Case 5:Preliminary reports for Studentsamfunnet i Ås for autumn 2023 5.1 The Board of Samfunnet Reports from members of the board of Samfunnet. The report from sitting and previous chairman are on behalf of the board of Samfunnet.
Report from the Leader Maja Raz Karterud Dear General Assembly! The Board of Samfunnet spring 2023 consisted of the following members: Leader Vilde Kjelsrud Pedersen Head of Administration Hedda Solberg Sagen Head of Finance Ola Walberg Nilssen Head of Bodega Lars Michaloff Nordby Head of Events Åse Vigdisdatter Nytrø Head of Marketing Sebastian Nygaard Head of Concerts Julie Overrein
Since the General Assembly in the spring of 2023, myself and former leader Vilde Kjelsrud Pedersen, together with the rest of the Board of Samfunnet, have continued to work on the development of the organization in accordance with the work program for 2023. Below is a short report from some of the most important things that we in the Board of Samfunnet have spent our time on this year. The Buddy Week started with a bang, with many events held and good attendance. We started the collaboration with the Buddy General early on, and the Board of Samfunnet has had at least one representative on the buddyboard throughout the spring. This has had an enormous effect, and facilitated a very good collaboration. I gave a lecture for both the buddies and the new students about what
The Board of Samfunnet autumn 2023 consisted of the following members: Leader Maja Raz Karterud Head of Administration Hedda Solberg Sagen Head of Finance Ola Walberg Nilssen Head of Bodega Lars Michaloff Nordby Head of Events Åse Vigdisdatter Nytrø Head of Marketing Sebastian Nygaard Head of Concerts Julie Overrein Head of Finance Håkon Kvernstuen
Samfunnet really is and how important it is to contribute, and a party was held for this year's buddies, in collaboration with the other bodies at Studentsamfunnet. This year's Grillfest was a great success, where we are very satisfied with both the planning, execution and result. An extraordinary general meeting was held for the first time since 2019, where a newHead of Finance was elected. Cooperation with other actors In 2023, we have had good cooperation with various actors regarding events at Samfunnet, and we would like to thank everyone who contributes to good activity and use of the building! The Board of Samfunnet wants to strengthen relations with other actors on Campus and in the immediate area, which we Side 9 av 57
hope will contribute to improving the Samfunnets's operation even more. We have had good cooperation with the new Student Parliament's Work Committee, especially in the run-up to and during buddy week, but also with regard to general communication and information flow. We have collaborated on planning a celebration for World Mental Health Day, where NMBU, SiÅs and Ås municipality have also been part of the team. Samfunnet has had extended theme weeks on mental health and PRIDE, where collaboration with the various campus actors has been a major focus. The collaboration with SiÅs in general has been an important point of development, where we have seen a great improvement. A common room booking plan has been established, and regular meetings have been arranged to ensure good cooperation. Here we look forward to continuing the good cooperation! Organizational development Throughout the spring, the community board has looked at benefits for our committee members. Among other things, we have increased the price difference between committee and member on both concert tickets and drinks on the house. We have also been stricter that people must use the queue for their membership at the entrance, to emphasize that it pays to be on the committee. Due to price growth and inflation, we have seen ourselves obliged to increase the prices of all the food and drink we offer at the house. These have been kept as low as possible, to ensure an economically sustainable offer. The organization in general This year we have had our own recruitment group, made up of several of the KSs, Leader
and Head of Marketing. We visited most of the 1st year subjects and informed about Samfunnet, gave a tour of Samfunnsbygningen, took part in buddy games, had several stands during Graskurs part 1, participated in the Tour de Kringla, stood at a stand in several places on campus, and generally made a lot of noise around Samfunnet. We have also had a great focus on social media, and actively used all our SoMe channels. We have had an incredibly good recruitment period, thanks in large part to good preparatory work by the recruitment group. Almost all committees have been filled, and we finally see ourselves finished with the voluntary dip as a result of corona! This bodes well, and we hope that we can finally get back on our feet properly and have a semester where we can focus more on further development and improvement of our offers. We have also officially switched to using a new logo! This is very similar to the previous one, but is a modernization and update of the existing design. From now on, it will only be this that is used on all merch and marketing material that is used. The student society has also had good cooperation across all bodies, which we are very pleased with. I look forward to continuing to work with you, and hope that the good cooperation will continue in the years to come! For a more detailed description of the year, please read the reports from the other board members. We hope you are satisfied with the work so far this year, and that you will provide feedback if there are issues you think we should address.

Finally, I would like to thank you for the trust you gave me this year, and to Vilde and the rest of the board who have welcomed me so well. I would also like to say a big thank you to everyone who contributes to the house so that we all have a place to gather during our studies
and our stay here at Ås. I am very much looking forward to working with the board, the rest of the office wing, partners and not least you members over the next six months.

The work of the administration block this autumn Administrative Assistant Natalie is constantly updating the list of all volunteers at the Studentsamfunnet and following up on contracts. In addition, she ensures communication with NMBU about card access, so that all needs for access to the house are covered! She is not afraid to ask for more tasks, and assists with big and small tasks. Committee member Julie has been responsible for communication regarding room booking.

Our HR manager, Åslaug, is there for everyone who gets in touch, and assists, among other things, in connection with hiring. She is also a master of GDPR, and constantly works to ensure that everyone follows the rules they should. In addition, she arranges a KS forum and history lesson for our volunteers.
As of 16.10.23, the Student Union in Ås has 2366 members, of which 135 are international members. Lifetime members are additional. At the Community Board, we hope that the interest to be a member of the Studentsamfunnet in Ås is maintained, we really appreciate that so many want to be a part of it!
Marte, KS Linticket, constantly solves problems for anyone who has difficulties with Linticket. This autumn we have tested a rollback button on tickets, and work is being done to develop this so that even more people can take part in Samfunnets events. Linticket also has three committee members, Bettina, Milla and Tuva, who help put out the Society's events. Marte has also arranged courses in Linticket for committee leaders and committee members. IT Manager Martine can answer large and small technical issues and is very helpful to the

Report from the Head of Finance Ola Walberg Nilssen Honorable General Assembly! This spring semester, the economy block consisted of: Economy Assistant: Sunniva Moldstad Stormark Accountants: Guro Aaby Bergan, Frida Riise, Peder Hvidsten Hem, Yue Fang, Benjamin Jørgensen, and Tina Angell KS Climate Accounts: Vegard Høgi Olsen Analysis Committee: 1 member KS Green Business: Ingrid Hasaas
Hedda Solberg Sagen, Head of Administration of the Board of Samfunnet i Ås 2023.
Half-Year Report for 2023 The first half of the year has been a good one for the Society, but it has also presented some challenges. After the COVID-19 restrictions and lockdown, it was more difficult to fill positions within committees. This affected certain aspects of our operations during the first half of the year, such as our ability to serve food and manage the wardrobes, which is also reflected in the financial statements. Despite this, our overall earnings have been strong, and we are on track financially according to our budget. Samfunnet has a new agreement with SiÅS that is being tested for the first time without the influence of COVID-19. This has increased our responsibility for inventory and price management. This has led to somewhat higher costs related to the purchase of food and beverages, but it will be a valuable experience for budgeting in 2024. All in all, we have had a solid spring, both in terms of earnings and cost management. The accumulated result is 438,297 NOK. This is a result we can be satisfied with, and the finance chief is optimistic that the second half of the year will follow suit. Financial Update for Fall 2023 Since our last update, Samfunnet has been involved in hosting a two-week-long orientation week, Semester Kickoff, Oktoberfest, and revues. Side 13 av 57
Orientation week was a great success, with ticket sales reaching approximately 4,000 tickets. Semesterkickoff and Oktoberfest also resulted in strong financial performance, with the revues showing some decline in interest among the membership. Since the start of the academic year, Samfunnet has welcomed many new members, and I am pleased to announce that we have exceeded the budget for membership revenues for 2022. This will not be reflected in the half-year financial report but will be presented at the spring general assembly. It brings great joy to see members returning to our organization. Investments: Over the past six months, Samfunnet has been working in collaboration with the House and Finance Committee to develop a long-term plan for our equity. This is with the hope of achieving a better return on equity than the current bank deposit rate. Work in the financial block: Finance Assistant: Sunniva has made an impressive contribution as a finance assistant, and her role has been crucial for the continuous operations of our voluntary organization. She has also shown a strong commitment to the environment by focusing on bulk purchasing, in line with our goal of reducing our environmental impact. I want to thank Sunniva for her work as a finance assistant over the past year. Thank you for your excellent support and outstanding work. Accountants: Over the last six months, we have welcomed three new enthusiastic and capable accountants to our finance team: Guro, Frida, and Peder. The period has been marked by knowledge sharing and training to ensure that they carry out their work with high quality and in a manner that provides us with full confidence in their roles. Samfunnet has also organized annual accounting courses in Visma for its accountants, which are crucial to ensure they have the necessary skills and knowledge. They
have also continued their continuous accounting for the entire Studentsamfunnet, which is an essential part of our organization. I also want to take this opportunity to express my gratitude to Benjamin, Yue, and Tina for their dedicated work as accountants for us over the past year. You have done an outstanding job, and we are very grateful for your contributions. Thank you! Climate Accounting The Climate Accounting Committee has begun work on the climate accounts for 2023 since our last update. They have also continued their efforts to establish a greener purchasing routine for Studentsamfunnet, conducting new calculations and analyses to highlight our carbon footprint and greenhouse gas emissions. This is essential work that provides a factual basis for implementing measures to reduce emissions and facilitate the certification Samfunnet as eco-lighthouse. I also want to thank Vegard for his work as KS Climate Accounts; your contributions to the finance team have been fantastic. Analysis: Krishna and the committee have done a solid job assisting the various house committees with data processing and analysis. In the past six months, they have conducted various cost analyses, particularly focused on events. This work is important for developing offerings for our members. They have also explored other analysisrelated opportunities at Samfunnet, such as developing a system for tracking room usage within the building. I also want to thank Krishna for his work as KS Analysis at Samfunnet over the past year. Eco-lighthouse: The newest addition to the finance team is the Green Business position. This is a project-based role with the primary goal of certifying Samfunnet as a eco-lighthouse. To achieve this, new procedures and processes have been put in place in line with the eco-greenlight criteria. Currently, only UKA in Ås is eco-lighthouses certified, but we Side 14 av 57
hope to achieve this certification for Samfunnet by the end of the calendar year. We look forward to seeing Ingrid complete this project! Thanks With this, I, Ola, would like to express my gratitude for the trust and the opportunity to work for the members of Studentsamfunnet i Ås! It has been a challenging but incredibly rewarding and educational period. I highly recommend everyone to participate Generalforsamlingen, as it provides experiences and memories that I wouldn't trade for anything. Furthermore, I want to thank our small and fantastic economy team for a memorable year. Finally, I wish the incoming CFO, Håkon, the best of luck in 2023. I have really faith in you!

looking into the queue system in Johannes, which currently appears to be working well, providing faster and more organized service. The club has witnessed increased use of the premises and, in collaboration with the food committee, has introduced a weekly menu. This has led to most of the committees in the bodega block filling their positions, and the attendance for community services is back to normal levels.
The Carpenter Committee has been working on several shelving solutions for better and more organized storage behind the bars in the bodega and in some other rooms in the house. Through DVU, the bodega has received a small makeover with fixed holes in the pillars, and the doors have also been replaced. A new floor has been installed just outside the bodega doors. There are also plans for larger projects in the house, with the first one being the replacement of the roof in the rose garden, scheduled for spring 2024 Thanks! I would like to conclude by extending a heartfelt thank you to all the committee chairs and committee members in the bodega block for the effort and dedication they put into running the house, its offerings, and for ensuring that everyone here at the house has a great experience
Inngang and Konsernet have conducted fire drills to practice handling fire incidents during event nights. Ordensvern has organized a security training course and plans to hold a similar course throughout the autumn to increase the number of security guards in the committee. Inngang and Konsernet have also had representatives here to enhance security competency within these committees. The bar has expanded the drink selection in the bars and the offerings at the house. The Events Block Autumn 2023: Event assistant: Emina Kazinic KS Activity: Otto Engum KS Current Affairs: Anna Vedelden Robberstad KS Revues: Ronja Daniloff The Event Block currently consists of a total of 25 committee members, where the Events Committee has 14 committee members, the Activities Committee has 5 committee members and the Current Affairs Committee has 6 committee members. Lars Michaloff Nordby, Head of Bodega of the Board of Samfunnet i Ås 2023
This semester has gone by in a flash - which is highly unsurprising when you look back at all the varied and well-executed events that Arrangementblokka has worked so hard for. This truly is something to be proud of! The autumn semester got off to a solid start with this year's Buddy week, with which we coordinated a number of events. With Graskurs part 1 and part 2, the new students were successfully introduced to the building and all the great associations, groups and other opportunities here at Agraren, and the relatively spicy combination of a toga party with a wrestling show resulted in a memorable evening. On the programme, we are lucky enough to have a total of four revues and one show (!), and the semester as a whole has been full of great concerts, collaborative events, sold-out Thursday quizzes and several successful larger events such as Oktoberfest. No less than three themed weeks have graced the semester programme this fall: Pride week, Mental Health week and Pink week. The coming spring Our work on the spring semester program is in full swing. As always, we strive for a varied and Side 17 av 57
creative program, and among other things we are looking at experimenting with more passive offers during our events. With many creative minds on the matter and features from Mini-UKA, we are already looking forward to showing off what you have in store. At the same time, we are taking account of renovations to Festsalen starting in May, and are already looking forward to all the opportunities the finished result will provide for the way forward!

Since the spring's General Assembly, we have chosen to add two more committee heads to the block: KS SoMe and KS Web. The reason for this is that these positions were previously committee member positions with a significant workload, and there was a need to convert them into KS positions. The Committees' Work

The Marketing Block continues its usual course, and the machinery almost runs itself. After a shortage of committee members before the summer, most committees have been filled, except for the film committee. Due to the lack of members in the film committee, which currently consists of only one member, the Marketing Manager has reevaluated the committee and focused more on social media and content production through platforms like TikTok. Simplified tools like mobile cameras and lightweight editing programs have been used effectively. We have continued working on a long-term publishing plan to ensure the best possible Side 18 av 57
marketing for all events and to ensure seamless collaboration between the committees. At the start of the fall semester, we focused heavily on recruitment through social media, posters, and physical presence. A recruitment group was organized, responsible for planning and attending stands to spread the message. The recruitment period was a great success, and most committees across all blocks were filled. Finally, the logo has been updated. It is quite similar to the previous one but with updated colors and some simplifications. A new font now always accompanies the logo on the right side. Additionally, there will be a review of new merchandise collections and updates to various signs and logos around the building. We have noticed a greater enthusiasm for volunteering and the community. Events have good attendance and are frequently sold out. Thank you all!
Sebastian Nygaard, Head of Marketing of the Board of Samfunnet i Ås 2023.
Lastly, I would like to thank you for the trust that has been placed in me. It has been incredibly enjoyable to work with so many talented and passionate individuals. I recommend everyone to take on an elected position during their study period!

Hus- og Finansstyret is the highest authority at the Studentsamfunnet i Ås between general assemblies and works strategically to ensure a healthy and long-term management of Studentsamfunnet, its finances and building in accordance with the long term strategy. Hus- og Finansstyret has a special responsibility for making strategic assessments, in collaboration with other boards and bodies.
Side 22 av 57
Hus- og Finansstyret has held three meetings and two seminars since the spring's report. The number of cases dealt with is 33. The Sandoren seminar, held in June, was a good way to part before the summer, and several reports from the various projects at the house were discussed into the late hours of the night. In August, we also had a seminar where the various boards at the house were able to take up larger questions in a larger forum, with both external representatives and the other boards. This provided good inspiration for the further work throughout the year, and was a good kickoff for the autumn's cooperation and operation of the house. The 1st budget round for UKA has been reviewed, and the input the board has given has been included in the further work. We look forward to a magnificent anniversary. In addition, the collaboration agreement between NU and NMBU has been up for revision, we hope to have this in place during the autumn, so that the Career Day has a more secure framework, and can continue the fantastic development that has taken place in recent years. As of now, Næringslivsutvalget is on its way to becoming the board with the largest surplus. Furthermore, there has been a follow-up on the projects Daglig Leder, Renovation plan for Samfunnsbygningen and Pluto 7. These three projects have all prepared their documents and reports. We hope to be able to present the results from Daglig Leder and the Renovation Plan for Samfunnsbygningen at this spring's General Assembly. Pluto 7 will be presented to you as a separate case as Long-Term Strategy 2035 at GF this autumn. DVU has prepared calculations and a budget for the renovation and refurbishment of Festsalen and Rosehagen. Festsalen is in dire need of investment now, as the load on the room will be much greater as AudMax will be closed for two years. Here, a frame of NOK 5.5 million has been granted for refurbishing the stage and technical equipment, and we are in the process of applying for various support organizations to increase the budget and include more in the project. On the other hand, Rosehagen has for a long time had a leaky roof, and this requires replacement. Here, NOK 3 MNOK has been granted for the work, but we hope to get more support for the project to be able to do the work as well as possible. There will hopefully be some construction activity at the house in the future, with Rosehagen starting in the autumn, and Festsalen in May. External representative Lars Raaen has been given the role of DVU-leader on behalf of the Student Association, and will therefore focus his time on this. He will thus step down from the Board of House and Finance. We are therefore looking at this autumn's General Assembly for an external representative who can complete Lars' two terms.

5.4 The Business Committee at NMBU Honorable General Assembly! The Board in the Autumn of 2023 consists of: Leader - Birte Una Songedal Liset Head of administration - Olav Olsborg Head of the career day - Hannah Storum Incoming head of the career day - Ingeborg Aasebø Head of events - Ingrid Rustad Røflo Head of sponsorship - Kristian Trepanier Walland Head of marketing - Ingrid Fagerbakke Career day, Autumn 2023: This autumn, a record-breaking 81 companies filled the entire Samfunnet. We utilized the space differently, allowing for such a large number of companies. We received positive feedback from both students and companies for the new layout. There was a good turnout at the career fair, with approximately 2000 students attending the event. We repeated last year's success and organized company presentations throughout the day in Halvors Hybel. Unfortunately, there was low attendance, and we are looking for ways to improve and increase the number of students attending these presentations. Evaluation forms have been sent out to the companies that participated in the Career Fair, and we will consider this feedback to conduct even better career fairs in the future. Other Events and Activities: Since the last General Assembly, the Business Committee has organized several career-enhancing events for the students. Before the summer, we organized "Ås-så-Videre" with tips and tricks from former students in the workforce, as well as a company presentation with EY, both well-executed. The fall semester started with preparations for the Career Day with Naturviterne, focusing on how to stand out during the fair and in job applications. We also had a successful case-solving session and Tapas event with Deloitte. Following the Career Day, we offered CV checks with Naturviterne in Bikuben, organized "Women in Leadership" with discussions about daring to think big, and planned a stress management workshop in early November. We continuously work on strengthening our collaboration with student associations to improve relationships and increase visibility for relevant companies. As part of this effort, we invite student associations to evaluate the Career Day on November 8th. This allows student associations to provide their perspectives and suggestions. In this way, student associations play an active role in assessing the relevance of companies and the overall structure of career fairs. Career Fund: The Career Fund consists of 15% of last year's surplus from the Business Committee. So far this year, we have allocated 152,350 NOK for career-enhancing activities for NMBU students. It is possible to Side 26 av 57
apply for Career Fund grants three times a year, with the next deadline being November 20th! Unallocated funds are earmarked for the Samfunnet building. Application forms, guidelines, and past allocations can be found at www.nunmbu.no. Sponsorship Activities: The Sponsorship Coordinator started work in the summer vacation. The focus was on preparing the Grillfest for the 2023 Orientation Week. The result was 10 partners who contributed to a successful Grillfest. Additionally, this semester was dedicated to planning for UKA in Ås 2024. We worked on package offerings, pricing, and other relevant information to approach potential corporate sponsors. We also explored new opportunities to secure sponsors for Samfunnet i Ås. There is a growing interest among companies to support more academic events, so we intend to strengthen our collaboration with the Event Committee to meet this demand. In October, we organized a successful Career Fair, where Gartnerhallen once again sponsored fruits served to the companies and career hosts. In the upcoming months, our focus will be on reaching out to potential partners for UKA in Ås 2024 while negotiating new agreements with our existing sponsors. Climate: The Business Committee has evaluated its own activities to reduce its carbon footprint. The majority of greenhouse gas emissions occur due to food and beverages at various events, as well as the purchase of sweaters and t-shirts. These emissions are challenging to reduce, but the Business Committee continuously explores new ways to minimize its impact. On behalf of the Board of the Business Committee, Birte Una Songedal Liset, Leader of the Business Committee at NMBU 2023

5.5 Tuntreet Honorable General Assembly! Summary: This autumn, Tuntreet has seen great growth in the editorial staff, the production of the editions has gone like clockwork and we experience that student engagement is increasing both internally and outside Samfunnet i Ås. Responsible for Tuntreet, autumn 2023: o Editor-in-chief: Celine Våga o Journalist editor: Martin Hansebråten o Editorial assistant: Julie Anine Strømme o Head of photography: Tuva Hebnes o Head of layout: Sara Thu o Head of translation: Amalie Pedersen Brønmo o Head of proofreading: Aurora Tvete-Berger Amdam Helland The editorial staff This fall, Tuntreet's editorial staff consists of 38 contractual members, including the head of committees and editors. In addition to this bunch, we have a good group of freelancers who are involved in Tuntreet's operation through engagement. Tuntreet has seven committees (journalist, photographer, layout, translator, proofreading, illustration, and distribution), in addition to the editorial assistant which is a newly established position. This autumn we have experienced a great student engagement and we have received several new and skilled additions to the editorial staff, which is incredibly fun! In the future, Tuntreet will work to create a good social culture within the editorial staff to increase the well-being of our old and new editorial board members.
Editions As in recent years, Tuntreet has had a publication of 800 Norwegian and 200 English editions. The editions are distributed physically on Campus, as well as digitally on our website at Squarespace (Tuntreet.org). In order to optimize the number of editions released in relation to the demand among the student body, we monitor the number of leftover editions, and an assessment is made of the current and future publication figures during this semester. A change in paper type was made for the editions starting with TT07. This was part of a larger aesthetic change to increase newspaper feel, but it also had the positive economic effect of cheaper prices at the printers. We have stopped using Issuu for publishing and "archiving" old editions. This is because of a newly introduced limitation that issuu has on publications over 50 pages (Tuntreet has 52 pages). All upcoming editions will therefore be published on our website. Efforts are being made to move what we have of old editions onto our website so that everyone has access to the old editions of Tuntreet. Economy Tuntreet is always looking for solutions to reduce expenses. At the same time, we are encouraged by the House and Finnans Board, and have an internal desire, to spend more of our finances on social events and trips such as preparties, cabin trips, and Christmas parties. This is a cost we have not Side 28 av 57
previously spent much money on, but which we want to do now to strengthen the community within Tuntreet and give back to our editorial staff. Sustainability and the Environment Tuntreet is always looking at ways to make sustainable choices. Upgrading furniture in the office was done by collecting used furniture instead of buying new ones, we use regional print shops and look at optimizing publication numbers to prevent unnecessary use of resources. Thanks Tuntreet is nothing without its skilled employees. Their dedication, knowledge, wit and ideas are what distinguish Tuntreet from any other student newspaper. It has been my pride to see Tuntreet grow, both editorially with new great and committed members, and as a student newspaper. I am constantly impressed by what we can achieve together; And imagine that it's all done in exchange for cheaper beer and waffles. I would like to thank you for your time as editor and look forward to the final period with my editor partner Martin as well as the new journalist editor. A thank you should also go to all our partners in the office wing, AU, the Faddergeneral and the dedicated students who want to participate and enrich the discussions at Ås. On behalf of Tuntreet Celine Våga Editor-in-chief, fall 2023

Case 6 Strategy for Studentsamfunnet i Ås
6.a Approval of the Work Program for 2024 Studentsamfunnet in Ås' work program are short-term goals for the long-term strategy that was adopted at the General Assembly in the autumn of 2022. The work program is revised annually. The purpose of the work program is to have a concrete plan for the priorities to be made in Studentsamfunnets work in the coming year. The proposal for the work program for 2024 has been prepared on the basis of the long-term strategy adopted in the autumn of 2022. The work program is a tool that will help the bodies to ensure that the development and operation of the house is in line with the adopted long-term strategy. -
Goals reached in 2023, and which do not require annual evaluation, have been removed from the work program. The goals that have been achieved in 2023, but which for various reasons are desirable to include further, have been revised and are also included in the work program for 2024. New goals that Studentsamfunnet wants to achieve during 2024 have been added to the work program.
See Appendix 1 for Studentsamfunnet’s work program for 2024, and Appendix 2 for the work program for 2023. Proposed resolution The General Assembly approves the work program for 2024.

Case 7 Approval of budgets for Studentsamfunnet i Ås for 2024 Short on the return requirements in the budget The board of House and Finance (HF) sets annual return requirements for the boards of Studentsamfunnet This is one of the tasks of HF, cf. the articles of association § 4.1.4. The required rate of return is set as a percentage and says what percentage of turnover the individual board of directors will leave as a profit at the end of the year. In addition to the return requirements, the budgets of the individual boards are also submitted to HF for approval before being sent to GA.

8.1 Strategy for 2035 Submitted by Pluto 7 Background: The Pluto 7 commission has been revising the long-term strategy for Studentsamfunnet i Ås until 2025 and making a strategy for the period 2025 to 2035. The revised long-term strategy until 2025 was presented to the general assembly in autumn 2022. In the past year, the commission has prepared a proposal to the Studentsamfunnet i Ås's long-term strategy until 2035. The proposal will be presented at the general assembly in November 2023. Pluto 7 has used the current strategy as a starting point for the revision, in addition to suggestions and feedback from the organs, Hus- og Finansstyret and surveys. The first half of the year was spent gathering input, finding a suitable structure and deciding which main elements should be included. A first draft of the strategy was completed in June. It was sent to sitting board members of the organs, the committee leaders, the committee members and the Student Parliament's working committee. The feedback was taken into account in the work on the second draft. A completed second draft was posted on Facebook and the website of Samfunnet with the opportunity for all members to submit opinions and questions, in addition to a presentation on 24th of October with discussion and clarifying questions. The goal of the process has been a strategy that all members can unite around and agree on, which gives future volunteers enough room for action, but at the same time ensures that Studentsamfunnet i Ås moves in the right direction. The commission has also chosen to change the structure of the strategy, mainly to highlight several main themes. Clearer goals have also been set within sustainability, as this is an area where the Studentsamfunnet must dare to challenge itself in order to improve. Studentsamfunnets overall objectives are mainly a rewriting of the current goals, but with some adaptations and additions to reflect the new long-term strategy. The commission has designed objectives that build up under the main objective. The strategy again reflects how the Studentsamfunnet will achieve the overall objectives. The strategy and the overall objectives are presented in appendix 3. The Board House and Finance’s evaluation The Board of House and Finance suggests the change in the Articles of Association.
8.2 Changes in the Articles of Association
Proposal 1.2 Submitted by Samfunnsstyret Background: The following proposal is for changing the structure of the Samfunnet Board. The proposal is to merge the Concert Manager and the Events Manager into a position called Events Manager, where their respective blocks are also merged into one single block. The background for the proposal is based on the proponents’ experiences from their time in their positions as Concert Manager and Events Manager, as well as the Samfunnet Board’s previous observations about workload and capacity. The reason for the merger of directorships and blocks is to gather all the people who work with events into one block. This works very well in the UKE organization. We see that it is a great advantage that everyone who works with event planning and execution work closely together. By merging the blocks, the planning of the semester program and the implementation of concerts and revues could become much easier. The Concert Manager’s duties have become fewer and fewer over the years. Today, the duties associated with the office, in addition to board duties, are the following: 1) Coordination of the concert block, both social and associated work at Samfunnet. 2) Deliver a TONO report each semester for Studentsamfunnet in Ås. There will therefore not be that many more tasks assigned to the post ov Events Manager, in addition to the fact that point number one isa point that the Events Manager and Concert Manager already collaborate on today. The election structure will be like the current election structure for the Events Manager. Proposal for the distribution of responsibilities: The upcoming Events Manager will have the same responsibilities as the current concert director, while at the same time, the inductee is trained in their current role with the semester plan. The incumbent manager will have primary responsibility for the semester plan and the implementation of concerts and events. The proposal is then that the position of Concert Manager be removed, and that the tasks and committees in the concert block will be assigned to the Events Manager and the Events Block. Suggestion for change: § 3.4.2 Autumn GA a) b) c) d)

Case 9: Informative cases 9.1 Orientation about ethical guidelines In the spring of 2023, a committee was put together to prepare ethical guidelines for Studentsamfunnet in Ås. The ethical guidelines must clarify which ethical standard Studentsamfunnet has to ensure well-being and a good environment. The preparation for ethical guidelines is based on the purpose clause §1.1, where we want to promote good camaraderie between the members of Studentsamfunnet. The committee consists of Kristiane Holter, Åslaug Flatabø, Vilde K. Pedersen, Johanna W. Hidle, Andreas Kinnari and Brage Bærheim. Throughout the autumn, the committee has worked on a proposal for ethical guidelines which has been presented to the House and Finance Board and revised in two rounds. The committee would like to receive input from the members of Studentsamfunnet. A form will be sent out to all members by e-mail on Monday, November 13th in which proposals for ethical guidelines are presented, and members can provide input on content and wording. Proposals for ethical guidelines will also be presented in Tuntreet’s issue 9. The goal of the input process is to ensure that members feel ownership and are allowed to influence the ethical guidelines. In addition, it will facilitate more efficient proceedings during the spring General Assembly where we will propose the implementation of the ethical guidelines in the organization. Until the General Assembly in the spring of 2024, members can make contributions to the ethical guidelines. Input can be directed to one of the representatives on the committee.
Proposed resolution The General Assembly takes note of the matter.
