What is Concierge?

Concierge is the primary internal communication and marketing portal — it helps you stay productive while you’re on the go. It’s your main hub for managing listings, accessing marketing tools, receiving marketing updates, retrieving documents and forms, viewing and sending client marketing reports, and more.

Navigation – located in the header section you will find the main navigation bar that you can use to search the site.

Carousel – the main feature and most current marketing information can be found in the rotating carousel section. Here you will be prompted to ‘Learn More’ or ‘Register’ for new tools or updates.

Quicklinks – you can customize your Quicklinks for easy access to your most widely used tools or section of the site.

My Listings – a snapshot of your most up to date listings area featured in the My Listings section for allowing you quick access to manage property details, marketing, reporting, and more.

App Tiles – located in the footer section, you will find a series of tiles that link directly to our marketing partner platforms and websites.

Through SSO (single sign-on), you will automatically be logged into all your business apps without having to remember multiple passwords.

Marketing Marketing is the first item located on the Navigation. The rotating Carousel will feature the latest news and updates for our marketing tools and products. And, in the body section you will find helpful Quicklinks and Docs and Forms.

My Listings & My Sales The My Listings page is where only you can: • • • • •

View all of your active and recent listings Submit marketing information and photos Pull listing reports Create custom marketing collateral Manage your listing details once live (ie. photos and listing description) • Manage your Sales From the My Listings page, you can go between My Listings and My Sales.

MY LISTINGS For each listing you will find submenus called Reports, Marketing, and Manage that allow you to perform specific actions outlined in the following pages without the assistance of your Marketing department.

Please Note: once paperwork has been submitted to the Transactions Department and processed, you can perform the above actions. The Digital Marketing From can be submitted at any point even prior to paperwork being submitted, but it will be removed from our system if not edited or entered within a 14-day period.

SUBMIT LIST ING DETAILS In the top right corner of the My Listings section, click on the Submit Marketing Info button to access the Digital Marketing Form. We are able to merge the information from the form with the information that has already been entered by Transactions. As previously noted, the Digital Marketing Form can be submitted at any point even prior to paperwork being submitted, but it will be removed from our system if not edited or entered within a 14-day period.

Please Note: a listing may appear in the My Listings section but this does not indicate that the listing is live or that we have received the marketing information.

The form can be filled out before all paperwork has been submitted to Transactions but until Transactions has the appropriate paperwork entered, photos will not be able to be uploaded or managed.

Be sure to look out for important fields such: Show Address, Price Upon Request, MLS ID, Posting Options (which controls the feed to our partner websites), and Showcase Website.

Once you have completed the Digital Marketing Form, please hit the Submit button at the bottom of the page.

You are also able to save it as a draft to submit later by using the Save Draft button at the top. You can access your drafts by going to the My Listing Drafts button at the top.

REPORTS From the Reports dropdown menu in My Listings, there are three reports that you can pull and email to your clients directly from Concierge without any assistance from the Marketing Department.

Advertising Summary – a snapshot of marketing activity that includes all print and digital advertising, press, PR placements, open house showings, and other marketing promotion for your listing.

This report does not show prices for advertising, however, if you would like a report with pricing please email your Marketing Department.

Client Marketing Report – a comprehensive snapshot of the life of a listing which provides data for both agents and clients on web traffic, PR placements, advertisements, open house and showing details, and any additional marketing efforts. The reports provide clients with clarity on where the listing stands and where it’s going – until the day the listing closes.

Listing Analytics Report – the moment a seller lists with a Sotheby’s International Realty agent, they automatically benefit by having their home viewed by potential buyers across our property syndication network. To capture this data and show the value of our online presence, we have created the Listing Analytics Report. This is a consolidated report showing the life of the home online, providing an agent and client web traffic data from our top property syndication websites. The report provides clients insight into where the home is displayed on the internet and how the listing’s online presence is being perceived by buyers, from contract to close.

MARKETING From the Marketing dropdown menu in My Listings you have the option to create marketing assets to promote your listing.

Brochure and Postcard By selecting the brochure and postcard menu option under the Marketing dropdown, your listing photos and ad copy information will be automatically pulled into design templates for easy viewing, editing, and submission.

MANAGE From the Manage dropdown menu in My Listings you can add and edit key listing information, upload and manage photos (minimum size 1800x1200 pixels), enter important marketing activity that will appear in your Client Marketing and Advertising Summary Reports, and build a Showcase Site for your listing.

Published and Valid - for each listing, check marks just below the address indicate if it is Published and/or Valid. If a listing is not Valid, it is missing key elements such as photos or the Digital Marketing Form data. Published means the listing is approved to show to the public, once the minimum requirements are met. A listing must be both Published and Valid to appear online. Talk to your local staff for more details.

Open House – you can add, edit, and remove open houses for your active listings through the Open House option. Click Open House to enter a new open house; click the buttons next to an existing event to edit or delete it. You can specify a Broker Only event and add notes in the Showing Agent section (not visible to public). You can also designate if the open house is a Virtual Open House and add the Virtual URL. If your listing is live, open house times will feed directly to our website and partner sites.

Showing – showings can be added, edited, and deleted. Click Add Showing, then enter the date and any notes. This content will not be visible to the public, but appears on the Client Marketing Report.

Ad Copy - the Listing Description text appears on your listing page on sothebysrealty.com and on your showcase site, if you have one. This copy also feeds to other platforms to create marketing materials. Please Note: your local staff may have added characters such as “<p>” or “<br>” to the text to create line/paragraph breaks online; please leave these in place. Ad copy feeds directly to our website, so please be sure to proofread carefully. Use the 155 Total section to add/edit the shorter text that appears in some advertisements.

My Marketing – use this option to track any of your marketing efforts for a listing, beyond projects created by the brokerage. These items show up in the Other Marketing section of the Client Marketing Report and the Advertising Summary. Choose from categories including brochures, direct mail, floor plans, print advertising, featured placements, and more. Please Note: you must add a description of the item as well as a date. You may add a URL link or upload a file.

Showcase Site – your listing deserves its own website. Using our innovative property website function, you can quickly create a website with a URL of your choosing. Our showcase sites offer an engaging client experience with highquality images, video, Matterport 3D tours and floor plans, if available.

Photos – the ability to manage your listing photos from the photos button gives you freedom to add, remove, or reorganize whenever you would like.

MY SALES From the My Listings page, you can toggle between My Listings and My Sales.

From here, you can view all of your sales, both sale and buy-sides. It’s important to note that past sales do not appear online by default; you must manually publish them here.

Select Sales - turn on the slider that says Select Sale to include a listing in the Select Sales on your profile page on sothebysrealty.com. These sales will also appear on your agent website, if you have one through our platform.

MANAGE Address or Title - here you will choose whether you’d like to show the address or title for this listing when it’s displayed as one of your select sales using the selection slider.

Price - you can select if you would like to display the Last Asking Price or the Sold Price when it’s displayed as one of your select sales.

Show On Map - using the selection slider, choose if you would like for the sale to appear on the map when displayed as one of your select sales.

Photos - you can upload photos for buy-side past sales using this option, or edit existing photos for any listing. As with active listings, the images must be at least 1800 x 1200 pixels in size.

Documents The Documents section is a great resource for finding guides, reports, documents and forms that are related to your business. You can search by type of file or by date and download the file by clicking on its name.

Education The Education page gives you access to a variety of quick and easy-to-follow how-to videos. Click View All to browse the options available.

Please Note: This section is currently under review and not all videos are current.

Private Transactions The Private Transactions section is an exclusive listing portal that allows you to promote your listing offmarket, find and search buyers of all agents affiliated within the brokerage network (over 2000) and sign up for the new listings ‘Hotsheet’ to be alerted by email when new Private Listings are added.

Promote your Listing • Click on the Create Private Listing button in the top right hand corner • Enter in all relevant listing details: Title, Expiration Date, Market, and Representation are mandatory fields. All other fields are optional.

• Upload Photo • Click on the Publish button • Your listing is now viewable across the network Add a New Buyer • Through the All Buyers and My Buyers buttons, you can post your buyer needs or search for a potential buyer - click on the Add Buyer button • Enter as little or as much information as you like. You client’s name will not be visible to any other agents.

• Click the Save button and you will see your Current Potential Private Listings Matches.

• You can return to this information by going to My Buyers, where you can also edit or delete your Buyer Profile.

Browse All Buyer Profiles • Click on the All Buyers tab to select your criteria and see any buyer matches that have been uploaded.

• If you find a potential buyer match, you are able to connect with the agent that uploaded it.

Sign up for the Hotsheet – an email alert of the new listings that have been added to the portal.
