PROJECT BRIEF Background: Located on corner of Garden Drive and East 6th Ave in East Vancouver, a 2 family dwelling RT-5 covering 3158.6 SF and completed construction in 2021. Designed by MA+HG Vancouver based architecture firm known for bold, artful spaces that combine whimsy and function; concise and practical yet poetic and personal to the client. Problem Statement: Current views from interior are uninteresting and dull. Require some privacy from south neighbours. Maximum project budget is $10,000 to include associated costs of required materials and processes. Proposed Solution: Introduce organic vibrance to the outdoor space and express playful identity through plant material and natural forms to achieve modest style yet unmistakably modern in contrast to the building aesthetic. Optimize sightlines to year round framed views of the outdoor zones highlighting feature feature trees, evergreen structure, plant palette of native species, varied heights in addition to colour, texture and movement. Connect entry and garage side yard access via reclaimed materials or natural stepping stone. Give sense of place to outdoor garden room as extension of interior entertainment space. Considerations: Project exceeding the budget. Project timeline exceeding anticipated end date due to changes in scope or tradespeople avaibility.

OPTION 1 - Colourful corrugated edging gives playful texture to develop varied heights and distinct seperation of garden zones. Replace square pavers with 2’x2’ bluestone or natural steppers and continue path from entry to garage side yard access. Retain some gravel or plant ground cover / meadow style perennials of wildflower pollinators. Year round seasonal interest and structure through shrubs and tree selections.
OPTION 2 - Raised concrete planters formed by salvaged boards to give visual texture and add depth. Lower level planters edged with patinaed ‘corten’ steel to add warmth with hard surface in low profile edge to maximize garden space. Replace square pavers with staggered edge pathway using reclaimed brick or stone with some gaps and planted along path, held in place by mix of ground cover and some gravel. Similar planting to Option 1 with more empashis on green and white tones.
PROPOSED SCOPE OF WORK Phase 00 - PRE DESIGN Initial meeting and site visit to understand project background and objectives. Data collection. File transfers. Site photos, reaserch and discovery. Phase 01 - CONCEPT DESIGN Develop the project’s overall exhibit storyline and establish a project aesthetic and mood board. We’ll then prepare a project brief, assemble your team and present and estimate and base plan. From the base plan, a site analysis will act as a tool to record pertinent data. Phase 02 - DESIGN DEVELOPMENT Ideas turn into into something you can visualize. Hemlock Studio Terms and Conditions: The client wishes to retain the design services of Hemlock Studio to design the interior and exterior landscape spaces subject to the following terms and conditions: 1. Choice of Plan The client chooses to design a customized plan tailored to city permits, zoning and community preferences. Modifications and revisions will be accommodated within reason and may be considered additional to the scope of this initial estimate. 2. Commencement of Design Upon acceptance of these terms and conditions and payment of 50% deposit of the applicable design fee, Hemlock Studio will prepare a project schedule and request necessary file exchange to commence work. Once Hemlock Studio has been supplied the necessary information to begin preliminary design work, Hemlock Studio will commence work on the design as outlined in the prepared schedule upon receipt of payment of the design fee deposit.

3. Schedule Design services are broken into a series of meetings starting from the conceptual through to detailed drawings. Below is a basic design meeting schedule, subject to revision by the project coordinator. I. Introductory meeting and conceptual design: includes the creation of a design brief documenting project requirements including site and building authority requirements, floor plans, energy performance and other items; II. Design review: based on design brief, research and strategy, design team will prepare layouts and 3D model for review. We’ll document your comments and changes to any details or components of the design. III. Design development: once we have received and incorporated comments on the design we will begin to add additional detail to your drawings. We will also review your desired finished and options; IV. Closing meeting: final design questions are answered and decisions are made in order to complete the design and selected based on material palette options prepared in design development phase. Reasonable accommodations may be made as agreed on by both parties and the final design shall be used to form a schedule to form a Purchase Agreement to be entered into for the fabrication and procurement of products and materials, if the client chooses to proceed. The estimate is valid for 30 days from the date of issue. In order for payment to be made by the Client, Hemlock Studio hereby agrees to execute and complete the works required and the Client agrees to the Terms and Conditions provided. If you would like to proceed on the basis of this fee proposal, please sign and return one copy of this letter retaining another for your records. Payment of 50% design fee deposit, amount of $1224 via e-transfer to hello@hemlockdesignstudio.com. Please pay monthly invoice via e-transfer to hello@hemlockdesignstudio.com upon receipt of invoice. Hourly time tracking will be tracked against the initial deposit and monthly invoicing will commence beyond outlined allotment of approximately 12 hours.
