NEWPORT BEACH CALIFORNIA Enjoy Pacific Coast views at The Island Hotel Newport Beach. Located near the Pacific Ocean and the Newport Beach Back Bay in beautiful Orange County, California. Famously situated across the street from the Fashion Island mall.
Hotel
Individual reservations can be made by calling The Island Hotel Newport Beach at 1-888-321-4752 and referencing the 2015 Airport Consultants Council Annual Conference. You may book reservations through the passkey website using the link on the ACC Annual Conference webpage, which will automatically load the group dates and booking code. Reservations must be booked no later than October 16, 2015 to receive the contracted rate of $215 a night for an Island King guestroom. Upgrades to a Luxury Double Queen guestroom are $265 per night. There are additional Island Corner Suites available for $335 per night. All attendees must book reservations within the group block to receive these special rates. Reservations made after October 16, 2015 are subject to availability and the prevailing hotel nightly rate. Reservations must be cancelled or changed at least seven (7) days prior to scheduled arrival to avoid cancellation fees. All reservations must be guaranteed with a credit card at the time of booking. PLEASE be aware that the hotel does not provide airport shuttle service.
Ground Transportation
The Island Hotel Newport Beach is 5.3 miles, or an 8 to 14 minute ride, from John Wayne Airport (SNA). It is 24.4 miles from Long Beach Airport (LGB), a 30 minute ride in light traffic. LAX is 43.5 miles from Island Hotel Newport Beach and can take 45 to 90 minutes depending on traffic. If using LAX, please consider not landing near late afternoon/evening rush hour and not departing in the morning. Please make your own transportation arrangements for this meeting as the hotel does not provide airport shuttle service. Typical taxi cab fares range from $20-25 one-way to and from John Wayne Airport. Rental cars are available at various local airports. Uber is also available in the area. Overnight valet parking is $32 + tax per night.
Weather and Conference Attire
November is a beautiful time of year on the Pacific Coast with low humidity and mild weather. Typical daytime highs range between 64°F and 70°F with corresponding nighttime lows of 50°F to 57°F. California mornings are often overcast and cooler until several hours after sunrise. Appropriate attire for the conference is business casual, so dress comfortably — you can leave your business suits at home and unwind in this relaxing environment.

Join colleagues for community service at the Environmental Nature Center (ENC) in Newport Beach, California! Serving over 21,000 students and thousands of visitors annually, the ENC is recognized as a leader in science and social science education in Orange County, providing opportunities for increasing our community’s knowledge, understanding and appreciation of the natural world. Volunteers will help maintain the grounds, keeping the plant communities healthy for local wildlife, and beautiful for the ENC visitors. Transportation will be provided. The bus leaves the hotel property at 8:30 a.m. and the community service activity is from 9:00 a.m. to 12:00 p.m. Please dress casually and comfortably. Please wear comfortable closed toe shoes and be prepared to be in the sun by bringing sunscreen, a hat, sunglasses, and a light jacket. ACC will provide gloves for the volunteers. RECREATIONAL ACTIVITIES ANNUAL ACC GOLF TOURNAMENT

Join fellow ACC members and conference attendees for this year’s annual golf tournament at Oak Creek Golf Club, recognized as one of Tom Fazio’s best California golf course designs. The golf club features an 18-hole, Tom Fazio designed golf course with challenging play amid tapered fairways, scenic greens, beautiful lakes, and bull-nose carved bunkers that used to be orange groves before development. Shotgun start begins promptly at 8 a.m. While the golf course is a short drive from The Island Hotel Newport Beach, normal Monday morning rush hour traffic occurs in two locations on the way to the golf course 9 miles away in Irvine, CA. A free shuttle will be available for golfers leaving the property at 7:00 a.m. sharp. Those with rental cars wishing for longer practice time should plan to leave the hotel between 6:30 and 6:45 a.m. A hot buffet lunch is included post play. There will also be prizes for closest-to-the-pin, longest drive and best foursome. Rental clubs are available for $65 + tax. $159 per person.

»» Bring your walking shoes to visit the famous FASHION ISLAND MALL across the street from the hotel property or for some exercise on Newport Center Drive. The Drive is a circular road around the mall that is approximately 1.2 miles long for those that would like to track exercise distance. »» Nearby BALBOA ISLAND is a popular destination for tourists. Rent a Duffy boat on the island and bring your own picnic basket. The Balboa Island ferry offers rides for those on foot, on bicycles, and in cars for a small fee. You can also drive across the bridge into Balboa Island accessible via Jamboree Road/Marine Avenue, south of Pacific Coast Highway/Route 1, referred to as “PCH” by locals. »» November brings warmer waters and the opportunity to view blue whales up to 80 feet, finback whales, huge pods of dolphin that number in the thousands, seals, orcas, sharks, and many other marine creatures. NEWPORT LANDING WHALE WATCHING offers multiple departure times seven days a week.

»» Minutes away from the hotel property is CORONA DEL MAR STATE BEACH. All beaches in the state of California are designated as public access. The half-mile long sandy beach is framed by cliffs and a rock jetty that forms the east entrance to Newport Harbor. In addition to swimmers, the beach is also popular with surfers and divers. »» CRYSTAL COVE STATE PARK is 5.1 miles from the hotel and has 3.2 miles of beach and 2,400 acres of undeveloped woodland, which is popular for hiking and horseback riding. The offshore waters are designated as an underwater park. Crystal Cove is used by mountain bikers and scuba divers. The beach is also popular with swimmers and surfers. Visitors can explore tide pools and sandy coves. You can view the Crystal Cove Beach Cottages from the beach, a popular shooting location for various movies and television shows.

EXHIBITOR RULES AND REGUL ATIONS PAYMENT OF EXHIBIT SPACE Application will not be processed without the required payment. All applications must be accompanied by the full payment of the total space rental charge. In order to receive the member rate, Exhibitor’s dues must be paid in full at the time of the conference. In addition, any outstanding invoices to ACC must be paid in full at the time of the conference. Failure to pay may result in termination of this contract. CANCELLATION OF EXHIBIT SPACE Exhibit space may be canceled in writing up to ninety-one (91) days prior to the opening of the Exposition without penalty. However, a cancellation charge equal to onethird of the fee for the space will be assessed by Airport Consultants Council (ACC) for space canceled from ninety (90) to sixty-one (61) days prior to the opening date of the exposition; two-thirds the cost of the space if canceled from sixty (60) to thirty-one (31) days prior to the opening date; and the full fee for the space if canceled within thirty (30) days prior to the opening of the Exposition. All cancellations must be made in writing to ACC, 908 King Street, Suite 100, Alexandria, VA 22314. ASSIGNMENT OF EXHIBIT SPACE Space will be assigned by ACC in accordance with the policy announced at the time display space is offered for reservation. ACC reserves the right to relocate display areas for the benefit of the Exhibitor, or for the betterment of the Exposition. No contract shall be in force until signed by ACC. TERMINATION OF CONTRACT ACC reserves the right to terminate this contract immediately if an Exhibitor does not follow the Rules and Regulations. ACC also reserves the right to withhold from the Exhibitor possession of his exhibit space if the Exhibitor fails to perform any material term of the contract or refuses to abide by these Rules and Regulations. In the event of a default by the Exhibitor, as set forth in the previous paragraph, the Exhibitor shall forfeit as liquidated damages the amount paid by it for the space rental, regardless of whether or not ACC enters into a future lease of the space involved. The above forfeitures will be effective even though the exhibit space no longer required by the withdrawing company may subsequently be rented by ACC to another company. In case the Exposition premises shall be destroyed or damaged, or if the Exposition
fails to take place as scheduled or is interrupted and/or discontinued, or access to the premises is prevented or interfered with by reason of any strike, lockout, injunction, act of war, Act of God, emergency declared by any governmental agency or by ACC, or for any other reason, this contract may be terminated by ACC. In the event of such termination, the Exhibitor waives any and all damages and claims for damages and agrees that the sole liability of ACC shall be to return to each Exhibitor his payment less the pro-rata share of all costs and expenses committed and incurred by ACC. EXHIBITORS CANNOT SUBLET ANY PART OF THEIR ASSIGNED EXHIBIT SPACE No Exhibitor shall assign, sublet or share the space allotted with another business or firm unless approval has been obtained in writing from ACC. Exhibitors are not permitted to feature names or advertisements of non-exhibiting manufacturers, distributors or agents in the Exhibitor’s display, with the exception of parent or subsidiary companies. EXHIBITORS’ AUTHORIZED REPRESENTATIVES Each Exhibitor shall provide ACC by September 30, 2015 the name and title of the person who will be in attendance at the exposition and responsible for the installation, operation and removal of the exhibit. Said representative shall be authorized by the Exhibitor to enter into such service contracts as may be necessary, the cost of which shall be the Exhibitor’s sole responsibility.

The Management (ACC/Hotel) reserves the right to restrict the use of glaring lights or objectionable light effects. Nothing can be posted, tacked, nailed, screwed or otherwise attached to the columns, walls, floors, ceiling, or furniture. No firm or organization is permitted to engage in direct sales or order-taking activities within the exhibit area. FIRE REGULATIONS To ensure the safety of all participants, Exhibitors shall observe all state and local fire regulations. The cost for repairing any damages to the convention center or hotel caused by the Exhibitor will be billed to the responsible Exhibitor. EXHIBIT SET UP All displays must be fully set up and ready by 5:00 p.m. on Monday, November 9, 2015. After that time, any unattended booth with crated displays will be set up at the discretion of ACC and all expenses will be charged to the Exhibitor. The Exposition will open promptly at 6:30 p.m.
EXHIBIT FLOOR BEHAVIOR No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisles. Booth personnel are required to confine their activities within the Exhibitor’s booth space. This includes physical incursions, as well as with sound or light.
EXHIBIT TEAR DOWN The dismantling of displays may begin after 10:00 a.m. on Wednesday, November 11, 2015 and continues through 4 p.m. All Exhibitor displays or materials left in booths without instruction will be packed and shipped at the discretion of ACC and all charges will be assessed to the Exhibitor.
Apart from the specific display space for which an exhibiting company has contracted with ACC, NO PART OF THE EXHIBIT HALL, SURROUNDING GROUNDS OF THE CONVENTION CENTER, HOTEL PUBLIC SPACE OR HOSPITALITY SUITES MAY BE USED BY ANY ORGANIZATION OTHER THAN ACC FOR DISPLAY PURPOSES OF ANY KIND OR NATURE.
AIRPORT CONSULTANTS COUNCIL RESERVES THE RIGHT TO MAKE CHANGES TO THESE RULES Any matters not specifically covered herein are subject to decision by ACC. ACC reserves the right to make such changes, amendments and additions to these rules as considered advisable for the proper conduct of the exposition, with the provision that all Exhibitors will be advised of such changes.
If audio-visuals or loud speakers are used, the Exhibitor agrees to comply with union requirements for the operations of the equipment. Sound presentations will be

INDEMNIFICATION ACC, its members, the representatives and employees thereof, its Official Service Contractors, the Hotel(s), their representatives and employees will not be responsible for any injury, loss or damage that may occur to the Exhibitor, or to the Exhibitor’s employees or property from any cause whatsoever, unless such injury, loss or damage is caused by the active negligence or willful act of one of the aforementioned parties. Exhibitor agrees fully to indemnify, defend, save and hold harmless ACC, its Official Service Contractors, the Hotel(s) and their respective officers, directors, agents and employees from and against all claims, actions and judgments (and all reasonable expenses incidental to the investigation and defense thereof, including reasonable attorney fees) based on or arising out of death or injury to person or persons or damages to property, including the Exhibitor’s property or goods, caused by, or arising out of, the negligent use, occupancy or activities of Exhibitor at or on the exhibit space or within the Exposition Hall; provided, however, that Exhibitor shall not be liable for any injuries, death, damage or loss to the extent that such injury, death, damage or loss is caused by the sole fault or sole negligence of ACC, its Official Service Contractors, the Hotel(s) or their respective employees. Exhibitors shall carry public liability insurance with financially responsible underwriters, insuring Exhibitor against liability for bodily injuries (including wrongful death) and damage to property caused by Exhibitor’s negligent use, occupancy or activities by Exhibitor at or on the exhibit space or within the Exposition Hall, the policy limits thereof to be a single limit of $1,000,000.00 for any one occurrence, bodily injury and property damage liabilities. Exhibitor shall name Airport Consultants Council as an additional insured on such policies of insurance to the extent Exhibitor is required to indemnify ACC and shall furnish ACC with certificates of such insurance coverage.
