01 Valuation

When we attend a valuation, we will come with comparable evidence of properties similar to yours. This information will be from our own vast experience, property we have let, or that has been on the market recently.

With over four decades of collective letting knowledge, our senior letting staff are on hand to offer landlord guidance to achieve a realistic but competitive rent.

02 Photography Shepherds has always prided itself on the technology used and how quickly they can respond to market forces. In particular, we are known for our in-house quality media and photographic services. This is not a surprise, as we have offered the Fine & Country brand since 2006, so it is no wonder Shepherds has a reputation for quality marketing and photography.

Levels of photographic service: 1) Our Standard Photography Service is entirely FREE. Offering good quality photos, taken on a highgrade camera. To the non-expert, these would look superior quality to the ley-person, compared to photos taken by agents on; a phone, or similar device, or basic camera.

2) Our enhanced photography service uses images that are manually and individually edited in-house to offer the highest quality photography. This service will usually take anywhere from 2-6 hours extra work for the photographer, depending on the size of the property. These Costs start from £180 (incl. VAT).

Landlords choose our upgraded photography when they want to add that little something special to their marketing.

03 Marketing

Shepherds are represented across all major portals, on our own website, locally through partnership with local Charities, schools and other promotional events.

We aim to get market exposure to the widest audience. In addition to this, we email property details directly to our own in-house extensive database.

04 Compliance For fully managed services, Shepherds are here to maintain compliance and to keep up to date with a raft of regulations.

Landlords find that keeping on top of compliance & legislation themselves can be onerous. That is why we offer our fully managed service. Landlords wishing to undertake a LET ONLY service, would be responsible for all of the management and legal updates themselves.

What is needed from the landlord before listing: proof of ownership, ID and address verification. All required in-date safety certificates. We offer guidance on what is needed.

Shepherds managed service will ensure: your property MOT/compliance is maintained throughout the rental term/s and update landlords on significant changes.

Non-managed service – does not offer these services.

05 Viewings

It doesn’t matter whether your property is empty, or tenanted. We are happy to co-ordinate with your current tenants/occupiers or arrange to accompany viewings, where a property is empty.

Week day accompanied viewings are up to 6pm and 5pm on Saturday’s (subject to any regulations or restrictions).

All landlords are different, if you wish to be kept up to date on viewings/interest, then we are happy to do so. Some landlords prefer just to know when there is an offer, or when a suitable tenant is found.

06 Pre-Rental Upon your agreement to let to a prospective tenant, we will carryout all of the necessary pre-tenancy legal checks on all persons 18 and above. Including Right to Rent checks.

Shepherds use a nationally recognised professional reference company to conduct the checks. They have underwriters assess the information and only pass applicants that display financial ability to meet the rent, at the time.

07 The Final Steps

Subject to the processes outlined in steps 1-6 being satisfactory , we then prepare for the tenant's move in.

For manged properties, this will include compilation and issue of contracts and all supporting documentation &certificates etc., arranging the inventory to be undertaken and book the check-in with the tenant and inventory company. An inventory is essential for landlords taking a holding deposit, as you must benchmark the condition of the property at the time of entry. This document must be comprehensive & detailed, and signed by the tenant to make it valid.

For non-managed service – we will undertake to issue contracts to the tenant and have these signed. The landlord would arrange for their own inventory, check-in and we would direct tenant to pay the deposit and rent after the signing process has been completed Our aim is to make the letting of your investment as seamless and hassle-free as possible.

Summary As a final reminder, when Shepherds are managing your property we take care of:* Issue of Tenancy Agreement, along with all of the correct paperwork Right to Rent checks Deposit Registration, including issue of the Prescribed Information, How to Rent and What is TDS Gas Safe checks – during tenancy term, to ensure compliance is maintained EPC – as above Smoke & Carbon Dioxide monitors – replacements arrange by Shepherds Serving of the right notices and paperwork Inventory – we will arrange this and the check-in and check-out process on the landlords behalf Property visits, inspections and interim checks – carried out by Shepherds Repairs and maintenance – managed by Shepherds and audit trail kept, to ensure compliance to HHSRS regulations Tenancy renewals & updates – managed by Shepherds Legal updates and changes – such as COVID law – undertaken by Shepherds Deposit return managed by Shepherds Deposit Disputes – arbitrated and managed by Shepherds * unless it has to be handed off to dispute services Cleaning – Shepherds will liaise with outgoing tenants, or arrange on behalf of the landlord *Please note, Shepherds arranging on behalf of the landlord; does not deem the agent accountable for costs of services organised on behalf of the landlord/property owner.
