Introduction

This handbook is designed for you to review prior to commencing your placement with the College. The overall Supervisor of the Pre-Service Teacher Program is Dean of Operations and Development Mr Sam Cleary.

Pre-Service Teacher Placement Procedure

Dear Pre-Service Teachers

We value the important contribution that Pre-Service Teachers make to our learning community, and we appreciate your commitment to developing your skills while supporting the educational experiences of our students.

To ensure a safe, compliant, and supportive environment for everyone, our Placement Registration Procedure below outlines the requirements for all Pre-Service Teachers undertaking professional experience at the College.

What is Required to Volunteer for Pre-Service Teacher Placement at Saint Stephen’s College?

Step One

Pre-Placement Requirements

All Pre-Service Teachers must:

• Provide a placement confirmation email from their tertiary institution

• Provide your current Blue Card and another form of ID that shows your D.O.B.

• Complete an Emergency Contact Details Form Emergency Contact & Details Form

• These documents can be emailed to preserviceteachers@ssc.qld.edu.au

On your first day of placement, please bring with you 100-points of identification, refer to NPC-100 Point Checklist for the types of acceptable documents. Placement cannot commence without these points of identification being sighted on campus. See page 6 under Meetings.

Collection Statement

Saint Stephen’s College is collecting this information for the purpose of assessing your suitability in a PreService Teacher placement program with the College. If you choose not to provide this information, we will be unable to assess your suitability for participation.

Child Protection Training - Volunteers

ISQ has developed a 20-minute online training presentation for volunteers working in independent schools. This training is included in your volunteer induction process and annual compliance training program for volunteers - see Volunteer Child Protection Training Factsheet. Disability Standards Training - Volunteers

Prior to your arrival on campus, and after you have received your College email address from the IT Department, we ask that you complete another piece of ISQ training below.

• Register for Connect & Learn via the ISQ (Independent Schools Queensland) website link

• Please ensure you register with a Saint Stephen’s College email address as it fast tracks the process.

• Complete the Disability Standards Training

• Once you have completed your ISQ training session, please send a copy of your certificate to preserviceteachers@ssc.qld.edu.au

Step Three

Safety Fundamentals Training

You will undertake Safety Fundamentals Training as part of your induction with Sam Cleary.

Step Five

Reportable Conduct Scheme

From 1 July 2026, Queensland's Reportable Conduct Scheme applies to Saint Stephen's College. The scheme covers allegations of harm-related conduct towards students by any worker of the College, and the definition of worker includes pre-service teachers on placement.

As a pre-service teacher, you must understand your obligations under the Reportable Conduct Scheme including what may be defined as professional boundaries. This information is outlined in the Saint Stephen’s College Student Safety and Wellbeing – Staff Code of Conduct

The reporting pathway is set out in the College’s Student Safety and Wellbeing - Raising and Responding to Concerns Policy and Procedure above. Reporting obligations under the scheme sit with the Principal as head of the reporting entity; your responsibility is to raise concerns promptly, not to investigate them.

Mandatory reporting obligations

As a staff member (as defined in the College’s Student Safety and Wellbeing Policy), if you become aware or have a reasonable suspicion that a student has been or is likely to be sexually abused, you must report your concern to a Student Safety and Wellbeing Officer. Further information is provided in the College’s Student Safety and Wellbeing - Raising and Responding to Concerns Policy and Procedure (use the link on page 5).

Step Six

Pre-Service Teacher Position Description

The College’s Pre-Service Teacher Position Description is currently under review. An overview of the role and the expectations for Pre-Service Teachers will be provided during your face-to-face induction with Sam Cleary, Dean of Operations and Development, in your first week of placement.

Coming onto Campus, Staff Parking and Meeting information

Parking

All staff, including Pre-Service teachers, are to park in the car parks nearest “P” on the College Campus Map, accessible via the Western Gate. The other option for staff is to park in the Weir Drive car park. This is the car park on Reserve Road opposite the College’s Western Gate entrance next to Coles. Staff are allocated the lines of parking closest to the Coles Supermarket to allow for traffic flow during drop-off and collection times. The Eastern Car Park is not to be used by Pre-Service teachers.

Signing In/Out

If your placement is in the Junior College (Prep to Year 6) please sign in and out at Junior Hub reception location 8 on the College Campus Map You will be required to wear a green Volunteers lanyard every day while on campus for identification purposes.

If your placement is in the Senior College (Year 7 to 12) please sign in and out at Main Administration location 1 on the College Campus Map. You will be required to wear a green Volunteers lanyard every day while on campus for identification purposes.

It is very important to sign in and out each day as the attendance sheets will be emailed to your university after completion of your placement.

Meetings

The schedule for your first day is:

1. To arrive at 8am at Main Administration location 1 on the College Campus Map. A staff member will meet with you to sight your 100-points of identification, refer to NPC-100 Point Checklist

2. In your first week of placement (preferably on your first day), you will be invited to an induction meeting (through Outlook calendar) to meet with Sam Cleary, Dean of Operations and Development.

3. Your mentor teacher will take you on a tour of the College at a time that suits you both.

4. During your placement you will be invited to several meetings with other key staff. Please read your Saint Stephen’s College emails and respond to all invitations to meetings

Privacy and Data Breach Management

• Sensitive Information (medical information and other personal details) has a higher degree of protection under the Privacy Act

• Staff are not to disclose this information to other parents or students e.g. it is not appropriate to help parents by telling them the names of other parents with a child having the same learning difficulty, without gaining permission first. This requirement also includes not projecting the TASS class roll as it has medical alerts and reasons for absences.

• Data Breach - If information is lost, stolen, hacked, or displayed/emailed to unintended recipients, it MUST be reported to Josie Burford, Director of Risk and Compliance, and/or David Craft, Director of ICT, on privacyofficer@ssc.qld.edu.au They will apply the management procedure to determine the appropriate remedial action

Playground Duty

• All Pre-Service teachers are required to supervise playground duties with their mentor

• This will involve monitoring students to ensure safe play environments for all, gently redirecting play that is inappropriate or dangerous. If there are any major incidents, or if any students are injured, you are to ensure that your mentor is aware of these. Also ensure that you ask for support or direction if required on any incident to ensure that our Duty of Care has been met

• All Pre-Service teachers are to be punctual in their duty area

• At the end of each duty, teachers are to ensure that all students are heading back to their classrooms ready for classes.

Additional Responsibilities

• Pre-Service teachers who work in Years 4 to 6 may be required for after-school sports training. They may also be expected to travel on the bus with students to competition rounds

• Pre-Service teachers may be invited to observe parent teacher conferences, if this is acceptable with all parties involved.

• Pre-Service teachers may be invited to attend information evenings or special events outside of school hours, if that is associated with the year-level placement that they are working on.

• If there is a special event day e.g. sports carnival, activity day, etc. the Pre-Service teacher is expected to involve themselves fully in the event, as guided by the mentor teacher

The College ALL STAFF Phone list and list of Junior College Staff Classes, Roles, Phone & Room Numbers will be updated at the start of each term and sent out via email to all staff.
