Each year when the travel industry publications and organizations that set the

standards for excellence in destinations make their award presentations, Arizona reaffirms its “best of the best” status. 2013 was no exception, as diamonds and stars once again rained upon our resorts, hotels and restaurants. Here then, are the opinions of the experts…

Travel & Leisure magazine’s annual reader’s survey ranked eight Arizona properties in the “T+L 500– The World’s Best Hotels 2013”. Tucson’s The RitzCarlton, Dove Mountain ranked highest of the Arizona properties and made top 100 Hotels Overall list. Sanctuary on Camelback Mountain Resort & Spa, Four Seasons Resort Scottsdale at Troon North, JW Marriott Camelback Inn Resort & Spa, Royal Palms Resort and Spa, and The Phoenician Resort made the list for the Greater Phoenix area and both Enchantment Resort and L’Auberge de Sedona brought it home for North Central Arizona. Only 18 communities in the United States have achieved gold-level status, the secondhighest a community can receive. Tucson Ranked Among the Best Cities for Millennials. A new ranking from Vocativ, released in November, selected 35 Best Cities for People Under 35. Tucson is listed, along with Portland, Seattle, Austin, Nashville, Denver,

Minneapolis and Boston, among other cities ranked on various livability factors making them attractive to the millennial generation, defined by Pew Research Center as people born in 1981 or later. Arizona Meetings & Events magazine interviewed industry leaders to discuss emerging trends in the industry in general and Arizona specifically. Here’s what we learned.

M aximizing Publicity with Social Media

American Express Meetings & Events just published its annual Global Meetings and Events Forecast. They found that using social media to maximize publicity for events is expected to be one of the big trends next year in meetings and events. Julia-Isabel Davenport, Vice-President, Membership, AZ Sunbelt Chapter Meeting Professionals International (AzMPI) and writer of How to Maximize Your Publicity, spoke with Arizona Meetings & Events about the work she is doing with social media in the meetings industry. During our conversation with her, Ms. Davenport reflected on growing trends in prospecting user information with social media. She says that such tools are “becoming more refined.” This ability to track what information users are the most interested in is helping companies target their message to the people they want to reach. Brand recognition and marketing have never been more efficient.

E mphasis on Health and Wellness

A continued emphasis on health and wellness in America are being reflected in the meetings industry. Arizona Meetings & Events (AZME) asked Davenport how meetings and events held in Arizona differ from those in other areas of the country. She responded, “Arizona offers an emphasis on natural therapies

and wellness. It is home to numerous recognized leaders in alternative medicine and their programs are incorporated into many of the world class spa destinations like Miraval, Enchantment, and Montelucia. This has proven to be a draw for tourists and professionals alike.”

Balance of Work and Play

Hotels and venues, in Arizona especially, are recognizing more and more the growing interest of business professionals in balancing work with relaxation. Brent DeRaad, President & Chief Executive Officer of Visit Tucson, has noticed that, “Many associations and companies are looking to get their delegates or employees away from their daily realities and into places where they can rejuvenate.” Lorraine Pino, Glendale Convention & Visitors Bureau Manager, sites her own hotel properties as an example when she talks about the ways hotel owners in Arizona are taking advantage of this trend by reaching out to partner with local tourism attractions. She states, “From local wineries, dude ranches and hot air balloon rides, one-of-a-kind, unforgettable travel packages and itineraries have been created to give meeting planners a wealth of inventive and exciting options for clients.”

I ncentives to Attract Meetings and Professionals

Tourism is important to the economy of any state, but a focused attempt to attract business professionals in particular is an ever growing trend. DeRaad gave AZME a run-down of the incentives Tucson is offering to encourage meeting planners to consider Arizona as a destination. “For qualified groups, we at Visit Tucson will match group master account reductions offered by our member hotels and resorts. This program makes meetings more affordable for meeting planners. In addition, we offer a “You Fly, We Buy” incentive where we pay the airfare for meeting planners to visit, provided they have active RFPs and an interest in bringing meetings to Tucson. We’re also beginning to work with planners to cover some transportation costs if they organize group excursions to one of our fantastic attractions.”

Emphasis on Charity

Pino has noticed a trend in the residents and visitors to the community she’s called home for 40 years ... charity. From well-known festivals and shopping promotions to the Annual Holiday Open House and the Annual Teddy Bear Day – when gently hugged teddy bears are donated to the police and fire departments – Glendale and the West Valley know how to give back. And visitors to this area have been eager to join in. Pino states, “An emphasis on charity has become an important element to the planning of meetings and events. This new emphasis was seen during the 2013 Arizona Governor’s Conference on Tourism held in Tucson, not long after the loss of 19 firefighters – members of an elite unit called the Granite Mountain

Hotshots – while battling the Yarnell Hill Fire. Attendees of the conference gave generous donations, and the centerpieces at the evening reception were raffled to send proceeds to the Yarnell community.” “We’re doing great things for charity and attendees are able to enjoy their time and give back at the same time,” said Pino. “We’re certainly leaving them with a lasting impression of our community.” She noted that the positive economic impact from the work of the Glendale CVB is far reaching, and while that is their number one goal, there’s more to it than that. “At the end of the day it’s nice to know we’re making a difference in the lives of people who need it,” she said.

The Local Experience

As the country continues to recover from the economic instability of the last few years, supporting locally produced products has become an ever important priority. Arizona takes pride in its locally grown food and in its world-renowned artists and artisans. This pride has expressed itself in a determination to give visitors a uniquely Arizonan experience.

To that end, Tucson held its first ever Toole Avenue Art Walk in December of 2013. This art walk was specifically created to give visitors and locals a glimpse at what the beauty and culture of the state have inspired local artists to create. Local First Arizona is a non-profit organization created to support locally owned business and to strengthen the connections and economies of Arizona communities. This organization notes on their About Us page, “Consumers have grown leery of the false sense of savings promised by national chain stores and are becoming acutely aware of the homogenization of our communities. As a result, an explosion of sorts is occurring in Arizona and elsewhere as people look to define a sense of place, community, and quality of life for their families and their futures.” Plan your meeting in Arizona to experience our unique culture first-hand. Golf is a favorite activity for groups and tournament play makes for a fun afternoon. Clubs like the Raven at Verrado Club and Grille and Las Sendas Golf Club are typically ranked in the top 10 of prestigious golf magazines and can easily accommodate groups. If you prefer to pick up the pace, head to the Firebird Raceway, which hosts NHRA events, or the nearby Bob Bondurant School of High Performance Driving where aspiring racers learn how to drive like the pros. Entertainment venues like FlipSide offer an all-in-one venue with a bowling alley, arcade and laser tag while K1 Speed is a premier indoor go-cart racing venue. Arizona’s history and customs are showcased at Fort McDowell Adventures. Parties of 10 or more can participate in a two-hour City Slicker Cattle Drives excursion, pushing cattle back to the stables. On the journey, hear tales about the days when wild mustangs ran across the landscapes and get a taste of real

cowboy life. Complete the cattle drive experience with a hearty meal on the trail, at the stables or back at La Puesta del Sol, a 7,200-square-foot Spanish Pueblo style Ramada with open courtyards, patios, fireplaces and an 1890’s rustic saloon. Arizona is home to 22 federally recognized Native American tribes, along with renowned museums of Native American Culture. The internationally

acclaimed Heard Museum now has three locations in the greater Phoenix area. Other notable points of interest include The Museum of Northern Arizona in Flagstaff, Hopi Cultural Center on the Hopi Reservation at Kykotsmovi and the Hubbell Trading Post National Historic Site on the Navajo Indian Reservation near Ganado. If you’ve been caught by the stark beauty of the desert and feel called to pit your team against it, Arizona Outback Adventures’ Desert Survivor program tests participants’ survival skills in the Sonoran. Teams compete against one another in a series of subsistence skills challenges like water transport, fabricating a survival rope and setting up a shelter to protect the team from the elements. If nature’s spectacles have worn your group out, Arizona professional sports teams are sure to entertain from the comfort of stadium seats. The Greater Phoenix area is one of only eight metropolitan areas in the U.S. that has at least one team in each of the four major professional sports: baseball, basketball, football and hockey. It’s more than simply getting people to show up for the annual conference, the retreat session, or the new product unveiling - we want them to be advocates of the meeting, to be excited to learn about the agenda and how they fit in. How can we convince people to be passionate about a meeting before the meeting? The same way we bring passion during the meeting – the motivational presentation. If an hour presentation at the annual meeting is meant to motivate the attendees for a year, a series of short 90-second inspirational videos delivered with the invitation will go a long way towards creating excitement about the annual meeting. Every meeting has a motivational presentation, or should. It might not say “Motivational Speech” on the agenda, but at the end of the meeting, the attendees will be talking about that one session that got them excited to be a part of the conference. That one session that had an impact on their thought process and caused the attendee to really look at the role they play as an individual in the organization. The one session that moved the attendee from being a passive participant to an active, engaged member of the organization. This is the session you want to have as part of your invitation. Meetings aren’t just about relating industry facts and stats. We could do that with an email and save a lot of time and effort. Meetings are about networking with your peers and getting excited about the future. Meetings are about creating passion. And passion is shared with inspiration, motivation, and leadership. Take a look at the faces in the audience when a truly passionate person is giving a presentation and you’ll see the changes taking place. When the leader stands up and is excited and full of hope and optimism about the future, it is felt by all the attendees and they become filled with hope and optimism. The idea is similar to a presentation itself: Tell them what you are going to tell them, tell them, and then tell them what you’ve told them. Motivate them to get passionate, get them passionate, and then keep them passionate about your organization. If a professional motivational speaker is on the agenda, utilize their skills and ask him/her to put together a short series of inspirational videos to go out with the invitations. Yes, there may be an additional cost, but the return on having members attend with the intent of learning and becoming passionate is well worth it. And follow up with more motivational videos and stories after the meeting – the return on this meeting is only the beginning. It also sets next year’s conference up for success as well as the return your organization receives from inspired members during the year. Let’s give people a reason to be advocates for attending. Let’s convince them to be excited about the upcoming meeting, to be excited about the changes that will be announced and how it will better the organization and all of its members. And… Let’s not abandon them after the meeting. Let’s continue the excitement and passion with follow-up videos and stories of success. Stories involving peers who through their passion and contributions have helped propel themselves and their organization to the top.

BD: We are excited to finally see the meetings industry begin to improve in Arizona. Many hotels and resorts throughout metro Phoenix and Tucson depend heavily on meetings to generate room nights, food-and-beverage spending and conference services. We were one of the last states to feel the recession because there was a strong pipeline of meetings already booked. However, it has taken a long time for that pipeline to begin to refill. We’re slowly seeing more meetings being booked, additional delegates and a gradual increase in spending per delegate. We are still a long way from peak meetings activity in 2007, but we are moving in a positive direction.
