It is very important that when confirming the group, you take careful note of the information below.
60/90/120 days before the group's arrival, we need the preliminary passenger list in order to ensure hotel reservations and tour services. 45 days before the group's arrival, we need the final passenger list with passport numbers, date of birth and nationality.
Without this information at D-45, reservations could be cancelled and the group would be subject to availability, inevitably resulting in supplements.
We also ask you to thoroughly review your passport numbers, as if they do not match, passengers will experience inconvenience upon boarding. We cannot be held responsible if any of the information you provide is incorrect.
DEPOSIT :
With the confirmation of your request we will send you a deposit invoice corresponding to 30% of the amount of the reserved ground services as well as 100% of the amount of the flights, we ask you to pay this invoice upon receipt in order to ensure the reservations of the program.
TRAVEL BALANCE:
The final invoice must be paid 30 days before the passengers' arrival.
As soon as your payments are made, please send us your bank's debit notice by email.
If the total amount of the invoice is not paid before the arrival of the passengers at their destination, we reserve the right not to provide the corresponding services, in proportion to the unpaid amount. In this case, this could result in a modification of the services provided compared to the initially planned program. Quimbaya Latin America will not be held responsible and will not be able to follow up on any possible claims or compensation.
Cancellation by one or more passengers may result in a change in the price charged.
As the price is calculated based on the number of passengers, we reserve the right to update the price given based on the actual number of passengers.
Any cancellation will only be made in writing and in accordance with the following conditions:
Ground services (except flights)
Total cancellation of the reservation: No penalty up to 90 days before passenger arrival.
Partial cancellation of the reservation:
No penalty up to 45 days before passengers' arrival.
Between 44 and 30 days before the arrival of passengers: USD 55 penalty of the total price of the services booked per person.
Between 29 and 15 days before the arrival of passengers: 25% penalty of the total price of the services booked per person.
Between 14 and 7 days before the arrival of passengers: 40% penalty of the total price of the services booked per person.
From 6 days before the arrival of passengers and in case of no show: 100% penalty of the total amount of services booked per person.
If any of our suppliers have special cancellation conditions, they will be clearly stated in the confirmation letter for the booked services and will be strictly applied according to the supplier's policy.
Train
Tickets will be issued 30 days in advance.
Once the ticket is issued, there will be no refund in case of cancellation, 100% penalty will be applied. In case of name change or reissue, please provide a supplement of U$D85/pax.
Domestic flights
Tickets will be issued 90 days in advance in case of group (from 10 passengers).
Tickets will be issued once confirmation and full payment of the flight amount has been received in case of FITs.
Once the ticket is issued, there will be no refund in case of cancellation, 100% penalty will be applied.
We suggest that you recommend that your passengers take out insurance in the event of partial or total cancellation of the trip, knowing that post-pandemic, most of our suppliers have decided to adopt a non-refund policy, i.e. 100% of the costs in the event of cancellation.
