At Saint Mary’s Hall, we're on target for awesome adventures! Summer at Saint Mary's Hall has provided a safe, caring, fun, and enriching environment to campers for more than 20 years, welcoming campers from San Antonio and surrounding communities. Our dedicated administrative staff, along with a team of experienced instructors and student counselors, eagerly await the opportunity to provide a summer filled with new and exciting opportunities for our campers.

Offering a diverse range of academic, arts, athletics, and enrichment camps for children aged 3-18, we strive to extend the Saint Mary's Hall culture of "know and be known" to our campers each summer. It brings us great joy to witness the growth of each camper as they tackle new challenges, meet new friends, and master new skills.

REGISTRATION

Visit smhall.org/summer for fast, safe, and easy online enrollment. Our online registration platform provides a system for families to manage students' enrollment from any device at any time.

• Summer registration opens on March 4, 2024 at 8am and will remain open through the summer for classes that have availability.

• Go to smhall.org/summer and click on the “register” button.

• Previously enrolled families should use their existing login and password (or click Forgot Password to reset).

• First time families will click “New User” to set-up a user name and password.

• Be sure to add each student to your account before registering for camps/courses.

• Choose classes and make your payment via e-check or credit card.

• An email confirmation will be sent after registration is complete.

• If you are experiencing trouble registering, contact the Office of Enrichment at (210) 483-9124 or enrichment@smhall.org for help.

LATE REGISTRATION

Late registrations cause a variety of inconveniences including requiring instructors and staff to make last minute adjustments.

If enrollment occurs after Thursday at noon, prior to the next week's session, an additional late fee charge of $25 will be added to each session's registration fee.

CAMP CANCELLATION

CANCELLATION BY SUMMER AT SAINT MARY’S HALL

Camps and classes are limited in size and are available on a first-come, first-served basis. Summer at Saint Mary's Hall reserves the right to cancel any course/camp or program due to insufficient enrollment. If this occurs, staff will work with families to transfer to another available camp or refund tuition.

CANCELLATION BY STUDENT

A full refund will be given for cancellations made before May 17, 2024. After that date, you will be refunded only if the class is canceled or a student is medically precluded from participating. A letter from a licensed physician is required. Cancellations made after May 17, 2024 will be charged a $50 cancellation fee for each week (per student) that classes are canceled.

PRORATION

Proration is not available as instructors and staff plan a full week of camp, including supply costs, for each student registered. We are unable to prorate for camper absences including vacation schedules, conflicting activities, or a change in plans.

WAITING LISTS

All camps have enrollment limits to ensure a safe and fun learning experience for each camper. Our online registration system automatically develops a waiting list for all camps. If space opens in a camp, parents will be notified via email to login to their account and register for the camp.

ABSENCES

To ensure the daily safety of each camper, we ask that you report any absence or plans to drop-off or pick-up early. Please email enrichment@smhall.org or call the Office of Enrichment at (210) 483-9124.

HEALTH & SAFETY

A certified medical professional is on staff every day during the summer. If your child has specific health concerns, please contact the Summer at Saint Mary's Hall medical team at (210) 483-9229 or healthoffice@smhall.org for further direction. For the safety of our staff and campers, SMH reserves the right, in its sole discretion, to remove any camper, parent or any other person at any time.

CAMPER INFORMATION

YOUNG CAMPERS - Campers ages 3-4 must be fully toilet trained. Pull-Ups® are not permitted. Please send an extra set of clothing in a labeled bag.

CLOTHING - Campers should wear closed-toe shoes and dress in cool, comfortable summer attire. Should your camper be required to wear something different or bring specific items, you will be notified via email.

SUNSCREEN - Please apply sunscreen and insect repellent to your camper every day as even campers in indoor sessions will spend some time outdoors.

WATER - Send a water bottle with your camper - there will be multiple opportunities for your camper to refill his/ her water bottle throughout the day.

PERSONAL STUFF - We recommend that other personal belongings stay at home as we are not responsible for lost or broken personal items. We also recommend that mobile devices remain at home. Should your camper need to bring a mobile device, staff, instructors, and counselors reserve the right to limit usage during camp time. Please don't forget to label all personal items.

All camps meet rain or shine. In case of inclement weather, Summer at Saint Mary's Hall will communicate with you via:

CHECK-IN, DROP-OFF & PICK-UP

The week prior to your child’s camp(s), you will receive a welcome email with any necessary information and updates. The email will also prompt you to review your child’s camp schedule for the upcoming week.

MORNING CAMPS

Drop-off: When you arrive on campus, you will be directed to the Lower School carpool area and asked to remain in your vehicle until camper unloading begins at 8:30am.

On the first day of camp, summer staff will visit your vehicle to check-in your camper(s) and give you a carpool sign to use throughout the week. Please display this sign in your windshield each subsequent day of camp for both drop-off and pick-up.

Pick-up: Camper pick-up will be in the same area as drop-off. Beginning at 12 noon, staff will call your campers to the carpool area according to the information on your carpool sign while you are in line, so please keep this sign visible throughout the entire process.

EXTENDED CARE

The Extended Care Program provides care for campers enrolled in Summer at Saint Mary's Hall before and after camp: 7am-9am and 4pm-6pm. The program includes relaxed recreational activities including games and outdoor play. We encourage parents to sign up in advance for our Extended Care Program to help our administration better plan for staffing needs. We understand that circumstances do not always permit early or planned enrollment and is open on a drop-in basis for parents with unforeseen scheduling difficulties. Campers who are dropped off before 8:45am or not picked up by 4:15pm will automatically be enrolled into the Extended Care Program. Parents will be charged at the rate listed below for this supervised time. Late fees will be charged after 6pm.

FIELD TRIPS

Waivers will be provided by email for any camps offering field trips prior to start of camp. Waivers must be completed and submitted prior to the field trip.

LUNCH

Lunch is taken every day at noon and is fully supervised by staff and counselors. We offer a weekly meal plan, with a balanced meal provided by SAGE Dining Services®. The meal plan, which can be purchased through your camp account, is $45/week for students ages 6 and older.

**Important Reminder: Lunch is only provided for campers enrolled in both morning and afternoon sessions. If a camper is enrolled in a morning session, but not in the afternoon, then lunch will not be provided. Students who require special meals must bring a lunch from home.

• 3-5 year old campers who bring a sack lunch will be charged a supervision fee of $20/week.

• 6+ year old campers who bring a sack lunch will be charged a supervision fee of $20/week.

SNACKS

Snacks are provided daily for all campers at 10am and 2pm. Students with special dietary needs should bring snacks from home.

SNACK BAR

The snack bar is open daily during snack time breaks and at the midpoint of each morning and afternoon session. The snack bar offers snow cones, chips, candy, Gatorade®, bottled water, and more. New in 2024, the snack bar will not accept cash. Snack bar cards are available online in $10 increments and are available anytime online. Any unused funds on a snack bar card will not be refunded. Snack bar cards are the responsibility of each camper.

ALTERNATE PICK-UP / DROP-OFF

We understand that campers may be late to camp or need to be picked up early. If you need to drop off or pick your camper outside of regular carpool times or have a change in carpool situation (e.g. someone else will be picking up your camper). It is imperative that you send those requests, or absence notices to enrichment@smhall.org. Please note that we are unable to accommodate early pick-ups that occur within 30 minutes of carpool, 24-hour notice for early pick-ups are greatly appreciated.

IMPORTANT NOTES

PLEASE DO NOT exit your vehicle during the carpool process unless absolutely necessary. Counselors and staff will assist campers with car seats and loading any other personal belongings. Afternoon and full-day campers not picked up by 4:30pm will be enrolled in Extended Care (see Extended Care section for more information).

CELLULAR & ELECTRONIC DEVICES POLICY

In order to facilitate the healthiest learning environment, campers are expected to comply with the Saint Mary’s Hall guidelines regarding cellular and electronic devices. To the extent that a camper brings any electronic devices to summer camp (smart/cell phones, smart watches, iPads, PlayStation, etc.), the camper does so at his/her own risk.The school will not be responsible for the theft, damage, or loss of such devices.

All electronic devices must be turned off and put away during the session unless the teacher has specifically authorized the use of the device during that particular camp for educational purposes. If the device is being used for educational purposes, campers must comply with the guidelines relating to such use. Whenever such use is permitted, campers may not use electronic devices in any way that is inappropriate, harassing, or disruptive to the educational environment. The visible/audible content stored on an electronic device such as images, wallpapers, and ringtones are to be school-appropriate. Campers are not permitted to use electronic devices to make threats, use camera features to take inappropriate pictures or videos, videotape, or record classes, send text messages to other campers in class, or in ways that would otherwise disrupt the learning environment. No camper is to photograph or record anyone on campus without their knowledge and expressed permission. This is a violation of privacy and compromises a sense of safety on campus. No camper is to post images or recordings of Saint Mary’s Hall community members on any social media platform without their knowledge or expressed permission.
