How to Write Effective Direct Mail Even the best of writers can forget some common rules for maximizing response rates when it comes to writing effective direct mail

At Response Unlimited we write hundreds of mail packages every year; and for three decades we’ve reviewed and analyzed thousands more. But it’s amazing how even the best of writers can forget some common rules for maximizing response rates when it comes to writing effective direct mail. Here are some basics even the most seasoned professional writer needs to periodically review once in a while:

Always use “You” instead of “We” or “I” It is imperative you write from the individual reader’s perspective rather than yours. Remember, only one person at a time will read your letter, so write as if you are sitting across from that person making your compelling and intriguing case. Dwell on the benefits that specific person will receive by responding to your offer, and not on the features or program services of whatever you are selling. Always edit out every “we” and “I” from your copy and replace them with a “you!”

Never use the passive tense Using the passive tense makes your copy “drag”. And when it begins to drag people quit reading. That’s why you should review your copy and rewrite every sentence that uses the passive tense by changing it to the active tense. An example: rather than saying “she was stricken hard with an incurable disease,” say “the news of an incurable disease struck her deep and hard in her heart.”

You have three to four words to capture the reader’s attention Not only must you have a compelling and pertinent teaser that forces the reader to open the envelope, qualifying them as a target for the dynamic benefit-oriented message you have to convey, but the superscript and opening to the letter must also captivate their attention within three to four words. Otherwise they will not read your letter. You can have the best offer and the best letter in the world, but if they don’t feel it relates to them, and does not compel them to open the envelope or read past the first paragraph, it is a waste of your time, money and effort.

Use connecting words to make your copy flow It is important you begin every paragraph with a transitional word that brings continuity and smoothness to your copy, make it flow from one paragraph to the next. Use words like “and,” “but,” “so,” “since,” and “because,” as well >> as phrases such as “that’s not all,” “what’s more,“ and “in Always avoid clichés. addition.” This provides your Read your copy letter with a flow that you aloud. Eliminate unnecessary words Often you can eliminate words and phrases that don’t really add any meaning or impact to what you are saying. So get rid of them! And don’t be redundant unless you are emphasizing a point.

Make it pertinent Take advantage of current events, tying your message into hot topics. Tell the reader what they want to hear without bending the truth. As former Obama aid Rahm Emanuel says, “you should never let a serious crisis go to waste!”

Ignore the grammar book Write as you would speak whatever you have to say. Don’t worry about sentence fragments or making sure everything is grammatically perfect; as long as it reads right and flows smoothly.

Ask for action As any good salesman, you have to do whatever it takes to close the sale. This means asking, or even demanding they take action and provide

Make it interesting Tell a story People can’t relate to statistics or large numbers. That’s why you should tell a story! This makes your copy relational and interesting; creating empathy and inciting action. It’s why Jesus spoke in parables and stories. For example, when writing a donor appeal, the reader will only know what kind of impact his involvement will have when he understands how it affects a single person. This example of an individual provides a glimpse into how the reader’s help changes the big picture, one person at a time.

Mining your lower-dollar and lapsed donors for “gold” Many non-profit organizations ignore their lower-dollar donors once they become lapsed. And some may never even send a thank you letter when newly acquired. But these can be costly mistakes. In fact, someone in charge of direct mail fundraising of a very large Christian organization once revealed they never acknowledge any new donor that gives less than $25, because it just isn’t worth cultivating or maintaining those lowerdollar donors. But such a policy can be dead wrong for many reasons. . . First, lower-dollar donors often turn into large donors. Take for instance the experience of one Response Unlimited client, which acquired a $15 donor in 2010. He received regular mail from the organization for nearly a year before giving his second gift of $25, and then went a full 14 months without giving again, which automatically kicked him into the lapsed donor segment. This organization, however, has a policy of continuing to mail lapsed donor segments until they reach the point of costing more to reactivate than it would to acquire a new donor from acquisition mailings. It turned out to be a very lucrative policy. Because sure enough, after the third lapsed donor mailing, this individual began giving on a fairly regular basis, and in the year since has given 14 gifts totaling $140,700! If this organization had taken the advice of many so-called fundraising “experts” this donor would have never been contacted even after giving his first gift of $15. In another incident, an individual gave a gift of $1 in cash to an organization for the first time. In keeping with policy, a thank you letter was sent to him within 24 hours. Within weeks he hand-delivered his second gift of $10,000, explaining that the organization met his test. Secondly, time and time again lower dollar donors may not give a whole lot over their lifetime to your organization, but they are prime candidates for bequests that can be very sizeable – yet you may never realize it until you hear from their estate. Even those who have never given to an organization sometimes provide sizeable bequests through their wills, because the organization’s regular communications keep their mission front and center in the potential donor’s mind.

Thirdly, yet most importantly, is the fact that God looks upon the heart of the donor, and not the amount of what they give. A gift of $5, $10 or even $15 may actually be a significant sacrifice for an individual, as was the “widow’s mite” in Mark 12:41-44. Indeed, Jesus teaches us in this incident it is more blessed to give than to receive. The bottom line: You need to think twice before ending a relationship with an existing donor because you deem their donation insignificant. It simply goes contrary to what Jesus taught us. As a development professional, your job is to get the word out to those most likely to partner with your organization, and you need to consider not only the lifetime value of a donor, but the privilege and blessing it is for that individual to experience the satisfaction of making a difference by partnering with your cause. One of the most wonderful aspects of direct mail new donor acquisition is that it is so measurable, and more often than not, very predictable. By considering the lifetime value of a new donor to your organization when you embark upon new donor acquisition it is easy to calculate your potential return on investment. Many organizations are happy to spend $50 or even $100 to acquire a new direct mail donor when they know the average lifetime value of a direct-mail acquired donor may be $2000 to $5000, depending on the organization. One common rule-of-thumb used for acquiring new donors is to spend up to whatever your average gift is to get a new donor. When you follow-up and cultivate them properly your “break-even” date can be as soon as three to four months. Indeed, there are many formulas used for determining how much to spend to acquire a new donor, and each organization has to decide for themselves what that should be, based on budgetary and timing factors. But remember, there is often “gold” in those lower dollar donors. Don’t ignore them.

Finding New Donors – Getting the Best Return on Investment The challenge for every organization and ministry is, “How do I find new donors that will want to come alongside our group and financially help us accomplish our goal?” That is the million dollar question that has been asked for years! And with the advent of social media, smart phones, text messaging, email and various other forms of electronic communication the answer seems to be getting more muddied and harder to discern. A study by ExactTarget®, an online interactive marketing company, has given some insights into what marketing channels are most effective for reaching a world that is more and more “digital.” They conducted "The 2012 Channel Preference Survey" through online surveys and talking with focus groups. A number of fascinating points can be pulled from the survey itself, but a few of those items really stand out. There is no doubt the world is becoming more digital. The respondents to this survey, who by nature are more digitally “wired,” were asked to indicate their acceptance of a promotional message from a company that they have never interacted with in the past. The channel most acceptable was…DIRECT MAIL. It actually got a 24% higher rating than email, almost 37% higher than telephone, Facebook or Twitter, and over 44% higher than SMS (Text Messaging)! In fact direct mail’s acceptability score was 30% higher than the overall average! But channel preference isn’t the only thing to consider when measuring the best way to find new donors. You have to consider which channel can most effectively be used to cultivate these initial contacts into regular donors or customers. While email is not usually an effective acquisition tool, it is a great way to reinforce the effectiveness of your organization and keep your name in front of the donor. It should be utilized! But when it comes to prospecting for new donors, there is a huge difference between email and direct mail acquisition. Sure email measurability is one of the benefits to any email campaign. Most email vendors and websites can give you a wealth of information, from deliverability, open and click rates to abandonment or conversion rates. Even given high percentages like 95% deliverability, a 10% open and click-through-rate and

a 5% donor conversion rate on those clicked, you will have to rent half a million email addresses to get 238 donors. That is an effective donor response rate of 0.05% that will end up costing you far more to acquire a donor than with direct mail! And while you can’t measure anything other than the response rate and average gift when it comes to direct mail it is easy to measure its effectiveness. Either a person sends you money, or they don’t. The average donor response rate, whether mailing 25,000 letters or 1 million, is always going to be somewhere around one to two percent. This is twenty to forty times higher than the average response rate for email acquisition. Another study conducted in October, 2010 by Campbell-Rinker says over three times more donors gave online as a result of first receiving direct mail than those who gave online due to an email appeal. This same study also said that 50% of donors who receive direct mail prefer to go online to give. So that jump in your online donations could actually be attributed to your direct mail
