Landlords can save money on furnace repairs By Joy Peck, Executive Director Landlord Association of the Inland NW
E
very fall the calls begin to come in waves to landlords and property managers that “somethingâ€? is “wrongâ€? with the furnace. It won’t heat up, it sounds funny, the thermostat won’t respond, and so on. And the temperatures outside have probably already gotten chilly and the demands are for immediate attention. Some landlords have some basic knowledge about HVAC, but most don’t know how to actually diagnose the problem, let alone fix what’s broken. So here are some ideas that can help form a plan of what to do when you get those furnace calls either to decide if it’s necessary to call a repairperson or not, and to also reduce repair costs in the future. Check the basics before you call the HVAC tech Be sure the power is on. That sounds so simple, but most tenants don’t know how to find the on/off switch and it may have been turned off during routine cleaning or changing furnace filters at the end of the previous spring. HVAC techs repeatedly report that they drive to a call only to find that the problem is nothing more than the furnace is turned off. • Confirm the power is on at the breaker and check the power switch on or next to the furnace. • Look at the wall thermostat and double check all the settings. It should be set to “Heatâ€? and then it should be calling for heat. • If the furnace is blowing cold air, make certain the fan is set to “Autoâ€? and not to “On.â€? • If it is a gas unit, confirm the meter is on. If the utility company has turned it off, they’ll usually put their lock on the valve so it would be easy to discover that as the problem. • If it is a propane unit, be sure to verify the tank is not empty. Flick the gauge just in case the needle has gotten stuck over the summer. Check the filters Every forced-air ducted system will usually have a filter somewhere. A dirty filter can restrict airflow so severely that it shortens the life of all the components and cause the furnace to overheat and eventually stop working altogether. Filter replacement is often forgotten, especially in rental properties. It’s a very costly maintenance experience to pay the trip or travel bill just for a professional to come out and tell you the only real problem was caused by a long period of dirty filters. Or in some cases, just to change the filter to get the heat started again. So change the filters at least once a year in the late summer, if not twice a year, depending on manufacturer’s recommendations. Before you call Regular maintenance, covered in brief below, can take you a long way in preventing a furnace that stops working. Also it’s a GREAT idea to check the furnace in late August or early September when service techs are so not busy that they feel like that iconic Maytag

repairman. But if the tenant does call and report that the furnace is not working, you need to have already decided exactly who you will call!! It needs to be a company or business that you know you can count on for an emergency call. It helps to meet with a few HVAC businesses prior to the time you need them so you already have at least a nodding acquaintance with them. Here are some questions to ask: Do they make house calls at night or on weekends, holidays? Are their technicians NATE Certified, background checked, and drug screened? Then check them out with the Better Business Bureau and online review sites. Choosing a company when you are under pressure can lead to making a choice you regret later. Use maintenance to reduce repair costs Some landlords appear to enjoy taking the gamble that nothing will ever go wrong. This manifests itself in not screening tenants, low security deposits, and postponing or refusing maintenance responsibilities. But some things just can’t be ignored. In addition to the regular filter changing or cleaning mentioned above, there are some annual duties that must be done and, by the way, recommended by the equipment manufacturers, Fire Departments, the EPA, and repair professionals. The best way to know what these are is to drag out that manual that came with the heating system when it was installed. If that has been lost long ago and you can’t locate one online, then call that HVAC company that you have now checked out (see above), give them the brand and model number of the furnace and ask them for a maintenance checklist or have them locate a manual for you. The important thing is to find a company or technician you can trust and get maintenance information from him or better yet, schedule a maintenance checkup each summer. Now what? So if the furnace is dead as a doornail, what then? Maintenance techs give some important advice: • Most importantly, purchase a quality brand. • Make sure the equipment is sized properly for the rental property. • Get a top-notch professional for the installation. This can’t be stressed enough. The handyman you usually call, the friend who used to install “stuffâ€? can be great for other things, but bite the bullet and get a pro for this. • Perform regular filter maintenance as required by the type of filtration system. • And, here is the tip so many property managers and landlords brush off, annual maintenance. When getting pre-approved, lenders will not only ask how much you make, where you work and how much credit card debt you carry, they will also check your scores from all three credit agencies, verify your employment status and income. They will also need proof that you have enough money for a down payment in an easily accessible account. Lenders will need several documents to pre-approve you. • Two years worth of tax returns • Two months worth of bank statements • Two years worth of W2 forms • Your last two pay stubs • A copy of a state issued identification “This is what most [real estate agents] look for before they work with a buyer,â€? says Adam McLain, loan officer at Wintrust Mortgage, a Rosemont, Ill.-based lender. “If a client sends me all of their documents, that tells me they’re serious. When they’re just kicking the tires, they don’t want to go through all of that.â€? Besides the heavy burden of documentation, some potential buyers are deterred from pre-approval because it requires them to pay a non-refundable application fee. A pre-qualification is free and can be done over the phone or on any number of websites very quickly. For serious buyers, the most basic advantage of pre-approval is knowing exactly what they can afford before they begin their house hunt. The pre-approval will tell you how much money you will be able to borrow and the interest rate you should expect.
Sybil Martin, a Coldwell Banker real estate broker in Chicago, specializes in working with buyers. She says even when her clients show her a pre-approval letter, sometimes lenders have not done their due diligence (checking tax returns, for instance) so she will call to double check. Unfortunately, she says, pre-approvals that were not thoroughly researched have led to deals falling through or being delayed. “People can say they make $100,000 and they may have the pay stubs to prove it, but if you wrote off $50,000 then you don’t make $100,000,� she explains. Martin believes even after the housing collapse, there are still too many lenders in the marketplace giving erroneous information. Consumers should be wary of lenders who are willing to issue preapproval letters without asking for full documentation. “These lenders are not in the business to lend but to collect fees,� she says. On the other hand, in a rising market, it’s not uncommon to pay a fee to lock in a quoted interest rate. Rates are historically low right now, and most buyers are not yet paying a rate lock fee. But each mortgage is different, says McLain: “Mortgages are like fingerprints.� They are based on each applicant’s financial picture. One important note, though, is that pre-approval does not commit a lender to issuing a loan. Before a loan is finalized, there are other factors to take into consideration – the appraised value of the property, whether the property qualifies for a mortgage, the financial health of the homeowner’s association if buying a condominium and the terms of the offer.
