Vitals Upgrade and HPCA: Getting ready

When’s the upgrade happening?

19 January:​ •

Dual Observation Capture – Staff start documenting Vitals on paper charts (NEWS2 Obs, VIP scores, etc) and iPad minis from 7pm​

20 January:​ •

Paper-based observation capture - Wards to start using only paper charts (NEWS2 Obs, VIP scores, etc) from 6am

iPads will be collected by floorwalkers from 6am

•

Ward to print out Patients’ Sepsis history after stopping the use of iPads before system becomes unavailable.​

•

System becomes unavailable by 9am​

•

System upgrade complete - ​Electronic-based observation Capture recommences - All wards to be back using the upgraded devices by 7pm​

What will change after the upgrade?

If you use Vitals, you will need to use HPCA log in details to access the system once it has been upgraded. This will be your NHS.net email address and the password that you choose for HPCA.

What is HPCA? ​ HPCA is an account that you need to access CareFlow products that are cloud based. This includes Patient Flow and Clinical Narrative (the system that holds the eCAS Card). HPCA adds an extra level of security to the systems by authenticating who you are when you log in and linking it to your CareFlow account.

Why are we making this change?

Implementing HPCA access to Vitals as part of the upgrade will make significant differences to what colleagues can do in Vitals in the long term.

It will mean access is standardised across solutions, as well as allowing us to be able to build digital forms in Vitals such as nursing assessment forms. In the long run, this will support the digitisation of all inpatient patient records.

What do you need to do?

It’s important that you make sure you will be able to access Vitals before the day of the upgrade. To do this you will need to: •

Check you can access your HPCA account.

If you can’t: •

Make sure you have an active NHS email account

•

Activate your HPCA account (where you don’t already have one – this will be people who currently do not access Flow)

•

Reset your HPCA password if needed

Checking you can access your HPCA account The best way to check that you remember your HPCA account details is through logging into the Patient Flow board with your account details. You can do this through the “Patient Flow” icon on the intranet apps page.

This will be your NHS.net email address and a password you set at the time of creating your HPCA account. These account details will be the same for accessing Vitals after the upgrade, where you can then set a PIN. Whatever you set your PIN as in Vitals will also be your PIN for Flow.

Forgotten your HPCA password?

Try logging in to a Patient Flow board and click “can’t log in” – you will receive an email with details on how to reset your password.

Unable to access your NHS.net email address?

To access your emails use the NHS Email App icon on the intranet. If you’ve forgotten your NHS Email password then you can visit the NHS Email Self-Service Portal.

If you don’t access your NHS.Net email account for a period of time then your account will be deactivated. Please contact the IT Self Service desk on extension 2522 for support with this.

Don’t have HPCA? Activate your account.

If you don’t usually access Patient Flow then you may not have a HPCA account. You can request an email to activate your account.

Search “Digital Transformation” on the intranet and click “HPCA in Vitals” for a link to activate your account.

Once you input your email address you will get an email like the one above.

The link is safe to click and will send you to a page to set a password.

Once you’ve set a password, please log in to a Patient Flow board to make sure your account is working. You can access Patient Flow through the intranet app.
