst at school, as well as whilst travelling to and from the College, either by bus or private transport. This includes the wearing of the hat that matches the uniform. There are no uniform exemptions. Students not wearing the correct uniform, or mixing and matching, will receive a warning. If a student receives multiple warnings in a semester, there will be a consequence issued. Repeat breaches of the College’s Uniform Expectations will be referred to the appropriate staff member for further action, which may include a student’s temporary withdrawal from College activities. The College recognises that life does not always run to plan and hiccups are inevitable. In incidences such as these, please write a quick note that can be forwarded to your child’s Tutor, classroom teacher/s, or Head of Year.
