Welcome to the 14th edition of the Electronic Patient Record (EPR) programme newsletter. Only 2 weeks to go until we move away from SemaHelix to the new CareFlow system We are pleased to see so many colleagues getting involved in our EPR activities and completing all tasks that are given to them This is only the first phase with many exciting new systems coming in the future
No access to the LMS training?
If you ’ re an agency worker, or fulfil a role in our hospitals that involves the PAS, you will need to be trained on CareFlow.
This will be delivered a little differently if you are not a substantive member of SaTH staff, as you wont have access to LMS You will be sent an email with links to training according to your role from our team
You will need to inform the sender when you have completed your training – compliance will be monitored, and once training is complete your CareFlow account will be created

Have you completed your training? Training compliance is currently at 83.1%.
If you have not yet completed your training on LMS, please complete it this week Do not leave it any later as you will not have access to the new systems
After completing your training, you can access the CareFlow sandpit environment to practise the system in your own time Follow the instructions to request it here Please make your request for the sandpit environment this week

If you completed your training before Thursday 1 February, you are required to complete refresher training. This is an 11 minute video which can be booked via LMS.

If you haven’t completed your training, you will not have access to the new systems at Go Live. Email sath.ittrainingteam@nhs.net if you have any questions

Don’t forget to check your emails

If your role requires you to have access to Patient FLOW and eCAS card, you should receive an access email from useraccounts-noreply@systemc com

When you receive this, click the link and follow the instructions to activate your account as you will not have access to Patient FLOW and/or the eCAS Card until you do this
If you are unsure if you have have activated your account or if you have deleted the email, click this link to resend the email.
Are you ready for Go Live?
It is not long to go until the systems are switched off and replaced with new CareFlow systems
Follow the checklist below to ensure you are ready for Go Live weekend:
Are you working on the Go Live weekend (Friday 19-Sunday 21)?
Have you completed your LMS training and if necessary watched the refresher video?
Have you had a play in the sandpit environment?
Do you know who your Change Agent is?
Do you know what EPR means to you and your department?
Absolute Clinic Change Freeze

These systems are going to be switched off and replaced as part of the digital transformation.
As part of our Electronic Patient Record (EPR) programme, we are currently in an absolute freeze period for all clinic changes in SemaHelix and access to clinic changes will be removed for all users This is to ensure that all the data in SemaHelix migrates correctly to CareFlow, ready for Go Live weekend on Sunday 21 April.
Any emergency or critical clinic changes need to be raised via the IT helpdesk The Digital team will triage, action or reject the request Clinic changes will need approval from the Divisional Director of Operations or the Deputy Chief Operating Officer Any other changes will need to be actioned after CareFlow Go Live weekend on Friday 19 April-Sunday 21 April
This does not impact access for booking/cancelling appointments
