What is this?

ICE is a new digital system for requesting Radiology tests and viewing Radiology reports.

From 7 July 2026, all Radiology requests at SaTH will move from paper to ICE. This means: No more paper requests All requests, reports and sign-off will be delivered electronically Training must be completed before access is given This guide explains what’s changing, what you need to do, and how to get ready.

What is changing?

At the moment, Radiology requests rely on paper forms and manual processes.

From go-live, everything becomes digital.

ICE is the system you will use to: Request Radiology tests Track requests in real time VIew reports Sign off reports electronically You can access ICE through: CareFlow The intranet apps window

What this means for you From go-live: You must: Use ICE to request all Radiology tests Complete training before access Sign off reports electronically You should: Only sign off reports you are responsible for Ensure reports are actioned in a timely way

What is not changing Some things will stay the same: Pathology requests will still use tQuest Pathology results will still be available in Review and Clinical Portal Some specialist referrals remain on paper (for example PET-CT) MaxFax will still bleep the team if in-hour request is needed in ED Cardiology will request in ICE but report as they do now Call Radiology if immediate imaging is required DNA / Rejection / Cancellation letters will still be sent to clinicians by Radiology

Why this is happening ICE is being introduced because current systems are no longer supported.

It will: Reduce delays Improve patient safety Remove risks linked to paper forms Allow real-time tracking of requests Support faster clinical decisions

Key dates: 7 July 2026 – ED and Acute floor go-live 8 July 2026 – all SaTH go-live w/c 13 July – GPs, Shropcom and MPFT go-live

Training Training is mandatory if you currently request Radiology tests.

You must: Complete the short training video Confirm completion Do this before go-live Training routes: SaTH: LMS Primary Care / Partners: YouTube and Teams sessions

Getting ready for go-live Before go-live, teams need to: Complete training Update SOPs and BCPs Ensure staff have access Confirm support arrangements

What divisions need to do Each division must put processes in place to: Monitor new reports digitally Ensure reports are signed off Manage Specialty mailboxes where introduced for this go-live Cover sickness and leave ICE allows reports to be filtered and tracked

Go-live support Support will be in place during go-live: Floorwalkers in clinical areas Digital control room support On-call support after go-live

Incorrect responsible clinician If the incorrect responsible clinician was recorded on the request, the clinician will see the report against their name.

Other clinicians can find the report and file (sign-off) by searching for the patient or using one of the other filters.

If a clinician has been incorrectly assigned as responsible, they can inform the correct clinician by sending an email to the ICE Specialty email account where one exists or to the clinician themselves with the URL of the report. The referrer should also be cc’d so they are aware they requested incorrectly.

Specialty e-mail addresses will be available on the intranet ICE page and in the NHS mail address book, starting with sath.ice.SPECIALTY@nhs.net Once the clinician has contacted the Specialty / responsible clinician they must also add a note to Clinical Portal to state that the Specialty / responsible clinician has been informed of the report.

Once these steps have been completed you can file the report in ICE i.e. these steps mean you, as the named Responsible Clinician, have actioned the report appropriately.
