PROGRAM DESCRIPTION BEFORE SCHOOL CARE CHILDREN’S CENTER ONLY Morning care is offered at Children’s Center from 6:45am until it is time for the staff to drop the children off at school. During this time, the children engage in freechoice activities, followed by a supervised walk to Jerabek Elementary School. TK and kindergarten students will be walked to their classroom by a staff member.

Students in grades first through fifth will be dropped off at school to walk to their own classrooms.

AFTER SCHOOL CARE We provide after-school care Monday through Friday, beginning at dismissal and extending until 6:15 pm at the Children’s Center and 6:30 pm at All Around Fun. Our school-age programs are designed to accommodate minimum-day schedules, offering a seamless experience for families.

Each school has a designated meeting spot where our staff warmly greets and signs in each child. Transitional Kindergarten (TK) and Kindergarten students are picked up directly from their classrooms, while first through fifth graders meet our staff at the designated location. From there, children are supervised as they walk or shuttle to their respective sites: Jerabek students are brought to the Children’s Center, while Miramar Ranch students are taken to the Aviary location.

On Thursdays and other minimum days, students should eat lunch during their school’s allotted lunchtime. If the school doesn’t provide a lunchtime or the child doesn’t finish their lunch, a non-perishable lunch should be packed to enjoy upon arrival at the facility.

Our after-school program goes beyond homework time, offering a variety of engaging and age-appropriate activities such as art, and crafts, cooking, extracurriculars, and quiet play. During the warmer months, children might enjoy swim time on Thursdays and select other days.

EMERGENCY CARE Emergency Drop-In is offered (for an additional cost) when school is in session (provided space is available) and for currently enrolled participants. Prior arrangements must be made with the Program Director.

STAFF AND SUPERVISION OUR STAFF At Scripps Ranch Swim & Racquet Club, we take pride in providing exceptional care in our licensed before and after-school programs. Licensed by the State of California’s Department of Social Services Community Care Licensing Division, we prioritize your child’s safety and well-being.

Our dedicated staff undergoes comprehensive fingerprinting, rigorous background checks through the Department of Justice and FBI, and official clearance from Community Care Licensing. (Learn more about this process HERE.) We maintain a 1:14 staff-to-student ratio, ensuring your child receives personalized attention and supervision in alignment with licensing standards.

Our team of educators is highly qualified, with many staff members bringing valuable hands-on experience from recreation programs, camps, and childcare services. This practical background enriches the quality of care and activities we provide.

For staff members driving our passenger vans, we guarantee valid driver’s licenses and thoroughly review driving records for your peace of mind.

At SRSRC, we are committed to creating a safe, nurturing environment where your child can flourish.

HIRING STAFF TO BABYSIT On occasion, parents might ask the staff to babysit. Scripps Ranch Swim & Racquet Club does not authorize or take responsibility for any services that Scripps Ranch Swim & Racquet Club employees might provide outside of Scripps Ranch Swim & Racquet Club employment.

SNACKS AND LUNCHES The SRSRC School-Age Programs may designate areas of the facility as NUT-FREE. If your child attends the program in a nut-free classroom, please do not send items containing peanuts, tree nuts, or nut butter.

All Around Fun will provide a light afternoon snack. Snack is not provided at the Children's Center. Parents must send enough food and fluids with the child for the day. Children will have the opportunity to refill water bottles at the drinking fountain.

For dietary reasons, children are not allowed to share food with others.

SRSRC School Age Programs do not provide lunches or other lunch items on minimum days. Parents are responsible for providing a nutritious, non-perishable lunch with all the necessary eating utensils on minimum days their child attends. For dietary reasons, children are not allowed to share food with others. If a child forgets his or her lunch, lunch will be provided for a $10.00 fee.

Please note: SRSRC staff cannot heat food for children in the school-age program.

HOMEWORK On Monday, Tuesday, Wednesday, and Thursday, 30-45 minutes is allotted for homework. During homework time, the staff will be more than happy to assist your child with their homework. Due to the staff-to-student ratio, one on one time is limited. If your child does not have any homework, we will have quiet activities (reading, grade-level workbooks, etc.) to keep them engaged. If children need more time to work on their homework, they are welcome to do so during free choice activities, however, we encourage all children to participate in the group activities.

MOVIE DAYS During the school year, movie days may be held on minimum days or Fun Fridays.

All movies shown will be rated G or PG, ensuring they are family-friendly. Children can watch the movie or participate in alternative activities, such as coloring or playing a quiet game in the same room as the movie. If a larger group of children prefers not to watch and staffing allows, arrangements may be made to supervise them in another area, such as a different room, or the playground.

SWIMMING When the weather permits, swimming may be offered as an activity during the year.

Children who participate in swimming must bring a swimsuit, a towel, and a waterproof bag for their belongings.

If your child requires assistance with sunscreen application, our staff is happy to help—provided we have a sunscreen waiver on file. If you prefer your child to use a specific sunscreen, please include it with their swimming gear.

FIELD TRIPS On minimum days, school-age programs may offer field trips at an additional cost.

These trips are scheduled and announced in advance, with limited spots available.

Registration can be completed with the program director, and the cost will be added to your SRSRC bill.

Parents in the Children’s Center program can sign up via the lobby’s sign-up sheets, while AAF families can register by contacting their program director. If your child does not attend the field trip, they will follow the regular schedule of activities.

Field trips may involve walking or transportation in SRSRC passenger vans. Note that recent behavior issues may result in losing field trip privileges

ITEMS FROM HOME Children are welcome to bring curriculum or coloring books during the week to enhance their experience. However, the program cannot be held responsible for any items that may be lost, damaged, or stolen. We strongly recommend labeling all belongings and leaving valuables at home to avoid this. Lost and found bins are located throughout the property, which are cleaned out periodically, and unclaimed items may be donated or otherwise removed. Prohibited items, including weapons, alcohol, and drugs, are strictly forbidden and will lead to immediate removal.

PROGRAM ATTIRE Ensure your child is dressed comfortably and brings or wears tennis shoes daily to participate in all activities safely. We also recommend packing a water bottle to keep your child hydrated throughout the day. If a clothing change becomes necessary and no extra clothes are available, we will provide clean cloths to borrow or will contact the parent/guardian to provide a change of attire.

SIGN-IN/-OUT PROCESS SIGN-IN/-OUT POLICY Community Care Licensing requires that every child attending the program must be signed in & out with a full legal signature, including the exact time, by an authorized adult. Authorized individuals must be over 18 and on the pick-up list with a valid I.D. We must have a written authorization email or Procare assigned to each authorized individual for any other adult not listed on your registration forms. For this reason, please make sure your forms and Procare profiles are up to date.

SRSRC staff reserve the right to check any person’s ID who comes to pick up a child and/or ask for their assigned code. Please inform any other authorized person picking up your child(ren) that they must show ID to a staff member. The AAF signin/out QR code is in the Big Room with a staff member nearby. DISCIPLINE AND BEHAVIOR DISCIPLINE POLICY AND BEHAVIOR REPORTS Corporal or physical punishment is strictly prohibited. Behavioral issues are first addressed through communication with the child. If disruptive behavior persists, the child may be temporarily removed from the activity and monitored by a staff member until they are ready to return. In such cases, an Incident/Behavior Report may be completed and shared with parents.

Repeated misconduct or actions that harm or endanger others, staff, or the child themselves may require a conference between the Program Director and parents.

After three Incident/Behavior Reports, the child may face an action plan, suspension, or removal from the program, depending on the frequency and/or severity of the behavior. Serious incidents that threaten safety may result in immediate suspension or removal, regardless of prior reports, at the Director’s discretion.

A child removed from the program will be ineligible for SRSRC youth programs, including childcare and camps, for a minimum of 12 months from the removal date.

Re-enrollment requires prior approval from the childcare directors. Parents are responsible for arranging alternative care in cases of early pick-up, suspension, or program removal. Final disciplinary decisions are at the sole discretion of the Director to ensure the safety and well-being of all participants.

BEHAVIOR REPORTS Behavior forms will be used to help document good behavior and behavior of concern about which we feel the parents should be made aware.

REGISTRATION AND ADMISSION ANNUAL ENROLLMENT Program participants must re-enroll annually. Notice will be sent out when it is time to do so, along with a response deadline. If no response is received by the stated deadline, your child’s spot in the program will be made available to another family.

SIBLING AND MEMBER PRIORITY REGISTRATION SRSRC members have priority in SRSRC School Age programs. Your child must be listed on your active membership account to be considered as a member.

Membership accounts must be under the parent/legal guardian with the child listed on the parent’s/legal guardian’s account. This priority system is also used for the interest list system. You may add your child to the waiting list at www.srsrc.com.

The Priority Status is as follows and is based on licensing capacity: 1. Current School Age Program participants 2. Current SRSRC Preschool participants entering elementary school 3. Siblings of current School Age or Preschool Program participants 4. MEMBERS not currently enrolled in a licensed SRSRC child care program* 5. NON-MEMBERS not presently enrolled in a licensed SRSRC child care program* *Camps do not qualify as licensed SRSRC child care programs.

ADMISSION FORMS Parents must complete registration forms before their child’s first day of attendance.

These forms, sent via Procare, must be filled out exclusively on a laptop or desktop computer. As mandated by the State of California’s Department of Social Services Community Care Licensing Division, all forms must be completed and submitted before your child can participate in the program. To help keep our program compliant, please promptly notify us of any changes to medication or health concerns, contact information, or names on your emergency or authorized pick-up list.

TUITION AND SCHEDULE ANNUAL REGISTRATION FEE An annual, non-refundable registration fee is due at the time of enrollment to secure a space for your child. This fee and monthly tuition will be billed to your membership account or child care account. The tuition rate is figured off a monthly rate, which may fluctuate during the months when there is a whole week or more off of school.

TUITION POLICY Monthly tuition bills will be issued for your child and are due by the 20th of each month. The billed amount is determined by the school schedule option you have selected for your child(ren). A late fee of $15.00 will be applied for payments made after the 20th. Please note that tuition is not prorated for missed days or absences

NON-MEMBER CREDIT CARD CHARGE AUTHORIZATION Non-members must complete a Recurring Credit Card Payment Authorization form to finalize their registration. The monthly account balance will be automatically deducted between the 5th and 8th of each month. At the time of enrollment, the provided credit card information will also be used to collect the annual, nonrefundable registration fee. Registration is considered incomplete until both the authorization form and the fee are submitted.

A non-member account will be set up exclusively for sending program-related invoices. Please note, this account does not grant membership privileges at SRSRC.

PAYMENT AND ACCOUNT POLICIES If a check for tuition, yearly registration, field trips, or related program fees is returned due to insufficient funds, all associated bank charges and a $15.00 fee will be added to your account.

For past-due accounts, including online registrations for other SRSRC programs, a written notification requiring payment within 14 calendar days will be sent. Accounts that remain unpaid may result in delayed enrollment, suspension, or dismissal from the program. Members using services while carrying delinquent membership fees may also face program termination. SRSRC reserves the right to discontinue services at any time for unpaid accounts. Additionally, all account information may be used for collection activities as necessary.

ABSENCES When your child will be absent, please notify the Program Director by telephone or email by 10:00 a.m. that day. Failure to notify the program may result in a $15.00 charge added to your account. Because our programs and licensing requirements force us to engage staff based on the number of children enrolled, we cannot give refunds, credits, or exchanges for days your child is absent.

SCHEDULE CHANGES To meet capacity and staffing requirements, your schedule for your child(ren) must remain consistent throughout the school year. If you wish to make a schedule change, a written request must be submitted at least 30 days in advance. Schedule adjustments will be accommodated based on space availability and require approval from the Program Director.

Please note that Scripps Ranch Swim & Racquet Club reserves the right to modify schedules, program hours, and monthly tuition rates with a 30-day notice.

PROGRAM WITHDRAWAL If you would like to discontinue enrollment in the program, a 30-day written notice is required.

PROGRAM HOLIDAYS

SRSRC School Age Programs are closed on non-school days. Tuition is not prorated for holidays unless breaks are a week or longer. However, Mini-Camps, Winter Camps, or Spring Camps may be offered at the Children’s Center or Aviary locations. These ACA-accredited camps are separate from our childcare programs and require an additional fee. Register online at www.srsrc.com on a first-come, first-served basis.

PROGRAM/PARENT COMMUNICATIONS We encourage communication between the program staff and parents. Please let the teachers know if your child is on medication, has had a difficult morning, or any other information that you feel is relevant. When picking up your child, your child’s teacher may want to discuss your child’s day. Please make sure to take a few moments of your time to talk to them if you have a concern about your child and what’s happening.

Additionally, program information is posted in the Big Room at AAF, in each classroom, and in the lobby at the Children’s Center. Please check these areas regularly, as we update them as needed. SRSRC School Age Program Directors will send out reminders via Procare regarding the program to parents.

CHILD ABUSE REPORTING The staff is required by law to report suspected child abuse to the proper authorities.

ILLNESSES AND ABSENCES Notify program staff through Procare on the morning your child will be absent.

Children with any symptoms of illness in the past 24 hours must remain at home for the safety of all. Symptoms of communicable disease may include, but are not limited to, rash, red and watery eyes, fever, cough, shortness of breath or difficulty breathing, chills, fatigue, muscle or body aches, headache, sore throat, nausea, vomiting, diarrhea, congestion or runny nose, and/or a new loss of taste or smell.

Participants with symptoms will not be permitted to remain at the program. If your child exhibits symptoms of COVID-19, testing is recommended. Children with COVID19 may not return until they meet the California Department of Public Health criteria, and SRSRC may apply stricter requirements.

Children sent home with a fever can only return after being fever-free for 24 hours without fever-reducing medication and showing improvement or resolution in symptoms. A temperature check may be conducted upon return using a program thermometer.

Children on antibiotics may return after 24 hours of treatment and a doctor’s clearance, provided they meet health criteria.

Children feeling unwell who are unable to comfortably participate in activities may be sent home, even without a fever. SRSRC reserves the right to send a child home if we feel it is in the best interest of the child.

Parents must arrange for pickup within 30 minutes if their child becomes ill during the program; masks may be required until pickup.

Immediately inform the Director if your child has been exposed to, contracted, or shows symptoms of a contagious illness (such as COVID-19, strep throat, viral infection, pinworms, lice, measles, mumps, chicken pox, scarlet fever, etc.). Certain diseases must be reported to licensing and public health authorities.

Depending on the circumstance, the Director may alert other parents that their child may have been exposed to a contagious disease (your child’s name will not be included).

DAILY ILLNESS SCREENINGS SRSRC reserves the right to check participants’ temperatures daily prior to attending programs. Children with a temperature of 100°F or above will not be admitted. Any child who exhibits signs or symptoms of illness will not be allowed to attend youth programs. If a thermometer is not available, SRSRC may utilize a symptom checklist.

It is the parent’s/guardian’s responsibility to HAVE A BACK-UP PLAN in the event that the child must remain home or be picked up from the program due to illness. If a child must be picked up due to illness, the parent is responsible for having the child picked up within 30 minutes.

STATEMENT OF RISK RELATED TO COVID-19 An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. By visiting SRSRC, you voluntarily assume all risks related to exposure to COVID-19 for you and your child.

EMERGENCY INJURIES AND ILLNESSES The parent/guardian will be called immediately to pick up their child for emergency injuries requiring medical attention or for serious illness. If the legal guardian cannot be contacted, SRSRC staff will begin contacting the emergency contacts listed for your child.

For an injury or illness believed to be beyond our scope, emergency medical services (911) may be called for emergency treatment. Accident/Incident reports from the supervising staff member or director will be written up and given to the parent. Any expenses for routine or emergency medical care are the responsibility of the parent.

ACCIDENT/INCIDENT REPORTS Accident/Incident Reports for non-emergency injuries will be written up by the supervising staff member or Program Director and given to the parent.

LICE POLICY SRSRC School Age Programs ARE NIT-FREE FACILITIES. Please notify the program director immediately if your child has been exposed to or has lice so that we can address the issue as promptly and efficiently as possible. (Daily head checks and proper cleaning.) Early detection is key to getting rid of lice and nits quickly. If live lice and/or nits are found your child will be sent home and can return after becoming nit-free. A check on the hair by the staff/director will be required for return.

ADMINISTRATION OF MEDICATION ADMINISTRATION OF MEDICATION

California State Licensing regulations do not allow us to administer over the counter medicine (including sunscreen) unless a medication consent form is completed. If your child has a prescribed medication, please notify the Program Director with written instructions. The bottle MUST show: name of child, prescription number, name of the doctor and how many times a day the medication is to be given. The parent must fill out the necessary information on the medication consent form provided by the Director. Please inform the Director of when the medication was last administered.

Some medical services, such as gastrostomy tube or ileostomy bag care, may be out of our scope of expertise. If you have questions about what services can be provided, please request a copy of our Incidental Medical Services Plan.

MEDIA MEDIA POLICY Scripps Ranch Swim & Racquet Club may take pictures and/or video of participants and activities for the website www.srsrc.com, promotional materials, camp/program projects, and/or for publicity purposes. Please contact the director in writing if you would like to withdraw your photo/media permission. A new withdrawal request must be submitted at the start of each school year or program session.
