Rotaract District 3292 My best wishes and hearty congratulations to the Rotaract District 2021-2022 team for your successful tenure. My congratulations to you for publishing Rotaract District Directory with the necessary information regarding the changes in the Rotaract structure and the Rotaract District members Committee’s contact details. Rotary International, established in 23rd February 2005 is a membership based organization with the basic objective to do social work and serve the community. Rotaractors was with the basic objective to give young adults a place to connect and take actions for the good cause. Rotaractors have been partner in service with Rotary since many years for doing the good in the community. In our district RID 3292 also, Rotarians and Rotaractors have been joining hands in many community projects and will continue to do so in future also. Recent changes in Rotary International Regulations regarding Rotaractors was made to attract youth to energize Rotary movement. Now Rotaractors can maintain dual membership and Rotaract Clubs can become affiliated directly with Rotary International. This will immensely help in boosting Rotaract movement and working together. Rotary International President 2021-2022 Rtn. Sekhar Mehta has given the Theme “Serve To Change Lives” urging all to serve the communities to change lives of the poor and under privileged people. In the coming year and years to come, Rotarians and Rotaractors will work hand in hand to meet Rotary International’s objective of serving the community meeting 2021-2022 RI Theme. The world at present is still going through COVID-19 Pandemic. Rotary International, our District 3292 and Rotary & Rotaract Clubs are doing its best by providing its services to communities by humanitarian services, and working in partnership with the Government of Nepal and Local Authorities to serve the communities at this time of global crisis, which is the true spirit of Rotary International’s “Serving the Community”. I am confident of Rotaractors’ support to the society in helping the community at this time of crisis. Once again, my best wishes and congratulations to Rotaract District 2021-2022 team and wishing you the very best in the year 2021-2022 and years to come. Dear Rotaractors, Let me start by congratulating each and every one of you for your continued dedication and varied engagements in the Rotaract community. This journey of leadership and self growth has undoubtedly been a challenging, yet rewarding one, and I believe that there is even more in store for us. With the COVID-19 pandemic surging around us, and affecting our daily lives, we find ourselves in the unknown terrain. However, despite the challenges, we are aware of the efforts of the Rotaract community to not only adapt to the changing scenarios, but also offer support to one another, our communities and those in need. We saw clubs switch to virtual activities and at the same time also lead ground level COVID response initiatives, which is truly reflective of the dynamic, youth-driven Rotaract movement. I commend you for your resilience and your unwavering support that has made us only stronger. As we step into a new Rota Year with bigger aspirations, I want us to keep in mind our mission which is- “to create opportunities and provide support for our members, enabling them to become community and professional leaders”. With the above mission as our Rotaracting mantra this year, we want you to integrate five core values in everything we do. They are: Leadership, Integrity, Diversity, Adaptability, and Learning (L I D A L). We aspire for leadership that encompasses empathy, humility, and respect for others, in addition to courage, wisdom, and a sense of judgment. We value integrity, wherein clubs and members in setting our personal and professional goals, adhere to high moral and ethical standards. We believe in the need for diversity, such that the Rotaract platform not only welcomes a diverse group of people, but also varied sets of ideas and experiences. With adaptability, we envision an organization and its members who are critical in their thinking, flexible in their actions and accommodating in their contributions. Finally, we want Rotaract Clubs and its members to be open to new ideas, develop listening skills, be reflective of their actions, be open to criticism, and always strive towards learning. Integrating these core values into our engagements and internalizing them is what brings us to “Doing things awesomely”! The theme this year is all about bringing out the best of you in everything you do. And I am super excited to witness this awesome spectacle as your DRR this year. Finally, I offer my heartiest congratulations to the team of RY 2021-2022 for the successful year. Thank you for leaving behind legacies and lessons for the upcoming leaders. Your contributions towards building the Rotaract movement will always be treasured. To doing things awesomely! Yours in Rotaract,

Dear Rotaractors, Every new Rotary year, we have new energy and new enthusiasm for Rotary and Rotaract clubs. We have always held to the hope, the brief, the conviction that there is a better life, a better world beyond the horizon when we are in the Rotary and Rotaract movement. The global movement of leaders to recognize, practice, and promote ethical standards is overwhelming. The leadership qualities, enhancement of knowledge and skills leading personal and professional development, fostering networking and fellowship, and connecting local and global communities to address any physical, social needs as the need of the time is what Rotary and Rotaract are all about. Currently, COVID -19 has created concerns in Nepal with the persistent drumbeats of positive tests and reported deaths. The impacts have already started in several sectors. Although we are yet to experience the full effect and aftermath of the coronavirus, our global movement has not been stopped. Yes, we are shifted to virtual implementation, adopting the new normal with the utmost innovative ideas of dynamic leaders. And despite finite disappointments, we are gathering and building infinite hopes, and once we choose hope, anything’s possible. We are all in this together, and we shall soon get back to normal, and prayers to those who lost their life due to the coronavirus. Meanwhile, there is a slok in Sanskrit, plQi7t, hfu|t, k|fKo, j/flGgaf]wt Meaning Arise, Awake, And stop not till the goal is reached Despite many circumstances, whether coronavirus or any other, we here look for many other scopes to boost our learning and experiences and contribute towards attaining goals with more innovative and creative ideas. This year, we can relate our District theme “Doing things awesomely” and Rotary International theme, “Serve to change lives. “ We are all doing our things, but how we do it MATTERS! In the Rotary fraternity, we have touched so many lives, and it’s time to do things awesomely to serve to change the lives of many. So let’s work as a team, as in union, there is strength and the strength to achieve greatness. There’s a saying, “Coming together is beginning, keeping together is progress and working together is a success.” Jay Rotary Jay Rotaract Rtr.Laxman Kharel District Rotaract Representative-Elect Rotary International District 3292 Nepal & Bhutan

ROTARY, ROTARACT & INTERACT ROTARY

ROTARACT

INTERACT

Rotary International is a global community of committed professionals working together to serve others and to advance peace. Through this movement, more than 1.2 million members in over 34,000 Rotary clubs worldwide volunteer in communities, at home and abroad.

Rotaract clubs bring together people ages 18 and older to exchange ideas with leaders in the community, develop leadership and professional skills, and bring peace and international understanding to the world. These are a group of a non-religious, non-political and non-profit organization which are involved in the community and international service; Rotaract initially began as a Rotary youth program in 1968 but has now become an independent group.

Interact is a service club for youth aged between 12 to 18 who want to connect with other young people and have fun while serving their communities and learning about the world. These clubs meet at least twice a month, are sponsored by local Rotary clubs. Interact clubs organize two projects every year, one that helps their school or community and one that promotes international understanding.

STATERGIC PLAN OF ROTARACT 3292 OUR VISION We envision a future where young people are inspired and empowered to understand themselves better, enabling them to transform the world around them.

OUR MISSION Our mission is to create opportunities and provide support for our members, enabling them to become community and professional leaders.

BACKGROUND The Rotaract District 3292 was established in 2008. Prior to that, we were functioning as a part of Rotaract District 3290. After the establishment of District 3292, the Rotaract District, over the years, has been contributing different elements to professionally establish the organization. Hence, after a decade of the establishment of the District, the first Three Year Strategic Plan 2018-2021 was created. With this strategic plan we had already begun a process of defining ourselves and realigning our priorities for the future. Year One of the Strategic Plan (2018-21) focused on ‘reflection’ as a core part of our planning and action. Year Two emphasized the need to develop the ‘competencies’ of our members and the need to reach out beyond the organisation to ‘collaborate’ with others. Finally, during Year Three, we felt the need to work with our ‘values’ to create a new vision for the future. All these strategies have helped us shape the direction of the organisation. As we draw closer towards the end of this Strategic Plan, we feel the need to refocus on our priorities to continue on the mission of the organization; but at the same time, establishing new forms of engagement for the future. In creating a new strategic plan for Rotaract District 3292, we take reference from the Rotary International Strategic Plan, Rotary District 3292 Strategic Plan and the Rotaract District 3292 Strategic Priorities Survey 2021 to carve out a niche way forward for the youths in our District. This Strategic Plan also takes into consideration the new policy changes that have been set for Rotaract Clubs by Rotary International, which redefines the make-up and structure of Rotaract Clubs. With these changes in place, we have felt the need to review our existing strategic plan to help shape the future direction of the organisation. We have taken this period to review the existing strategic plan as well as reflect on our experiences of over a decade. In this process, we have interacted and received feedback and suggestions from past and current Rotaract as well as Rotary District leaders. They have been very instrumental in providing a course of action in the past and their suggestions, we believe, will be crucial in shaping the future direction of the organization. Equally important to consider are the views and experiences of rotaractors in general. Hence, as part of collecting these views, we had conducted a nation-wide survey among Rotaractors to gain insights on their experiences of Rotaracting as well as their suggestions for the future outlook of the organization. We have also attempted to review the past activities and achievements of Rotaract in Nepal to provide an understanding of Rotaract engagement in general. All these different perspectives have contributed towards inscribing the new strategic plan of Rotaract District 3292 for 2021-2024. Strategic Plan One of the important measures of reflection regarding the future direction of the organization has been in redefining what Rotaract means for the future. For this, we need to embody who we are as Rotaractors and what we do as Rotaract Clubs. This means we need to define our /rotaractnepal

/rotaract3292

rotaract3292.org

core values as Rotaractors and streamline our strategic priorities. We believe that the values we instill as Rotaractors not just guide us in conducting ourselves within and outside of the organization, but will also help us perceive the world around us and accommodate ourselves to the evolving times. Likewise, we also need to organise our strategic priorities to address some of the challenges for the future and our contribution in resolving them. Therefore, our revision of the existing strategic plan is to accommodate some of these new demands for the future. We hope that this new strategy will provide a wider perspective to internalise our roles as individuals and institutions to prepare, contribute and eventually position ourselves in the wider world. Our mission is to then create a new culture of youth engagement that transcends beyond the notions of participation and partnership and seeks to envision youths as creators and collaborators and the Rotaract platform as their ground for exploration. We consider the core values and the strategic priorities to be not just facilitative of our plannings for the future, but assist us in being reflective along each step. Moreover, we believe that embracing these values and aligning our strategic priorities will help achieve the vision of Rotaract being a leading youth development organization that enables the development of leaders, creators, and innovators.

CORE VALUES Based on the needs of the organization, moving forward, we find it necessary to inculcate new values that become the basis of everything that we do. These values have been conceived with the understanding that they reflect the changing needs of the Rotaract community. They are fundamental to our identity, our approaches, and the services we provide towards the community. Hence, these values have to be integrated in all of our engagements, within and outside of the organization. Simply speaking, these values should become the underlying principles in guiding us towards answering the ‘how’ questions that are fundamental to Rotaract; i.e. how is Rotaracting achieved? We have highlighted five core values that should be endorsed by the members and clubs within the District. The five core values of Rotaract District are: Leadership, Diversity, Adaptability, Learning, Integrity

rotaract3292.org

Leadership We feel the need to broaden our understanding of ‘leadership’ that is often associated with the ability to make decisions or solve problems. We envision a future for youths where leadership encompasses elements beyond these traits. Hence, we strive towards leadership that is not just attributed to courage, wisdom and a sense of judgment; but equally embraces empathy, humility and respect for others. More importantly, we do see leadership as a position but rather as a form of character that defines who we are and how we position ourselves. At its essence, this new perspective of leadership values each and every member as an integral part of the organization. Integrity Rotaract clubs and its members will hold high levels of moral and ethical standards in determining our personal and professional objectives. We strongly believe in the need to be honest, transparent and accountable in the ways we conduct ourselves within and outside of the organization. Diversity Rotaract Clubs are reflective of the diversity that is prevalent in our everyday lives. What we mean by diversity is not just welcoming a diverse group of individuals (which is equally important), but also to create a platform for the inclusion of diverse sets of ideas and experiences. This means that boundless opinions and perspectives are considered in addressing the many challenges we face as an organization and as individuals. We strongly believe that diversity allows broadening of mindsets for a more coherent functioning of our organization. When young people from different backgrounds, cultures, gender, ethnicities, perspectives, experiences etc. come together for a common interest, we are better able to embrace tolerance, equality and diversity. Adaptability In a constantly evolving world, Rotaract Clubs should be best positioned to meet the demands of the future. This means we need to unburden ourselves from the shackles of the past and be future-oriented. This requires us to internalize and transform ourselves as individuals and as an organization through processes of reflexivity and adaptability. Hence, we envisage an organization and its members that are critical in thought, flexible in action, and accommodating in contribution. We hope that this openness and acceptance to ideas and ways of doing sets forth an ambit of opportunities for young people to thrive. Learning Youths are at the learning curves of their lives, and we believe learning is fundamental to human growth. Hence, learning has to be central to everything that we do. What this means is that Rotaract Clubs and its members should be open to new ideas, develop abilities to listen, are reflective of their actions, and open to criticism. It is only through instilling these elements of learning that Rotaract Clubs can realize their true potential. In essence, Rotaract is a forum for youths that thrives through learning. We also believe that learning is not a one-time event, it is a life-long process. Hence, even as we mature as individuals and as an organisation, we emphasize the need to incorporate learning in all stages of our growth. Our ultimate goal is to develop a ‘culture of learning’ within us .

STRATEGIC PRIORITIES The above five core values are central to everything that we do moving forward, and they become instrumental in carving out a new trajectory for the organisation. Therefore, the challenge now for us, as an organization, is to learn, adapt, diversify and eventually move towards a new direction. Hence, this process requires a transformation from how we have been conducting ourselves so far

towards how we need to conduct ourselves from now onwards. However, this is not to suggest that there will be a significant shift in what we will be doing. However, we now need to contextualise what we do with the values we have inscribed above. In other words, develop strategic priorities that will guide us towards achieving those values in our everyday Rotaracting. We have identified four strategic priorities that will guide and shape the future direction of the organisation: Enhance Participant Engagement Because we recognize the challenges our clubs face in today’s changing world, Rotaract District will support our clubs’ efforts to deliver an experience that engages and retains members. It advocates for a practice where all club activities are member-centric, i.e. promotes meaningful participation of its members. This means that club activities will have to be premised on the assumption that any such undertaking by the club will ultimately enhance and improve on the skills and competencies of its members. When we help clubs focus on the experience and value they give their members, we give Rotaractors and other participants the opportunity to work together, connect with one another, and have a more satisfying experience through their engagements. Expand/ Open our Reach We can expand our reach in three specific ways - by opening up ourselves to people, processes and practices. This means we have to be inclusive towards a broader set of people to be part of the organisation, so that our organisations are representative of the communities we engage with. Likewise, we also need to open up towards new and innovative ways of engagement that allow for greater possibilities of finding effective solutions. And finally, we need to expand our view to address not just local issues, but also incorporate some of the global challenges that we continuously face in the present, as part of this highly interconnected and interdependent world of ours. Increase our Impact Our members invest volunteer and financial resources in a broad range of activities, but we will do a better job of measuring the results and outcomes of our work. So that Rotary can continue to attract members, partners, and donors, we’ll focus our programs and produce evidence of lasting impact. We will review and reflect our past activities, and improvise our current activities to be more impact driven, addressing current problems and towards a better future. Increase our Ability to Adapt To achieve our vision and keep pace with the changing global needs, our structure and culture must evolve. We’ll ensure that our operating and governance structures are efficient and effective in delivering the goals we have planned; and at the same time, it is flexible and accommodating to challenges and opportunities we might not have been able to envision. Hence, it is critical that we are reflective of our actions and are able to transform ourselves based on the circumstances we encounter.

ROTARACT DISTRICT 3292 STRATEGIC PRIORITIES SURVEY When we set out to formulate strategic priorities for RY 2021-22, we were looking for a base on which these strategies will be built upon. After thorough discussion, we decided that a good place to start would be a feedback from our past leaders. A sizable number of past rotaractors of all capacities with experience of almost 10 years were requested to give their suggestions on the strengths and weaknesses of past years of Rotaract District 3292 and what our future should look like. Those feedbacks along with a thorough review process of past activities and their impacts formed the basis of these strageties. It revealed the need for rethinking some of our core values and strategies. So a survey was conducted.

A survey was convened from January 1, 2021, to January 20, 2021, to understand the interests and priorities of Rotaractors in Rotaract District 3292. A total of 96 respondents were part of the survey. Among them, 44 were female participants, while 52 were male. 88 of them were from community-based clubs, while the remaining 8 were from university-based clubs. We had responses from members who have been part of Rotaract for more than six years as well as from those who are relatively new (6 months or below). Likewise, other than Province 6 and 7 where the number of Rotaract clubs is also very low, the survey covered the entire country’s geographical spread. Hence, we believe that this survey has captured the values, perceptions, and aspirations of Rotactors from District 3292. The Rotaract fraternity already houses people from diverse backgrounds and age groups. There are students, early and mid-career professionals as well as Rotaractors in leading positions in their respective fields. Likewise, the range of professional and academic arenas they come from are also wide. This highlights a crucial asset that the Rotaract community has- its diversity. We asked Rotaractors the value they put in diversity and the ways to embrace this for the organization’s strengthening. The responses we received showed that it is not only the diversity of people from different professions, vocations, or social categories that we house and should focus on welcoming but also the large pool of ideas and talents that actually drive us forward. That is why we’ve placed a large emphasis on engaging this diverse group of young people to build a strong community. The survey results showed that Rotaractors find their investments of money, time, and effort in Rotaract fulfilled when they get space for professional and personal relationship building, and opportunities for learning. 55.7% and 66% of the respondents agreed that they have made valuable professional and personal connections respectively through their engagement in Rotaract. “Professionalism” is the foremost trait (62.9%) that Rotaractors look for in Rotaract clubs. Nevertheless, respondents stated that, at present, opportunities for professional development need to improve (39.2%) and are even non-existent (3.1%). That directs us to the importance of introducing and promoting professional networking opportunities for young people in the community. We hence, believe that Fellowship groups can be one way to encourage like-minded people to meet and form connections that go beyond Rotaract engagements. Moreover, promoting collaboration such that there are opportunities to engage with young people and professionals from beyond the Rotaract fraternity appeared to be vital. In this, we find the true essence of a community that accommodates the needs of its diverse members and thrives on engagements within and beyond. In Rotaract, a large insistence has been placed on learning, and the results from the survey validate that emphasis. 77.3% of the respondents stated that they want Rotaract to be identified as “An organization that grooms young leaders”, and an overwhelming 83.3% of the respondents said “.......I am learning and growing through my engagement in Rotaract…...”. To support this culture of learning and growing, a further focus has been given to developing an environment where there is constant feedback amongst the members, such that Rotaractors do not shy away from constructive criticism. Most responses (66.7%) agreed that feedback and self-reflection activities that are part of the club activities enhance learning. This member-centric and member-driven model of initiating activities and learning through them is of essence for the community to grow. Hence, another area of emphasis this year is on inculcating learning at the core of the Rotaract movement, with members as the driving forces . However, traits like accountability and transparency emerged as areas that can be strengthened and/or are missing. 45.8% of the respondents stated that “transparency” needs to be improved, while 38.5% stated that accountability as a trait needs to be improved. Moreover, 40.2% stated that the Rotaract needs to inculcate ethical standards in people. These traits also are weaved with leadership. Our focus is hence on leadership that shall produce leaders who not only display confidence and make wise decisions but also practice integrity, transparency, accountability, humility, and empathy.

HOW TO START A ROTARACT CLUB!

1

Getting involved in Rotaract can be a fun, impactful, and transformational experience for more than just young leaders in your community — it will inspire and engage your Rotary club members, too!

Familiarize yourself on all things Rotaract. A great place to start is by reading the Rotaract Handbook. Deepen your knowledge with the Policy Related to Rotaract

Strategize to attract your audience. Determine a target audience and identify the locations and opportunities to promote the formation of a new Rotaract club. Schedule a kickoff event that will appeal most to your target audience to introduce potential members to Rotaract, such as a happy hour, service project, info session, or your own creative invention

Follow up with attendees. Personally invite them to the first Rotaract club meeting.

Gather a team. Bring together a group of Rotarians and community members committed to supporting your new Rotaract club

Create and share promotional materials. Solidify your value proposition and clearly articulate benefits of joining your Rotaract club in promotional materials. Use Rotary’s Brand Center to create digital and print resources and share Rotaract videos on social media

Support the first few months of Rotaract club meetings. Your team should assist in the early stages of the Rotaract club by helping set up the club administration. Advise on adopting the Standard Rotaract Club Constitution and Recommended Bylaws, organizing officer elections, selecting meeting locations, and arranging an initial service project.

Know your audience. Assess the makeup of your community and determine if you will start a university or community-based Rotaract club. Rotary’s Engaging Younger Professionals Toolkit helps clubs understand this demographic, create a vibrant club culture, and communicate Rotary’s value. Host your kickoff event. Engage all attendees and talk to them about why they came and how they are interested in changing their community or growing as a leader—make sure to get their contact information.

Certify the club. Submit the Rotaract certification form along with the onetime US$50 certification fee to Rotary International to officially recognize that your Rotary club will be sponsoring a new Rotaract club.

Stay connected. Plan to regularly attend the Rotaract club’s meetings and events and invite the Rotaract club to collaborate with your Rotary club in your activities and events. Share the success of your Rotaract club with Rotary International at rotaract@rotary.org.

ROLES & RESPONSIBILITIES WHAT ROLES DO BOARD MEMBERS PLAY IN ORGANIZATION? Board members play three key roles in organization: 1. Decision-maker and evaluator 2. Implementer 3. Advisor

ROTARACT CLUB STANDARDS The Rotaract District Committee has adopted these minimum standards for an effective club: ● Pays its Rotaract dues on time. ● Sets realistic goals and gives effort to maintain it. ● Conducts meetings regularly (regular/board/ committee/informal). ● Implements service projects that address needs in the local and international community. ● Acts in a manner consistent with the Rotaract Constitution, Statement of Policy and Rotaract District Guideline. ● Updates club membership and officers in a timely manner at www.rotary.org and www. rotaractnepal.org. ● Resolves club disputes in an amicable manner. These standards are only the beginning of what makes a successful Rotaract club. Work with your Zonal Rotaract Representative to ensure that your club reaches its full potential.

ROTARACT CLUB’S BOARD OF DIRECTORS The Board of Directors serves as the governing body of a Rotaract club and includes the president, immediate past president, vice president, secretary, treasurer, and any additional officers your club decides it needs. Rotarian and faculty advisers should regularly attend board meetings to provide guidance. Rotary club members may also attend

Page No. 50

/rotaractnepal

these meetings as observers. The board should meet according to the time specified in their bylaws and report any action taken at the next club meeting. During its meetings, the board reviews action in accordance with the set goals and implements the club’s plans and service projects, ensures the club’s financial solvency, and delegates responsibilities. At the end of the Rotary year, the board prepares a final report that describes the major actions taken over the preceding 12 months. A copy of the report should be sent to the sponsor Rotary club. Use board meetings to explore ideas, make decisions, and evaluate progress. The board is elected to manage the interests of the club as a whole and to work closely with you to achieve club goals. Generally, the club’s board of directors has these responsibilities: ● Oversee the work being done by all club officers and committee members. ● Review the periodic report of club finances and make sure the budget includes realistic amounts for club operations and projects. Also, approve all expenditures not accounted for in the club budget. ● Approve or reject proposed members and communicate the decision to those who proposed the members. ● Review club policies to ensure they are being implemented as intended, and revise them if they are no longer current. ● Consider innovative ways to make the club more vibrant, attractive to new members, and engaging to current members. ● Explore the needs of your community and international communities to establish club goals.

CLUB OFFICERS’ RESPONSIBILITIES PRESIDENT:

As the club leader, the president helps members develop as leaders and works to ensure that the club’s professional and leadership development

CREATING AN ENGAGING CLUB EXPERIENCE Being vibrant Rotaract club isn’t just about running effective meetings. It’s about creating an experience for your members that keeps them involved and connected. Work with your fellow club leaders to implement changes the club wants to make. Research shows that clubs with more freedom to be flexible can better attract new members and keep current members engaged Your clubs can do any of the following to be more flexible for your members: • Meet only twice a month • Try a different meeting day and time • Count service projects or social events as meetings • Choose whether to meet in person or online, to alternate between online and in-person meetings, or to use both formats at the same time (for instance, a member could participate in an in-person meeting through a video chat) • Offer alternative membership types, such as associate, corporate, and family, as long as these individuals are reported as active members and you collect membership dues from them. Get creative and have fun! Your club service committee can help you develop flexible, engaging club meeting formats and agendas.

IDEAS FOR MAKING A ENGAGING EXPERIENCE REGULAR MEETINGS

SOCIAL EVENTS

• Allow time for members to share ideas • Use meeting time to plan activities and projects. • Offer members the option to participate virtually if they can’t make the meeting in person. • Have members speak about themselves rather than booking a guest speaker. • Give each meeting a different theme. • Rotate meeting locations. • Make meals optional. • Discuss Rotaract business for the first half • of the meeting and use the second half • for fun activities.

• Hold an annual retreat with your club to have fun and reflect on the work you’ve done in the past year. • Meet once a month at a restaurant or other venue to socialize. • Plan events and outings that include family members. • Celebrate personal milestones and other special occasions that are important in your members’ lives

MAKING A PROJECT EXECUTION PLAN STAGES OF A ROTARACT PROJECT STAGE 1

STAGE 2

STAGE 3

STAGE 4

Conducting assessment & choosing a project

Make an execution plan

Implementing and monitoring

Closing and Evaluation

• Fits the overall interest of the club • Sustainable: provides long term solution to any problems

• Scope appropriate to the club’s resources • Set specific objectives • Core Tasks/Key Activities • Detailed Budget • Resources and Responsibilities

• Make a reporting mechanism • Tracking tasks • Following the timeline • Resource management • Disciplined record keeping • Crisis Management

• Financial closing • Were the objectives met? • What went right? • What went wrong? • What could be done better next time? • Documentation

STAGE 1: CONDUCTING ASSESSMENT & CHOOSING A PROJECT The purpose of conducting an assessment is to conduct a need analysis for the project and help you better understand your club’s dynamics, and provide the information you need to make decisions that will contribute to its long-term development. Before you start an assessment, consider what precisely you want to achieve from the project. A practical evaluation will reveal things you didn’t know before. Selecting a project can be a difficult decision. Some clubs use a consensus-building process to determine which projects to pursue, others debate and vote on issues, and still, others allow their committees to select appropriate projects. Regardless of how the decision is made, clubs should consider some common concerns before selecting a project. 1. Alignment with the goal: Does the project’s objective align with the club’s purposes set for the year? 2. Club’s service history and interests: Consider what types of projects your club has completed in the past. Do your members prefer to take an active role in implementing projects? Reflecting on these questions can help a club better understand its service-related strengths and select a project that capitalizes on those strengths. However, a club’s history should not limit its choice of projects. Choosing projects that fit a club’s evolving interests will keep members interested and engaged and help ensure their success. 3. Time, resources, and project duration: A club’s resources and the number of time members can commit to projects are limited, so clubs must carefully balance their available resources and the projects they choose to undertake. Its duration does not always determine a project’s success.

Page No. 64

/rotaractnepal

/rotaract3292

@rotaract3292

@rid3292

rotaract3292.org

Projects that last a long time generally require more planning and involvement from club members, so it is important to discuss in advance how much time members are willing to commit. Setting realistic goals will help ensure that the project can be completed effectively. Also, carefully look into the resources that will be required and whether or not those resources can be attained. 4. Impact and Sustainability: When selecting a project, think carefully about both the short-term and long-term impacts. For example, building a modern well and water pump for a neighborhood without access to clean drinking water might solve a community’s immediate water problems. But if the community cannot maintain the well, the people’s water problems will quickly return. The same might be said for a community beautification project. A club could build a park, clean up litter, or paint over graffiti in an impoverished neighborhood, but if people from the neighborhood aren’t invested in the project, the graffiti and litter will almost certainly reappear. Sustainable projects take these issues into account and provide long-term solutions to chronic problems. Similarly, when doing professional development projects, too, analyze the impact the project creates and its need. Conducting a CV writing workshop in a club where 90% of the members are professionals already may not help.

STAGE 2: MAKING AN EXECUTION PLAN SET SPECIFIC EFFECTIVE GOALS AND OBJECTIVES

One of the most important tasks of an organizing team/project team is identifying effective goals and objectives for a project. Goals are a broad description of what the project is meant to achieve, while objectives are specific aims based on those goals. Project goals are essential for organizing a project, defining its scope, and measuring its success. CORE TASKS/KEY ACTIVITIES

With the goals in mind, create a work plan — a simple, easy-to-understand schedule that documents each task involved in reaching the project’s objectives. Your club may also appoint an individual or a subcommittee to monitor the plan’s progress and encourage, remind, and reward those working on each task. Sample: Task/Activities

DETAILED BUDGET

Realistic financial expectations outlined in a detailed budget will reduce the chances of unforeseen costs arising as the project progresses. Base the funding on your work plan. What expenses do you anticipate for each task, and what income is likely? RESOURCES AND RESPONSIBILITIES

Identify whether or not the required resources can be obtained or not. Help may be in finance, human resources, knowledge, or any other aspect necessary for the project. HUMAN RESOURCE PLAN

The strength of Rotaract is human resources. We have excellent working hands, so it becomes more critical to manage them efficiently. We must assign the right people to the right role and define specific responsibilities because, in some cases, everybody’s responsibility becomes /rotaractnepal

rotaract3292.org

nobody’s responsibility. It is recommended that the core tasks are divided into specific headings such as logistics, training, finance, research, promotions, and so on as per need, and a team is assigned for each heading along with a team lead. The project coordinator looks into the overall execution and works with the team leads. TIMELINE

Create a timeline of the tasks/ activities and make sure it is being followed. SAMPLE PROJECT TITLE: Career Fair for High School Graduates Timeline for March Week 1 • Brainstorm tasks for each team • Create a marketing proposal Timeline for April Week 1

Week 2 • Provide update in club meeting regarding tasks • Have a meeting of the marketing team

Week 3 • Meet potential partners • Invite Guest Speakers

Week 4

Week 2

Week 4

STAGE 3: IMPLEMENTING AND MONITORING MAKE A REPORTING MECHANISM:

The team members can report to team leads, the team leads report to the project coordinator. The Project coordinator then updates other club members about it. TRACKING TASKS

Worksheet: Create a worksheet using tools like Excel or you can use project management tools like trello, etc. Task/Activities

Regular communication: Communication throughout the project is essential to keeping club members and project stakeholders motivated. There should be no secrets: Everyone involved should be kept up-to-date on project news. Consider these ways to keep participants informed and engaged: 1. Updates at club meetings 2. Periodical communications: a. Daily online updates b. Need-based team meeting

Page No. 66

@rid3292

rotaract3292.org

Ensure that the timeline is being followed. Make changes if the timeline seems unrealistic RESOURCE MANAGEMENT:

Make the optimum utilization of all available resources. Follow the budget plan strictly. If required, consider switching of resources from one task area to another. For example: team members can be switched from one team to another if required. DISCIPLINED RECORD KEEPING:

Maintain records of all activities timely and share with all concerned. These records will ultimately help in making the final project report. CROSS FUNCTIONING TEAMS:

Though tasks have been divided into specific teams, it is important that the entire team comes together and helps each other to achieve the overall project goals.

STAGE 4: CLOSING AND EVALUATION FINANCIAL CLOSING:

Make sure all expenses and income are systematically recorded throughout the project period. Clear all payments and receivables at the earliest possible. Create a financial report of the project, and add all supporting documents (like bills, receipts) to the report. Until all payments and receivables are clear, and until the project’s financial report is approved by the club’s meeting, the project cannot be officially closed. WERE THE OBJECTIVES MET?

After the completion of the project, check whether the project’s objectives were met or not to identify the success rate of the project. Incase of need, further iterations of the projects may be required to ful fill the needs. Identify the resources that were crucial in the success of the project or reasons because of which the objectives were not fully met. WHAT WENT RIGHT? WHAT WENT WRONG? WHAT COULD BE DONE BETTER NEXT TIME?

Reflect upon all activities through the project course to see what were the actions and activities that went right and the areas that caused trouble or issues. Also identify the areas that could have been im proved upon or executed in a better way. Identify the key learning that the team can take forward for future projects DOCUMENTATION

Create a proper project report at the end of the project. Include all details of the above mentioned steps and the details of how the project was planned and implemented. Also keep note of the out comes and impact that the project created. Include the possible data and other supporting documents The report should be detailed so as to serve as reference for similar future projects. The report should also be succinct and self – explanatory for anyone outside the organizing team to understand and gain insights regarding the project.
