Most failed automation projects fail for the same handful of reasons. Avoid these five and the odds flip sharply in your favour.

1. Starting with ten tools instead of two

The instinct is to buy several AI products and hope one sticks. The result is overlapping subscriptions, none fully configured. The fix: one connector (Zapier or Make) and one AI assistant (Claude or ChatGPT), automating a single task, before anything else.

2. Automating judgment work first

Pricing bespoke jobs, handling complaints, writing nuanced proposals — these need a human every time. Automating them first is the second-most-common reason projects stall. Start on the repetitive middle of the workday, not the high-stakes edges.

3. Skipping the hours measurement

If you cannot put a number of hours against a task, you cannot prove the result and you will lose confidence at the first edge case. Pick a task with a measurable time leak — like the five-hours-a-week document chase — so the win is visible.

4. Building wide instead of narrow

Trying to automate the whole process in one build guarantees an unanticipated edge case. Build one flow, test it on real cases, ship it, then expand. Narrow ships; wide stalls.
