Use N360 when the concern is primarily academic or related to student success. Such as attendance concerns, missing assignments, or poor academic performance.

Submit a CARE Team Report when the concern is primarily related to health, safety, or well-being. Such as emotional distress, thoughts of self-harm, concerning or disruptive behavior, and/or basic needs such as housing, food, and childcare.

Emergencies: If there is an immediate threat to the safety of the student or others, contact University Police (978.542.6111) or call 911 before submitting any report.

Guidance on Submitting Useful Alerts/Progress Reports To support timely and effective outreach, in addition to selecting the appropriate reason(s) for concern, it is recommended to include: • Relevant course policies that affect the student’s options, such as attendance expectations, late work, make-up work, or grading policies.

• Actions already taken, such as outreach the faculty has already made to the student, or key messages to reinforce.

• Recommended next steps for the student, such as attending office hours, submitting missing work, or utilizing academic support services.

• Withdrawal guidance, if the student’s current performance indicates they are unlikely to pass the course.

Impact of Withdrawing Withdrawing from one or more courses may affect a student’s academic standing, progress toward degree completion, and financial aid eligibility. Recent changes to federal financial aid regulations require the university to reevaluate student loan eligibility when course withdrawals change a student’s enrollment status. This may affect full-time students who fall below the credit threshold required for annual loan eligibility, as well as parttime students whose overall enrollment status changes as a result of a withdrawal. Additional information about the withdrawal process and its impact on financial aid for the 2026-2027 academic year will be available in September.

What to expect once an alert or progress report is submitted N360 • Within 24-48 business hours, the student’s assigned campus connection will reach out to offer support.

• Multiple outreach attempts are made through email, phone and text.

• Students who are not responsive to the outreach attempts are routed to Retention Services for one final outreach attempt.

• When the alert is closed, whether through direct contact or not, a final update email with the outcome of the outreach is provided to the alert or progress report issuer.

• Outreach attempts and connections are recorded in the case details.

* Roster Verification is a federally mandated process of confirming which students are actively enrolled and attending your course after the add/drop period.

Why it matters: Accurate verification is important because it supports financial aid compliance, ensures the integrity of academic records, and helps the university identify and assist students who may be at risk of disengaging early.

Where to enter the data: Faculty Center (SIS: Student Information System) Who to contact: Registrar’s Office; 978.542.8000; registrar-faculty-support@salemstate.edu + Midterm Progress Reports are newly established contractual responsibility under Article XII, Section A of the MSCA agreement whereby faculty are required to submit “mandatory midterm progress reports for students in danger of not passing,” with reports for all students strongly encouraged.

Why it matters: Midterm Progress Reports provide timely feedback that helps students address academic difficulties early enough to improve outcomes and connect with available support resources.

Who must act: All faculty members, full- and part-time.
