What is a Data Protection Impact Assessment?
Introduction: A Simple Way to Spot Privacy Risk Early Before you launch a new app, tool or process that uses people's personal data, it is smart to ask one question: "Could this harm anyone's privacy?" A Data Protection Impact Assessment (DPIA) is the structured way to answer that question. It is a review that helps an organisation find, understand and reduce privacy risks before they turn into data breaches, complaints or penalties. Think of it like a safety check for a building. You inspect the wiring, the exits and the fire alarms before anyone moves in, not after something goes wrong. A DPIA does the same for personal data. In one line: A DPIA is a structured review that identifies, analyses and minimises the privacy and data protection risks of how you collect and use personal data.
1. Identify
2. Assess
3. Fix
4. Report
Spot the data
Score the risk
Reduce the risk
Prove it
What a DPIA looks at • What data you collect (for example names, phone numbers, Aadhaar, PAN or payment details). • Why you collect it and what you do with it. • Who can see it, including vendors and processors. • Where it is stored and how long you keep it. • What could go wrong, and what you will do to prevent it.
Done well, a DPIA also becomes your proof. It shows regulators and customers that you thought about privacy and acted on it.

DPIA Under India's DPDP Act Under the Digital Personal Data Protection (DPDP) Act, 2023, a DPIA is a key duty for the biggest data handlers. The Act places extra responsibilities on Significant Data Fiduciaries (SDFs). These are organisations that the Government designates based on factors such as the volume and sensitivity of the personal data they handle and the risk to people's rights. Is a DPIA a legal requirement? Yes. A DPIA is a legal requirement for Significant Data Fiduciaries under India's DPDP Act, 2023.
How often should a DPIA be reviewed? An SDF must conduct and review its DPIA at least once every 12 months from the date it is notified or designated. Missing this cycle can leave you exposed to heavy penalties, which can run up to Rs. 250 crore under the Act.
Not an SDF? You should still do one. Even if you have not been designated, running DPIAs is good practice. It helps you build privacy into every product from day one, and it prepares you in case you are designated later.

Why Is a DPIA Necessary? Without one central system, most teams struggle to run effective assessments. That raises the risk of DPDP non-compliance.
Unorganised data hides risks
Slow assessments create delays
Improvised proof of compliance
Fragmented data and disconnected teams make it hard to spot, track and understand privacy risk.
Manual, late reviews hold teams back and miss risks. Compliance turns into a clean-up job.
Collecting evidence from many systems is slow and tedious, so teams are unprepared when asked to show it.
The cost of waiting Spreadsheets, email threads and ad-hoc checklists work for one or two assessments. They break down quickly as your products, vendors and data grow. The result is missed risks, no clear owner for fixes, and a scramble when an audit arrives. A dedicated Data Protection Impact Assessment Platform replaces that scramble with one place to assess, track and document every privacy risk. The goal: Detect and manage privacy risk before it becomes a penalty, and make compliance a normal part of every product and process.

How a DPIA Works: 6 Simple Steps Every DPIA follows a similar path. Here is the plain-language version.
1
Describe the processing Explain what you are doing with personal data, what data is involved, and why you need it.
2
Map the data journey Show how data is collected, used, shared, stored and deleted, including any vendors or processors.
3
Check necessity and fairness Ask whether you really need this data and whether the purpose is clear, lawful and consented.
4
Identify and score the risks List what could go wrong and rate each risk by how likely and how serious it is.
5
Plan the fixes Decide how to reduce each risk, such as less data, stronger access controls or better notices. Assign owners and dates.
6
Approve, record and review Get sign-off, keep the evidence, and review again at least every 12 months or when anything changes.
Tip: Keep it simple. A good DPIA is clear enough that a non-expert can read it and understand the risk and the plan.

When Should You Run a DPIA? Run a DPIA whenever data use is new, large or sensitive. Common triggers include: • Launching a new product, app, website or feature that collects personal data. • Changing why or how you use data you already hold. • Handling large volumes of data, or sensitive data such as financial or health details. • Sharing data with new vendors, processors or partners. • Using new technology, such as AI or large-scale tracking. • A change in your records of processing (RoPA), data lineage or processing purpose.
From PIA to DPIA Many teams start with a lighter Privacy Impact Assessment (PIA) as a quick screening. If the PIA shows high risk, it should move up to a full DPIA. A good platform can do this hand-over automatically, based on rules you set.
Quick screening (PIA)
Full assessment (DPIA)
Short questions to see if a project carries privacy risk.
Deeper review with risk scoring, fixes, approvals and evidence.
