Annual Report 2020

Messages from the CEOs & Board Chairs

As we reflect on 2020, we are incredibly proud of all that the Sheltering Arms team has accomplished. In a year full of unique trials, we removed barriers and found innovative and safe ways to continue helping people find the power to overcome. We achieved this goal because our team members, boards, donors, and community remained committed to making a difference for others.

Even with the pandemic, it was a year of major milestones for our organization. We continued to serve the essential needs of our community and never closed our doors. We were able to provide an astonishing 97,253 hours of outpatient therapy; we launched our telehealth program increasing access to physical rehabilitation and medical psychology services; we developed a post-COVID rehabilitation program; we created a destination outpatient center with first-ofits-kind technology in Virginia; and, together with our colleagues and partners at VCU Health, we opened the premier physical rehabilitation hospital in the mid-Atlantic region, Sheltering Arms Institute, ahead of schedule.

We did all of this with compassion as our guide. By staying true to our core values, we provided exceptional patient experiences on a very human level. This report is a celebration of the tenacious spirit of the Sheltering Arms family and our mission to provide the very best rehabilitative care.

Thank you for supporting us as we continue to transform physical rehabilitation to improve the quality of life for the community we are privileged to serve.

Opening the doors of Sheltering Arms Institute was a defining moment for our community. The joint venture partners brought together talent, expertise, and resources to build a facility that put central Virginia on the map of destination rehabilitation hospitals. We are tremendously grateful for the foresight and support of Sheltering Arms and VCU Health, donors, and community volunteers.

The entire organization is making the most of this amazing opportunity. Every member of this talented team leverages our core values and approaches their work with a focus on patient outcomes. This enables us to adapt quickly and cohesively when challenges arise, like the COVID-19 pandemic.

Despite numerous challenges related to the pandemic, results show the team remained focused on the mission and vision. Patients from 11 states, including Virginia, have chosen us for their rehabilitation. Overall patient satisfaction, measured by Press Ganey, is an outstanding 94% since opening and patient outcomes are even more compelling; the Institute is in the top quintile nationally for patient function at discharge!

The Institute is in a great position to reinvent rehabilitation for life beyond limits. Each day, we make progress strengthening community partnerships and translating evidence-based research into practice. As we celebrate the anniversary of our first year of operation, we are incredibly optimistic about this team, the Institute’s future, and its ability to drive improvements in patient outcomes.

Message from the Foundation

Our donors have made something extraordinary happen – the opening of Sheltering Arms Institute, our collaboration with VCU Health! During the pandemic, more than 800 generous patients, friends, and organizations donated $4 million to the Campaign for Convergence and the Annual Fund to make the dream of Sheltering Arms Institute a reality and enhance the margin of excellence in patient care.

Donors make it possible for Sheltering Arms Institute and Sheltering Arms Physical Rehabilitation Centers to help people from every walk of life regain function and freedom. As we write today (June 2021), we are pleased to announce that our team of volunteers and staff have raised slightly over $49 million toward the campaign goal of $50 million. This result is a tribute to the vision, Reinventing Rehabilitation for Life Beyond Limits, and the generosity of the community.

Throughout the darkest days of 2020, our volunteers, staff, and board members delivered meals to frontline workers, sewed masks, and provided care packages to patients. Despite historic disruptions, the teams remained true to our vision and values and provided compassionate care to people experiencing illness and injury, including those who suffered the debilitating physical and psychological effects of COVID-19.

Our heartfelt thanks go to everyone who has contributed to the Campaign and Annual Fund. Donors are our lifeblood, and you will find their names woven throughout this report. They are a vital part of the fabric of Sheltering Arms!

2020 marked a milestone year for Sheltering Arms, and the future has never looked brighter. Onward!

Throughout the COVID-19 outbreak and as the pandemic stretched on, our clinics remained open so our staff could provide physical rehabilitation services essential to our community. Our team adapted and cared for patients virtually and in person, utilizing innovative treatment methods and stringent safety protocols for patients and team members.

Grand Re-Opening

of the State-of-the-Science Hanover Outpatient Clinic

On February 11, 2021, we gathered virtually through a live stream to celebrate the official launch of the newly renovated, state-of-thescience Hanover outpatient clinic with a ceremonial ribbon cutting and guided virtual tour.

The enhanced, multidisciplinary neurologic and orthopedic clinic represents the next step in the evolution of Sheltering Arms.

Post-COVID-19 Rehabilitation Program

In response to the devastating health impacts of the novel coronavirus, Sheltering Arms cultivated a multidisciplinary, outpatient post-COVID-19 rehabilitation program to help people get the treatment they need to recover from the virus. Whether hospitalization is required, or the patient is recuperating at home, COVID survivors can experience a wide array of lingering symptoms. While many of the long-term effects of the virus are still unknown, common symptoms include shortness of breath, decreased energy, muscle weakness, trouble concentrating, and memory loss.

THIS PROGRAM INCLUDES:

Physical therapy Occupational therapy Speech therapy

Patients are also evaluated for additional needs such as nutrition and medical psychology as appropriate.

After going to Sheltering Arms Institute and Sheltering Arms, I was able to see that my old life was achievable again.
- Corrine Townsend, COVID-19 Survivor

We are pioneering physical rehabilitation and redefining standards by combining the latest evidence-based treatment techniques, advanced technology, and compassionate care from expert clinicians all under one roof.

Our cutting-edge technology such as the Bioness Vector bodyweight support harness, Diego robotic mobile arm support, and Lokomat anti-gravity treadmill are typically only implemented in hospital-level rehabilitation and are the first of their kind in an outpatient setting. Our patients can use the same technology as they did in inpatient rehabilitation at Sheltering Arms Institute as they continue their recovery journey, providing continuity in their care. We’ve carefully selected each device and expertly trained our staff to help patients get back on their feet earlier.

This grand re-opening was the culmination of a vision many years in the making and would not be a reality without the support of our team members, board members, donors, community, and patients.

connecting Virtual Connection

Telehealth

To increase access to physical rehabilitation services during the COVID-19 pandemic and beyond, Sheltering Arms promptly built our new telehealth program, while continuing in-person care and evaluations, to do our part in keeping our community safe and healthy.

Telehealth’s live video connection allows patients and clinicians to visit ‘face-to-face’ with one another and continue working together during times when in-person care is not advisable or comfortable.

My doctor gave me a choice. Sheltering Arms was the only choice in my mind. I wanted to go back to Sheltering Arms.

- Dedra Hampton, Brain Tumor and Concussion Survivor

Virtual care provides access to services that may otherwise be unavailable due to factors such as transportation limitations or inclement weather. Telehealth also increases accessibility to specialists in a variety of areas; patients must no longer depend on the location at which a particular service is offered.

When compared to in-person care, research studies have found telehealth offers similar outcomes for patients with a variety of both neurologic and orthopedic diagnoses. Our clinicians collaborate with each patient to determine the best platform or combination of platforms to meet individual needs.

Most insurance companies and Centers for Medicare & Medicaid Services (CMS) now cover services delivered via telehealth, including physical, occupational, and speech therapies. Our telehealth program uses a free app. For our patients who need more technical assistance, we provide resources to help set up their device for video conferencing and guide them through the telehealth appointment process.

Sheltering Arms created public service announcements at the start of the COVID-19 pandemic published by local media outlets to let our community know we were open and here for them from the beginning of the pandemic and every day since.

To watch the PSA, open your phone’s camera and point it at the QR code, then tap the link that appears.

Keeping in Touch

To help our community stay active and healthy during quarantine, we created Club Rec and Fitness and Wellness Facebook groups to offer at-home workouts and activities, as well as a virtual gathering place to stay in touch.

Our clinicians also hosted virtual support groups and authored a special blog post series featuring topics to stay mentally and physically healthy. Check out these articles and our most recent blog posts at ShelteringArms.com/RehaBlog.

Convergence

growing

Our mission at Sheltering Arms Institute is to deliver personalized care in an environment that supports recovery and restores possibility through the integration of collaborative science and research, interprofessional education, community engagement, and stewardship. We are forever grateful to those who shared their time, talents, and treasure with us to help deliver on our promise!

Delivering on a Promise

Sheltering Arms Institute, a collaboration with VCU Health, was built on a vision – to reinvent rehabilitation for life beyond limits. Since 2016 when both parent organizations entered into the joint venture agreement until the grand opening in 2020 and conversations that predate both of those events, Sheltering Arms Institute was just that – a vision.

Now, Sheltering Arms Institute is a reality thanks to those who believed in and supported this endeavor. It is a state-of-the-science, destination physical rehabilitation hospital unlike any other that blends advanced technology, research, and evidence-based clinical treatment. We have created an innovative, transdisciplinary model of rehabilitative care that facilitates superior outcomes for patients.

This brand-new facility and its compassionate team members provide exceptional care for individuals who have survived strokes, spinal cord injuries, and brain injuries, as well as those in need of general rehabilitation for various illnesses and injuries. We serve the needs of our local community and the entire mid-Atlantic region.

growing

Virtual Ribbon Cutting

After our plans to host a large in-person celebration for the grand opening of Sheltering Arms Institute were uprooted by COVID-19, we adapted and created a completely virtual event. While it wasn’t the ribbon-cutting ceremony we had originally planned, we enjoyed hosting a virtual ribbon cutting through a live stream on Facebook and our website on Thursday, June 4 at noon.

More patients, team members, and community supporters were able to ‘attend’ thanks to the convenience of this digital platform. The event brought in many new viewers, which helped raise awareness about our new hospital.

This 25-minute virtual event included several speakers, the ceremonial cutting of the ribbon, and a virtual tour led by team members in accordance with health guidelines.

Sheltering Arms Institute Opens Its Doors

On June 13, 2020, amidst the COVID-19 pandemic, Sheltering Arms Institute opened its doors ahead of schedule and welcomed its first patients.

It was a beautiful summer day full of excitement and promise for a fulfilling future.

Sheltering Arms and VCU Health relocated existing beds from both organizations’ three hospitals over the course of several weeks. Moving patients in phases allowed for the most efective accreditation and regulatory reviews, which are standard requirements for a new hospital.

One of the four units opened for the first patients’ arrival, followed by the subsequent opening of the remaining units over the following months. This gradual opening paved the way for quality assurance and ample team member training to ensure the best patient experience.

The Sheltering Arms Institute Difference

WELCOME, CLARA!

We are so excited Clara is part of the Sheltering Arms Institute team and look forward to her assistance helping patients heal for years to come!

With the opening of Sheltering Arms Institute, many joined our team, but only one with four paws, a cold nose, and wagging tail has captured the hearts of patients and team members alike

In fall 2020, we welcomed Canine Companions for Independence Facility Dog, Clara. The two-year-old Lab/Golden Retriever is trained in more than 40 commands such as pulling toy wagons, pushing drawers closed, and retrieving all kinds of items to assist, motivate, and inspire patients.

Clara assists her handler Dr. Cynthia Rolston, PhD, Director of Psychosocial Services and Inter-Professional Science, in her work with patients – helping with their therapies, practicing activities of daily living, and acting as an added psychological assist.

“This is a new and exciting program for all of us. In just a short time on the job, Clara acclimated to the many changes in her life and settled into her new home and work environment,” Dr. Rolston said. “Our team works together to integrate Clara into patient therapy sessions, and I can’t wait to see how she continues to help our patients achieve independence.”

The support for staff training and Clara’s ongoing needs is provided by generous donors to Sheltering Arms Foundation.

THANK YOU!

Canine Companions for Independence depends on the support of tens of thousands of donors and volunteers to match facilities with an assistance dog like Clara entirely free of charge.

Carissa Washington, RN House

“The willingness and tenacious spirit of everyone is what makes the culture unique. There is nothing too big or too small that the staff is not willing to do to support their patients and colleagues each day. I consider myself very fortunate to be able to work with and witness their daily deeds of care.”

Gloria Han, PT

“Sheltering Arms Institute is rooted in service, respect, and collaboration, which allows patients to be the center of care. Time and again, I hear team members advocating for their patients. Our pursuit of excellence in all areas of rehabilitation is founded in the desire for the absolute best patient outcomes.”

Rachel McKeon, MSW

“Sheltering Arms Institute is unique in that our walking rounds enable patients and their loved ones to ask questions, engage with the transdisciplinary team members, and participate in ongoing education and training for safe transitions. We empower patients and caregivers by focusing on any identified barriers and helping them develop plans to overcome the barriers.”

Ben Kiesler, OTR/L

“The successes we celebrate are a direct result of the hard work, determination, and passion of everyone who works here. I am proud that I go to meetings where the focus is, ‘How can we do this better?’”

They helped me and encouraged me each and every day. Everybody that I came in contact with cared so much. They stayed in touch with one another, so they all knew my progress.

Sheltering Arms Institute: A Transformational Culture

Team members at Sheltering Arms Institute take a special pride in their organizational culture. Leveraging the Institute’s core values and embracing a transdisciplinary model of care, they are passionate about bringing their best to every interaction to improve patient outcomes. The result is an undeniably positive and enthusiastic work environment where everyone is intent on transforming

“I have been able to make so much progress in the last couple months. I can now support my own body weight and actually walk; I wasn’t able to do that a week ago. I’m really glad that we’re here because not every outpatient clinic has the technology where you can do that.

- Jack Collins, Spinal Cord Injury Survivor

It’s such a positive and uplifting environment. The therapists are so supportive and have even taken extra time with me to teach me to do transfers and different things to make home life easier too. They definitely go above and beyond to make this journey as easy as possible.
